Beverage Service
Terminal City Club promotes responsible beverage service in all of its facilities. To ensure the
enjoyment and safety of all our guests, we reserve the right to limit and refuse service. Our house
policy allows for the service refusal of double shots and shooters for all events. We are licensed to
serve alcohol until 12 am daily.
Wine
All alcoholic beverages brought onto the premises must be ordered in conjunction with Terminal City
Club’s liquor license.
In order to ensure availability, please confirm wine selections a minimum of 14 days prior to event.
All items on our Event Wine List have been hand-selected by our Sommelier for parties of 12 people
or more.
The club’s wine cellar holds a diverse selection of wines; our sommelier would be pleased to assist
you with custom wine pairings for your event.

Audio Visual technician rates are available on request.
Additional AV equipment is available through our vendors at current rental rates.
Please note that multiple microphone hook ups may require the rental of an amplifier/mixer.
Level 2
Cellular Phones: The use of cellular phones, PDAs, laptop computers and other peripherals is
limited to the interior of contracted function space. The use of these devices in common areas of the
Club is restricted to the telephone rooms provided on each floor.
Menu Preparation: Our team requires that your menu, including wine choices, be finalized two
weeks prior to your event. Menu changes made less than two weeks prior to the event may result in
additional charges.
At that time you will receive a copy of your contract on which you may make any necessary changes
before returning to us signed, confirming the details of your event.
All food and beverage services will be provided by Terminal City Club. Due to health regulations,
food may not be removed from Club premises.
Wine Selection: Wine choices are subject to availability from the Liquor Control Board. The Club
reserves the right to make appropriate substitutions, with notice, for wines that are unavailable at the
time of the request.
Our price policy regarding alcohol is one of the compelling reasons why members and clients choose
our facility. In accordance with our liquor license, all beer, wine and alcohol must be purchased by
Terminal City Club the Club in order to be served on the premise.
Service Charges and Taxes: A 15% Service Charge will be added to all food and beverage
charges. Applicable taxes in effect at time of function will apply. Effective July 1st, 2010, 12% HST
applies to all goods and services.
Non-Members & Affiliates: Non members are required to prepay the estimated costs of the event
and must have a valid credit card on file.
Affiliate members must have a current letter on introduction (within 1 month) and a current credit card
number on file. Events of more than 1000.00 will be required to pre pay 50 % of the estimated cost.
Affiliated members from outside of Canada will be required to pre pay 100 % of the estimated cost.
Catering Policies
Guarantees & Cancellations: Our catering department requires the exact number of banquet
guests attending your event 72 hours prior to the function. It is the sole responsibility of the client to
provide this guarantee to our catering office during normal business hours (8:30 am to 5:00 pm
Monday to Friday.)
This confirmed number constitutes the guarantee. Guarantees for Saturday, Sunday and Monday are
required on the preceding Thursday.
If less than the confirmed number of guests attends the function, the original guarantee will be
assessed. Terminal City Club will set an additional 5% over the guarantee where possible. If no
guarantee is given, the expected number of people listed on the contract will be considered your
guarantee. Your final bill will reflect your final guarantee or actual number of guests in attendance,
whichever is greater.
Cancellation charges will apply if written notice of cancellation is not received 30 days prior to the
event date.
30 – 16 days notice; room rental fee will apply.
15 – 11 days notice; room rental fee plus 50% of the food & beverage estimated charges.
10 days or less; room rental fee plus 100% of estimated food & beverage charges.
Estimated food & beverage equals the estimated numbers multiplied by the minimum menu prices.
This will be calculated for each meal period and then multiplied by the lowest price in that meal
period.
Please note that your event booking is not considered firm until a signed contract has been received.
Performance of the agreement is contingent upon the ability of the Club to complete the same and is
subject to labour disputes or strikes, accidents, restriction upon travel, transportation, food, beverage
or supplies and other causes whether enumerated herein or not, beyond the control of management
preventing or interfering with performance. In no event shall the Club be liable for loss of profit or for
other similar or dissimilar collateral or consequential damages based on breach of contract, warranty,
or otherwise.
Assignment of Function Rooms: The Club reserves the right to reassign a group to a more
suitable room, with notification, if attendance drops or increases.
Signs and Banners: No signs are allowed on the exterior of the building or lobby areas without
approval from Club Management. Printed signs for function rooms will be free standing or on an
easel. The Club will assist in the placing signs or banners, for which a fee may be charged.
SOCAN Fee: The Society of Composers, Authors and Musical Publishers of Canada assesses a
tariff for the performance of live and recorded music. Functions with recorded or live music are
subject to this fee, which will be collected by Terminal City Club at the time of billing and paid to
SOCAN (prices are subject to HST).
