The Project Human Resource plan presents in detail strategies and approaches to staff
management, communication, assessment, and improvement plan. Aiming to address each
of the goals aforementioned successfully and achieve the organizational outcomes, will be
defined in this paper the way to communicate effectively, evaluate and improve their
performance.
Staff management plan
The Human Resource Management Plan is developed and approved during the planning
phase of the project. Aiming to identify human resources with competencies necessary to
guide the project team on how HR processes will be executed as well as the establishment of
the activities to be carried out by each person in charge (Free Management books, 2017).
Defining clear ground rules is essential to any project, and its importance rises when managing
a project over multiple sites as happen in J&J Furnishing projects. The success of the project
is dependent on getting the best out of the members of the team, and that will only be achieved
with effective people management (Free Management books, 2017).
After being recruited, the project team needs to be managed through the process of Staffing
management that evaluates the member's performance, provide feedback, resolve issues and
manage the changes to obtain the best results in the project (Williams, 2007).
Staffing management plan provides information on how the HR requirements will be met. Such
information is included on topics as staff acquisition, staff release, resource calendars, training
requirements, rewards and recognition, regulation, standard, and policy compliance and
safety (Snyder, 2013).
It is also important to mention that not only have a clear definition of the roles and
responsibilities is a vital tool to manage the team but also establishing team ground rules,
effectively communicate group norms, establishing sound communication plans and actions
as will be presented in the section below (Williams, 2007).
Communications plan
Plan communications management is the process responsible for developing a suitable
approach and plan for project communications through the analysis of the stakeholder
demand. The main benefit of this process is the fact that it provides the identification and
documentation of the approach. Thus the communication becomes more efficient with all the
stakeholders (PMBOK Guide, 2013). The organization that can communicate effectively has
more probability of succeeding in its projects (Project Management Institute Inc, 2013).
The organization has to be aware of the information provided is in the right format, to the right
people, at the right time, in the appropriate channel to cause the expected impact in the project
(PMBOK Guide, 2013).
First of all, J&J Furnishings should plan an efficient communication process at the beginning
of each project to establish a guideline for the stakeholders/ project team, to avoid extra costs
and changes in schedules during its execution (Project Management Institute Inc, 2013). In
addition, carefully identify not only the communication requirements 5Ws (What, Why, Who,
Where, When and 1H (How) but also take into account the language barriers, time zone, and
cultural behaviors because they are also working in a virtual team (PMBOK Guide, 2013).
J&J Furnishing will lead to virtual and collocated teams in their projects; both are effective, the
difference between them is in the specific communication they have to find to solve the
demand for each type of team (Kajkumar, 2010). It is crucial for achieving excellence in a
project take into account that work force nowadays represents the diversity that could be of
background, experience, the point of view, educational, geographical. Understanding each of
those elements can considerably help the organization develop its communication effectively
and produce more (Kajkumar, 2010).
The use of the tools and techniques indicated in the PMBOK are also crucial to the project
success, some of them are described below:
To begin with the identification of the communication requirements. The project manager will
determine what the number of channels of communication is appropriate for each of their
project, through the use of a very simple equation indicated in the PMBOK Guide (2013): N(N-
1)/2, where N represents stakeholders.
Secondly, choose the communication technology. This fact depends on aspects as the
urgency of the need for information, the availability of technology, and how easy is to use. As
two of their goals involves an upgrade in IT and strategy of development, they have to offer
good conditions of technology for all participants, and it is expected that most of them are
familiar with new technologies.
To conclude, meetings are essential to keep the group up to date, to respond requests, to
provide feedback/ report on progress and to ensure that every worker is clear about what must
be achieved (Kajkumar, 2010). In J&J Furnishing projects, regular meetings are suggested in
order to create proximity between the team members even those who are in different location.
It can happen through video conference or personally.
