A user can have multiple Navigators (previously known as Dashboards) active within one
system. This can be useful because it allows the user to separate work processes onto
different Navigators.
Select the Create New Navigator icon and you will be prompted to enter a name for this
new Navigator.
To set a default Navigator, which will display each time the /PROGROUP/NAV
(/PROGROUP/DASH prior to version 4.2.1.0) transaction is called, the Navigator must be
saved using the "U_<USERNAME>" format for the name. For example, if John Smith's SAP
user name is "JSMITH," then the name of the Navigator will be "U_JSMITH."
A global default Navigator can be set through a configuration entry in the /PGPNL/CONFIG
table.
The ability to assign a default Navigator (formerly known as Dashboard) to a role for
delivery to a group of users was introduced in Dashboard version 4.2.0.1. For example, using
this functionality enables all planners to see and use a predefined Navigator.
To create the role default Navigator, enter a role in the second field from the top of the
Navigator design mode screen.
This Navigator will now act as the default for any user with the selected role.
There are two constraints in the system currently with regard to which Navigator a user will
see as their default.
If a user has a "U_<USERNAME>" Navigator the system will always use this
Navigator as their default.
If a user has multiple roles assigned to him or her and more than one of these roles has
a default Navigator the system returns the first Navigator to role match found. The
Navigators are sorted alphabetically by name, so the first alphabetical result to match
on a role will be used.
Copy an Existing Navigator
Navigators (previously known as Dashboards) can be copied from one that has already been
set-up. This is especially useful for someone creating a Navigator for the first time, since they
are able to just copy a previously created Navigator instead of building one from scratch.
To begin the process of copying a Navigator, select the Navigator that you would like to
make a copy of by pressing the Change Navigator button.
This will bring up a list of previously created Navigators. Select the Navigator that you would
like to use and hit the green check button.
Hitting the green check will take you to the selected Navigator. From here, press the Copy
Navigator button to begin the process of copying the selected Navigator into a new
template.
Enter a name and description for the new Navigator and follow the directions in the training
documentation to customize any of the boxes or buttons. Beginning in version 4.2.0.4 you
can overwrite an existing Navigator by entering its name for the new Navigator.

Customize a New Navigator
After giving your Navigator a name and description and assigning a role if appropriate, you
will now see your new Navigator in Design Mode. From here you may begin your
customization of the Navigator. You will be presented with 9 boxes, each containing 6
buttons that individually link to a specific transaction or report in SAP. Each of these boxes
and buttons can be configured. You can also choose button icons and linking images for your
Navigator.
Customize a Navigator Box
Each Navigator (previously known as Dashboard) box can be customized to hold buttons that
call any transaction or report that you would like. All the transactions and reports that are
associated with one work process can be group together in one box. For example, all the
transactions involving notifications (IW21, IW22, IW23) could be grouped in one box and
another box could contain all the transactions that deal with work orders (IW31, IW32,
IW33).
In the box below we are going to add all the transactions that are associated with planning
work orders. The text field at the top of this box holds the description of the box. We have
named this box "Plan Orders".
To make a box visible on the Navigator, enable the box by checking the checkbox next to the
description.
Each button in a Navigator (previously known as Dashboard) box can be customized to call
any transaction or report available in SAP, as well as act as a link to any website. Variants can
be applied to the transactions from the Navigator buttons so that you are automatically taken
into a specific view of the transaction. You can also choose to skip the selection screen of a
transaction, which will save you even more time in SAP. Each button can be customized with
text and an icon to make it easily understandable for the end user.
Now, let's configure one of the buttons. For this particular button we want it to run GWOS
with the default User Variant when the button is selected from the Navigator. Select one of
the six buttons in a Navigator box. You will be presented with the "Edit Button" window. By
checking the Default Variant checkbox and leaving the Variant field empty this button will
call the default User Variant (U_USERNAME) associated with the GWOS transaction.
Choose the T_Code radio button and enter transaction /PROGROUP/ZGWOS in the T-
Code field.
To direct a Navigator button to call a website, click the URL radio button and you will see
that the T-Code field changes to URL field where you can enter a website name.
Skip First: Skips the first screen (selection screen) for report transactions. If Default
Variants is not checked or if a Variant is not entered, the transaction will executed
with no criteria selected.
Default Variants: Applies the User Variant (U_USERNAME), if one exists for the
user, to the transaction. The transaction will execute using the User Variant and the
first screen (selection screen) will be skipped for report transactions. Default
Variants will always override a variant entered in the Variant field.
New Session: Opens the transaction in a new session (Introduced in version 4.2.1.9).
Quick Info: The text displayed when hovering over the button. The button must have
an icon selected to enable the Quick Info functionality.
T-Code: Transaction code, accessible when the T-Code radio button is selected.
URL: Website name, accessible when the URL radio button is selected.
Variant: Indicates the variant to use when running the transaction. If Default
Variants is checked, the U_USERNAME variant will always override the variant
entered in the Variant field. Prior to Navigator v4.2.2.0, the Variant field only
accepted 14 characters. In versions 4.2.2.0 and newer, the Variant field accepts up to
24 character entry, which will allow for the entry of full Navigator names.
A Navigator can be linked to another navigator, by similar process of linking the desired
variant and applicable t-code.
Icons can be added between the boxes on the Navigator (previously known as Dashboard) to
indicate steps in a process or a workflow. To insert an icon, while in Design Mode select the
text box between two boxes and click the search help. This will bring up a list of the different
icons you can select here.
Move Navigator Boxes
Version 4.2.0.4 of Navigator (previously known as Dashboard) introduced the ability to swap
boxes within a Navigator. This feature allows you to simply move already created boxes (and
the buttons within the boxes) to new locations on the Navigator. Boxes are numbered 1
through 9 on the Navigator, starting with the upper left box and moving right across each row.
To move the location of Navigator boxes, the Navigator must be in Design Mode.
In the example shown above we have swapped Prometheus Tools (Box 1) with Equipment
Tools (Box 2).
Version 4.2.7 of Navigator (previously known as Dashboard) introduced the ability to copy
boxes within a Navigator. This feature allows you to copy an already created box (and the
buttons within) from another Navigator.
To copy Navigator boxes, the Navigator must be in Design Mode. The Copy option is in the
Swap Boxes button (explained above).
In the example shown below we copy WORK ORDER (Box 3) from EDGERTON Nav to
the blank Box 3 on NAVIGATOR.

Standard Mode Toolbar
In Standard Mode the Navigator (previously known as Dashboard) is available for daily use.
Design Mode (F6) Changes to Design Mode. All editing is done to a Navigator in
Design Mode. To return to standard mode press the Green Arrow Back button.
Create New Navigator (F7) Creates a new, empty Navigator template. This button is
used to build a new Navigator without using elements from another Navigator.
Copy Navigator (F8) Copies an existing Navigator. This button copies all boxes,
buttons and icons from a Navigator that has already been saved in the system. Once the
Navigator is copied you can make changes, save and protect the new Navigator. This is a
great way to build a personalized Navigator without having to construct the entire thing.
Change Navigators (F9) Switches between Navigators that are accessible in the system.
The Design Mode is where you can edit a Navigator. To get into Design Mode press the
Design Mode button on the standard Navigator toolbar.
Test (F6) Previews a Navigator in Test Mode. You can use this functionality to test the
buttons on the Navigator and to see how your edits will look once the Navigator has been
saved. The Navigator must be saved while in Design Mode to confirm any changes.
Protect (F7) Locks a Navigator. This button allows only the creator and default user to
edit and make changes to the Navigator. Once a Navigator has been protected this button is
replaced by the Unprotect button.
Unprotect (F7) Unlocks a Navigator. This button opens the Navigator to allow changes
to be made by any user in the system. While a Navigator is unprotected this button is replace
by the Protect button.
Preview a Navigator
To test how your Navigator (previously known as Dashboard) looks outside of Design Mode,
click the Test Dashboard icon . When previewing a Navigator you will see all of the
boxes and buttons that have the Visibility checkbox enabled. When clicking on the buttons
you will be taken to the transactions or reports that each button is coded for.
You can always perform more customization on a Navigator by clicking the Design Mode
icon .
Protect a Navigator
Navigators (previously known as Dashboard) can be locked to protect them from being
changed or deleted by anyone other then the user who created them. This is true of all
Navigators, except for ones saved with the U_(USERNAME) convention. U_(USERNAME)
Navigators can be protected by both creator and user. This is useful when setting up initial
default Navigators for all users. Users can then edit their default Navigators as needed.
After saving the Navigator for the first time, the Protect button becomes active in Design
Mode. To lock or protect the Navigator, press the Protect button.
The Navigator that you have selected will open and the buttons will be accessible. If the
Navigator has been protected by another user, you will not be able to make changes to it. You
can copy a Navigator by pressing the Copy Navigator button and make changes to the
new Navigator.
A Navigator can be linked to another navigator, by similar process of linking the desired
variant and applicable t-code.
Manage Navigators
Navigators (formerly known as Dashboards) can be managed from the Dashboard
Management screen via transaction /PROGROUP/NAV_MGMT (prior to version 4.2.1.0
/PROGROUP/DASH_MGMT). Users with authorization for this transaction are able to
view information about all Navigators in the system. This information includes the user who
created it, if it is protected, when and by whom it was last modified, and when and by whom
last accessed it.
Delete Navigators
The authorized users can delete Navigators that have been locked by their creator through this
transaction. Locked Navigators must be unlocked by user who created it before it can be
deleted from the dashboard management transaction. Note that from version 4.2.1.7 and
above, the user with proper authorization can delete protected Navigators that have not been
unlocked by their creator.
Authorized users have the ability to restore deleted Navigators (introduced in version
4.2.1.7). To do so, the user will click the Set Filter button that will bring the Define
Filter Criteria window. From the Filter criteria column, select the Deletion indicator
column name, then click the filters icon to determine values for Filter Criteria:
The next screen will display the selection criteria for the Deletion Indicator:
From here, set the filter to include the deleted Navigators, in this example the filter was set to
exclude the deleted Navigators; to include them the check mark needs to be cleared out from
the restriction check box,then click the green check:
Upon execution, the Navigator Manager will list all the Navigators including the deleted
ones; the Deletion indicator column allows the user to identify which ones were previously
deleted.
To restore the Navigators simply clear the check mark from the Deletion indicator box then
click Save, the Navigators are now restored:
Upon completion, the user will click Set filter and reset the selection criteria to only
display the list of the current Navigators and exclude the deleted ones.
Rename Navigators
From the Navigator Manager main screen, authorized users have the ability to rename
protected and unprotected navigators (introduced in version 4.2.1.7). The Navigator Name
column becomes editable so that the users can rename any Navigator:
Role assignment
Roles that are assigned to Navigators can be changed or removed (introduced in version
4.2.1.7); note that proper authorization is required.
The Role column becomes editable so the users can modify or remove the role assigned to
the Navigator; once the Role is modified or removed, click Save to complete the change.
