CHAPTER 1

INTRODUCTION
1.1 BACKGROUND
School Management Information System consist of task such as registering students,
managing HRs, attendance record keeping, producing report cards, managing timetable,
providing notice about various report to student, HRs and parents.
Utilization of technology to replace humans with machine that can perform tasks more
quickly, reliably and continuously. By manually using School Management Information
System documents that occupies large space can be stored in few less size disks. The task of
managing school traditionally can be very easier with the help of school management
information system. In our country, the school system is not properly managed and the entire
task has to be performed manually and hit and trial method has to be done by administrator
to maintain routine.
The title of the project is “School Management Information System”. This project will
handle some of the task of the school. School Management Information System has most of
the facilities that the present modern school needs to computerize its day-to-day task. It
helps to transform the traditional school management information system of our country to
digital school management information system. The main principle behind the need of
school management information system is to easy supervision and management of school
activities.

1.2 STATEMENT OF PROBLEM
To help and promote the achievement and success, school must have access to complete,
accurate and timely information of students. One of the benefits of school management
information system is that the student record system will simplify retrieval of required
information and is a great instrument for school improvement by taking the measures from
the information acquired. Besides the school management information system, the school in
our country use paper based documentation system for performing various tasks and the
school administrator apply their knowledge for scheduling classes and courses, which wastes
time and labor.
Mark sheet of a student are prepared manually by the officer and teachers. Attendance of the
students are taken manually by the teacher. It is difficult to find the record of student who
has passed many years ago. It is difficult for searching the students from the thousands of
records manually which enhance for the use of school management information system. Due
to inefficiency of current manual system, the need arises to digitize school management
information system in order to efficiently handle student’s attendance, to produce mark
sheet, report card, notices and events and to produce timetable.

1.3 OBJECTIVES
To develop a system for managing student, attendance, notice, class, subject human resource
information and generating mark sheet.

1.4 SCOPE
The School management information system has very wide range of scope and uses. It can
be proved helpful for the various school syorstem of our country. The traditional
management system is seeking for the easy management, which can be fulfilled by the
School management Information system. Since most of the schools in our country are
performing every task manually so, this management information system will help to make
the education system systematic, simpler and easier to use. Some of the scopes are listed
below:
 Maintenance and reporting of student data
 Handling records of examinations, marks, grades, etc.
 Maintaining records of absences and attendance of students.
 Provides student and HRs details.
 Maintain School Notice and Class Routine

1.5 LIMITATIONS
The limitations of our System are:
 System don’t include Human Resource Attendance
 Account and Payment are not included.
 Library and Transportation information are not included.

LITERATURE REVIEW
On the context of reviewing the similar type of past project or sites we studied that there are
various school management information system built in Nepal for the management of traditional
school system. We are planning to develop web application similar to those already built and try
to modify the system of data management and friendly operating environment for the admin,
HRs and students. With the development of technologies and skills, digitization in school
management system is being adopted for performing various school related task easier and
simpler. At the current moment, we can find various system designed for the management of
school. We have heard about e-school, Crossover school management information system etc.
These are the web based school management information system which are famous in our
country. Besides them there are various school management information system available in the
internet for the users.
During our project we visit some information system such as
2.1.1 E-ZONE
It is a management information system, modern, computerized systems continuously gather
relevant data, both from inside and outside an organization. This data is then processed,
integrated, and stored in a centralized database (or data warehouse) where it is constantly
updated and made available to all who have the authority to access it, in a form that suits
their purpose. Its objective is to design and implement procedures, processes, and routines
that provide suitably detailed reports in an accurate, consistent, and timely manner.

2.1.2 CROSSOVER
Crossover School Manager (CSM) is intended to automate every aspect of operations and
day to day activities of the school. CSM will ease and manage day to day operation of
school. Using this software means securing the routine activities of the School. School
management system is a simple but yet powerful integrated platform that connects all the
departments of an institution namely Office Administration, Account and Inventory,
Library, Academic and Exam sections

2.1.3 KHEC MIS
Khec MIS is running project of Khwopa engineering college which was lunched under IT
Engineer Web developer and software Engineer Er. Shiva Kumar Shrestha gathering popularity
among the students, teachers etc. It basically aims at Keeping the student’s record (student’s
profile, attendance, exam result etc.) college notice events and news provides automatic report
generation to management committee, Roll based access control to the system etc.
Those systems have very good level of user interface along with the security issues.
They have well maintained security level with systematic management of data and are easier and
simpler. We are trying to build a web application which is similar to this.

CHAPTER 3

METHODOLOGY
3.1 BACKGROUND
Our project was carried out in a much-managed way. For that we have coded in a few easy
steps which is easy to understand and use. Our project initial step have been the collection of
related data from the school management information system made in the early time. The
study of the various requirement of the school management have been performed and the
next step have been the analysis and design where we have analyzed how the system should
be made, what are the things to be add other than previous projects or web application.
In our system, registration is most. User might be administrator, student, or any HRs who
can login to the system. If the login will be performed by admin then admin panel will open,
similarly if login by students, student panel will open, and by HR, HR panel will open. There
are main users in our system admin, students and HR. Admin can manipulate the records of
students, HR, manage routine and schedule, and handle the task of exam, payment and many
more. Students can see their profile, their grades, attendance and their payment detail.
Similarly, HRs can also see their profile, their attendance, and can manipulate the record of
student for the purpose of exam only. HR mainly teachers can provide task to the students
from their panel and any other notice to specific class or students. Admin can communicate
to both HR and student.

In case of library management, transport management and payment we have not including
this in the present project and will enhance it next time. We have managed records of student,
HR, managing classes and subjects, and managing class routine, daily attendance and exam.

3.2 TOOLS AND PLATFORM


Our project was carried out in a much managed way. For that we have coded in a few easy
step. The system was developed using Sublime, bracket, notepad ++, text editor using PHP
tools. For the the database, we are using XAMP

RESULT AND DISCUSSION
4.1 OVERVIEW
SMIS is a school management project with simple features which helps users to use it simply and
efficiently. It is the system that manage the various features of school like managing student and
HR records, class routine, managing class and subjects, managing attendance and school notice.
This system will help the various schools of Nepal for the easy management of student and HR
records. The snapshots of some of the part of system is given below:

4.1 ANALYSIS OF RESULTS


The System School Management Information system is tested with different inputs and the
system is tested with data capacity test too. This good for the medium data management and a bit
lag in case implementation to Internet. The system has both front and backend responsive so it
can easily load on any devices.

The system has meet the objectives of our project. The system has been developed that simply
manage some of the task of School.

CONCLUSION AND RECOMMENDATIONS

4.1 CONCLUSION
As a whole, we have completed almost all the task of our project. We can conclude that our
project have been completed on time and have been useful in accordance to the need and
environment of the school management information system in Nepal. The project will be headed
towards the promptness and accuracy so that anyone can understand in the easy way.

As far as possible our project has been carried out with being errorless and problem less. Hence
the project will show the good outcomes and performances. Since we are using easy coding for
the development of school management information system which will help the future
developers to modify the project in any way as per their requirements. The system can manage
the records of student and HR, manage attendance, class routine and school notice. Might be the
project will help the school of Nepal to manage data of school and other various task.

We have tried our best and work hard for the completion of the project which will help to
improve the traditional management information system into modernized management
information system our country.

4.1 FUTURE RECOMMENDATIONS


We are excluding some of the system of school management information system which we will
complete next time to make complete school management information system. The remaining
task like Human Resource Attendance, Class Routine, Payment and Account, Library
Management and Transportation will be completed in future so that our system will help to
manage schools activities in Nepal.
