A Introduction :
One of the ideas stressed by New York Design Architects is communications. One of the elements of communications is
to use common language between all staff and clients.
This is the third draft of New Design Architects, LLP. Guidelines for filing and CAD. These guidelines should be used for all
work performed within or for NYDA and/or NYDA clients directly or indirectly. These guidelines are subject to change, and
are open for comments and suggestion.
- To create an easy to use, and understandable set of electronic documents, including but not limited to
architectural, engineering drawings, design, renderings, etc.

B General Workstation Ethics:
General WorkStation Ethics:
Computers provided are for the purpose of providing you with a media for which this office can communicate. These
computers are delicate. Your responsibilities for your workstation (Desk, Chair, Tools, Computers) include the
following:
Daily maintanace of your work station includes clearing away of build up of inactive projects by fililing
away in their proper location. This should be performed daily, as part of your routine. Physical
cleaning of the surfaces in also appreciated, cleaning staff will not clean your workstation due to their
inability to distinguish trash from non trash. Regular maintanance also keeps our facility in a bug free
environment. Please do not hesitate to ask for any supplies needed in order to do this.
Your workstation is for your use and should be used as a tool, personal items may be stored as
requried, but not intended for anything but incidentals (tissues, napkins, etc.)
Your computer work station is also a tool for your work, personal files or softwre are not to be installed
without permission. Installing any hardware or software may conflct with existing components and
crash the system as well as increase chances of viruses.
It is your responsibility to create, name, backup and store files as per these standards.
It is mandatory that all files are stored in the server under the appropriate heading.
It is imperative that any document that is received approved by any governing or private authority be
scanned into the system and stored in the proper location. Items that require scanning are not limited
to: approved plans, specs, applications, shop drawings, submittals, etc.
It shall not be permissable for any staff to utilize, connect in any way to network, or any office
hardware, with any type of wireless or storage device including, but not limited to, cellular phones,
thumb drives, usb drives, tablets, laptops or other media having the ability to store, copy or distribute
files. If necessary, a written request can be submitted to the partner in charge.
Now you are on your way to becoming a vital pat of the NYDA team!

C Basic Computer Operations:
Because Windows is a secure system, some workstations require you to identify yourself, or log on, do not put in a
password for the workstation that you are using, under no circumstances may you create a password without a partners
approval and, if granted, the password must be disclosed to all partners.
Software/Hardware/Office Equipment:
Email/Communications:
- Email is monitored randomly by various personnel, for any reason, or no reason at all; it may be read,
distributed and scrutinized. Care must be taken to avoid misuse.
- Email is to be used for NYDA business purposes only, not shopping or any other purpose not related to office
work, regardless of whether you are on NYDA time or not.
- All staff is required to export (archive) all associated email communications to servers routinely but not to
exceed quarterly, job end (defined as termination of project), sign-off of project and/or permanent stop work.
All archived emails are to be saved within the job folder under correspondence/email.
- Email accounts are provided as needed to staff as a communication tool to facilitate your efforts in completing
your work. Any questions pertaining to this should be directed toward a Partner or IT Administrator.
- Staff is required to maintain calendar and contacts within one workstation. Both must be backed up to the
local c drive on a yearly basis, refer to section k for additional information.
- Upon commencement of your employment (either directly or on an as needed basis), or shortly thereafter, a
username and password will be provided to you, in order to access email and other office data from off-site, in
the event staff is in the field or working outside of the office.

D Master Layer List For CAD Drawings:
Layers
The layers will be based on the following Guidelines. This system was chosen because the fundementals are easy to use,
understand and tested over time, and the layer names are very descriptive. This system is not wholly perfect. As a result,
some minor deviations will be required form time to time. In many cases, our clients will request their standards be used,
staff shall clarify such at project commencement and proceed accordingly.
A layer guideline is attached. New layers should be based on existing layers. Upon commencing a new drawing a
"Prototype.dwg" should be opened from the symbol library, by begining this way the layers are allready established for you!
Once opened immediately "save as" to the project folder you will be needing this drawing with with the proper nomeclature
as is noted as standard in this manual. (section K).

In reference to line colors, standard colors should be used first, but must be assigned, BY LAYER. This will allow us to
easyly change all colors. For refrence, the colors chosen to be used in the office were based, not by plotting, but on future
use of these files being viewed on the screen by someone using different CAD software.
Because CAD drawings will be shared within the office and also with outside consultants, it is imperative that a CAD layer
nameing standard be used. This layering guidelines structure makes the list easier to use and accomodates for future
expansion. Layer names are used easy to remember; abbreviations such as E-WALL stands for existing architectural
walls, N-WALL for new architectural walls, and D-WALL for demolished architectural walls. The following CAD layer
conventions are based on the American Institue of Architects (AIA) long format layer names and are to be followed as the
office standard:
Major Group 1 character:
This categorization breaks the list into manageable sections, using the character E for the
divisions of Existing, A for Architecture, M for Mechanical, S for Structural, E for Electrical.
Generally minor group designate assemblies or construction systems such as walls, doors,
ceiling, or electrical power.

The following list outlines the most common layer types that you will need, again if you start with the proper plot type
drawing files these will already be set up for you.

E Standard AutoCad System Variable Settings:
The following is a basic listing of function keys and their operation during AutoCAD. If more help is needed you should
refer to the various AutoCad manuals in the office library (at least 3 versions exist in circulation):

Variable Setting Variable Function
PSQUALITY Varies Controls the rendering quality of PostScript images and whether
they are drawn as filled objects or as outlines.
TEXTFILL 1 Controls the filling of Bitstream, TrueType, and Adobe Type fonts.
0 = Display text as outlines.
1 = Display text as filled images.
TEXTOLTY 50-75 Sets the resolution of Bitstream, TrueType, and Adobe Type fonts.
Valid values are 0 to lob.
TREEDEPTH 3020 Specifies maximum depth, that is, the number of times the tree
structured spatial index may divide into branches. The first two
digits refer to MS and the second two digits refer to PS.
TREEMAX 10000000 Limits memory consumption during drawing regeneration. You get
about 15,000 oct-tree nodes per megabyte of RAM.
VISRETAIN 1 Saves current drawing's layer information over the layer information
of the Xrefed drawing.
VIEWRES 1,000 Controls the resolution quality of circular objects on the editor. The
higher the Viewres setting, the slower the regeneration time. For
large drawings, the Viewres variable can be changed to best suit,
the drawing.

1. Always plot to a scale, scale to fit or irregular scales are unacceptable.
2. All drawings plotted must be plotted with a graphic scale and north arrow.

G Cad Standard Text Fonts:
AutoCAD provides numerous text fonts. You can expand, compress, or oblique as needed. You can also draw text of any
desired height, at any baseline angle, and either horizontal or vertical oriented. Some fonts, such as Sans serif bold
oblique, appear as outlines on screen, but are filled in for printed output. Note: Always Style Name should be the same as
Font File Name,
Standard Text Fonts for NYDA are Simplex.Shx, Hlvm1s.Shx, refer to the enclosed Drawing Factor sheet for Text Heights.
Example. A drawing drawn in model space at =1-0 drawing scale should have a text of 4 1/2 text height. All text in
paper space should be at 3/32, font style simplex.
You can over score or underscore a piece of text or include a special character. To specify these operations, include
control information in the text string, using the double-percent character pair %% to introduce each control sequence. The
following control sequences have been defined:

H Cad Standard Dimension Styles:
Setting up Dimension Styles:
In the Dimension Style Box Type in Current,Dim-T_48 (this stands for Dimension Architectural Tick), and in the Name put
in the same as in Current.
In FAMILY: mark or check off Parent, then press on the GEOMETRY button.
Dialog Box for GEOMETRY appears; refer to the enclosed sheets for example.
In Dimension Style dialog box, enter a style name and choose Save.
Notice that under Family, Parents is selected by default, indicating that youre creating a parent style.
Choose Geometry to define the appearance and behavior of the dimension line, arrowheads, and center marks or
lines, and to set the dimension scale.
Choose Annotation to define the primary and alternate units, tolerances, text styles, gap, color, and the rounding-off value.
In Dimension Styles dialog box, select Save to save your current changes to the new style. Then choose okay.
1. DIM-T_48; Architectural Tick, _48 is the scale size for a drawing, _24 is for etc.
2. DIM-D_48; Dot, _48 is the scale size for a drawing, _24 is for etc.
3. DIM-A_48; Closed Fill (Arrow-Head) , _48 is the scale size for a drawing, _24 is for etc.
Standard Settings:

J Scale Factors:
Linetype Scale:
Linetypes (i.e dashed, dotted, etc.) plot at a different spacings. The following chart lists the linetype Scale Settings and
Text Heights to be used for the correspondancing plot scales.
You can use Zoom XP to scale each viewport relative to Paper-Space units. Each viewport can have a different scale. For
example, to display a detail in a viewport Scale, you can use the Zoom command with the option Scale (X/XP) at a
value = 1/24XP, where 24 represent the Scale Factor of the detail. Refer to the chart below for exact Scale Factors.

K Back-ups, Archives, File Names and Location:
Saving Files and File Names and Directories:
Files must have names. All files are to be named in the same fashion and saved in the same directory structure whether
in the server for easy identification or local c drive. The following is a summary of the rules for naming files and
directories: (see diagram below)
File and directory names are recommended to be no more than (15) fifteen characters long, abbreviate at all times to
reduce file names (i.e. : McD3ave71st), etc.
Directory are to be named using Project #, see example below.
Drawings should be named using project# followed by the sheet # (example 9966-a1.dwg) from the drawing list of the
project.
Revisions to sheets must be saved according to revision number (i.e. 14010_A001R1.dwg)
Do not use any characters other than letters, numbers, -, and _ , in the name of the file. Spaces, periods and slashes
specifically MAY NOT BE USED. Use of such prohibited characters will prevent the proper back up of, and restoration
of files.
Xref file name should start with Base-File name.
Wblock file name should start with Symb-File name.
Directories and sub-directories are to be created as indicated in the diagram above, all project files are to be provided with
sub-directories describing the title of files for which they contain.
All files are to be saved on the file servers, back-up copies may and should be saved on to the local drive on the
workstation. There are three essential reasons for this:
1. Any file may be found at any time without doubt as to where it may be located.
2. The servers are backed up automatically daily, pooling of files allows regular back up by system hardware, your
local drives are not backed up, so they would be a secondary back up source.
3. Security is maintained at a higher level in the server, viruses are checked for regularly and data is more secure
due to use of SCSI devices installed.
Staff should be working off of servers at all times. No permanent files should be saved on local drives. Retrieval of back-
up files must be requested from the system administrator.

Example of a Project Directory Structure on a Local Work-Station Hard Drive (C:\NYDA):
Project directory on the local drive, when used for back up are to use the same nomenclature and methods as outlined for
the server. Purpose of such is that in the event any staff is searching for a local back up there would be no question as to
where files are kept.
Go to "explorer" (not to be confused with internet explorer, see diagram below)

Temporary Drawing Files should be placed in a subdirectory called "TEMP" under the "NYDA" directory nothing of any
importance is to be stored there, this directory may be accessed by others performing routine maintenance on the
computer and deleted at any time.

L Symbols / Blocks Library:
Office standard reference material are located in the Reference folder on server.
Details and Standards are arranged as their respective section # of the spec from 1 through 16, symbol file names will also
reflect this. Any new symbols added will be named according to the spec section with a description Eg. 15-dunn.dwg
(Dunnage Detail/Notes) This library will undergo continous updating and names of the details may change but the location
of where they will be stored will not. Any zoning documents on server should not be relied on without check frinal on-line
materials.

When leaving for the evening, unless workstation is in a virus scan or similar state, please shut off the computer by:
Step 1.- go to start 2.- press shut down 3.-shut down the computer, yes.
If the computer does not respond within about 30 seconds press: Ctrl Alt Del keys all at the same time twice, repeat if
you get no response, as a last resort you can press the "reset" button on the tower. Once the computer re-starts (it may
take you trough scan disk first) try shutting it down once again as explained above.
Note: Some computers will turn off at the end of step 3 above automatically; some will say "OK to turn off..." (or similar) if
this is the case you will have to turn the power off manually on both the monitor and the tower.
