The Facilitator of this workshop must have a certain skill set to deliver this
workshop and make it a positive learning experience for all participants
involved. A Facilitator can be an Application Consultant, an Application
Engineer, and/or a Project Manager.

PC Setup There should be one PC per participant. The latest version of Workforce
Timekeeper 4 should be loaded on each PC. A backup copy of Kdemo should
be made in each directory prior to the start of the class.
Day 2
PC Setup There should be one PC per participant. The latest version of Workforce
Timekeeper 4 should be loaded on each pc. A backup copy of Kdemo should
be made in each directory prior to the start of the class.
Materials The Facilitator should have a data projection device setup and connected to a
PC or laptop with the Workforce Timekeeper 4 Kdemo software and the
Pre-Implementation PowerPoint presentation.
The Facilitator should also have access to a flip chart and markers so
information and questions can be illustrated during the workshop.
Go to the last page in this section to find the 3-2-1 Review document. Read all
instructions carefully. Use the last slide in the PowerPoint presentation for
this review. It is important that all Facilitators of this course take the time to
do this review with participants in the workshop. The feedback from this
review should be forwarded to the customer's Kronos Project Manager.
*At the end of this workshop, take time with your participants to go through
Appendix A. This is the section that has all the prompt questions that
participants should use to help them make decisions regarding their
implementation of Workforce Timekeeper 4.
All classroom preparation steps assume that a Kdemo installation from the
Workforce Timekeeper 4 installation CD has been performed on each training
PC.
After installing the WTK 4 software, detach Kdemo and copy the original
installation Kdemo.MDF and Kdemo.LDF files into a backup folder of your
choice before making any changes to the database for training. The original
files reside in \Kronos\wfc\Kdemo. Once you have backup copies of
Kdemo.MDF and Kdemo.LDF, you are ready to attach Kdemo to the database
and prepare the data for the training class.
Backup Original 1. From the desktop, double-click Stop (Stop Workforce Timekeeper) to
Kdemo Database stop the Workforce Timekeeper system.
Files
2. Detach the Kdemo.MDF training database:
a. Select Start > Programs > Kronos Workforce Timekeeper >
KDemo DB Attach.
b. On the Login screen, leave the password field empty, and click OK.
c. Click Detach. Once the database is successfully detached, click OK;
then click Exit.
3. Copy the master Kdemo.MDF and Kdemo.LDF files to a backup folder.
These master files, installed during the installation process, are located in
the \Kronos\wfc\Kdemo folder.
4. Attach the Kronos training database, Kdemo.MDF:
a. Select Start > Programs > Kronos Workforce Timekeeper >
KDemo DB Attach.
b. On the Login screen, leave the password field empty, and click OK.
c. Click Browse, locate Kdemo.MDF in \Kronos\wfc\Kdemo, and click
Attach.
d. Once the database is successfully attached, click OK; then click Exit.
5. Start the Workforce Timekeeper system:
a. From the desktop, double-click Go (Start Workforce Timekeeper).
b. Open Task Manager and make sure all processes are running.
(Confirm that the Totalizer.exe and produceReport.e files appear in
the Processes tab.)
c. Close Task Manager.
Note
You are copying the master Kdemo.mdf and Kdemo.ldf files to use during
training. These files were installed during the installation process.
Note
Once the classroom preparation is complete, stop the Workforce Timekeeper
system, stop the Kronos WTK Background Processor, and detach the Kdemo
database. (See earlier listed steps in Backup Original Kdemo Database
Files.) Make a copy of the modified Kdemo.MDF and Kdemo.LDF files.
Attach the set of modified files to the instructor machine and to each
participant's machine prior to the class.
Note
For the instructor-led class, be sure to change the JRUN setting for each
PC in the classroom.
Instructions: Go to slide 97 (the last slide) in the PowerPoint presentation and display the
slide on the screen. Ask participants to come up with answers to the following
statements:
! Name three features that you saw yesterday that you would find useful to
implement back at your company or place of work.
! List two questions you have about the new features or set-up options you
saw yesterday.
! Name one thing you are concerned about or would like more information
about regarding the Workforce Timekeeper 4 product.
Give participants no more than 10 minutes to complete the review. Gather the
groups back together. Ask each group to elect someone to speak on behalf of
their group and share what they came up with.
Purpose: This review is a way to analyze the effectiveness of Day 1's presentation of
material. The Facilitator is able to listen to feedback about what the
participants are excited about, find out about any outstanding questions that
were not addressed the previous day, and understand what issues they are
concerned with or would like more information about. This allows you, as the
Facilitator, to focus your presentation on the second day and allow you time to
get participants the information they need to feel good about the product and
what is involved in implementing this system.

Throughout this guide, there are now more references to specific
parts of the Workforce Timekeeper Pay Rule Survey and
Workforce Timekeeper Feature Configuration Survey. These
surveys should have been given to customers by their Project
Manager, but there are also copies included with this guide. The
instructor notes will tell you when to refer to different parts of the
surveys. By going through the surveys alongside the course
content, participants will be better equipped to complete their
surveys. If participants have already completed their surveys,
then these discussions are an opportunity to double-check their
decisions.
You may instruct participants to get their surveys out at this time
(either the one they brought or the ones provided with this guide)
and have them on hand for subsequent discussions. For those
unfamiliar with the surveys, review the general layout and the
type of information found in these documents.
If time allows and you finish the second day of this course early,
it is suggested that you take advantage of the time and have the
customers Application Consultant or Project Manager spend
time helping the customer fill out their surveys.
The Workforce Timekeeper Pay Rule Survey is used to document your rules
and policies for time and labor management. Kronos Professional Services
uses this document to customize Workforce Timekeeper for your
organization's needs. It is important that you fill out the form as completely as
possible. If there is a section or question that you do not understand, please
contact your project manager.
It is possible that this survey does not include every possible pay situation
your organization has implemented. This is why it is important to discuss with
your project manager and application consultant any complicated pay
policies. Your application consultant may need time to test your Pay Rules to
ensure that your employees' time is calculated accurately.
To help you interpret and complete your Workforce Timekeeper Pay Rule
Survey, this guide includes a glossary of terms. The glossary defines the
configuration terminology used in Workforce Timekeeper.
The Workforce Timekeeper Feature Configuration Survey is another type of
survey used to document the setup options you wish to have configured.
Kronos Professional Services will use this document to set up Function
Access Profiles, Workforce Genies, and much more. It is important that you
fill out the form as completely as possible. If there is a section or question that
you do not understand, please contact your project manager.
It is possible that this survey does not include every possible setup option
your organization may want or need implemented. This is why it is important
to discuss with your project manager and application consultant any setup
concerns that may not be addressed through this survey.
You will find both of these surveys included with this guide. Your Kronos
project manager should also have copies of these surveys readily available for
you.
The following definitions will assist you as you complete your Pay Rule
Survey and Feature Configuration Survey.
Term Definition
Bonus An amount of time or money that is awarded to the
employee under certain circumstances.
Break An amount of time that an employee is off the
clock for a meal and/or break.
Callback The time in which the employee has been called
back into work. The employee usually earns a
higher rate of pay for being called back.
Call-in Defines rules for how on-call and callback hours
accrue.
Change Point A value of time that specifies when the rounding
rules should change for one type of punch.
Combined Pay Code A category that sums the time and/or money an
employee may earn in multiple pay codes.
Consecutive Day Worked A type of zone where employees may earn a special
Overtime rate of pay for working a number of days in a row
or total number of days in a week.
Daily Shift Differential A type of zone where employees may earn a special
rate of pay for working between certain times of the
day.
Deduction An amount of time that is automatically deducted
from an employee's shift. Typically used when
employees do not punch out for a meal or break.
Exceptions A deviation from the normal work pattern.
Examples are when employees work outside their
assigned schedule.
Fixed Rule A rule that contains the defined pay period and
where an employee's hours will belong for a
particular group of employees.
Grace A value that determines to which increment a
punch should round. The grace value must be less
than the round.
Holiday Defines a special day in which employees can be
paid for not working or receive special pay for
working that defined day.

User Name User names are given to employees, managers, and administrators who need
to access Workforce Timekeeper to perform various functions. The user name
is not necessarily case sensitive. Check with your System Administrator for
more information about your username.
Password The Password field on the Log On screen is linked with your user name.
Passwords are always case sensitive. Check with your System Administrator
for more information about your password.
NEW! - Menus In 4.3, the menu structure has changed from flat menus to
drop-down menus.

Navigation
Workspace
Bar
Areas There are 4 main areas of the Workforce Timekeeper browser. These areas
include the navigation bar, workspace, header, and launch buttons.
Navigation Bar The Navigation Bar is one of many ways to move within the browser. The
navigation bar can be customized for each user or type of user in the system.
Depending on the access rights of the user, you may see some or all of the
following options on the navigation bar: My Genies, My Timecard, Group
Edit Results, Reports, Setup, System Configuration, Help, and My Links.
Workspace The workspace changes based on the portion of the application you have
accessed. For example, the workspace may display an employee's timecard, a
report and its options, summary of employee information, (Workforce Genies
), and so on.
Header The header appears at the top of the browser, just below the browser toolbar
buttons. Depending on the area of the application you have accessed, the
header might contain a Show drop-down list that displays a selected
HyperFind, a Time Period drop-down list that allows you to choose a time
period to view, menus, and launch buttons.
Launch Buttons Launch buttons appear in the header area of the browser and allow you access
different parts of the application. For example, you could highlight one or
more employees from within a Workforce Genie and click the Timecard
launch button. This places you directly into the selected employees
timecards.

Workforce Genies are powerful tools that present managers with instant
feedback on critical time, labor, and schedule data. Workforce Genies are the
starting point for the Workforce Timekeeper manager. They represent
customized, specialized views of employee time, labor and schedule data.
In general, Workforce Genies address three main areas:
! Who? - a specific set of employees
! What? - information about the employees for the selected time period
! When? - a specific time period
Using Workforce Genies, you can see at a glance summary information
such as hours, exceptions, and schedules for only your employees. You can
perform a group edit on all of your employees, or a specific group of your
employees. You can also focus on one particular employee to view or edit
more detailed information about that employee.
Key Benefits of Some of the benefits that Workforce Genies provide are:
Genies ! Companies can tailor specific views for each manager reflecting their
role, responsibilities and decision needs.
! Managers get at-a-glance views to quickly identify exceptions, hours
worked, and employee attendance.
! Managers can streamline and simplify daily, weekly, and pay period
tasks, eliminating unnecessary steps.
! A home base for easy navigation through the Workforce Timekeeper
system.
! A direct route to the data in question by way of drill-down options.
! An easy way to select an employee group and perform a group edit.
Types of Workforce There are six types of Workforce Genies. These Genies can be customized for
Genie your company and/or individual supervisors and managers.
! Detail Genie - Employee driven information
! Roll-up Genie - Labor Account driven information
! QuickFind Genie - Employee search tool
! Schedule Planner Genie - Timeline view of schedules
! Schedule Snapshot Genie - Graphic view of schedules
! Schedule Outline Genie - Text-based view of schedules

Detail Genie This is an example of a Detail Genie. Detail Genies are characterized by
displaying information by individual employee. This allows you to make
decisions about what actions need to be performed on behalf of that employee
or group of employees.
Detail Genie Genie Column options and labels are completely customizable. You decide
Columns what column to display in this type of Genie, as well as the column labels and
sort order of the columns.
Example In this example Pay Period Close Genie, we have each employee listed
alphabetically. We can tell at a quick glance that Julie Adams has a missed
punch, and Edna Evans and Pat George have Unexcused Absences. We can
see how many managers have approved the employees' timecards. Lastly, we
get a glance at the hours worked by each employee.

Take the time to explain the way that information is totaled and
displayed in a roll-up Genie. This is a VERY important concept.
Check for understanding before moving onto the next topic in
this section.
Total hours displayed in each row of a roll-up Genie are totaled
by number of employees whose home account is displayed in
this Genie. The total hours are also summed by the lowest labor
level that displays in the Genie. For example, you see a total of
20 people in account 201/301 and you see a total of 317:00
Regular hours. This total is again by employees whose home
account is 201/301 and does not account for hours transferred
into this account by other non-home employees. On another
note the 317:00 total Regular hours are totaled by the
Department labor level.
What labor levels would you most likely want to roll-up total
information by?

Roll-up Genies Roll-up Genies are characterized by display of information by labor account.
This type of Genie is helpful to Payroll Managers and Supervisors to
summarize information about various levels of an organization. When you
access a roll-up Genie, the only available launch button is Reports.
Roll-up Column Genie column options and labels are completely customizable. You decide
Options what column to display in this type of Genie, as well as the column labels, and
sort order of the columns.
Special Information Totals displayed in a roll-up Genie are by employees who are assigned to the
about Roll-up displayed home account. For example, you see a total of 20 people in account
Information 201/301 and you see a total of 317:00 Regular hours. This total is again by
employees whose home account is 201/301 and does not account for hours
transferred into this account by other non-home employees. On another note,
the 317:00 total Regular hours are totaled by the Department labor level.
Another way to look at this is that the totals are summed by the lowest labor
level displaying in this Genie.
Note
To search by first names in a QuickFind Genie, use the
following syntax: *,_J*.

QuickFind Genie A QuickFind Genie is a type of Detail Genie. The purpose of a QuickFind
Genie is to use this as an interrupt driven tool. When you are interrupted from
editing or running reports, you can jump to a QuickFind Genie and gather the
information requested about a specific employee or group of employees. The
difference between a Detail Genie and a QuickFind Genie is that a QuickFind
Genie displays only a few column options and you can only search by
employee name or ID.
QuickFind Column Genie column options and labels are completely customizable. You decide
Options what column to display in this type of Genie, as well as the column labels and
sort order of the columns.
Example For example, the Payroll Manager was finishing up some final reports for the
end of the quarter when a supervisor called and asked if John C. Smith had
enough vacation time to take a week off. She navigates away from reports and
selects QuickFind. She type S* in the Name or ID text box and clicks Find.
She can quickly locate John C. Smith, highlight his name, and run a report on
his accrual balance for vacation. Once finished, she would simply click the
Back button on the browser toolbar and go back to finishing her reports.
Note
Schedule Planner is not a spreadsheet. You cannot
rearrange columns or perform spreadsheet functions in this
Genie.
Total Column The Total column contains the sum of the hours for which each
employee is scheduled during the selected time period. For
performance reasons, this is a simple sum (no totalization) that
appears on screen but is not stored in the database. For
example:
! Jean Johnson is scheduled to work Monday-Friday,
9:00a.m.-6:00p.m. with a 60-minute automatic meal
deduction. Her Total is 90 hours for the range of dates
shown, rather than 80 (totalized) hours.
! Gary Sullivan is scheduled to work the same schedule with a
30-minute automatic meal deduction. His Total is also 90
hours for the range of dates shown, rather than 85 (totalized)
hours.
Unlike automatic meal deductions that are configured in the work
rules, scheduled breaks have no effect on timecard totals.
However, scheduled breaks are deducted from the Totals in
Schedule Planner. Normally, organizations configure automatic
meal deductions rather then scheduling breaks.
Note
Accrual Amount Accrual Amounts are covered in the Workforce 4 Accruals
Menu Configuration course.

Schedule Planner The first column in Schedule Planner is an alphabetical list of individuals and
Columns groups. The column heading contains dates for the selected time period. Each
cell represents one day. Cells can contain shift start and end times and pay
codes.
The Total column contains the sum of the hours for which each employee is
scheduled. At the end of the Total column is the sum of all scheduled hours,
and the total number of employees for the selected time period. The last two
rows contain the total hours and total number of employees scheduled for
each day the time period.
Example In this example, you can see that Roger Capparelli is scheduled for 34 hours
in this time period. There are a total of 39 people loaded in the Schedule
Planner. Ginger Baker is scheduled to be out for Jury Duty. We also see the
people assigned to the Day Office schedule group.
Total Column Like the Schedule Planner Genie, the Total column for the
Schedule Snapshot Genie contains the sum of the hours for
which each employee is scheduled during the selected time
period. For performance reasons, this is a simple sum (no
totalization) that appears on screen but is not stored in the
database.
Day Divide Shifts the cross the day divide display as such in the Schedule
Snapshot.
Colors To view the color key from Schedule Snapshot, click the Help
button to display context-sensitive help on Schedule Snapshot,
then click either the bar colors link, or the What the colors
mean link.
From any other Workforce component, click the Help button and
in the Contents window (seen in this slide), select WTK Help >
Scheduler > Schedule Genies > What the Snapshot colors
mean.
Note
System color settings may affect the look of shifts in the
Schedule Snapshot Genie.
NEW! 4.3 Schedule Snapshot colors differ slightly from the colors in
previous versions of the product.

Schedule Snapshot The column options within the Schedule Snapshot Genie are fixed. You
Columns cannot customize this Genie. You always see employees not assigned to a
group at the top of the Genie, then schedule groups and the employees who
are assigned to each group below. The vertical total column displays a simple
sum of the number of hours each employee is scheduled for the time period
you are currently viewing. The horizontal total columns at the bottom of the
workspace display total number of employees loaded in the Schedule Planner,
total hours scheduled for the schedule period, as well as for each day.
Example In this example, you can see the information displays in a way the allows you
to analyze the coverage you have for a particular day. The yellow bars on
Ginger Baker indicate a scheduled pay code edit. The blue bars indicate a
recurring shift. To display shift start and end times or pay codes in a tooltip,
hold the cursor over a colored bar.

NEW! For v4.3, Schedule Outline has a new format that displays the
schedule by employee, rather than group. This new view
enables you to see how employees are moving through group
assignments. The following are new Schedule Outline columns:
! The Schedule Name column contains shift labels, pattern
names, and group names.
! The Type column indicates whether the employee is
scheduled for a shift, pattern, group pattern, or pay code.
! The Start Date and End Date columns identify the dates to
which the shifts, patterns, and pay codes apply.
! The Details column displays additional information about the
shifts, patterns, and pay codes.

Time Entry Formats There are three time entry formats available in Workforce Timekeeper. They
are Time Stamp, Hourly, and Project.
The time entry assignment is made in the employee's record.
There are two timecard formats. They are:
! Hourly Timecard
! Project Timecard.
The manager views the timecard format of the employee. Where appropriate,
features, functions, and displays work the same in both the Hourly and Project
timecards.
Time Stamp Time This time entry method is assigned to employees who log their time using the
Entry Web browser. Time Stamp employees can also be assigned an hourly view
timecard. There are access controls that can be configured to determine what
the employee can do and see in this timecard.
Hourly Time Entry This time entry method is assigned to employees who enter punches or pay
code edits into their timecard. There are access controls to determine if the
manager or the employee can perform these or other functions. The employee
could also be an employee who enters their time by swiping at the
Timekeeper Terminals, but can view their timecard using the browser.
Project Time Entry This time entry method is assigned to employees who enter the amount of
hours that they work each day, not necessarily what time they come in and
out. This is known as entering duration amounts. This time entry method is
also used to track the number of hours worked on a particular project or in a
cost center.
Other Time Entry In addition to the web interface, Workforce Timekeeper supports the
Options following time entry devices: telephones (Teletime); Timekeeper terminals,
including hand-held scanners and the new 4500 terminal; Personal Digital
Assistants (MobileTime); and TouchID, which is a new biometric option for
the 4500 terminal. Some of these time entry methods and the concept of how
they communicate with the Workforce Timekeeper database is covered later
in this course.

Time Stamp In the Time Stamp workspace, the employee has the ability to perform a few
Workspace functions depending on their access rights. For the employee to simply
clock themselves in, they would click the Time Stamp button. This action
will stamp the employee in or out for the day, by capturing the database server
time. The PC time is not used.
Timestamp Options One option the employee may have access to within the Time Stamp
workspace is to perform a labor account or work rule transfer. To perform a
transfer, click the drop-down list and search for the appropriate labor entry or
work rule. The other option may be to cancel a meal deduction for the day. If
the employee has worked through their meal, they can select Cancel all meal
deductions check box and click the Time Stamp button.
Again these are just options available to Time Stamp employees. The
customer implementation team makes decisions as to each employee's access
rights.
Log me off after The Log me off after stamping is a check box that can be placed on this Time
stamping Stamp workspace. It is controlled by an option set in System Settings. If this
option appears and the box is checked, once the employee clicks the Time
Stamp button they automatically are logged out of Workforce Timekeeper.

How Often? Depending on your role, you may need to perform some tasks more regularly

High-Level Higher level supervisors may not be directly responsible for editing employee
Supervisors timecards; however, they may want to periodically review the time worked by
the employees who work for them. Higher level supervisors may have the
department managers report to them directly.
These types of supervisors may not actually edit schedules, but may want to
review the schedules of those who work in their department or area. They may
also approve timecards.
Often supervisors are interested in productivity and efficiency information
about their employees. Therefore, they need access to reports and may have
the ability to schedule their reports to run automatically.
Other types of tasks that supervisors may do in Workforce Timekeeper
includes using HyperFind to extract information from the database about their
employees. They may also need to use the e-mail notification options to push
information out to their department level managers or receive information
about their employees.
Finally, supervisors may need to enter their own time. They may use the
Timestamp, Hourly, or Project time entry methods. Managers may have the
ability to enter their own leave time. This is usually done on a periodic basis.
They may use the Hourly or Project time entry methods to accomplish this

Payroll or Human Payroll and Human Resources Supervisors may have the most responsibility
Resources when it comes to using Workforce Timekeeper. They perform tasks that both

records.
They may also need to use the e-mail notification options to push information

options in Workforce Timekeeper Setup. It is the client piece of the
Workforce Timekeeper software.
Components of There are seven components that can be configured and maintained in

! Labor Levels - This is where labor levels and labor entries are defined.
! Pay Rules - This is where pay code, work rule building blocks, work

! Accruals - This is where calculated and non-calculated accrual rule
building blocks and accrual rules are defined.
! Wage Profiles - This is where wage profiles are created.
! Access Profiles - This is where Logon profiles, Function Access profiles,
and Data Access profiles are defined.
! Display Preferences - This is where Workforce Genies, URL profiles, and
Display Profiles are defined. Custom field labels and custom telephone
labels are defined here as well.
! Comments - This is where comments are entered and maintained.

Configuration There are many things that need to be configured in Workforce Timekeeper in
Overview order to track and pay employees for their time. The three main places where
information is configured to track and pay employees for their time are: Labor
Maintenance, the Pay Rule Setup, and the People Record.
Labor Maintenance Labor Maintenance is where a company defines the Labor Levels and labor
entries that they wish to track in the Workforce Timekeeper software. Labor
Levels play an important role in the Workforce Timekeeper software and can
be used for more than tracking labor. Every employee is assigned a home
labor account.
Pay Rule Browser The Pay Rule browser is where a company configures pay codes, Work Rules,
and Pay Rules. The Pay Rule is assigned to employees. This rule controls how
the employees are paid for the time that they work.
People Record The People record determines the device group to which an employee is
assigned. It may also determine the time entry method assigned to employees.
Employees can enter their time by swiping their badge at a Timekeeper
Terminal and/or use the Workforce browser to enter their time. If employees
are assigned a time entry method, they are given a user account that they use
to log onto Workforce Timekeeper and enter or view their time.

The People Record What makes up a person in Workforce Timekeeper? It is more than just a
Name, ID, and Time entry method. There are additional components that help
to define in employee in this system. The people record ties many aspects of
the items configured in Workforce Timekeeper Setup together to define the
different types of people in Workforce Timekeeper.
Manager Example Depending on the type of person you are depends on the attributes that are
assigned to you in your people record. For simplicitys sake lets consider
what makes up a Workforce Manager who also tracks his or her own time in
Workforce Timekeeper. This type of person needs to have a Pay Rule
assigned to them to determine how to pay the hours they work during a pay
period. A manager is also assigned certain profiles in the people record that
determine what he or she can do or see in Workforce Timekeeper. For
example, on the Role workspace of the people record we assign a Display
profile. This determines the Workforce Genies a manager can see and use and
how other things display when accessing the system. This person is also
assigned an Access Profiles that determines what actions he or she can
perform to the employees they manage, as well as what the manager can do in
his or her own timecard. This person is also assigned profiles that control
what employees he or she can access and the pay codes, work rules, and
reports that can be accessed. Other items assigned in a persons record are an
Accrual Profile, a User Name and Password, and a Home Labor Account.
There are many other aspects to what makes up a person in Workforce
Timekeeper. The key is to understand how the items in the People record tie
into the items configured in Workforce Timekeeper Setup.

Labor Tracking Labor Tracking is a feature of Workforce Timekeeper. This feature lets
employers and managers track, allocate, and manage employee time and labor
costs. Labor Tracking is always the first thing configured in a new
installation. The elements of Labor Tracking are used throughout Workforce
Timekeeper. Labor Tracking includes Labor Levels, Labor Entries, and Labor
Accounts. Employee hours accumulate in pay codes. The hours in each pay
code are grouped or sorted by labor accounts. This shows how much time and
money was spent in a particular labor account.
Labor Levels Labor Levels are the different areas that need to be tracked in an organization.
Seven different Labor Levels can be defined in Workforce Timekeeper. There
is an intended hierarchy when defining Labor Levels. The first Labor Level
defined is the broadest. The next level defined is a little less broad and so on.
This intended hierarchy must be carefully considered when defining Labor
Levels. It is important that Labor Levels be defined correctly from the initial
implementation. It is difficult to change your Labor Level structure after
Workforce Timekeeper has been put into a production environment. Also plan
for organizational expansion when defining Labor Levels. Even if you don't
think you will use all seven Labor Levels, it is better to plan ahead of time and
build them in; they can always be renamed later.When defining your
company's Labor Levels, it is important to consider security issues. Labor
Levels and their associated entries are a way to allow or disallow a user access
to different information in Workforce Timekeeper.
Labor Level Entries Labor Level Entries are associated with Labor Levels. Labor Level Entries
may be the different departments, cost centers, or jobs in your organization.
There is no limit to the number of entries that can be assigned to a Labor
Level. Labor Level Entries are the individual components that make up a
Labor Account.

Labor Accounts A Labor Account is made up from an entry at each Labor Level. There is no
Labor Account validation; all combinations are valid. Workforce Timekeeper
automatically generates them. Every employee has a home labor account.
When employees are added to Workforce Timekeeper, they are assigned an
entry from each level. By default, all hours the employee works are charged to
this default home labor account. If the employee works in a different job or
department, the hours can be transferred to that labor entry.
Facts ! Labor Levels cannot be deleted once they are assigned labor entries.
! If a Labor Level is added after employees are in the software, each
employee must be edited to include a home entry at that new level.
! Labor Level names can be edited.
! Seven Labor Levels can be sent to the terminals. The combined entry
length cannot exceed 140 characters.
! Labor entries cannot be deleted once assigned to an employee.
! Labor entries can be inactivated.
! Inactive labor entries are not sent to the terminals.
! Labor entry names longer than 20 characters are not supported at the
terminals.
! Validate All New Entries option prevents users from creating a Labor
level entry at the data collection device.
! Employee home labor account assignments have associated effective
dates.

Rule to show where the building blocks are selected to build the

Pay Codes Pay codes are where the hours that an employee works are accumulated.
Examples include Regular, Overtime, Double, and so on. Both pay codes and
combined pay codes are defined here. Pay codes are the first item on the list in
the Pay Rule Browser. Because they are used throughout the configuration
process, they must be defined first.
Work Rule Building These are the individual rules used to interpret a shift and/or pay period. Some
Blocks of the individual rules include rounding rules, exception rules, breaks,
overtime, and so on.
Work Rules Selecting the appropriate Work rule building blocks creates a Work rule.
Holiday Credit Rule Holiday credit rule building blocks are individual rules that define and

Pay From Schedule Pay from Schedule is a new feature added to Workforce Timekeeper 4. It is
programmed in the Pay Rule. This new feature allows timecards to be
pre-populated with time or amounts from employees' schedule. Options can
be selected in the pay rule so this happens automatically.
Always pay This is the default setting of any new pay rule. Always pay scheduled amounts
scheduled amounts will only populate the employee's timecard with scheduled pay code edits. No
other time is added to the timecard. For example, a vacation pay code edit was
scheduled for J. Adams on July 5, 2001. When we viewed J. Adams timecard
on July 5, 2001, we would see the edit that was made in the schedule editor
appear on her timecard. The vacation pay code hours would be added to her
total hours that appear in that pay period. If an edit needs to be made to this
pay code, it must be done through the Schedule Editor.
Pay scheduled If pay scheduled amounts is selected in the pay rule, employee timecards will

actually worked on that day.
Carryover transfers This check box is available when either of the above two options are selected.

accruals, you may or may not be able to utilize all the features that can be
configured in this window. Items with a blue circle next to them indicate they
are features of calculated accruals and require installed licenses. All other
items can be set up with or without the calculated accruals license.
Calculated Accruals Calculated accruals allow to you fully automate accrual granting and tracking
within Workforce Timekeeper. No other outside program is required.
Calculated accrual features include: Accrual Codes, Site-Wide and Person
Specific Dates, Date Patterns, Probation Periods with qualifiers, Earned and
Fixed Grants with qualifiers, Carryover, Earning, and Taking Limits,
Transaction Increments and Minimums, Overdraft Rules, and Milestones.

Accrual Profile An Accrual Profile is made up of one or more Accrual rules that define how
an employee can earn and use non-productive time such as vacation or sick
time. After the Accrual Profiles are defined for each type of employee in the
system, (for example, Full-time, Part-time, Salary, and so on), they are
assigned to the respective employees.
Accrual Rules Accrual rules govern the behavior of the Accrual Code. Accrual rules
determine such things as when an employee earns accrual time, how it is
earned, if time can be overdrawn, and if there is a probation period
determining when the time can be taken.
Accrual Codes Accrual Codes are the buckets that hold the time earned. Accrual codes can be
one of the following types: Hours, Days, or Money.

What are Wage Wage profiles allow you to assign multiple wage rates to employees. A wage
Profiles? profile can be assigned to a single employee or a group of employees. A wage
profile contains one or more labor levels that affect how the wage rate is
calculated for time charged to specified labor level entries.
Example For example, you might have a labor level named Job. Each entry within
the labor level, Job, defines a different type of job code within your company.
Some jobs pay different rates than others. Some of these jobs may pay a flat
rate, and additional amount per hour, or an hourly multiplier because of union
regulations or company policy. Above, Job 501 has a multiplier of 2
associated with it. The employee would earn two times his base wage for
working in job 501. Jobs 502-509 have an add amount associated with them.
The employee gets an additional 4.50 an hour for working in any of these
jobs. Job 510 and above have a flat rate of $25.00 associated with them. The
employee gets a flat rate of $25.00 an hour when they work in one of these
jobs.
Wage Tables and Wage tables allow you to set up these conditions and determine which pay
Group Wage codes are to be affected by the wage table. For instance, hours that accumulate
Adjustments in worked pay codes may be affected by these profiles, but hours charged to
non-productive pay codes may not. Occasionally, employee contracts are
re-negotiated or pay increases are implemented. Wage Profiles has a group
wage adjustment feature so adjusting the additions, multipliers, and flat rates
associated with the profile can be done on a group basis instead of
individually.

Password The password expiration time is relative to the last time a users
Expiration password changed. For example, assume a user was added to
Workforce Timekeeper on January 1, given a password at that
time, and never changed it later. Then on March 1, an
administrator assigns that user a new Logon Profile that has the
password expiration field set to 10 days,. The next time that
user logs on, the system will tell him his password has expired.
Why? Because March 1 is more than 10 days after January 1,
the time he was last assigned a password.

Before defining the Logon Profile, customers should know what security
method they are going to use with the Workforce Timekeeper software. We
support NT domain, Lightweight Directory Access Protocol (LDAP), and
Kronos Authentication. The Logon profile is only necessary to configure if
you use Kronos Authentication as your security method with Workforce
Timekeeper.
Name Description
Expiration Do you want the users password to expire? If so, when will

Minimum Length Do you require passwords to be a certain number of
characters? If so, specify the minimum. The maximum limit
is 50 characters.
Reuse monitoring Do you monitor the reuse of passwords in the system? If so,
how long do you want to keep a password history for people
assigned to this logon profile? The maximum number is 999.
Note
When a Logon Profile is created, there is an option to Mark as Default. If
this is done to a particular Logon Profile, whenever a new person is added to
the system and is designated as a user, this Logon Profile is selected by
default.

Access Control Most access control points have the access permission of Allowed or
Points Disallowed. Access permissions of None, Various, Only Self, and All But
Self exist for a few access control points. The All But Self option is typically
assigned to Workforce Managers who may be able to edit other peoples data,
but not their own.
If a Function Access Profile specifies access to some functions and not others
under the same category, the access scope is Various.
There are over 200 access control points available in a Function Access
Profile.
The default permission assigned to access control points in a new Function
Access Profile is usually Disallowed.
Mark as Default Once you have created a Function Access Profile, there is an option to Mark
as Default. If this option is selected, whenever a new person is added to the
system, this Function Access Profile is selected for that person by default.

Create URLs
You create a Display Profile by building each of its components from top to
bottom as listed in Display Preferences Setup.
! First you build the Workforce Genie columns.
! Next, you build the Workforce Genies.
! If you want links to outside Web pages, you create Custom URLs.
! Next, you create Workforce Genie Profiles and Custom URL Profiles.
! Last, you combine the profiles together into a Display Profile.
It is important to follow the order in which these items are presented when
configuring display preferences. Items that appear at the top of the list are
necessary to build items at the bottom of the list. If you do not configure these
items in order, you may not be able to build a Display Profile with all its
necessary pieces.
Site Defined Labels Site Defined Labels are an exception to this rule. They can be configured at
any time and usually only need to be defined during the initial installation of
Workforce Timekeeper.

Project view start Select the start day for the Project view timecard. If people assigned to this
day Display Profile have a project view timecard, do you want them to be able to
see a start day that is different from the pay period start day? For example, the
pay period runs Monday - Sunday, but you want them to be able to see
Sunday as their start day for this time entry method. This might be useful if
they work the third shift and actually start work on Sunday night. Select the
project view start day.

Schedule Period The Schedule Period field is where you select the specific schedule period
(Weekly, Fiscal Period, 6 week schedule period, and so on) that people

Note
Schedule periods are relevant to assign to a Display Profile that is assigned to
Workforce Professional employees because schedule periods are used in
reports. Workforce Professional employees have access to a report called My

Workforce Genie The Workforce Genie Profile field is where you assign the selected Genies
Profile you want available to this person. It determines their default Genie and the
order in which the Genies display on the navigation bar.
The Workforce Genie profile is usually only assigned to Workforce
Managers. Typically, you do not assign a Genie profile for Workforce
Professional employees, since they enter only their time and run reports for
themselves.
Custom URL Profile Assign a custom URL Profile that was previously created. This can be
assigned to employees and managers.

Schedule Periods A schedule period is a time period based on how you schedule your
employees. It is different from a pay period. It determines the time period you
view when accessing schedule information.
For example, your company has a bi-weekly pay period, but your employees
are scheduled based on a 28 day rotation. Managers or employees would view
schedule information for the 28 day rotation instead of by the pay period.
Schedule periods are assigned to a Display Profile. A Display Profile is
assigned to Workforce Professional Employees and/or Workforce Managers.
You can assign different schedule periods for different Display Profiles.
For example, department managers schedule their employees on a weekly
basis. We would assign a weekly schedule period to the Display Profile that is
assigned to a department manager. Nursing managers schedule their
employees based on a 28-day rotation. We assign the 28-day schedule period
to the Display Profile that is assigned to a nursing manager.
Facts ! You cannot delete a schedule period that is assigned to a Display Profile.
! After a schedule period is created, you cannot update or edit it. You must
add a new schedule period and re-assign it to a Display Profile.

Labor Level Set - Labor Level sets have two purposes in Workforce Timekeeper. First, Labor
Employee Group Level Sets determine who managers can see when they log into Workforce
Timekeeper. This is known as an Employee Group. This Labor Level Set or
Employee Group determines who all the home employees are for each
Workforce Manager. The Employee Group is assigned to People on the Role
workspace of the People record in the Workforce Manager area.
Labor Level Set - The second type of Labor Level Set is a Labor Level Transfer Set. The Labor
Labor Level Level Transfer Set determines what labor entries you can transfer time
Transfer Set between. Since labor level transfers can be done by both employees and
managers, we can set up different transfer sets that are assigned to employees
from transfer sets that are assigned to managers. This provides a company
with maximum flexibility in determining who can access labor entries defined
in the system.
Labor Level Sets - When creating a labor level set you determine the type. It can be saved as a
All Sets Labor Level Set that defines an Employee Group. It can be saved as a Labor
Level Set that defines a Labor Level Transfer Set. The last option is to save a
Labor Level Set as the type All Sets. This means that this Labor Level Set
can be used as either an Employee Group or a Labor Level Transfer Set.

E-mail Integration E-mail integration allows customers to invoke their local e-mail client, such
as Microsofts Outlook or Lotus Notes, from within Workforce Timekeeper to
send e-mail messages or information about timecards to selected people.
Workforce Managers are the target audience for this capability. Managers can
select one or more employees and choose E-mail from the Action menu.
This invokes the customers e-mail client and populates the highlighted
names in the recipient's field and the user/manager who is currently logged
into the system as the sender. The manager can then type a message and
e-mail to this group of people.
E-mail messages invoked from the Action menu are usually created on an
as-needed basis. For example, a manager might want to send an e-mail to
employee or group of employees to notify them that they are approaching
overtime.

Example This notification goes out to all Workforce Managers every two weeks, one
day after the pay period ends. The notification will identify the home
employees of each manager who have satisfied the criteria of not approving
their timecards. The body text will list the employees by name and request
that each manager send a reminder to each of the employees who appear in
the list.

Sign-Off When the timecard is complete, accurate, and ready for submission to payroll,
a final sign-off closes the timecard from further edits and approvals. If you
have rights to access the sign-off feature, you can sign-off employee
information for the previous pay period. This prevents additional timecard
and schedule edits from being made. Usually, only payroll managers are
given access to the sign-off feature. If necessary, the sign-off can be removed.
Payroll Lock Payroll lock prevents unauthorized users from making changes to timecards
that have already been sent to payroll. At a specified time, the payroll
manager, or any other authorized user can perform a Payroll Lock, usually
just before processing the data and issuing checks.
Caution
Payroll Lock is irreversible, and cannot be removed.

DCMHOME Share When DCM is installed, all Comm PCs and Monitor PCs in the DCM network

directory allows read-write privileges so that information can be shared
among all Comm and Monitor PCs.

scenario:
1. Cross-punching is enabled at the device. This means that the device will
accept non-home employees and validation is not performed at the device
when employees enter punches.
2. An employee uses PIN punching to enter her badge, which is 9. She
accidently enter 99. This badge number does not exist.
3. Since cross punching is enabled, and the device is not validating punches,
the punch is accepted at the device.
4. The punch does not appear in the employees timecard. The punch is
invalid. It is saved in the dcminvalidtrx.tbl.
You use the Transaction Data Editor in the Communication Monitor
application to correct and resubmit or delete invalid data.

showing up in timecards, or devices are not being updated with current
employee information? What DCM application would you check first?
The DCM Sentinel application manages three connections: the Workforce
Timekeeper application connection, comm channels, and the DCM Collection
Agent. If these connections are not running, the data flow will be interrupted.
You can use the Sentinel to verify that these processes are running. You can
also use the Sentinel to start and stop these processes.
Application For DCM to transfer data between devices and Workforce Timekeeper, you

application connection tells DCM which Kronos application it will

Queue Files DCM uses a special kind of file called a queue file to exchange
information between devices and the database.

Activity Codes An activity code allows you to track hours against a specific activity. An
activity code can be associated with a shift during which employees perform a
duty or activity that is not their normal responsibility. Typically, employees
receive a different wage rate for the shift that is associated with an activity
code.

next few pages to help them understand the terminology Kronos
uses to describe the different functions our terminals can
perform.

You must first define activity codes in the host application and then download
them to the terminal.
There are three different ways to configure activity codes at the terminal.
Function Keys Function keys do not apply to Basic Timekeeper and Gatekeeper.
The terminal contains 12 function keys as well as the general purpose
out-punch feature, which is implemented as a thirteenth function key. The
terminal supports 22 functions, which you can access using function keys.
You can program each function key to access up to four functions. If a
terminal is connected to a printer, you can configure some functions to print
receipts.
You can configure function keys as employee or supervisor function keys.
Supervisor function keys are accessible only when the terminal is in
supervisor mode. Some functions loop, allowing a supervisor to perform that
function for more than one employee.
Home Employees Home employees are employees who are assigned to and punch at a
designated terminal. Non-home employees are employees who can punch at
any terminal regardless of the one to which they are assigned.
Non-Home Employees who punch at a terminal to which they are not assigned are
Employee referred to non-home or cross-punching employees.
Restrictions
Labor Account If you are configuring Labor Levels 4, 5, 6, or 7, use the parameters in the
Transfers (1-3 Labor Accounts (4-7 Levels) section.

You can configure a terminal to track labor using labor accounts. Unlike
department tracking, where you can have only one Labor Level, labor account
tracking allows you to define labor accounts with up to seven Labor Levels.

Gatekeeper terminals do not support labor account tracking functions. When

account-tracking parameters.

Labor Account You can configure a terminal to track labor using labor accounts. Unlike

You need to configure labor accounts in your host application, such as the

and Views As with any relational database, it contains numerous tables that store data. In
the Workforce Timekeeper database, the tables contain the records and
calculations that you use to manage and extract employee data. With the
development of Workforce Timekeeper views, the job of extracting the data is
simplified.
What is a View? A Workforce Timekeeper view is a virtual table that combines the
information from one or more tables in an easy-to-use way. A view is
designed to expose frequently requested information and cloak the
unnecessary details. The view provides information about a functional area,
such as absences, employee demographic data, or accruals.
The advantage of using a view is that a view masks the complexities of the
database. The view makes multiple complex tables look like a single table.
The columns of a view originate in multiple tables of the Workforce
Timekeeper database. The columns are logically grouped so all the
information you typically need about a functional area is available from a
single view or from a join of two related views.
A view does not exist in the database as a physical object. Instead, the view
columns map to a set of tables where real data is stored. If the underlying
details of a table column change, the view continues to provide the correct
data based on the columns that are mapped to the view. At the execution of an
SQL SELECT statement on the view, or at a request to create a standard
Workforce Timekeeper report, the view does the work of extracting data from
one or more of the tables within its definition.

E-Learning Live The Kronos Virtual Classroom (KVC) allows any member of your
organization to attend instructor led sessions over the Internet. Certified
instructors lead participants through a series of lectures and hands-on
activities. Sessions are an average of two hours and give participants the
opportunity to learn information in small modules.
Additional Options Kronos Educational Services can provide additional options for training your
supervisors and operators. We offer courseware license kits that allow you to
purchase a license for our standard courseware. The courseware license is

What is the Kronos The Kronos Virtual Classroom, (KVC), is a live classroom environment
Virtual Classroom? conducted over the Internet. It offers Operators training in bite-sized modules
right at the customer's place of work. The courses are offered at various times
of the day to easily accommodate employee schedules. The KVC sessions
also provide reinforcement and new-hire training just in time. KVC is a cost
effective alternative to traditional classroom offerings.
What do you need to The Kronos Virtual Classroom requires a minimum 133 MHz, 64-MB

Workforce Central application server. You will learn how to find key system
information, such as which users are connected to the application server,

server-based printers, increasing log file size, changing the number of report
engines and callable totalizers, and setting authentication modes. You also

adding a labor level entry, defining a combined pay code, modifying rounding

skills to administer and maintain an Oracle database. Included in the course
are detailed instructions on the facilities required for administration and daily
operation including user management and backup and recovery. The Oracle
Data Dictionary is examined to create awareness among participants of the

Dynamic performance tables are also explored to provide access to additional
information about the database. The course will lead up to the building of a

SQL standards. This course is taught using SQL 2000. The course will cover
data types, compute statements, aggregate functions, string functions,

Access Profile - Determines the Workforce Timekeeper components that users can access and the types
of functions that users can perform within the Workforce Timekeeper system. For example, Access
Profiles for Workforce Managers can include permission to edit schedules and timecards. The same
profile can be assigned to a group of similar users such as managers in the same department.
Access Profiles are created in the Workforce Timekeeper Setup application and are assigned to Workforce
Managers and Workforce Professional Employees in the Role workspace of the People Editor.
account lockout - This option secures a user account from future access to the system. After a specified
number of unsuccessful attempts to log on, the account locks and a warning message appears. The user
is locked out of the system and a check is placed in the "Account Locked" check box in the User
Account workspace of the People Editor. Clearing the check box will unlock the account and allow the
user to log on.
In the "Lockout duration" option, a specified length of time is defined to enforce the lock out. When the
specified period has elapsed, the account is unlocked. If a specified period is not defined, the lock out
occurs indefinitely and is released by changing the user account.
accrual - An amount of time or money that employees earn or accumulate over time, based on a
company's employment terms and policy. Typically, an employee accrues time for vacation days, sick
days, and floating holidays. Employees can also accrue money for bonuses, travel allowances, or
uniforms.
accrual balance - The amount of accrued time or money associated with an employee.
accrual code payout - The transfer of unused accrual balances to a pay code for a group of employees.
accrual code type - The unit associated with an accrual code. Accrual codes are measured in days, hours,
or money.
accrual codes - The accounts that identify and hold the type of accrual balance, such as vacation, sick, or
bonus.
For example, you can set up an accrual code named Bonus for a full-time employee who earns money
based on the amount of hours worked. The monetary amount will be added to the accrual balance for
the Bonus accrual code.
accrual pool - Defines an accrual code that holds accrued time or money not associated with an individual
employee. Accrual balances can be transferred from an employee to an accrual pool, or from an
accrual code to an employee.
Accrual Profiles are created in the Workforce Timekeeper Setup component. Accrual Profiles are assigned
to new or existing users in the Leave Management workspace of the People Editor.
accrual rule - Defines how and when accrual balances associated with an accrual code are credited and
debited. An accrual rule controls how people accrue time, money, or both. An accrual rule can only
have one accrual code.
accrual rule window - A display of the building blocks in a hierarchy in a tree view, which shows how the
blocks are categorized. You can click on the plus [ + ] symbol to expand the tree view and the minus [
- ] symbol to collapse the tree view.
accrual transfer - Allows a user to move an accumulated amount of time or money from one place to
another by using the Group Edit menu in a Workforce Genie view. Options are: group to pool, group to
employee, and pool to employee
active shift - The shift that is currently assigned to an employee or group. It can be a permanent shift
assigned through a pattern or shift template or it can be a temporary shift assigned through the shift
editor for a limited period of time. If you view the schedule in Schedule Snapshot, the color of the shift
indicates whether it is temporary or permanent.
For example:
Anna's currently assigned shift requires that she work every other weekend from
7 A.M - 7:00 P.M. However, for one month, she needs to take Sundays off. Instead of changing Anna's
assigned shift, you can create a month-long temporary shift in which she has Sundays off. When the
month is up, Anna's schedule reverts to its original shift.
ad hoc query - A search for people in the Workforce Timekeeper system that you create and save for use
during your current session only. Ad hoc queries are useful for unique situations for which no public
or personal queries are created. Ad hoc queries are available only to you on pages where you can run a
query.
For example:
Joan is scheduled to work Monday through Friday from 7:00 A.M. to 3:30 P.M. On a Tuesday, Joan's
manager needs her to work overtime. She creates an ad hoc shift for Tuesday with the hours of 7:00
A.M. to 6:30 P.M. This ad hoc change affects only that Tuesday. The change does not affect Joan's
overall pattern.
An e-mail address can take the form of [name]@[company].com. A Web address can take the form of
http://www.kronos.com.
Adobe Acrobat document format (.pdf) - Adobe Acrobat software lets you convert any document to an
Adobe Portable Document Format (PDF) file.
This format allows you to open a document across a broad range of hardware and software, and it will look
exactly as viewed on your screen, with layout, fonts, links, and images intact.
Alternate Holiday Credit Rule - This rule applies if the eligibility requirements for the current holiday
credit rule are not satisfied. A second holiday credit rule selection is available to fulfill the eligibility
requirements.
amount - Time or money. Amounts used on timecards are associated with a pay code (hours or money) or
with pay rules (hours).
amount associated with a pay code - A credit to an employee of time or money that is processed by and
assigned to a specific pay code.
For example, you can assign 3 hours of time to the Sick pay code and a monetary amount to a Bonus pay
code.
amount associated with a pay rule - A credit of time to an employee that is processed by the employee's
pay rules.
For example, you can credit 8 hours of time to a holiday pay rule that controls payment based on a pay rule
that requires an employee to work the day before and the day after a holiday.
anchor date - The date on which a rotation begins. On the Rotation tab in the Pattern Editor and the
Pattern Template Editor, you must specify an anchor date before you can enter shift information.
approval - An indication of acceptance of a person's timecard. Each approval is recorded in the timecard's
audit trail, which is visible at the bottom of the workspace. Approving a timecard prevents further
editing, unless you have access rights to remove an approval.
Assignment Rule - Assigns a work rule to a specific time period or shift. When employees qualify for an
assigned shift, the assigned work rule applies, not their default work rules.
Audit Trail window - A window that displays all punch and edit activity performed in a timecard.
automatic deductions - Time or money subtracted by the system from the hours entered by an employee.
Automatic deductions are specified in work rules and are commonly used for unpaid lunch or break
times.
Background Processor - The administrative software that calculates totals, such as hours worked and
pay earned, from the data in the database. It runs as a background process, and updates totals at
specified intervals.
You must set up at least one Background Processor in your Workforce Timekeeper configuration. To use
the Background Processor, your Access Profile must include the appropriate rights.
basic accrual - Basic accruals use none of the calculated building blocks. With basic accruals, you cannot
add calculated features to an existing accrual rule or profile, nor can you use them to create a new one.
batch (Import) - A collection of one or more import tables whose contents are processed as a unit at the
specified time.
For example:
! An import batch named "Weekly Import" is defined to process the contents of Import tables for Labor
Level Entries, People, and Accruals each Sunday at 10:00 P.M.
! An import batch named "Daily Import" is defined to process the contents of import tables for Punches
and Pay Code Edits each day at midnight.
batch event - In Event Manager, a batch event is based on running a predefined batch command. Batch
commands are used to run several tasks sequentially and are not limited to running predefined
Workforce Timekeeper tasks only. Batch events can be any type of executable program.
This type of event can only be created by your system administrator or a person designated by your
company to create batch events.
bonus - An amount of money or time added to an employee's usual compensation. Time of Day, Length of
Shift, or Pay Code can activate the bonus.
break - An amount of time that is configured for meals and work breaks. Break rules contain short,
medium, and long rounds and graces, plus exceptions.
browser - A program that interprets HTML files and displays them on a client computer for viewing
World Wide Web pages. Examples include Netscape, and Microsoft's Internet Explorer.
calculated accrual - A type of accrual that uses and enforces any of the licensed Workforce Timekeeper
Accruals features and building blocks, such as earned grants, fixed grants, carryover limits, earning
limits, and so forth.

Callable Totalizer - An application that calculates totals when called by the user. A user selects the
Calculate Totals menu option in the Timecard Editor to see up-to-date totals. To save calculations to
the database, select Save from the menu bar.
call-back pay code - Defines how employees accrue time when they report to work during a call-back or
call-in shift.
call-back shift - A type of shift that begins when people report to work during an on-call shift. An on-call
(or standby) is a type of shift where people are not on the work premises but are available for work.
These types of shifts are also referred to as call-in shifts.
call-in shift - A type of shift that begins when people report to work during an on-call shift. An on-call (or
standby) is a type of shift where people are not on the work premises but are available for work. These
types of shifts are also referred to as call-back shifts.
Hours accrue for both types of shifts. However, hours accrue differently for on-call and call-in shifts.
Call-in Work Rule - A rule that contains the call-in work rule building block and the call-back pay code
distribution. Exceptions, rounds, overtime, and zone rules can also be included in the Call-in Work
Rule.
carryover limit - This option ensures that the accrual balance does not carry over from one interval to
another by more than a specific amount. A date pattern is selected to specify the time period in which
carryover processing should adjust the balance to be within acceptable limits.
carryover partial increments - This option specifies whether remaining time from a grant is tracked and
credited to an accrual balance as part of the next incremental grant or is discarded.
client - A program (such as a Web browser) that connects to and requests information from a server.
combined pay code - A single pay code that represents the total of a selected group of pay codes.
comment - Brief descriptive text that a user can associate with amounts, punches, and historical amounts.
Comments are used to manage employee activity, communicate information between users, and
identify problems by tracking the reasons for an edit.
For example, use a comment to indicate why an employee received a particular bonus or why an employee
punched in late.
conditions (for queries) - Search criteria that you specify when creating a query to search for people in
the Workforce Timekeeper system. You specify and assemble conditions for the query using the
HyperFind Query Editor. Only users with the appropriate rights can create queries.
contributing shift - A shift that is considered when determining an employee's eligibility for holiday
credits. A contributing shift must fulfill a set of requirements, including shift length, pay code, day of
week, and days prior to the holiday.
Crystal Reports Report Writer - A third party reporting tool that allows you to create a report that uses
graphics and colors for screen display, including particular fonts, spacing, and headers and footers for
printing.
current pay period - The pay period that is in progress. Common pay periods are weekly, biweekly,
semi-monthly, and monthly.
Data Access Profile - Allows you to define the work rules or pay codes that a person can use when
assigning time and money. Data Access Profiles also define the reports a Workforce Manager can
access.
data collection devices - Any hardware device that collects punch information. For example, a clock that
collects badge-based input, a wand reader, and a hand-held device.
date pattern - A predictable sequence of dates. Examples of date patterns are: the first of every year, the
seventh day of every pay period, and the Monday of each week.
The day divide in Jane's pay rule is set to midnight. She works from 11:00 P.M. on Monday to 7:00 A.M.
on Tuesday. Depending on other settings in her pay rule, Jane's worked hours can be allocated in any
of the following ways:
Detail Genie - A Workforce Genie view that displays a table of information where each row contains
details about a particular person. From this view, a user can select people and perform group edits or
navigate to other functions.
Device Group - A logical group of data collection devices. For example, all data collection devices in a
specific building might be called by one device group name.
Device groups are assigned to new or existing users in the Timekeeper workspace of the People Editor.
You can assign several device groups to one person.
Display Preferences - Allow you to set up what information users see as well as the information's display
format. The types of display preferences include Workforce Genie profiles and custom URL profiles.
In addition, you can add information fields specific to your site for custom person information and
telephone numbers.
For example:
A Payroll Manager, Department Manager, Department Timekeeper, or Technical consultant could be some
of the job functions within an organization. Each function could then access the same or different
information displays in the Workforce Timekeeper system.
Display Profiles are created in the Workforce Timekeeper Setup component. The profile is assigned to new
or existing users in the Role workspace of the People Editor.
duration - Spans of time entered without a specific start and stop time. A duration is subject to the same
work rules as a time punch. Durations are entered in a project-based timecard.
earned accrual - An amount of time or money available to an employee based on a certain amount of time
worked. For example, for every 320 hours worked, the employee can earn a vacation day.
earned grant - An accrual that is calculated based on the amount of time in one or more pay codes. When
a new total is computed for the pay code in which the grant is based, the appropriate accrual balances
are automatically incremented.
earning limit - Controls the amount by which an accrual balance can grow.
earning pay code - The pay code that receives the earned accrual.
Employee Group - A collection of labor level entries assigned to a Workforce Manager that defines which
employee information the manager has access to. An Employee Group is assigned to a new or existing
Workforce Manager in the Role workspace of the People Editor.
end margin - A value that defines the policy under which the Callable Totalizer will recognize that either
of the following events has occurred:
Event Manager - A Workforce Timekeeper Suite component that allows you to schedule and automate a
task at future time intervals. Events are scheduled at defined intervals (hourly, daily, weekly, and
monthly) for a specified period. The output of a scheduled event could be printed or sent in an e-mail
message to a list of recipients.
exception - A deviation from normal work patterns, when employees do not punch as expected. For
example, if an employee is absent from work or punches in late, the Workforce Timekeeper system
records that exception in the database.

fat client - In a client/server architecture, a fat client is a machine accessed directly by the user that
performs most or all of the processing.
fixed grant - Defines periodic accrual increases in preset amounts. For example, according to one
company's accrual policy for vacation time, full-time employees accrue 10 hours per month. On the
employee's seventh anniversary, the amount changes to 13.34 hours per month.
fixed rule - A set of pay period parameters, included in a pay rule, that does not change based on when you
work. Allows you to configure the pay period length, pay period reference day or date, and the day
divide.
full-time equivalency - The number of hours that a person must work to equal the standard full-time
workweek determined by your organization. For example, if a standard workweek is 37.5 hours in a
company, a part-time employee working 20 hours per week must work 75 hours to equal a full-time
employee's two-week work cycle.
Function Access Profile - Determines the Workforce Timekeeper components that users can access and
the types of functions that users can perform within the Workforce Timekeeper system. For example,
Function Access Profiles for a Workforce Manager can include permission to edit schedules and
timecards. The same profile can be assigned to a group of similar users, such as other managers in the
same department.
The Function Access Profile is created in the Workforce Timekeeper Setup component. The profiles are
assigned to new or existing users on the Role workspace of the People Editor.
Genies - A Genie is a configurable tool for automating user tasks. It is configured to show a summary of
key employee information, and connects the user to the Workforce Timekeeper editors.
graces - Values that determine whether employees' punches move backward to the previous round
increment or forward to the next round increment. If a punch occurs after the grace period, it rounds
forward to the next round increment.
Graces work with rounds, which divide hours into even increments.
grant - Defines how and when an accrual balance is credited. Two types of grants exist, fixed and earned.
A fixed grant defines periodic accrual increases in preset amounts. An earned grant uses one or more
earning pay codes as the basis for calculating the amount to credit an accrual balance.
grant date pattern - A method in which the system uses the date pattern to determine when to apply the
grant (credit to an accrual balance) and increments the appropriate accrual code by the grant amount.
Date patterns determine when accrual balances are incremented.
grant qualifier - Defines a condition that must exist in order to qualify for an accrual grant. Two types of
qualifiers exist. One type is for a single probation period and the other for a recurring date pattern. The
qualifier can test for days active, days worked, hours charged to a pay code, or days employed.
graphical user interface (GUI) - Any computer interface that employs graphical controls, such as icons,
as opposed to characters.
group edit - Changes made to more than one person's record at the same time. Use the Workforce Genie
Edit menu to perform group edits.
historical amounts - In a signed-off or locked pay period, a sum of time or money added to or deleted
from a pay code.
historical edit - Adjustments made to an employee's timecard in a signed-off or locked pay period.
Historical edits are entered in the current pay period to add, subtract, or move an amount of time that
applies to a signed-off or locked pay period.
historical move - An edit made to pay code amounts in a signed-off or locked pay period.
holiday - Identifies a special day when employees do not work but are paid or when employees earn a
differential or bonus if they do work.
holiday credit - An amount of time or money that employees automatically receive on a specific day
defined as a holiday. Holidays are generally defined in a company's employment policy plan. When a
paid holiday is defined, employees are paid but, generally, do not work on that day. If an employee
works on a paid holiday, he or she may earn a pay differential or bonus depending on the company's
holiday pay guidelines.
Holiday Credit Rules - A set of rules that define eligibility requirements for holiday credits and the
calculations used to determine the time or wages issued when the requirements are met.
For example, when employees accrue hours in a holiday zone after reaching a weekly overtime limit of 40,
this segment of time is the holiday weekly OT hour type. You assign pay codes to hour types in the pay
code distribution.
Other examples of hour types are weekly overtime hour type, when an employee has to work over 40 hours
a week to qualify for overtime pay, or daily overtime hour type when an employee has to work over 8
hours a day to qualify for overtime pay.
hourly timecard - A grid used by employees whose time and attendance information is shown in precise
start and stop times.
hours accrual code - Defines a category or "bucket" in which time (in hours) accrues.
HTML: HyperText Markup Language - A collection of tags typically used in the development of Web
pages.
HTTP: HyperText Transfer Protocol - A set of instructions for communication between a server and a
World Wide Web client.
HyperFind - A feature in the Workforce Timekeeper system that allows authorized users to create and
manage queries to search for people in the system. For example, you run queries (search) for people
you want to include in reports or include in viewing and editing timecards for schedules.
hyperlink - A technique that connects you to other documents, other places within the same document,
pictures, or HTML pages. Clicking on a link takes you to the linked target.
hypertext - A link within one document that allows it to connect to and display another document.
Import - A facility that allows you to quickly enter large quantities of data from other sources into your
Workforce Timekeeper Suite database. You can create the import file to add employees, employee
information (punches and pay code edits), labor level entries, user accounts, schedules, scheduled pay
code edits, accruals, and accrual dates.
in-cell editing - Allows you to select any employee, a group, or a single cell in the schedule and enter
shifts, pay codes, or patterns by using menu options or pop-up menus.
individual schedule - A detailed display of a selected employee's schedule for a specified pay or time
period.
inherited schedule - A schedule that employees automatically assume, or inherit, when they are assigned
to an existing group. If you make changes to a schedule at the group level, an employee inherits the
new schedule.
inside grace period - The rules for defining a shift start or end time movement to inside round
increments. When shift start or end times occur between round increments, graces determine whether
they move forward to the next increment or backward to the previous increment.
For example, based on a 15-minute inside round with a 7-minute grace, if an employee punches between
7:01 and 7:07, the punch is rounded back to the previous increment of 7:00. If an employee punches
between 7:08 and 7:14 (after the grace period), the punch is rounded forward to 7:15. If an employee
punches at 7:00, the punch remains at 7:00.
inside round - The rules for defining the hour increments that are closest to the shift start or end times.
You can define inside rounds for punches before the shift time and after the shift time.
The inside round must evenly divide into one hour. For example, 1, 6, and 15 are valid rounds, but 7 is not.
Internet Protocol Address (IP address) - A number that uniquely identifies a computer attached to a
TCP/IP (Transmission Control Protocol/Internet Protocol) network. IP addresses are used to
communicate across the Internet and are written as four sets of numbers separated by periods. For
example, 204.701.64.2 is an IP address.
interval round - Interval round rules round periods of time. Apply interval round rules to the difference in
time between shift start and end times.
Examples of labor levels, labor level entries, and a labor account are:
labor level entry - A selection at a specific labor level. Labor level entries usually contain an entry
number and a description.
For example, 01 North, 02 South, 03 East, and 04 West are labor level entries for the division labor level,
while 100 Manufacturing, 200 Sales, and 300 Operations are labor level entries for the department
labor level.
Labor Level Set Editor - The component used to create and maintain labor level sets. A labor level set is a
group of labor level entries that are used to determine the employees a manager can access or the labor
level entries an employee or manager can use in a labor account transfer.
Labor Level Transfer Set - A group of labor level entries that a Workforce Professional Employee or
Workforce Manager can use to transfer time or money. Labor Level Transfer Sets are assigned to new
or existing users in the Role workspace of the People Editor.
For example, 101, 102, 103/201/303/405 may constitute a labor level set. When you assign an employee to
this set, you can then assign three hours to the labor account 101/201/303/405 and four hours to the
labor account 102/201/303/405 simply by editing the 100 series entries. No other editing is required as
all other labor levels remain unchanged.
Examples of labor levels, labor level entries, and a labor account are:
Leave Management workspace - A workspace in the People Editor used to assign an Accruals Profile
and to set up the parameters for capturing the accrual data. The Full-Time Equivalency information is
only available for entry if your company purchased a Workforce Timekeeper Accruals license.
! Carryover ensures that the accrual balance does not carry over from one time interval to another by
more than a specific amount. You select a date pattern to specify the time period when carryover
processing should adjust the balance to be within acceptable limits.
! Earning limits the amount of an accrual balance or how the amount of an accrual balance can grow.
! Taking limits the amount of an accrual balance that can be taken at one time. A limit can also be set
that creates a warning when that limit is exceeded. For example, you could configure a rule to issue a
warning if an employee takes more than 10 days of vacation at a time and a rule that does not allow an
employee to take more than 15 days of vacation at one time.
Logon Profile - Logon Profiles define settings for the user's password and the user's restrictions on
Workforce Timekeeper sessions.
Logon Profiles are created in Access Profiles of the Workforce Timekeeper Setup component when using
Kronos authentication. The profiles are assigned to new or existing users in the User Account
workspace of the People Editor.
If your system uses authorization external to the Workforce Timekeeper system, such as the Windows NT
or Lightweight Directory Access Protocol (LDAP) user name, the Workforce Timekeeper system User
Name must be the same.
majorities - A work rule building block that applies a single hour type to shifts when they would otherwise
qualify for more than one zone. The zone hour type with the most hours is applied to the entire shift.
Majority Rule - A work rule building block that allows you to apply specific payroll rules to shifts. A
majority rule applies one hour type to shifts when people qualify for more than one zone. The zone
hour type with the most hours (majority of hours) is applied to the entire shift.
Manager - Authorized individuals who can perform the highest level of editing within the Workforce
Timekeeper Suite components. Managerial privileges include editing timecards, editing schedules, and
setting employee wage rates.
meter - A set of measurement tools that collects data for performance analysis.
Microsoft Excel document (.xls) - Microsoft Excel is a software application that is used to create,
analyze, and share spreadsheets.
Microsoft Word document (.doc) - Microsoft Word is an easy to use word processing application that
allows you to create and print documents.
missed out limit - The maximum amount of time permitted after the scheduled start time or the rounded
in-punch before the system assumes that the employee has forgotten to punch out.
money accrual code - A money accrual code is a category or "bucket" in which monetary amounts
accrue.
navigation bar - The bar located to the left side of the Workforce Timekeeper workspace. The navigation
bar allows the user to move to different areas of the product to view information or perform various
functions. The user's profile will determine what options appear on the navigation bar.
non-direct time - Time charged to an overhead activity, which may be a business expense not chargeable
to a particular part of the work or product.
non-productive time - Hours charged but not worked, such as vacation or sick time.
notification - An automatic e-mail message that is set up and maintained by your system administrator or
a person designated by your company to perform this function. Notifications could be:
! Alerting users that important events have occurred (your timecard has been edited)
! Reminding users to perform certain tasks (employees must approve timecard)
! Notifying users of exceptions (a group edit has failed)
off day - A specific day when an employee is not scheduled to work. Use an off day to indicate that an
employee is not available to work on a particular day.
Example:
Jeff is off, but on-call. You can enter an off day in Jeff's schedule and associate it with an on-call work rule,
indicating that Jeff can be called in if necessary. Associating Jeff's off day with an on-call work rule
ensures that he is paid correctly when he is called in to work.
offline mode - A method a person can use to log on to the system to perform system administrative
functions. The Internet and application must be running, but whether the database server is running is
optional. You cannot perform employee functions in an offline mode, such as entering time on a
timecard.
offset date pattern - A date pattern that can be used by another date pattern to advance or delay a start
date.
on-call hours - Time that an employee is available to work but is not necessarily present at the workplace.
on-call shift - A shift for which the employee is available though not necessarily present at the workplace.
The attributes of an on-call shift are established in the work rules.
out-punch - The punch that ends a work interval. Employees' pay rules determine how out-punches round.
outside rounds - The rules for defining hour increments that are beyond the change point. You can define
outside rounds for punches that occur before the shift time and after the shift time. You do not need to
specify a change point to use outside rounds, but you should specify an outside grace.
overdraft - Occurs when a pay code edit results in time or money that exceeds the accrued amount. You
specify overdraft levels that indicate when to send warnings or disallow pay code edits, or both.
overflow accrual code - Defines an accrual code that holds accrual amounts that are lost due to carryover
and earning limits.
override - To cancel or redefine a default or an automatic action. For example, you can override an
automatic meal deduction established by a work rule. On some Workforce Timekeeper systems, you
can also override the minimum and maximum characters set for each labor level.
overtime - A pay code edit that can be applied to an employee's shift indicating overtime worked. Adding
this edit helps you to monitor overtime costs throughout the period.
Overtime Rule - A rule that establishes the limits and reset methods for accumulating overtime hours.
When employees reach overtime goals within specified time periods, they start to earn overtime hours.
For example, after employees work 40 hours (an overtime limit) in a week (a reset method), they accrue
weekly overtime.
Overtime/Zone Combination Rule - Rules that control how the system handles overlapping zone types.
Overtime and zone combinations are used to define the pay code distribution.
If a system requires only one overtime rule, an overtime combination rule must be defined for the one
overtime condition to create the pay code distribution.
password - A string of characters that you use to keep your account secure. Your password is associated
with your user name. All passwords are case sensitive.
pattern - A pattern defines one or more shifts and the order in those shifts are worked for a specific time
period of days or weeks.

Pattern Template - A tool enabling you to create a pattern that you can use if many employees work the
same shifts and rotations. You can set up the pattern in the form of a template, then apply the template
to the appropriate employees or groups.
pay code - A category that the Workforce Timekeeper Suite uses to organize time and money. Time pay
codes accrue hours, while money pay codes accrue money.
Examples of pay codes are Regular and Overtime for worked or productive time. Jury duty, vacation, and
sick time are examples of pay codes used for unworked time or non-productive time. Bonus is an
example of a pay code that holds monetary amounts.
pay code distribution - A pay plan for employees that contains a set of hour types or pay situations and
the associated pay codes. Overtime, schedule deviations, and zones are examples of pay situations.
Each work rule contains a pay code distribution.
pay code edit - Pay code edits are made in scheduling, the Timecard Editor, or Workforce Genie
summary views for group edits by adding or deleting time that is not associated with punches (such as
sick or vacation time) to or from a timecard.
pay code to trigger - A type of bonus or deduction that applies to a shift when a specific pay code
becomes active. You must create an hour type pay code before you can configure this bonus or
deduction.
Pay Codes Profile - Pay codes organize time and money into productive or nonproductive time and are
based on a company's policies and rules. A Pay Codes Profile contains a group of pay codes that a
Workforce Professional Employee or Workforce Manager can use to record time or money.
For example, regular, daily overtime, bonus, vacation, and sick time are pay codes assigned to a Pay Codes
Profile of Employee Only. When assigning a profile to a new person, you can select Employee Only as
their Pay Codes Profile. The user will only be able to assign time or money to the five pay codes that
appear in the Employee Only profile.
Pay Codes Profiles are assigned to new or existing users in the Role workspace of the People Editor.
pay out accruals - The transfer of unused accrual balances to a pay code for a group of employees.
pay period - A period of time for which employees are paid on a regular basis. Examples of pay periods
are: weekly, biweekly, four weeks, semimonthly, and monthly.
pay rule building blocks - The elements of a pay rule used to establish payroll policy.
pay rules - A set of rules used to calculate hours worked by employees. A pay rule contains general
payroll rules such as type of pay period (for example, weekly). A complete pay rule controls such
items as the pay period length, the day divide, when punches link to schedules, when Timekeeper
terminals accept and reject punches, which holidays give holiday credits, and the order that hour types
are processed.

people - A term that includes all licensed individuals in the Workforce Timekeeper Suite including those
whose information is tracked by the system as well as those who have access to that information.
People Editor - The component used to create and maintain people records and Workforce Timekeeper
licenses.
Records include:
! Common information or a person's demographic information, such as name, ID, hire date, and contact
information.
! A person's work attributes including rules and assignments used to track the person in the system, such
as pay rules and pay codes.
! A person's system access information such as user accounts and roles.
permanent shift - A shift that is a standard shift in an organization's schedule. Typically, permanent shifts
are defined and applied in pattern or shift template and is a shift to which employees are assigned when
hired.
personal query - A search for people that is visible and available only to you. To create a personal query,
you must have the appropriate access rights to create personal queries. These queries are included in
the Show drop-down list on pages where you can run a query.
phantom punch - A punch that the Background Processor or Callable Totalizer adds to a timecard. For
example, pay from schedule punches appear as phantom punches.
A phantom punch appears in the color purple on the timecard. If the punch appears on a gray background,
you cannot edit it.
phantom transaction - A punch, pay code edit, or duration that the Background Processor or Callable
Totalizer adds to the timecard. Phantom transactions appear in the color purple on the timecard.
polled event - This Notification event occurs automatically at a previously timed interval. For example,
the end of a pay period is reached and an employee has not submitted a timecard. An e-mail is sent to
remind this employee to submit a timecard.
pool code - The accrual code that will be credited or incremented at the end of a transfer.
previous pay period - The pay period that has most recently ended. A pay period is the span of time for
which employees are paid regularly. Common pay periods are weekly, biweekly, semi-monthly, and
monthly.
probation period - Interval of time in which accrual balances are earned but cannot be taken or paid. Two
types of probation periods are single and recurring.
A single probation period occurs one time. During a single probation period, time or money is earned and
vested when the probation period ends. At the end of the period, the accrued time or money is
available.
A recurring probation period indicates another probation period begins when a prior probation period
(single) ends. The time or money earned in the single period is vested but not available until the end of
the recurring period.
During the recurring period, time or money continues to accrue but is not vested until the period ends. At
the end of the recurring period, all accrued and vested time or money is available.
productive time - Time worked. Regular and overtime are examples of pay codes for worked or
productive time.
project timecard - A grid used by employees who do not enter punches, but enter the total number of
hours (durations) or money they worked each day along with the labor account and pay code to which
the time or money should be charged.
public query - A search for people is available for use by all system users who can run queries. Only users
with rights to create and manage queries can create public queries. Public query names appear in bold
type in the list of queries.
punch - The time that marks the beginning or ending of a work interval, such as the beginning of a shift or
marking a transfer. Punches are classified using work rules established during system configuration.
The Workforce Timekeeper Suite allows users to enter and manage punches in the following ways:
! Time clock
! Time stamp
! Timecard
QuickFind - A Workforce Genie that allows the user to search for a specific person or group by entering
all or part of a person's name or number. The search results in a table of information where each row
represents a person matching the search criteria.
recurring probation period - Indicates that another probation period begins when a prior probation period
ends. The newly accrued time is vested until the probation period ends.
reference date - A person-specific date, such as a person's birthday, or a site-wide date or company-wide
date, which does not vary by person. A date pattern uses a reference date to determine the start date.
reference day - Represents the day of the month on which a semi-monthly or monthly pay period begins.
! For semi-monthly pay periods, you can choose any number from 1 through 15. For example, if you
choose 1, the first pay period begins on the 1st day of the month and the second pay period begins on
the 16th day of the month.
! For monthly pay periods, you can choose any number from 1 through 31. For example, use a value of
1 for a pay period that begins on the first day of the month and ends on the last day of the month.
refresh - This action updates information with the most current information from the database server. It
does not cancel unsaved data.
reload - This action cancels any unsaved data and updates information with the most current information
from the database server.

report format - In the Reports component, you can specify a file format when e-mailing a report. The
valid selections are:

employees are to be reported on within the report itself. The report options are additional runtime
selection parameters for the actual report.

The queuing process also purges files based on a purge schedule configured in the Workforce Timekeeper
Setup component.
The Check Status menu in the Reports workspace shows the status of a users report requests.
reporting file (.rpt) - A type of file used in creating reports. The file extension for this report file type is
.rpt. This file type is specific to Crystal reports.
Reports Profile - Allows access to specific reports generated by the Workforce Timekeeper system. The
Reports Profile restricts which reports can be accessed by the Workforce Manager.
Reports Profiles are created in the Workforce Timekeeper Setup component. The profiles are assigned to
new or existing Workforce Managers in the Role workspace of the People Editor.
restriction - A rule that allows data collection devices to stop employees from punching in if they are too
early for a shift, too late for a shift, or unscheduled. Devices can also reject punches that are too early
and too late for the end of shifts.
Rich Text Format (.rtf) - Provides a format for text and graphics interchange that can be used with
different output devices, operating environments, and operating systems.
Roll-up Genie - A Workforce Genie that displays a table of information where each row contains details
about labor accounts. From this view, a user can select a group and perform group edits or navigate to
reports.
rotation - One or more shifts set up over a set time period in days or weeks.
rounds - A unit of measurement that divides hours into even increments. When shift start or end times
occur between these increments, the times move forward to the next increment or backward to the
previous increment. The movement of these shift start and end times depends on the grace period.
schedule - A list of employees or groups and the hours that they are expected to work during a specified
time period. The schedule is designed to complete the work necessary within budget constraints for the
time period specified.
schedule deviation - Identifies when employees may earn a special differential if they work before or
after their scheduled times. Schedule deviations also help to create the pay code distribution.
schedule group - A set of employees that work the same shifts, such as First Shift, Second Shift, and
Third Shift. When you create a schedule for a group, each employee in the group inherits that schedule,
allowing you to easily make one change for many people. Group schedules have effective dates so it is
possible to have an employee who belongs to more than one group (and group schedule) at different
times.
schedule interval - The number of interval units (days or weeks) for a schedule period. For days, the
minimum is one and the maximum is 365. For weeks, the minimum is one and the maximum is 52.
Schedule Outline - A textual view of the schedule that includes a list of groups and employees with the
schedule for the group or employee. Patterns display before ad hoc shifts. If an employee is inheriting
a schedule group, the schedule name appears rather than start and stop times.
schedule period - A time period that you define based on how you schedule your employees. Typically,
schedule periods are time increments that are different from pay periods.
Schedule Planner - A tabular, time line view of the schedule that displays a list of employees and groups,
and their schedules.
Schedule Snapshot - A view-only, graphical display of the schedule that includes a list of groups and
employees with dates and bars representing a shift or pay code for an employee or group. The bars
display the start and stop time of the shifts or the pay code names when the mouse pointer moves over
them.
schedule tools - Functions within Scheduling that enable you to create and manage schedules. Tools
include groups, shift and pattern templates, and schedule periods.
scheduled pay code edit - Using scheduling tools, you can schedule time in advance by applying the
time to a specific pay code. You can schedule, copy, move, reschedule, and delete scheduled pay code
edits.
For example, you can schedule holiday hours in advance. Those hours are automatically transferred to the
employees' timecards.
For example:
A shift is 9:00 A.M. to 5:00 P.M, but 9:00 A.M to 12:00 P.M. is spent working in one area, 12:00 P.M. to
12:30 P.M. is a break, and 12:30 P.M. to 5:00 P.M. is spent working in another area. Therefore, the
shift 9:00 A.M. to 5:00 P.M. has 3 segments that make up the shift for the day.
server-based printing (as opposed to local printing) - Print processing is done on the server, not on the
users system. This allows the user to schedule reports to print at specified intervals allowing the user
to continue to work without disruption.

through the Web-based People Editor component
shift - A time period that an employee works. A shift can contain multiple segments.
shift attributes - The details of a shift, including name, segments, start and end days, and start and end
times.
shift builder - A process that automatically creates shifts based upon the patterns created and assigned to
the employee or group. It is a default system event scheduled to run once a week at system startup by
way of Event Manager.
Shift Editor - A scheduling tool that allows you to create and modify shifts for a particular employee or
group on a particular day. You can also schedule work transfers and alternate work rules.
The Shift Editor differs from the Shift Template Editor in that you specify all the attributes of a shift
because the shift is associated with a specific date and employee or group.
shift label - Optional name of a shift for displaying on Workforce Genies for Scheduling and reports.
shift patterns - One or more shifts spanning a set time period in days or weeks.
shift template - A tool enabling you to create a shift that you can use if many employees work the same
shifts. You can set up the shift in the form of a template and then apply the template to the appropriate
employees or groups.
shorthand notation - A method that allows users to enter only those labor levels that are changed
regularly, while retaining the ability to enter the usual full labor account, when needed. A slash must
be entered between each value.
The remove sign-off function cancels the sign-off and allows you to make additional edits. Your Function
Access Profile determines whether you have permission to use either function.
split shift - A shift composed of a number of segments, separated by periods away from the workplace.
(Split shifts are a common practice in the restaurant and general retail businesses.)
Summary workspace - A view of a person's basic information, work attributes, and access rights,
recorded and entered into the Workforce Timekeeper database. The Summary workspace is within the
People Editor.
System Information - A component that allows you to monitor user logon activities, view database,
server, application, and licensing details, reset meters, and stop and start daemon threads. You can
access System Information under System Configuration on the navigation bar.
System Settings - A component that allows you to modify the existing system properties and parameters
used to configure your system. You can access System Settings under System Configuration on the
navigation bar.
table format - An import where the data to be imported is retrieved from an external database, inserted
into the prescribed Workforce Timekeeper Database Import Tables, and then imported to the
Workforce Timekeeper database.
taking - An amount of time or money that employees can use based on their accrual balances.
taking limit - Controls the amount of time or money that an employee can use, or take, based on the
employee's accrual balances and company policy. When a taking limit is in effect, pay code edits,
group edits, and imports can be disallowed or can generate a warning.
temporary schedule - A schedule outside of the regular patterns and schedules assigned to groups or
individuals.
For example:
Anna's schedule is set up with a pattern that requires that she work every other weekend from 7:00 A.M. to
7:00 P.M. However, for one month, she needs to take Sundays off. Instead of changing Anna's pattern,
you can create ad hoc shifts for her Sundays during the next month, indicating that she is off. This
schedule is temporary and, when the month is up, Anna can return to her rotation without having to
make any changes to the schedule.
thread - A sequence of steps that are executed one at a time. A process can consist of one or more threads
that execute simultaneously.
time entry method - Controls how a person enters their start and end times or hours into the Workforce
Timekeeper system. Examples are an hourly-based employee who enters start and stop times, or a
project-based employee who enter hours on a project basis.
time of day - A type of bonus or deduction that occurs at a specific point in time. You can use time of day
for deductions, such as fixed meals.
time periods - Expressions of time intervals that the Workforce Timekeeper Suite uses to define time
cycles.
For example, Previous Pay Period, Current Pay Period, and Next Pay Period are some time periods used in
the Workforce Timekeeper Suite.
time stamp - A method of recording punches that functions much as a time clock but is accessible through
the web. Click Time Stamp on the navigation bar to display a time stamp view. A simple click on the
time stamp automatically records in and out punches.
time zone - A range of longitudes where a common time is used. The Workforce Timekeeper system
includes daylight savings time when applicable.
The Timecard Editor is used to manage timecard information. You can display and change punch
information, assign and move hours or money to amounts associated with pay codes or pay rules, and
add historical edits.
timecard edit - A change made to an employee timecard, such as the addition of a punch, a labor account
transfer, or an amount associated with a pay code or pay rule.
Timecard Editor - The component that is used to review and edit punches and amounts associated with a
pay code or pay rules.
The Timecard Editor displays the Timecard, Totals, and Scheduled vs. Actual windows (which display by
default).
The Timecard window displays punch and amount information for an employee during a specified time
period.
The Totals window displays a breakdown of the employee's total hours by account and pay codes. The
Scheduled vs. Actual window displays the times employees were scheduled to punch in and out and
the times they actually did.
tips - Earned money that supplements regular wages. You can configure data collection devices to collect
tip information.
toggle shift time - Allows you to switch between the shift label text and shift hours in Schedule Planner.
total earnings - The total time that a person accrues for a selected accrual code.
total takings - The total accrued time that a person used for the selected accrual code.
totaled amounts - An amount of time to which an employee's pay rules are applied.
Totals window - A window that displays a breakdown of an employee's total hours by pay code type. You
can also move an employee's hours or money amounts from one pay code to another. The Totals
window includes daily totals, shift totals, running totals, and grand totals.
transfers - Hours charged to a labor account that is different from an employees home labor account or
hours charged to a work rule.
triggered event - This Notification event occurs automatically as a result of a certain activity. For
example, a Manager approves a timecard. E-mail is sent to the employee that his or her timecard has
been approved.
unprocessed time - The punches or amounts that are saved but not yet processed.
URL: Uniform Resource Locator - The method by which Internet sites are addressed. An example would
be http://www.kronos.com, the address of Kronos' home page.

user account - A user name, password, and logon profile assigned to people so they can access
information about themselves or others using the Workforce Timekeeper system.
User Account workspace - A workspace in the People Editor that allows you to enter and assign log on
information for users of the system. A user name, password, logon profile, status, and status effective
date must be entered for users to access the system.
validation - A system check to determine whether the value entered is a valid entry.
vested amount - A vested amount, as opposed to an amount that accrues in a probation period, is one that
can be taken or paid out after it is accrued.
For example, when an employee, who is assigned to a specific job, earns an hourly wage as defined in the
Employee workspace of the People Editor as Base Wage. When this person transfers to another job in
a different shift, it invokes a wage profile that might pay twice the base wage rate for the hours worked
in the different shift.
weekend differential - An additional amount that employees earn when they work during the weekend.
work history qualifier - A set of conditions than an employee is required to meet prior to a holiday to be
eligible for holiday credits.
work rule assignment - A way to associate additional work rules with a pay rule. Each pay rule contains a
default work rule. Use an assignment rule to override this default by assigning a different work rule.
You can also use the scheduling tools to override the default work rule by allowing employees to do
work rule transfers.
work rule building blocks - Groups of parameters that control similar time and attendance functions.
Work rules contain these groups, or building blocks, that are used to create specific parts of a payroll
policy. Punch rounds, breaks, overtimes, and pay code distribution are examples of work rule building
blocks.
Work Rule Profile - Work rules determine how employee hours accrue. A Work Rule Profile contains a
group of work roles that the Workforce Professional Employee or Workforce Manager can use when
transferring time.
For example, explicit detail about how punches round, what types of overtime the employee can earn,
which pay codes hold what type of hours, and policies for meals and breaks can be work rules that are
assigned the Standard Work Rule Profile. All of the people assigned the Standard Work Rule Profile
can use only these work rules that are assigned to them to transfer time.
Work Rule Profiles are created in the Workforce Timekeeper Setup application. The profiles are assigned
to new or existing users in the Role workspace of the People Editor.
work rule transfer - Changes a work rule for part or all of a shift.
Workflow Notifications - This component provides you with the ability to set up and automatically send
e-mail notifications to users. The information contained in the notification could be reminders of tasks
that need completion, or alerts about important events that have occurred because of certain activities.
Generally, the system administrator or a person designated by your company is the only person
allowed to set up e-mail notifications.
For example, a reminder to employees to approve their timecards or an alert to a manager that his or her
group edit failed to complete successfully.
Workforce Genie - A Genie is a configurable tool for automating user tasks. It is configured to show a
summary of key employee or labor level roll-up information and connects the user to the Workforce
Timekeeper Editors.
Workforce Manager - A person who tracks and manages other people's information. If they are also a
Workforce Professional Employee, they track their own information as well.
Workforce Professional Employee - A person who tracks their own time and attendance information and
has access rights to view their own reports.
workspace - The primary area for displaying each Workforce Timekeeper component. The upper portion
of the workspace contains a header that displays the workspace title, fields, and buttons specific to that
component. Depending on the rights granted to you in your access profiles, up to four launch buttons
might be located in the right corner of the header.
For example, if an employee works in one of the defined zones, he or she earns a rate of pay that is
different from the rat earned by working his or her normal shift.
Zone Rule - A rule that establishes the required number of hours in a specified time interval (zone) that an
employee must work. For example, Evening, Night, Sunday, and Weekend are zones you can create.
Some of this configuration is performed in the browser component of the software and some in
the Workforce Timekeeper Setup application. The order in which these items are configured is
important because dependencies exist between many of the configuration building blocks.
Reviewing these steps will not only give you a better understanding of what a Kronos
Application Consultant must do to configure your system, but also serves as a reference as you
discuss with your implementation team the features and options you want configured.
