Introduction:

Todays world is very competitive and everyone is doing hard word to reach the zenith
position of his organization or related field. Now every big and reputed organization is looking
for skilled persons or who are too much willing to learn. Personal development and
employability is very important in present day life. Today the world believe that The most
successful nations in the future will be those which develop high quality, skilled and motivated
workforces and make good use of them. Akrani, G. (2011). Personal development means
developing potential and talent, improving identity and awareness, build facilitates employability
and human capital, increase excellence of life and contribute to the understanding of aspirations
and dreams. Personal development includes improving self-awareness, self-knowledge, wealth,
health and social abilities, building identity, employability, spirituality, developing talent.
Employability means the capability of an individual to move self-sufficiently in the job market to
understand prospective through sustainable employment. It depends on the knowledge, skills and
abilities of the individual. Employability means how an individual use those and present those to
employers. The object of this assignment is to identify what personal development and
employability is, if there is any difference between personal development and employability and
what opportunities there are to improve those.

My current skills and competencies:
I am able to take responsibility. Responsibility makes a man powerful. If anyone doesnt
feel any responsibility to any work or his family or any organization he cant do his part properly,
he will be victim of others. I am very responsible to my-self, my family and my working
organization and it comes inherently. I give thanks to God because He gives this tribute.
Previously I used to take any decision very quickly without justifying and observing, for
that reason I suffered some times in my life. But now I am very much practical and object
oriented. Now I justify and observe the matter or take a good look on the topic. Before taking
any decision I consider some things like purpose of my decision, gathering information, identity
the principles to judge the alternatives, brainstorming and listing different possible choices,
evaluating each choice in terms of its consequences, determining the best alternatives, put the
decision into action and evaluating the outcomes of my decision and actions steps.
Training is very important for a corporate life. Some training is very essential like
marketing and management training, IT training, Sales training, team building course and so on.
I have some training on IT but they want team building and management training. Everyone
needs to know some basic computer skills to access computer for inputting data or retrieving
information. So I need to do training on team building and management training.

destination. I believe my hard work and devotion to work will click my luck one day.

Treats:
Lacking of money is my main threat. Time pressure and competency in job
field are also threat for me. Manage proper time for study after giving to
work and family is also a threat for me.

Lack of experience in IT field may create problem to thrive in my future job.


My impatience nature may hinder my future careers progress. For my
emotional nature people may try to make me emotionally hijacked. My
introvert and procrastination nature may become a barrier in creating good
relation with other in my workplace. Not to cope with time pressure may do
my future job vulnerable. For lack of money I may not able to further
academic study and proper training for my future job. Not to fit in company
culture will make future job uncomfortable. For my low presentation skill I
may not able to draw attraction of my superior in my job and I also may not
present my knowledge in front of people. Facing problem in working with
other will make team disappointed in my future job.

To deal with my weakness I will need to take various cheap training and
activities which are realistic and job related as I have lack of money. I will
also need to consult with expert to know how to abate my weakness. To gain
experience I will need to work hard and involve myself in work related
activities or part time jobs. To improve self-confidence and courage, I need to talk very
frequently with confident and voice out my opinions and ideas without any fear and take some
risk and willing to try new things. Where, to be assertive in nature and control myself in any
situation, I need to press my recommendation, decisions and ideas when I am in a meeting with
others or in a team working activities and will try to influence and control others. Finally, I need
to be calm and access any situation very politely and try to act positively to any odd-situation
and find out a way to get rid of it or turn it in a positive way.

Devise a personal and professional development plan:

I want to work a reputed software firm as a software engineer. I have planned


to become system analyst in a company within 10 years. Less managerial
skill, programming knowledge, time pressure and less experience are main
obstacle for my future career. I also have a plan to improve myself within
upcoming two years. I am listing some IT professional and resources who and
which can support me to reach my goal. I want to make my personal life
comfortable. I will try to confirm commitment to long term relationship. Most
all I will support my family.

2.1 Communication Policy Document

2.1.1 Purpose
Without having an effective communication nothing can be achieved in this world. To achieve
the goal of a project it is highly required to have an effective communication channel.The
Communication Policy outlines the strategy and methodologies to be used for project
communications,information distribution, feedback and stakeholder management, and how these
will be managed during the project timeline.
The objectives of the communication policy are to:
Share information and to create alignment within the project team.
Create alignment with external stakeholders to facilitate the project.
Identify and develop a plan to inform key stakeholders.
Assign responsibilities for project tasks and information.
Manage sponsor and stakeholder information and expectations.
Maintain the focus of the Change and staff leading the Communication strategy.

2.1.2Scope

This document will cover:


(i) Stakeholder Management - identification of project stakeholders, analysis of their
requirements, andplanning for their needs

(ii) Communication Planning the communication and information needs of project


stakeholders. Who needswhat information, when, in what format, by what means and
how to receive input and feedback and tocreate buy-in and ownership.

(iii) Information Distribution - how information will be distributed to all stakeholders.

2.1.3. Constraints
The constraints on which this Communication Policy is based are:
(i) Lack of time from stakeholders to effectively assist in the communication process.
(ii) Fulfill the expectation of the Managing Director, particularly in short term (03
months).

2.1.4. Roles

Project Sponsor
The project sponsor is the champion of the project and has authorized the project by signing the
projectcharter. This person is responsible for the funding of the project and is ultimately
responsible for its success.Since the Project Sponsor is at the executive level communications
should be presented in summary formatunless the Project Sponsor requests more detailed
communications.

Project Manager

The Project Manager has overall responsibility for the execution of the project. The Project
Manager managesday to day resources, provides project guidance and monitors and reports on
the projects metrics as defined inthe communication metrics.As the person responsible for the
execution of the project, the Project Manageris the primary communicator for the project
distributing information according to the communication metrics.

Client
The client of the project is the FE College. As the client who will be accepting the final
deliverable of this project they will be informed of the project status including potential impacts
to the schedule for the final deliverable of the product itself.

Project Team
The Project Team is comprised of all persons who have a role performing work on the project.
The project team needs to have a clear understanding of the work to be completed and the
framework in which the project is to be executed. Since the Project Team is responsible for
completing the work for the project they played a key role in creating the Project Plan including
defining its schedule and work packages. The Project Team requires a detailed level of
communications which is achieved through day to day interactions with the Project Manager and
other team members along with monthly and weekly team meetings.

Technical Lead
The Technical Lead is a person on the Project Team who is designated to be responsible for
ensuring that all technical aspects of the project are addressed and that the project is
implemented in a technically sound manner. The Technical Lead is responsible for all technical
designs, overseeing the implementation of the designs and developing as build documentation.
The Technical Lead requires close communications with the Project Manager and the Project
Team.

2.1.6. Communication Methods and Technologies


Many times, the methods and technologies used to communicate are just as important of a
consideration as the information being communicated. Imagine a large project with many
stakeholders who all have different technological capabilities. Some may have access to a share
drive while others do not. Some may have access to video teleconferencing and others only have
telephone and email capabilities. In order to be effective, project information must be
communicated to everyone involved by some method using available technology. Determining
communication methods and what technologies are available should be part of determining
stakeholder communication requirements.

The project team will determine, in accordance with own organization, the communication
methods and technologies based on several factors to include: stakeholder communication
requirements, available technologies (internal and external), and organizational policies and
standards.

The company of project sponsor maintains a SharePoint platform, which all projects use to
provide updates, archive various reports, and conduct project communications. This platform
enables senior management, as well as stakeholders with compatible technology, to access
project data and communications at any point in time. SharePoint also provides the ability for
stakeholders and project team members to collaborate on project work and communication.

For clients who do not have the ability to access SharePoint, a web site will also be established
for the project. Access to the website will be controlled with a username and password. Any
stakeholders identified who are not able to access SharePoint will be issued a unique username
and password in order to access the web site. The project manager is responsible for ensuring all
project communications and documentation are copied to the web site and that the content
mirrors what is contained on the SharePoint platform.

3.1 Analysis of different roles people play in the team

3.1.1 To develop and implement a virtual learning system a bunch of different roles would be
required. It might be possible that, one team membermay be filling many roles and some roles
may be suppressed for a specific type of project, but all of these rolesexist in one form or another
in every project:

Subject Matter Experts


The Subject Matter Expert is the person or persons from which requirements are
captured. These are the people who know what the software needs to do and how the
process works. The SME role is somewhat different from the other roles because it is
constantly changing as new clients (internal or external) are brought in to help design a
solution. SMEs are rarely from IT - except when the solution is being designed to support
IT. SMEs are most frequently the person who will receive the benefit of the system.

Functional Analysts
Functional Analysts have the unenviable task of eliciting clear, concise, non-conflicting
requirements from the Subject Matter Experts who may or may not understand how
technology can be used to transform the business processes in a positive way.

Solutions Architect
The technical architect is responsible for transforming the requirements created by the
Functional Analysts into a set of architecture and design documents that can be used by
the rest of the team to actually create the solution. The Solutions Architect is typically
responsible for matching technologies to the problem being solved.

Development Lead
The Development Lead's role is focused on providing more detail to the Solution
Architect's architecture. This would include detailed program specifications creation. The
Development Lead is also the first line of support for the developers who need help
understanding a concept or working through a particularly thorny issue.

Developer
The heart and soul of the process, the developer actually writes the code that the
Development Leads provided specifications for.

Quality Assurance
The Quality Assurance role is an often-thankless position that is designed to find bugs
before they find their way to the end customers. Using a variety of techniques ranging
from keying in data and playing with the system to formalized, automated testing scripts,
the Quality Assurance team is responsible for ensuring the quality of the solution and it's
fit to the requirements gathered by the Functional Analyst. Sometimes the QA team is
known by their less flattering name of testers.

Deployment
The Deployment role is the one that packages up all of the compiled code and
configuration files and deploys it through the appropriate environments or on the
appropriate systems. The Deployment role is focused on getting the solution used. To that
end, the role may include automated software installation procedures or may be as simple
as copying the files to the appropriate place and running them.

3.1.2 Myers-Briggs Type Indicator


MBTI is a personality test to determine how people usually act or feel in particular situations.
There are four dimensions of personality type:
(1) Energy Style: Extroverted (E) or Introverted (I) -Focus on inside or outside.
(2) Thinking Style: Sensing (S) or Intuitive (N) -Systematic or rely on
intuition.
(3) Values Style: Thinking (T) or Feeling (F) -Objective vs Subjective.
(4) Life style: Perceiving (P) or Judging (J) -Being spontaneous and
flexible vs decisive and planned.

3.2. Techniques to guide the team to achieve the project goal

There are numerous techniques available to guide a team to achieve the project goal. As a project
manager I would use the following techniques to guide my team so that the project goal will be
achieved easily.

(1) Clear Objectives: The team's overall objective needs will be identified and
defined in terms which allow each member to understand the same goal. As a project
manager I have to play an important role in communicating a clear picture of what the
organization expects from the team. A style which encourages a questioning approach is
likely to reveal any members' doubts, misunderstandings or resistances which need to be
positively managed.

(2) Appropriate Leadership: Leadership is a shared function based on the need of


the task rather than through consideration of formal role or position-based power. This
requires considerable flexibility in recognizing and allowing other team members to
exercise real leadership when a member's skills are more appropriate to the team at that
time. I would decentralized the power and appoint appropriate leader where it will require
to achieve the project goal.

(3) Commitment to the team: I will achieve the project goal by increase the team
commitment among the team members. Therefore, they will be willing to invest
considerable energy in the interests of the team. Membership will be highly valued and
member behavior will strongly influenced by considerations of team success.

(4) A supportive team climate: A supportive team climate helps members to


contribute ideas, take risks and question the team and its activities openly without fear of
censorship, disapproval or reprimand. The only condition is that the members' behavior is
with the best interest of the team and its performance at heart.

(5) Feedback: The team leader is one of the most important and credible sources
of feedback to the team and its members on performance. The emphasis should be on
positive feedback. Even when performance related problems occur, the emphasis is on
seeking solutions rather than witch hunting.
4. Problem solving strategies

Though the cost has reached the maximum level but still there is a possibility to earn profit. On
the other hand, it will be a worst decision if I will abandon the project after spending two months
in the same project. Moreover, I got some new changes and additions request from the Principal
so I can negotiate with them and charge a higher amount so that we can make profit. At the same
time, to motivate my team I will bargain with Managing Director that if I will earn higher profit
rate as it was expected from the project then the extra amount will be distributed among the team
members. To satisfy my immediate supervisor, I will assure him that I will work over time for
my project but will do the day to day office work within office hour.

After receiving some constant requests for changes and additions from the Principal the revised

4.1.1. Justification behind selection of new model


As many changes and additions in the system demanded by the Principal so I was bound to
change in my existing model. To meet the new demands I need to incorporate those in my
system, to do so I have to start it from the requirement stage, new inputs will be incorporated to
satisfy the client. Based on that requirement I need to redesign the system such a way that will
meet all requirements. In the implementation stage, our developer team will focuses on the new
requirements as well as correct mistakes if any. After successfully verifying the product it will be
delivered to the final user.

4.2 Strategies to solve the problem and bring a win-win situation

To bring a win-win situation I will use the following strategies:

(1) Focus on interests, not positions: I will persuade the client by mentioning that
please do not focus on your current financial position. Besides that I will influence them
to see the future and ensure them that the new model will best serve their interest.

(2) Think of the long term mutual gain instead of the short term personal gain: I
will influence them to maintain a long term relationship rather a short term. I will try
convince them to focus on long term mutual gain instead of the short term personal gain.

(3) Focusing on supplementary feature of the product: To satisfy the client I will
explain them about the supplementary features of the product. By mentioning that
without any payment or requirements we have built it for the sake of their benefits only.

(4) Free after sales service: Ensuring them that though we are charging more right
now to incorporate your new requirements and covering our losses but we will give you a
free after sales service if required.

4.3 Impact of suggested solution

The suggested solution will have a prodigious positive impact on the project. The solution
alleviate all the problems which has been arisen previously. The suggested solution is able to
satisfy the following entities:

(1) The Business: The business will be benefited equally as it was expected
previously. Because after receiving the changes and additions we can charge more to the
clients. So the business will no more suffer the loss.

(2) The Client: The client will be happier after receiving an effective outcome
from the project. Because their initial demand will fail to meet their real needs but now
with the modified model they will be able to meet their needs.

(3) The Project Team: After spending two months the project team was de-
motivated but with a new solution which ensures the extra payment for the team members
get back their motivation level.
