2) The organizers will be fully liable for any cost incurred losses, damages, claims demand and
expenses (including, but limited to, attorneys fee) arising out of, alleged to have arisen

BACKDROP
We are pleased to provide standard wordings of not more than 50 letters (excluding logo) on
complimentary basis. Additional wordings will be chargeable at RM 3.00nett per alphabet. Please take
note that backdrop arrangement require at least 5 working days prior to the actual function date.
Logo is chargeable from RM 200.00nett per piece and details with pantone colour must be given to us at
least 14 days prior to the actual function date

Note :
1. Promotional materials and displays cannot be posted, tacked, nailed, screwed or attached to column
walls, floors or other parts of the building or furniture. Should permission be granted, the organizer will
be responsible for all damages, breakages and clearing of all material and displays.

2. Decoration / Equipments / Props provided by Organizer

You are kindly requested to ensure that any set-up for props, decoration or equipment installed by your
company or your appointed contractor is in compliance with safety and fire regulations described by local
authorities. Please be informed that the Hotel will not be held responsible for any adverse consequences
from non-compliance.

EXTERNAL LIGHTING
Please be advised that any external lighting brought in for the function that has to use our hotel's 3 Phase
Power Supply, a minimum charge of RM 300.00nett will be applicable.

NON-SMOKING FUNCTION ROOM
Please be informed that under Malaysian Tobacco Act 97, the Government has included function room
(dewan orang ramai) area as a non-smoking area and Eastin Penang's Banquet function rooms have been
designated as non-smoking areas.

PARKING CHARGES
Please be informed that the Hotels basement car park can allocate approximately 200 cars. Parking
space is subject to first come first serve basis. A flat rate of RM 7.00nett applies per entry upon validation
of the parking ticket.

LICENSES FOR ENTERTAINMENT

A MACP Permit License is required for functions involving usage of music withers via pipe-in-music,
music machine, karaoke, fashion show or live artistes performances in function rooms or ballroom of the
hotel.

The client shall bear the MACP Permit License fee and the hotel shall not in any event be liable or
responsible for any civil or criminal action taken by Music Authors Copyright Protection (MACP) Berhad
against the client should they fall to obtain the said permit before the function.

RIGHT OF THE HOTEL TO ASSIGN ALTERNATIVE FUNCTION ROOMS

Function rooms are assigned by the guaranteed minimum number of people anticipated. Additional
room rental fees are applicable if group attendance drops below the minimum attendance at time of
booking. The Hotel reserves the right to relocate group to a room conducive to the group size without
notification, if the attendance reduces or increases.

LIABILITY
The organizer is financially responsible for any bodily injury to personal and damage to hotel property
sustained during the function. Please note that the hotel will not be responsible for any loss of exhibits
before, during and after the function / event.

LAST MINUTE CHANGES

F&B arrangement at least 72 hours notice is required before the function date.

RATES, TAXES AND COMMISSIONS

All rates quoted are non-commissionable and in Ringgit Malaysia and subject to 6% GST.

Deposit : 50% Non-refundable Deposit upon booking / confirmation is

require 01 month before the actual date of function.
Balance of total expenses is to be settled upon end of function by
either cash OR credit card only.

Banquet Kitchen at Eastin Hotel Penang are certified Halal by JAKIM (Jabatan Kemajuan Islam Malaysia /
Department of Islamic Development Malaysia).
