Market Analysis

Here at Sport U our program A.S.Y.A has put together our market analysis. The analysis

of leisure behaviors and recreational patterns in the local area of teenagers and young teens

shows that students that dont participate in sports in their school usually tend to not have

something to do. We understand that Shepherdstown doesnt really offer much leisure

excitement for teenagers and young adults especially if they are not participating in a sport. With

our program we can offer those students creative activities that help give them a reason to be

active and enjoy leisure activities. The target market of the program is the age group of 12-16

male and females. We understand the social media has gained the attention of that age group and

we will take advantage of that by using social media apps to promote the program and get

feedback for new event ideas. The typical activities this age group participate in is video gaming,

hanging with friends, playing basketball with friends, and pretty much whatever they can do to

not get bored. So with that being said we think our program will be a good fit for that age group

because they will be able to use social media during some of our activities, be social with their

friends while making new ones, put their video gaming to the test by competing with other

students in their age group, and learning from some of the workshops that will be provided. We

know that this age group can lose interest easily or get bored fast, that is why our program only

run three days out of the week and at a time frame where its not too early in the day to get

through their daily routine and not too late for them to still be able to do their evening activities

especially on the weekends. We will also help those students with their home-work and tutor

students that seek that. In 2008, 30.2% of youth ages 6 to 12 were active to a healthy level

through sports, organized or unstructured; by 2015, that number had dropped to 26.6%,

according to SFIA. Among 13- to 17-year-olds, the rate fell from 42.7% to 39.3%. (Facts:

3
Sports Activity and Children, 2015). We see that they are a drop in sport participation and more

and more students are in need of something to do other than play a sport but all awhile still

staying active and social, that is what our program provides.

on the basics of physical activity. The final goal of Sports University is to increase safety in

activities and the knowledge of how to be safe when playing any type of sport and activity.

Executive Summary

Name of Organization: The program is run by Q. Campbell, Rocky R., and Kevin A.,

Kevin G., Sport U, we are a non-profit intramural program that offers students at local middle

and high schools that arent apart of a sports team to be active and enjoy different fun activities

within our program.

Program Title, Team Names, Date and Time: Program name is A.S.Y.A (After School

Youth Activities). Team names will be countries, the date and time of the program is on

looking to be active and a part of something that helps advance their social growth within the

community.

Location: Shepherd University, Wellness Center. It has been reserved for the time of the

program, our only location.

Promotion Plan: Flyers, Facebook Page and the Snapchat app will be used for

promotional purposes.

Target Market: Non-participants in collegiate or local high school sports. Ages 12-17,

both males and females are welcomed.

5
Summary of Evaluation Plan: This program is to help students to stay active and interact

with other students around their age in their communities. This is a non-profit program is looking

forward to help students to have fun and be able to do something after school hours and not be

bored. There will be new games, different activities, even an Olympic circuit on some nights.

Food and drinks will be provided for students and also workshops or certain days.

Promotional Plan

Our program needs to promote well to ensure that this event maxes its true potential.

Some major things we are going to do are create a Facebook page that can be a quick way to

reach out to huge amounts of people. This will also be something that can describe everything

that is going on along with the organizations name (Sports University), and all their information

if you want to reach out to them. The Facebook page will indicate the days we plan on running

the program which will be Wednesday 5pm- 7 pm, Friday 6pm- 7 30pm, Saturdays 3pm- 5 pm.

Another way we plan on getting the word out about this is to put fliers out around Shepherds

campus along with the surrounding high schools in the area and allow them to see the basic

information along with the link to the Facebook and our other promotional idea which will be

Twitter. The flyer is good for people so they have something to hold onto and can visualize what

it looks like which is a good way to get people to remember your event. This will be passed out

about a month and half in advance of the program to try to get the biggest turnout possible. They

might not necessary join because of the flier but it will take them to the other two resources that

can allow them to see how many people are involved or following the organization. The last way

we plan on promoting this program is to create a twitter which is huge with current high

schoolers and college students which is our target population. The twitter will be a cool way to

update people constantly and to even have some polls on ways to make the event better like

6
which food to provide and what type of tournament style would be best. Twitter is just an

awesome way to constantly keep promoting and updating people on the program. Overall these

three promotional ideas should be able to gather up a good amount of people because social

media is the best way to get people ages 16-21 to learn about it.

7
Venue

The Venue that will be needed for the program is an open space like a basketball gym or

an open grass field like at a park. Our actual venue that we will use for the program is the

Shepherd University wellness center. The ideal venue we would like to use would be a

recreational park that has an indoor gym facility and an outdoor field where we can host

cookouts and do other activities outdoors especially when it feels nice out. The back-up venue

we would use would be a park or a local wellness facility if Shepherd University facilities were

not available during our time of operation. If this was being done for a larger crowd of

participates then the ideal venue would again be the recreational park that has an indoor and

outdoor space where we could do multiple activities and even have cookouts for the families of

the participates.

8
Equipment/Supplies

Here at Sports University, we will be hosting a series of different activities and

depending on the activity for the day; we would need different equipment that suits the activity.

Some basic supplies that we would need would be basketballs, kick balls, tennis balls, large trash

cans, hula hoops, and more. We have normal games that we offer like pick-up basketball and

hand ping pong but if we want to bring in different activities, we would have to bring in the

appropriate items to accommodate those games.

Since we are a non-profit, most the items will either come from donations or from out of

pocket expenses which we will factor into our budget. Most of these items are not that expensive

and easily attainable, purchasing these items ourselves would not hurt our program budget in the

big picture plus they are items that will last. Since we will have multiple activities running at

once, we do not need a large quantity of items because multiple groups will be doing different

activities with different supplies.

will have places online where you can sign up and also forms when you come in to sign up as

well.

Inclusion Plan

Our program wants to be for anyone and everyone. No individual should feel left out here

at Sports University and every person will be included in each activity in anyway. We

understand that some kids are shy and can be nervous in meeting other people, thats why as

leaders of the organization, we will help overcome this fear by working with them and gradually

work them into the group so they become more comfortable with other people.

We will eliminate the extrinsic barriers by creating a fun and safe environment for the

participants so they are more comfortable being in a different environment. The intrinsic barriers

might be difficult to overcome but as long as we keep the kids in a positive atmosphere and a

fun, safe environment, the kids will find that it will be okay to open up and be part of the

activities.

Special Arrangements

Special arrangements are key in making sure a program will be to the best of its potential

and thus we will be implementing a few into our program. The following list is the special

arrangements that we will have:

11
1. There will be transportation in the form of school buses that will travel to local

high schools to pick up other students and community members,

2. There will be handicap accessible activities as well as every area available to

participants will be handicap accessible as well.

3. There will be food in the area so we will receive permission to place food in the

area that is best suiting to the University that we are at.

4. We will need trained medical professionals at the program just in case of an injury

so we will need to get in contact with local fire departments to make sure people are there in case

of emergencies.

Set Up Plan

Our setup Plan at Sports University will have 3 different key steps, with each step having certain

goals to be completed before moving on. This will ensure that we have everything that we need

setup and will also allow us to be more organized in our setup.

Step 1:

Assemble all staff and volunteers and make sure they all have the proper outfits and

nametags to let people know that they are staff or helpers.

Make sure the gym or area being used is cleared out from all previous items before our

arrival and then allocate and collect all of the equipment needed for the activities.

Step 2:

Start placing all equipment needed out into the gym or area while making sure that

nothing gets broken and the gym and area itself does not get any harm caused to it as well.

Position all of the posters, walkway path signs, maps, and entrance material out, so that

people know where to go when they arrive.

12
Put all the food and drinks and other amenities out so that people viewing can have some

refreshments as well as those playing.

Step 3:

Make sure that all the activities that were set up are working and are not broken or set up

incorrectly.

Finish off by decorating a little to make the theme connect to the sports in a way that will

impress people when they walk in.

After all of these steps are completed the set up will be over and the activities can soon

begin.

Staffing and Orientation

The staff of the program will consist of 4 staff members and any volunteers that have

experience with working with teenagers, who will be CPR certified through Shepherd University

CPR class program. The specific skills that will be required are being able to work with kids and

young teens preferable between the ages of 12-16. The staff members will have to display

creativity for the program to keep participates interested and to draw volunteers to the program

as well.

Share Staffing Needs

Risk Management Plan

Since we offer a number of activities, there are always the possibility a person can get

hurt. Anytime a person participates in an activity, they are risking themselves in getting hurt.

This is why in our registration form; we state that any injury that occurs, we are not liable for

that injury because the individual is aware there is a possibility of getting injured. In the event if

the program is outside then there is the chance of bad weather. In the case of potential bad

weather, then we will cancel the program for the day and reschedule to a later date that has a

better forecast during that time. If there is bad weather while we are indoors, we will adhere to

the facilities emergency weather protocol and after the protocol is finished, we will either cancel

the program for the rest of the day or resume depending on the situation.

There will be no specific training that we will need in order to run the program. It would

be wise to have a First Aid/CPR Certification but it is not required. In the event of a medical

emergency, calling 911 would be priority number one and if it is a response we can adhere to, we

will act accordingly. We will have all four leaders present at all times and we expect no more

than 50 individuals at a time so that puts a 12 to one child to leader supervision which is an ideal

number for leaders to watch.

Evaluation Plan

The evaluation plan that Sports University will be using will start with determining the

worth and value of the programs that we put on and other offering that we give to the

Universitys and the community. We plan to set out surveys for all people who participate and

ask them to fill it out before they leave or if they do not have the time there is a link provided for

our webpage where they can fill it out there. It has a mixture of different types of questions such

as informal, non-structured questions and formal systematic questions. This mix of questions

will allow us to get the best opinion of what people think with both general direct answers and

the elaborated questions where people can really give their true feelings.

There are a few main points that will be in our evaluation plan and they are listed as follows:

1. What could have we done differently in every different activity as well as with the

introduction and special arrangements?

2. Was the program organized?

3. Was the staff helpful and pleasing to you?

4. Is there anything else you would have liked to do to make this program better?

5. Do you feel like you learned something from this program?

With answers to these main questions we will be able to truly improve our program

development, make decisions on organization management, and test objectives by establishing

accountability for the program and what we have done.

17
Survey Results

Program Survey
1. What were some of the programs strengths?

2. How could we improve the program?

3. Did you enjoy playing these new games or was it boring?

Summary of the Results

The results of the program were mainly positive. Most people really enjoyed the quittich and

wish that they were able to play for a longer time. Another aspect people liked was that it was

energetic but not physically demanding. The beer pong was a hit because of it just being simple

and the participants got competitive with it. It was a good cool down after quittich someone said

which is something to think about with larger groups. The hantis wasnt a disaster but a lot of

people had trouble playing it due to small tables and just a new sport to most people. I think if

we gave them some time to practice it would have gone better along with wider tables. The one

negative that was repeated a few times was that quittich needed a way to differentiate between

the two teams because the hockey stick colors wasnt enough. Overall the majority of people

enjoyed playing the new sports and wish we had more time to play the games which is just due

to it being just in class.
