School of Business & Social Sciences at Aarhus University, autumn semester 2017; Congratulations!

This letter contains important information on:

Please read the letter and all sections carefully to make sure that you are well prepared for the
application process and for your exchange.

Application Deadline for Autumn 2017: 1 May 2017


Below will follow important information about the application process for students wishing to study
Business/ Economics/ Communication at Aarhus BSS - School of Business & Social Sciences at Aarhus
University.

The online application form must be submitted no later than 1 May, 2017.

Application forms submitted after this date will not be processed.

Please carefully read the instructions given below as well as the instructions given by our colleagues at
the AU International Centre (IC) on the ICs webpage. As an exchange student studying Business /
Economics / Communication at Aarhus BSS you must follow the online application instructions for
Aarhus: Economics, Business, Communication at Aarhus BSS. If you fail to submit the correct application
form your application will not be processed and you will not be admitted.
Application Process: How to Complete the Correct Application Form Correctly
1. CREATE NEW USER FOR SELF SERVICE

Sign up for an account on our Self Service website by clicking new user access and complete the
form for international students. Whenever you type your name, you must write your first name
followed by your last name (i.e. Jane Johnson) using lower and upper case letters as indicated
(Jane Johnson not Jane JOHNSON). Your name must appear as indicated in your passport, but
using letters only from the Danish and/or English alphabet. If you fail to indicate your name correctly
it will create problems once you apply for your residence certificate.

2. CREATE NEW APPLICATION FORM

Log in to Self Service and create a new application by clicking Application form for exchange
students. Remember to write down both your username and password. You will need these several
times both before and after admission. You must choose the form called Aarhus: Economics,
Business, Communication at Aarhus BSS. It is important that you start filling in the application
within 24 hours of creating your Self Service account. It is not necessary to complete the entire
application at once. You can save any data you have entered and exit the application form as
needed.

3. FILL IN THE APPLICTAION FORM (INCLUDING HOUSING)

You can find instructions on how to complete the form on the ICs webpage. Please note that the
application for housing is included in the online application form. You do not need to complete any
separate forms.

4. UPLOAD COPY OF PASSPORT AND TRANSCRIPT OF RECORDS

Be aware that you need to upload both a copy of your passport (picture page) and a copy of your
most recent Transcript of Records in PDF format before you can submit. You must upload both your
bachelor transcript and, if applicable, your master transcript. The transcript(s) must be in English
and in a quality that is easy to read. Failing to submit the appropriate transcripts in English may
delay your admission to courses.

5. SUBMIT APPLICATION FORM AND AWAIT ADMISSION

Once you have entered all required information and uploaded the relevant documents you can
submit your application. You can follow the status of your application on Self Service by logging in
using the same username and password as when you created your application. Once you have been
accepted, the AU International Centre will send you a Welcome email including your Letter of
Enrolment. You will not receive any documents by regular mail. Non-EU citizens will also receive
their residence certificate application form via email. Non-EU students must submit the residence
certificate application form immediately after receiving it via email.
Residence Permit (EU & Nordic Citizens)
Students of EU/EEA or Nordic nationality are free to enter Denmark without a residence certificate.
Upon arrival students will be informed by the AU International Centre on how to obtain a residence
certificate. The residence certificate is mandatory for all students studying for a period of 3 months or
more in Denmark.

Residence Permit/Visa (non-EU & non-Nordic Citizens)!!!


Citizens from outside the EU/EEA/Nordic countries will receive information on how to apply for a
residence permit in the Welcome email from the AU International Centre. It is very important to start
the application process as soon as you receive the application form. The relevant documents will be sent
in an email and not by regular mail.

When the application form has been submitted to the relevant Danish embassy or consulate in your
home country, it will take up to 60 days to process the application. When you submit your application
you must pay a processing fee to the Danish Immigration Service: this should be paid with an
international credit card rather than through bank transfer in order to make the money transfer as fast
as possible. Please note that the Danish embassy or consulate may also charge an administration fee
when you submit your application for residence permit. This is not to be considered the full application
fee for the Danish Immigration Service. Please also note that to obtain visa/residence permit students
must appear in person to have their biometrics done (facial image and finger prints) at the embassy
when submitting the application.

Insurance
All exchange students must be properly insured during their stay in Denmark. Students are coved by the
Danish health insurance scheme, once they have been assigned a CPR-number. Students should also
make arrangements for insurance to cover personal belongings, third party liability and transportation
to your home country in case of illness and dental injuries, as this is not included in the Danish health
insurance scheme. Please consult your travel agency, insurance company or other in your home country
to make sure that you are properly insured.

Housing Service
The online application form also includes a housing application. In the autumn semester only students
from overseas partner universities are guaranteed a housing offer. We recommend that you request
housing from 15 August 2017. Any questions concerning housing should be directed to housing@au.dk.
Please see the housing webpage for further information.
Courses
The list of courses for Autumn 2017 will be available shortly after May 1, 2017. We will send you an
email with the list of courses as well as information on how to register for courses and the deadline for
registration. The deadline for submitting your course application will be shortly after the application
deadline. It is therefore important that you check your email regularly around May 1, 2017.

Please note that bachelor students can only sign up for bachelor level courses and master students can
only sign up for master level courses. Moreover, students will be accepted to courses only if they have
the appropriate pre-requisites. The pre-requisites will be found on the course list emailed to you after
admission. Please also note that the recommended number of credits per semester is 30 ECTS. Exchange
students are not allowed to register for no less than 25 ECTS and no more than 30 ECTS.

All students should acquire approval of courses from their home institution before signing up for
courses. This ensures that you will receive academic credits for the courses you take at Aarhus BSS.

Courses offered in Autumn 2017 will be similar to those offered in Autumn 2016, but there will be a
number of changes. You can find the course list for Autumn 2016, as well as further information about
courses on our course webpage.

English Proficiency
In order to participate in courses and pass the exams it is necessary for you to have a high level of
English proficiency. We therefore ask your home institution to guarantee your standard of spoken and
written English to be equivalent to a score of 83 in TOEFL iBT. You do not need to provide a language
certificate to document your English language skills. Certain courses may, however, require you to have
taken courses in English at university level or to provide other documentation of language skills.

Learning Danish
It is possible to sign up for off-campus Danish language courses during the semester at the local
language centre. Aarhus BSS does not provide and have no responsibility for the Danish Language
course, and the course will not be included in the transcript of records from Aarhus BSS. Please find
additional information on the AU Study Portal.

Date of Arrival and Intro Week


The Aarhus BSS Intro Week will take place from August 28 to September 1, 2017. Please be aware that
attendance is mandatory for all exchange students. During this week you will receive important
information on how to settle in Denmark and at the University. First day of courses will be September 4,
2017.

Exams and End of Semester


Courses from the majority of our programmes finish exams by December 21, 2017. A few courses will
require students to be present up until January 31, 2018 because of exams in January. Detailed
information will be released along with course lists in May.
