MAINTENANCE PLANNER ROLE & RESPONSIBILITIES

ROLE DEFINITION
The role of the Maintenance Planner is to improve work force productivity and quality by anticipating
and eliminating potential delays through planning, scheduling, and coordination of maintenance
resources, parts, materials, and equipment access.
This role reports to the Maintenance Manager. Responsibilities include planning and coordination of all
planned maintenance activities performed at the site.
RESPONSIBILITIES
Core Planning Responsibilities:
Detailed Job planning
Researching
Scoping of work
Estimating of material and labor (internal and external) job requirements
Developing task instructions
Identifying tool and equipment requirements
Developing job material lists
PM and Standard Job Plan Development
MRO Supply Chain Coordination
Creation of purchase requisitions for planned work
Creation of stock reservations for planned work
Pick Ticket creation for planned work
Assist Storeroom function in the kitting and staging of job material requirements
Coordinating with operations, purchasing, materials management, maintenance personnel and
maintenance management
Additional Planning Responsibilities:
Planning and scheduling for shutdowns (major and minor)
Gantt charts
Critical Path Analysis
Resource leveling
Development of Planner reference systems including a file of Planned Job Packages for recurring
jobs, plus labor and material libraries for each piece of equipment.
Keeps the Maintenance Manager informed of abnormal or critical situations and seeks advice on
matters outside the Planner's knowledge or authority.
Identifies recommendations and or areas for improvements.

Administrative Responsibilities:
Maintains essential records and files from which management reports are prepared and
distributed.
Enters purchase requisitions for all planned services.
Enters EAM system reservations for all planned material requirements.
Responsible for the maintenance of the Bills of Material (Parts lists) for assets including ensuring
current information is accurate
Participation in budgetary preparation, tracking, and analysis.
Assists the Maintenance Manager and Production Manager in periodic analysis of cost trends
with recommendations for continual improvement.
Reviews all work order feedback and updates PMs and Standard Work Orders accordingly.

SPECIFIC EXCLUSIONS MAINTENANCE PLANNER ROLE


Ideally the Maintenance Planner is assigned 100% to the planning function. The Maintenance Planner is
not utilized for Maintenance Supervision, Scheduling or additional duties that are not associated with
this position description. Other possible exclusions from Maintenance Planner responsibilities are:
Involvement in daily emergency and urgent work requests. There is no opportunity to plan such
work. If any planning is to be accomplished, the Planner must focus on next week and beyond.
Daily assignment of individual technicians to specific jobs. This is a Maintenance Supervisor
responsibility.
Reliability Engineering including development of the PPM system, analysis of Equipment History and
re-engineering points of repetitive equipment failure.

RELATIONSHIPS

The Maintenance Planner is an integral part of the Leadership Team. They are an organizational peer
and partner of the Maintenance Supervisors, Reliability Coordinators and Production Supervisors. They
are jointly responsible for the tasks required to ensure the effective capacity utilization, reliability and
life cycle asset management.
