Recommendations and discussions (Script)

1- Our company had some big problems of communication months ago, in


conclusion we think that communications between Directors and Heads of
Department need to be improved. We agreed with the first strategy, the head of
department should send weekly reports to the Board of Directors, because in this
way all the departments can know what is happening in the company, and if they
have to do something to solve the problems they can do it faster. Also, it is a good
idea putting a manager in charge to work with the biggest clients for a better service.

2- The problem of communication between head office and sales representative is


a serious problem, because this has resulted in delays in processing orders and
insufficient information about costumers, we think it is very important that this
recommendation is applied immediately, but it isnt necessary the sales
representatives send daily reps, the problem will solve if reps send weekly to the
sales department

3- We agree with the third recommendation about the Customer Services


Department, the only thing we would add is to give the employees in that department
a manual or checklist of what constitutes a health or safety implications, so there is
no confusion when dealing with a normal complaint.

You may remember the problems that we had months ago about defective products that
resulting in bad publicity, and also the problem with one of the most important clients, this
is why we are writing this email, we want to communicate you the solution that we took
the last meeting.

We decided that the head of department should send weekly reports to the Board of
Directors, also the Customer Services Department will have a checklist of what constitutes
a health or safety implications and should inform to the other departments if something is
wrong and the clients complaints.
