appropriateandtimelyfollowupcare.Inresponsetohospital,
regional,andnationalneeds,NCHAMdevelopedtheHI*TRACK
datamanagementsystemwhichisnowbeingusedinhundredsof
hospitalsacrosstheUnitedStatesandtheUnitedKingdom.Program
coordinatorsoperatingormonitoringhospitalbasedscreeningpro
gramshavediscoveredthatacomputerbasedpatientinformation
systemcontributessignificantlytoprogramsuccess.HI*TRACKcan
supportanyscreeningprogramusingotoacousticemissions(OAEs)
orautomatedauditorybrainstemresponses(ABRs)toscreeninfants
forhearingloss.
TheHI*TRACKsystemhasbothaScreeningmoduleanda
comprehensiveTrackingmoduletohelpyoumanageyour
screeningprograminformation:

Screening
Screeningisdesignedspecificallyforhearingscreeningprograms
usinghandhelddevicesorotherscreeningequipmentthathaslimited
ornodatacollectioncapabilities.Usercustomizeddropdownmenus
allowscreenerstoquicklyenterinfantdemographicinformation,
documentscreeningresults,keeptrackofwhichinfantshavebeen
screenedandneedtobescreened,andexportcompletedinfant

screeningequipmenthasitsowndatacollectionsoftware(e.g.,
SonaMedClarity,NatusALGO3DataBook,OtodynamicsEZ
Screen2,etc.),youdonotneedtousetheScreeningmoduleunless
youchoosetodoso.
Tracking
Trackingistheheartofthecomprehensivetrackinganddataman
agementsystemwhichiscustomizedtoreflectyourprogram's
participatinghospitals,audiologists,screeners,physicians,andearly
interventionserviceproviders.Itfunctionsaspartofanintegrated
datamanagementsystemwhenusedwithanyscreeningequipment
softwaresystem.Infantdemographicinformationenteredintothe
screeningsoftwareandscreeningresultsareautomaticallyimported
intoTrackingwheretheuserfriendlydatamanagementfeatures
makeiteasyto:
Documentthescreening,diagnostic,referral,andearly
interventionservicestatusofallinfants.
Producereminderticklerlistsofinfantsrequiringfurther
screeningorfollowupevaluationandservices.
Printstandardandcustomizedlettersthatcommunicate
infantscreeningoutcomesandreferralrecommendationstoparents
andphysicians.
Monitoroverallprogramperformancethroughreportsthat
summarizethenumbersandpercentagesofinfantsscreened,missed
orlosttofollowup,referredforfurtheraudiologicassessment,and
foundtohaveconfirmedhearingloss.
Monitorindividualscreenerperformance.
Developanarchiveofepidemiologicaldataspecificto

*ForProgramCoordinators*
Somescreeningprogramsprefertoinstalltheirscreeningequipment
softwareononecomputerinthenurseryandtheirtrackingsoftware
onadifferentcomputerinanotherlocation.Toprovidemaximum
flexibility,theScreeningandTrackingmodulescanbeinstalledon
thesameordifferentcomputers.Likewise,ifyouarenotusing
Screening,butusethedatacollectionsoftwarethatcomeswithyour
screeningequipment,youcaneitherinstalltheTrackingmoduleon
thesameoradifferentcomputer.TheexceptiontothisistheNatus
ALGOsystem,whichisadedicatedpieceofequipmentthatprohib
itsinstallationofothersoftware.
AllusersmustinstalltheHI*TRACKprogramontheircomputer's
harddrive.However,usersconnectedwithanetworkmaychooseto
havetheinfantrecorddatabase,createdbyHI*TRACK,placedona
networkdrive.Anoptiontodosoispresentedduringtheconfigura
tionstepsdescribedlaterinthissection.

installedonadifferentcomputer).
CollectscreeningdatausingEZScreen2,thenminimizeor
closeEZScreen2.
ClicktheMergebuttonontheToolBar.
SelectOtodynamicsEZScreen2astheMergeType.
ClicktheMergebutton.

Allofthedatacollectedduringscreeningsincethelasttimeyou
mergedwillbeimportedtoHI*TRACK.BecauseEZScreen2does
nothaveafieldtospecifyBirthHospitalandScreeningFacility,a
popupwillappearatthebeginningofthemergeprocessforyouto
indicatethecorrectinformationfortheserequiredfieldsforeach
child.Whenthemergeiscompleted,amessageappearstellingyou
howmanyrecordsweremergedsuccessfully.

andhospitalsforHI*TRACK.UsethearrowstoassignHI*TRACKcodes
totheirEZScreen2equivalents.Iftheuserchangesthehospital
affiliation,thenallbabiesatthispointandonwillhavethenewhospital
information.Thisdoesnotchangethehospitalinformationforexisting
babiesinHI*TRACK.

Youprobablywanttoexport(download)infantrecordsfromEZ
Screen2andmergethemintoHI*TRACKonatleastaweeklybasis
inordertogeneratetimelylettersanduptodatereports.Duringthe
exportprocess,acopyofthedataissenttoHI*TRACKtheoriginal
dataisretainedinEZScreen2.ExportingdatafromEZScreen2and
importing(merging)itintoHI*TRACKisalwaysatwostepprocess:
RecordsfromEZScreen2areautomaticallystoredatthe
specifiedlocationasdataforeachchildarecollected.Thisdata
remainsatthatlocationandnewdataisappendedtoituntilamerge
isdone.Atthattimethestoragelocationisclearedofolddataand
theprocessbeginsagain.
WhenanHI*TRACKMergeisfinished,therecordsfrom
thestoragelocationarecheckedforinternalconsistency,andthen
mergedintotheHI*TRACKdatabase.Iftheexport/mergeisbeing
doneusingdiskettes(aswouldbethecaseifEZScreen2and
HI*TRACKareontwodifferentcomputers),thediskettecanbe
reusedafterthemergeiscompleted.Whenamergeiscompleted,the
filewillberenamedfromEZScreen.txttoEzscreen.i12092004
1319(date/timestamped).Ifforsomereasonyouneedtomergethe
samedataasecondtime,youmustfirstrenamethefilebackto
EZScreen.txt.Afteramergeiscomplete,thediskettemaybereused.

? Note:HI*TRACKmergesalwaysrequiresdataonbothearsfor
achild.Therefore,ifdataismergedaftercompletingatestforoneear
onachild,HI*TRACKautomaticallyfillsCouldNotTestforthe
child'sotherear.
