Pocket Odometer

Introduction:
Pocket Odometer is a vehicle maintenance (1 car) or fleet maintenance (hundreds of cars or
trucks) program that was written by a Class A, Class S, Class T and ICE-P Mechanic. This
program is designed to help you keep track of your maintenance schedule and to record any
repairs , fuel or notes you would like to keep a record of. As you enter Fuel, the program
instantly calculates your Miles per Gallon, as well as Litres / 100 Km (Canada). Fuel cost is
recorded and details on every entry are viewable in the log. Your current mileage is displayed
as well as the next oil change, lube (Grease Job) and your next inspection date. You can select
Miles or Km, Litres or Gallons. The program does all the math to give you the fuel economy
regardless of the measurements used. Fuelling in Canada, no problem, enter Litres and the
program will give you your MPG just the same. There is no known limit to the number of
vehicles you can add or the number of entries. You can select a default vehicle that will be
displayed when you run the software. Monitor your MPG, Repairs, Oil Changes and help your
vehicle last for many years Export to CSV for Excel Spreadsheets! 2 weeks before the
inspection is due, You will be asked once if you would like to set an outlook appointment. If
you select Yes, an appointment will be generated in Pocket Outlook for the due date of the
inspection.

DESKTOP VERSION AVAILABLE


There is now a desktop version called Desktop Odometer available separately,
The Desktop version has the same features with some additions:
Cost per mile / kilometre for fuel and maintenance
Overall cost for Fuel and maintenance
MPG shown in history display
Search feature for history
Fuel and Maintenance screens are combined
Metric conversion for mileages
Stoplight icon that changes color when services are done, close or overdue.
Edited fuel entries do not loose MPG data

Installation:
IMPORTANT CHANGES!
The Podometer.odm database file has been moved to the My Documents Folder.
Please copy your POdometer.odm file to My Documents on your Pocket PC after
installing the upgrade. If this is not an upgrade, there is no action for you to take.
The CSV Export now only exports the selected vehicle in the history view. To
export all vehicle data select ALL VEHICLES.

Pocket PC with ARM, MIPS or SH3 Processors

UNZIP the package you downloaded and run setup.exe. The software will self-install to any
pocket PC with the MIPS, ARM or SH3 processor running Windows CE 3.0 or better.

CASSIOPIEA Pocket Manage BE-300

Place your BE-300 in the cradle, Run the setup program Setup.exe, and follow the instructions.

If you have difficulty, please contact pfsupport@rogers.com with your error message and Pocket PC CPU type,
and version of windows CE.

If for some reason the setup does not work, you may try copying the proper .CAB file to your device and then
using your devices file Explorer tap on the cab file and it should install that way as well.

It is always wise to make back-ups of your software and data files.

NOTE: This program should not be run continuously. After entering your
data and viewing the logs, you should exit the program. If the data appears
mixed after changing units, exit the program and run it again for the
changes to take effect.

If you selected install to the default directory then your program


will appear in the programs menu. Select Start, them from the
drop down start menu select programs.

If you selected SD Card or other removable storage, the files will


be located under DRLS Pocket Odometer

INSTRUCTIONS:

SECTION 1: THE MAIN SCREEN


When you start the program you will see the main screen as illustrated in figure 1. Here you
have 5 buttons and 5 displays of information. We will start with the information.

1. Latest Mileage: the 7 digits represent the miles or kilometres last entered. If you
selected Kilometres, the last digit will turn into the letter K. Otherwise this is Miles.
Whenever you add a repair or fuel this mileage is updated.
2. Vehicle ID. The vehicle number, make, model and year will appear just below the last
mileage. This is the default vehicle and can be changed at any time, as you will see
later. The information on this screen is for that vehicle only.
3. MPG is the last fuel economy data available. If this is the first time you have entered
fuel for this vehicle do not be alarmed at the numbers. You will have to enter fuel at
least twice to get any readings. You should always fill your tank all the way. Otherwise
the data may not be accurate. When you enter the vehicle information it will ask if you
prefer MPG or L/100km, your selection will show here. If MPG is selected, there will
also be a second set of numbers representing the average MPG
4. Next Oil Change and Next Lube. Based on the intervals you specified in the set up,
this display shows you the mileage when your next oil change and or grease job is due.
For example if your last oil change was at 36000 miles, and you specified an interval of
3000 Miles, your display would show 39000 If your latest mileage is equal to or past
that mileage, the numbers will turn RED.
5. Next Inspection. You decide how often you need to have the vehicle inspected, Trucks
generally require annual inspections, Public Transportation sometime every 6 months
and some states do not require any after the first. When you set up your vehicle you
can enter the interval in days. 1 year or annually would be 365 days.

The Buttons:

1. Odometer: This is the about screen, Here you will find support information.
2. ADD FUEL: when you fuel the vehicle you tap this button. See FUELING later in the
manual.
3. Vehicles: Here is where you start. Tap Vehicles and enter as many new vehicles as you
like. You can add more later so you can start with one or two.
4. Maint: This is where you enter Oil Changes, Repairs, Routine Maintenance or update
the odometer with a note like 35664 Stopped for lunch and added some oil.
5. History: Gives you a list of the transactions and when you double tap one, the details
of that transaction appears. See HISTORY
6. BACKUP: Tap this button to create a file called Podometer.bak, it will be an
exact replica of the current database. To restore, delete Podometer.odm and
rename Podometer.bak to Podometer.odm

SECTION 2: VEHICLES

By selecting a vehicle and using the up and down (DN) buttons, you can select the default
vehicle that will be on the main screen every time the program is run. You may change this at
any time.

Remove: To remove a vehicle, select the vehicle (turns blue) and tap Remove.
There is no second chance and no undo so be sure before deleting.
Add : Tap here to add a vehicle to the list.
OK Select OK at the top to return to the main screen.
Edit Tap this to change the preferred Economy setting, Oil change intervals,
Lube intervals and inspection days.

Add a Vehicle:

Vehicle Number: Enter the fleet number or the plate number


Year: Is the model year
Make: IE: Ford, GMC, International etc.
Model: The model could be Jimmy, Eagle, F-150, etc
Oil Changes every: The default is 5000, check with your vehicle manufacture to get
the correct interval. Depending of the Odometer selection at the bottom, this could be
Miles or Kilometres. If you checked Miles, then it is in Miles.
Lube: See Oil changes.. As a rule, Cars and light duty get a lube with every oil change
so the two numbers would be the same. Trucks require lubrication between oil changes
therefore this number may be of the Oil change interval.
Inspect every: The default is 365 Days. Busses may require 180 Days or you may
only require inspections every 1825 Days (5 Years). Enter only the number of days.
You could use this an annual tune-up or Yearly Oil undercoating appointment reminder.
Economy: Select your desired method of recording Fuel Economy. This selection will
select either MPG or l/100km for display on the main screen. NOTE: Both MPG and
L/100Km are always available in the history file. Now MPG(UK) for imperial Gallon
conversions
Save: Go back to the Vehicle List.

SECTION 3: FUELING

Vehicle Selection: The arrow at the right of the box allows you to select any vehicle from the
list for fuel. The default is the default vehicle.

Mileage: The current Mileage

Hours: If applicable

Hub: If your vehicle has a Hub Meter. For Trailers, You must enter 0 in the Mileage field and
place the mileage here if you wish.

Price: The current price of fuel if known., This is price per Gallon or Litre depending on the
checkbox beside the Quantity box. DO NOT USE MONITARY INDICATORS SUCH AS
DOLLAR SIGNS $

Quantity: Enter the number of Gallons or Litres , If you selected MPG(UK) as the economy
setting then this is Imperial Gallons. Otherwise it is US Gallons

Gallons or Litres: This checkbox is required to know how much fuel we are taking.

Brand: Optional, the Brand of fuel. You may want to enter this information because your
vehicle may get better mileage on one brand then another and this will help you to determine
that.

Location: Where you bought the fuel.

Fuel Conditioner: If you added Fuel Conditioner you can record it here so you dont add too
much or too little.

Date: The Date of the purchase, you may backdate the purchase but remember to always enter
fuel in order. If you fuel this morning and did not enter it, then fuelled that night again. You
must enter this mornings fuel first or MPG calculations will be way off.
Time: Just a time reference.

Save: Save the changes to the database and return to the main screen.

Cancel: DO NOT SAVE the changes and return to the main screen.

SECTION 4: MAINTENANCE

Mileage: Enter the current Mileage. (No 10ths) for 12,345.8 enter 12346

Hub: Enter the Hub Meter. If there is no Odometer, the Mileage must read 0 or the data will
not be saved.

Hours: Enter the hours if applicable. If there is no Odometer, the Mileage must read 0 or the
data will not be saved.

Invoice: Enter your invoice or work order number for future ref.

Cost: Enter the cost of the repair. If applicable. DO NOT USE MONITARY INDICATORS
SUCH AS DOLLAR SIGNS $

Place: Where the work was done

Notes: A brief note.

Date : The date of the repair.

Time: The time of the repair.


Repair Type: Select a repair type. Repair Types with the Greater than sign > are repair
types that are used in various calculations and should not be edited. Also do not manually type
in a repair type that is identical to the repair type in the list with a greater then sign or you will
confuse the program.

You may type in your own repair type here.

NOTE: If you change your oil and have the vehicle greased at the same time, select
>Service as the repair type.

Save: Saves the entry

Cancel: Exit without saving.

Key Maintenance Type Selections


>Oil Change Resets oil change odometer
>Lube Resets Lube odometer
>Safety Inspection resets Next Inspection date
>Service Resets both Lube and Oil odometers

If you decide to enter your own repair type, you can trigger a Service by adding >Service to
the end. For example, I want the history to show a B Inspection, Our B Inspections include a
Lube and an oil change. I can enter B PM >Service >Safety and both the oil and lube
odometers will go back to black and the next inspection will reset.

SECTION 5: HISTORY

Every entry is listed by date. You can sort the list by taping on the header bar, one tap for
Ascending, another for Descending. By taping on the Vehicle bar you sort by Vehicle, tap on
the Type bar to sort by type and so on. Double tap an entry to get the details of that entry as
shown in fig. 7 and fig. 8.
Select the vehicle from the drop-box or select ALL VEHICLES to view entire database

You cannot enter data in these screens.

Version 1.1 has an EXPORT button in the History screen, Tapping this button will export all of
the data to a file called Podometer.csv . This file will be located in the My Device folder of
your Pocket PC and can be directly imported into Microsoft Excel or any spreadsheet that
supports Comma Delimited format.

Version 2.1 has EDIT to allow you to edit a past entry. Please note that in the pocket version,
MPG data will become unavailable when a fuel entry has been edited.

By sliding the bottom bar you can see the other entries in the main list. They are:

Vehicle Number, Repair Type, Mileage, Date and Time

In version 1.2 or better, You now have a DELETE option in the history view. Select the item
you wish to delete and tap DELETE. You will be asked to confirm, if you select YES, the
item will be permanently deleted from the file.
