Note 11 Headings

HEADINGS

A Heading is a word or group of words indicating the topic(s) of text in a


document.
There are two main types of Headings:

1. Document Headings the heading at the top of a new page indicating the general
topic of the document.
2. Section Headings a heading within the body text indicating the individual topic
of each paragraph or section.

Document Headings are divided into


1. First Level (Main or Subject) Heading this is usually the headings that states the
General idea of the whole document. The Main heading is a first level heading
which has the greatest importance in a document.

2. Second Level (Sub-Headings) These are also known as Sub-Headings and it


indicates the specific ideas of the particular document. The sub-heading is a
second level heading which has a slightly lesser emphasis than the main heading.

EXAMPLE:

COMMUNICATION Main Heading

TIME ZONES Sub-Heading

The significance of the Time Zones is to enable one to place telephone calls to foreign

countries so that ones local time coincides with business time (office hours) in other
countries or different time zones and particularly in those countries which advance their
clocks by one hour during daylight saving period 31st March to 26th October.

Section Headings Third Level (Section Headings) There are Three (3) types:
1. Paragraph Heading A Heading which is part of a paragraph text. It may be
aligned left or indented according to the paragraph style.

Public address system: A public address system consists of a microphone, an
Paragraph amplifier and one or more speakers and sometimes equipment with circuits and
Headings switches identifying the different rooms or buildings/blocks in a compound.

Pager: This is a device consisting of a small radio receiver which must always be
switched on in order to register or pick up signals which are sent through the
telephone switchboard.

2. Shoulder Heading A Heading which is above the paragraph text as a shoulder.


It must be blocked (no space from the margin) despite the styles of the paragraph.

RELATIONSHIPS WITH OTHER DEPARTMENTS Heading
All the departments of the organization depend on the purchasing office to
purchase their supplies; hence each department keeps the purchasing office informed
of its requirements.

Word Processing Pool


Shoulder The purchasing office depends on the WP Pool to do its typing of correspondence
Headings and forms.

Human Resources Office

The purchasing office communicates with the Human Resources Office for the
employment of new staff members.

3. Marginal/Side Heading A heading in the left margin or at the left side starting
parallel or in line with the first line of the Paragraph.

EXAMPLE:

DISCOUNTS Main Heading

Trade Discount This is a deduction from the marked price of goods given

Cash Discount This is a deduction from the net price of goods given by a
seller to a customer to encourage payment within a
specified time. It facilitates faster turnover of goods.
