59TH ANNUAL NASA CONVENTION

16th 20thJanuary 2017

MANDATORY RULES AND REGULATIONS

1. The dates of the convention will be: 16th to 20th January 2017, 15th January will be
observed as Zero Day.
2. Delegates Allowed for ANC:
1 Faculty Member + 1 U.Sec. + 1 U.D. + 31 Delegates
3. Delegation fee for ANC:
1 Faculty Member 5500 (Including Accommodation)
1 Unit Secretary NIL (Including Accommodation)
1 Unit Designee 2000 (Including Accommodation)
31 Delegates Rs. 4500 Each (Including Accommodation)
4. Accommodation for ANC
Type I: Tent and Type II: Hostel
5. Caution money for ANC
Fixed Rs. 15000 from each institution (refundable). But, in case of any damage to
the institute property or if any delegate is found breaking any of the rules, the
caution money of that institution will not be refunded.
6. Delegates Allowed (International) for ANC:
1 Faculty Member + 15 Delegates
7. Delegation fee for International Delegates:
Faculty Member US $150
Delegates US $120 Each (Including Accommodation)
8. The Delegation fee for ANC includes: Venue, Accommodation, Kit, Food, Participation
in respective events, Transportation and Common Facilities
9. This year, all registration process will be online. A user ID & password will be
generated by registrations.anc@nasaindia.co & shared to Unit Secretaries of
respective Institutions.
10. Unit secretaries will have to fill the details of each delegate including their email ID,
mobile number, gender and choice of accommodation before 25th December 2016.
11. It will be mandatory for each institution to select at least 6 seats in hostel
accommodation for each gender.
12. Each delegate will then receive an individual email to make payments. In case an
institution opts DD as mode of payment, they will have to send the DD to the
Convenor of 59 ANC, only after which they will be given the access for registration in
various events of the convention. Payment through NEFT needs to be done in favour
of Annual NASA Convention 2016 payable at Jaipur. The details should be
emailed to treasurer.anc@nasaindia.co
13. Upon payment from 50% delegates or 50% of the total payable amount of each
institution, The U.Sec will be able to access the Event Schedule where he/she can
select the respective event & register their delegate(s). Please note that events will
have limited seats, Hence U.Sec has to make sure that the registration of delegates
are done quickly. The last date for 50% payment is 27th December 2016.
14. Travel details of the Institutions (arrival time and departure time) should be sent
latest by 31st December to transport.anc@nasaindia.co otherwise the institution
would face a problem in availability of transportation services.
15. 15th January will be considered as zero day. The welcome & registration of delegation
will take place from 15th January 4 PM to 16th January 9 AM at the registration desk.
Unit Secretary & Unit Designee of respective institutions should be present at the
registration desk in between the above mentioned time with the following details
Total remaining & requisite amount of money (delegation fee + security deposit)
Hardcopy of the details of delegates representing the institution in the format given
by Poornima University.
Letter duly signed & sealed by the HOD / Director / Principal of each institution, in
original, granting permission to all delegates participating in 59th ANC at Poornima
University.
Institution identity card and 2 passport size photographs of each delegate. Failing to
present the identity card during security check, registration and respective event will
result in no entry in convention/ event.
A copy of Mandatory Rules and Regulations 59th ANC jointly signed by the Unit
Secretary, Unit Designee and the HOD / Director / Principal of institution
Music CD for cultural performance as required by the cultural coordinators.

16. General rules for ANC


The unit secretary of the Institution and the accompanying staff will be the
representative of the Institution and it shall be there responsibilities to control his
or her contingent throughout the convention.
All the delegates should bring their Institution Identity Card and two photographs
(color, passport size) along with them.
All the delegates should wear their band and carry institution ID card all the time
during the convention, failing to produce any of them when required will be
considered a breach of 59th ANC rules and regulation.
Each Institution has to bring at least one Digital Camera and One Laptop.
Participants should bring their own stationeries and instruments for trophies and
paneling.
Decision of the board of juries will be taken as final.
During the event, participants must switch off/silent their mobiles.
During the panel discussions and keynote sessions, mobile phones should be kept
silent and drums, whistles or any other musical instruments are not to be used.
Participants should return the materials provided for the event to the venue in
charge after the events.
Smoking, possession / consumption of alcohol and / or any other drug are strictly
prohibited within the campus, and in the accommodation area.
Any student of any Institution found to be guilty of misbehavior or misconduct at
any point of time shall result in the student being expelled from the convention that
point onwards and the decision of EC will be binding & final.
Each Institution has to share a short video clip as per the cultural brief of group
dance, fashion show and band performance respectively in MPEG format through
sharing on Google Drive with culturals.anc@nasaindia.co latest by 18th December
2016. Shortlisted Institutions will be informed positively before 20th December
2016.
Lottery for the sequence of cultural performance will take place on 16th January
2017 at the registration desk. The Unit Secretary or Unit Designee has to be
present at the time of lottery, failing to which the sequence will be decided by
Poornima University.
Cheering is allowed however any negative comments against the opponent shall
lead to disqualification.
Delegates with medical problems should carry their own medicines and medical
certificates and must inform in the registration desk beforehand.
No extra time will be given for delayed entry to the venue of any event.
ANC qualified Unit Secretary & Unit Designee will not be able to participate in any
event.
During any event, any participant is found communicating to other delegate who is
not participating will be disqualified from that event.
Discipline / decorum and cleanliness should be maintained in University premises.
All the rules are applicable to all the delegates including the accompanying faculty,
as per NASA instructions.

17. Transportation & Hospitality Rules for ANC


Accommodation once allotted to the delegates will be final, delegates are required
to bring own safety lock for their luggage & rooms. Poornima University will not
take responsibility of any personal belongings.
Delegates choosing Tent Accommodation have to take special care of their own
luggage as it will not have any lock & key arrangement. Delegates must plan their
accommodation accordingly, as Poornima University will not be responsible for lost/
theft of any personal belonging.
Delegates will be provided with mattresses, pillows & blankets but they are also
advised to bring extra bedspread and blankets for emergency purpose.
Smoking, possession / consumption of alcohol and / or any other drug are strictly
prohibited within the campus.
Food will be provided from Breakfast of 16th January 2017 to Dinner of 20th January
2017.
Food will be served at the allotted time as given in the time table (chart would be
provided from 15th January 2017 morning at the registration desk)
No boys will be allowed to enter the girls accommodation and vice versa under any
circumstances.
No delegates will be allowed to move outside the Poornima University premises or
the accommodation place under any circumstances. In emergency, the Convenor
shall be informed.
Poornima University shall not hold any responsibility for any action of the delegates
outside the Poornima University premises.
Poornima University shall not be responsible for the any personal valuables.
No student is allowed to stay off campus during the Convention.
Delegates are requested to cooperate with the security guards while physical
checking of the delegates and their belongings (if needed).
Transportation would be provided from Jaipur railway station, Jaipur bus stand
(Sindhi Camp Bus Stand) and Jaipur International Airport to Poornima University.
Transportation request from any other place will not be entertained.
Any changes in the travel schedule should be intimated to the transport committee
head on transport.anc@nasaindia.co before 5th January 2017.
Any member of a delegation failing to follow any of the above rules may result in barring
of the complete delegation from participation in any event or nonrefund of the caution
money and immediate disqualification of the member or Institution from the convention.
Breach in rules may also result in reducing the NASA membership status of that unit to
observer status or completely cancelling the NASA membership.
