Guide
 SCHEDULING POLICY
Students in semesters 6 10 are required to follow the policy statements listed below when scheduling clinical rotations. This applies to
affiliated and non-affiliated rotation sites.
Under no circumstances can a student begin a rotation without prior written approval from the Department of Clinical Placement or
without it appearing on their schedule.
Students are required to make all requests to add, drop or change a rotation through the student portal. Please note submission of
request does not mean rotation is approved.
Students are required to keep their UMHS clinical coordinators updated on all scheduling matters
Students must be in good academic and financial standing to schedule and continue rotations
Electives must be a minimum of 4 weeks in order to receive credit
No more than 8 weeks can be completed of the same rotation that will count towards the 30 week elective requirement
Students cannot request, schedule or cancel a rotation within 30 days of the scheduled start date unless special permission is
received by the hospital coordinators and UMHS. If a rotation is completed without UMHS prior approval or student does not attend
the scheduled rotation student may be subject to the following:
No credit will be given
Responsible for tuition cost and/or fees associated with rotation
May receive an unsatisfactory grade (Failure or Withdraw depending on circumstance)
Not permitted to begin another rotation until scheduled end date of non-approved rotation
Subject to further disciplinary action
Students must attach or send the confirmation email received from the hospital which has approved the rotation to their request
through the student portal or email. The email must include: Hospital Name, Coordinator contact, Rotation title, Start and End dates
of rotation
Please review your clinical schedule on the student portal often and before start dates to ensure you have been officially registered for
the rotation requested.

 Information You Should Know
You may NOT rotate in the following states: CA, FL, KS**, IA, NJ, NV, PA, TX
Think of your electives as an audition. Be sure to research the Residency programs you are interested in to see their specific
requirements.
Please always email Clinicalcoordinator@umhs-sk.net when trying to contact the Clinical Dept or hospitals so we are aware of all
correspondence and in case a coordinator is not in the office. Please do not use your personal email when communicating with our
dept.
If you need to complete an elective application, please be sure to send to the Office of Clinical Placement so we may send all required
information to complete your application to the hospital and we may have it on file for your degree audit.
If you wish to rotate at a non affiliate hospital, please follow these steps:
--Contact the Office of Clinical Placement to ensure the requested rotation will be approved, if needed we will send to Dean for
approval
--Once approved, you must contact the Coordinator of the program of interest to see if the rotation is available for your requested
dates
--Once the hospital has approved the rotation, you will need to put the request through the student portal with name of rotation,
requested dates & contact information for coordinator. You will also need to attach approval email or letter or send to us by email
--Once reviewed & confirmed the rotation will be added to your schedule

Although the Office of Clinical Placement will attempt to accommodate your preferences, you are not guaranteed an assignment to any
specific hospital. Please note submission of request does not mean rotation is approved.
If you fail an NBME, you will not be allowed to continue rotating (scheduled or unscheduled) until you have taken and passed the
failed NBME and we have received your passing score. Please ensure you have financial clearance as Bursar holds will also delay in
current & future rotation scheduling.
