Minutes of the Joint College Academic Council Meeting of the

College of Industrial Technology (CIT) and the Institute of Evening


Opportunity Program (IEOP) held March 22, 2017 ( Wednesday) at
the CIT Audio Visual Room

The meeting was called to order by the Dean Dr. Atanacio M. Nacana at 9:00
A.M. It was followed by a short prayer from the AVPower Point. Afterwards the
College Secretary, Miss Aira Nero did the roll call. Out of 49 faculty composed
of the Regular and COS there were 47 present and only 2 were absent.
Recognition and determination of quorum was done by the Dean. Afterwards
the Business agenda were presented which were the following;

A.1 Presentation and approval of the Candidates for Graduation
A.2 List of awardees
B. For Information/Reminder
B.1 Pre-Graduation activities
B.2 CIT Extension Program (Transfer of Technology; RMTU-CIT ZPPO)
B.3 Faculty Clearance Requirements for Academic Year 2016-2017
B.4 Reports of Area Chair on the extent of Preparation for Level III-1
Accreditation
B.5 Fifteen Days service Credit Summer Faculty Jo in Preparation for
Accreditation
B.6 Plantilla position for 6 COS CIT Faculty
B.7 Summer Class start of Classes April 10, 2017
C. Other Matters
C.1 Inclusion of Automotive Technology in the courses for K-12 program
by June, 2017

Prof. Estelito C. Ramos moved for the approval of the Business agenda
including the other matter.
Action Taken: Approved
After the presentation of the business agenda the Dean proceed with
the reading of the names of the Candidates for Graduation by course and at
the same time flash their pictures with information on the power point. After
reading each name of the candidate, the Campus Registrar who was present
during the deliberation gave his remarks as to the status of the completion of
the graduation requirements by the candidates. According to Mr. Carlo Ayran
most of the deficiencies incurred by the candidates were; submission of OJT
certificates, NSO, Form 137, still no grades in research (thesis) and their
currently enrolled subjects.
Prof. Joseph delos Reyes asked the Campus Registrar when will be the
last day of completion of their deficiencies. The Registrar said that it should
be cleared before the University Academic Council scheduled on March 28,
2017 and the deadline for encoding and submission of grades for graduating
students will be March 24, 2017 while for the undergraduates will be March
31, 2017.
Prof. Vener Decena asked for reconsideration in the case of the BSIT-IV
candidates for graduation since most of these candidates were still in the
process of editing and completing their manuscripts.
Mr. Carlo Ayran answered that Dr. Vener Decena will be provide a list
of those candidates who have successfully defended their thesis and that
they must show their manuscripts and a photocopy of the approval sheet.
After presenting the Candidates for graduation in the BSIT curriculum,
next was the BSIE, Two-Year Trade Technical, Bachelor in Elementary
Education (BEEd) for IEOP, Bachelor of Business Administration (IEOP), and
lastly the Certificate in Professional Education (CPE) for IEOP.
Prof. Joseph delos Reyes moved for the approval of the Candidates for
graduation in the CIT and IEOP.
Action taken: Approved
Next business agenda presented was the List of Awardees

Prof. Alicia R. Loon moved for the approval of the list of awardees.
Action Taken: Approved
Next the agenda was the pre-graduation and graduation activities
which were the following; March 28, 2017 University Academic Council
Meeting, April 17, 2017 Baccalaureate Mass, April 18, 2017- Mid-campus
with Hon. GUILING A. MAMONDIONG, Director General of TESDA as guest of
honor and speaker and April 19, 2017 Mid campus with HON. CHERYL P.
DELOSO MONTALLA , guest of honor and speaker.
The Dean also mentioned about the CIT extension program , Transfer of
Technology with the Zambales Provincial Police Office (ZPPO). According to
him this extension program was a research based extension activity which
will start on the second week of May, 2017.
Reports of area chair for accreditation followed. Out of the 10 areas,
Area 2- Faculty and Area 10- Administration was already 100 percent
complied while other areas were still in the process of gathering and
complying with their documents. According to the Dean this must be
complied by April, 2017.
The Dean will also requests a 15 days service credit summer faculty
job for the final arrangement and binding of the documents to be ready for
the July, 2017accreditation. The requirements will be Office memo,
Attendance, Accomplishment of the Area concerned.
He also mentioned about the Plantilla positions for 6 COS CIT faculty.
According to him even if the faculty were already teaching as COS at present
if there were applicants who were more qualified they can still be terminated.
So he encouraged the COS faculty to improved themselves.
He mentioned about the start of the summer classes which will be on
April 10, 2017 and lastly on other matters, according to him a letter of
requests to Prof. Helen A. Magno regarding the inclusion of Automotive
Technology, Food Technology, FCM Technology and Electronic Technology in
the course offering for K-12 by June, 2017 was already given but there was
no response yet.
Having no more information to relay the meeting adjourned at 11:46
A.M.
