Chapter 5: Compensation Data

The purpose of this chapter is to introduce you to the payrollrelated pages viewed in the Compensate Employees menu
group of PeopleSoft.

PeopleSoft 9.0 HCM Introduction

Lesson 1: Additional Pay


The Additional Pay page is used to view information about
earnings an employee receives in addition to regular base pay
earnings. Additional pay is usually continuous payments in each
pay period, but may also be used for one-time, lump-sum
payments. Examples of Additional Pay include:
Longevity
Incentive
One-time
payments are not
entered on the
Department Budget
table.

Augmentation
Certification pay
Uniform allowance
Other supplemental pay
The SDR team inputs all continuous Additional Pay
earnings, including longevity, directly into the Commitment
Accounting application (called Department Budget Table) to
specify the corresponding funding for this type of pay. Onetime payments are NOT input into the Department Budget
Table
An overnight batch process uses the Commitment Accounting
information for Additional Pay earnings (except for Longevity),
to calculate and automatically populate the Additional Pay
component used in payroll processing. The SDR team must
manually input Longevity and One-Time payments into the
Additional Pay component.
When Payroll runs the PeopleSoft pay cycle, data from both the
Additional Pay and Compensation pages are used to calculate
paychecks for eligible employees.

Field

Definition

Earnings Code

Indicates the earnings code for an employee in


addition to base pay earnings. Examples:
achievement award, augmentation, hazard pay,
longevity, and various types of supplemental pay.

Effective Date

Indicates the effective date for the additional pay

Addl Seq #

Indicates the number of the additional pay earnings


code for the employee, starting with 1. PeopleSoft
uses this number to uniquely identify the additional
pay Earnings Code. The additional sequence number
appears in the Paysheet panels.

Earnings

Indicates the fixed amount of the additional pay for


each pay period.

Goal Amt

Indicates a limit, or goal, for the total amount of the


additional pay for the period defined (Effective Date
thru End Date). Used only for one-time payments.

End Date

Indicates when the additional earnings should cease


to be paid. If the additional pay record was generated
from the Department Budget table, this date will
correspond to the Funding End Date. This field will be
blank if there is no specified end date for the
additional earnings resulting from one-time and
longevity payments.

Reason

Indicates the reason for the additional pay. Optional;


not used for Payroll processing.

Field

Definition

Goal Balance

When current goal balance equals goal amount,


PeopleSoft automatically stops generating the
additional pay. This amount is updated after every
payroll run, during the confirmation process.

Prorate
Additional Pay

Turn on the Prorate Additional Pay check box to


prorate additional pay for a job action (such as a rate
increase or termination) effective in the middle of a
pay period.

OK to Pay

If this check box is activated, the additional pay will be


generated, regardless of whether the employees
regular payline is marked OK to Pay.

Applies to Pay
Periods

Indicates the pay period(s) in which this additional


pay should occur. PeopleSoft checks the payroll
calendar, then additional pay data, to determine what
information applies to the current pay period.

Job Information group box:


Compensation
Rate

Indicates the employees current compensation rate.

Compensation
Frequency

Indicates the employees current compensation


frequency.

Standard
Hours

Indicates the employees current standard hours.

Employee
Type

Defaults to S (salaried), H (hourly), or E (exception


hourly).based on the assigned Pay Group.

Default Job Data group box:


Position

Defaults current value of the employees position from


the Job Data record.

DeptID

Defaults current value of the employees department


from the Job Data record.

Job Code

Defaults current value of the employees job code


from the Job Data record.

Shift

Defaults current value of the employees shift from


the Job Data record.

Job Data Override group box:

Position

Indicates the position to which you want to charge the


additional pay.

Business Unit

Indicates the business unit to which you want to


charge the additional pay.

Field

Definition

DeptID

Indicates the department to which you want to charge


the additional pay.

Job Code

Indicates the job code to which you want to charge


the additional pay.

Account Code

Indicates the general ledger account code to which


you want to charge the one-time additional pay.
HCM Account codes for continuous additional pay
payments are on the Department Budget Table.

GL Pay Type

Not being used by UT-Houston Health Science


Center.

Addl Shift

Indicates the shift to which you want to charge the


additional pay.

Tax Information group box:

State

Indicates the state in which the additional pay was


earned, if it differs from the state in which this
employees regular pay was earned.

Locality

Indicates the work locality in which the additional pay


was earned, if it differs from the locality in which this
employees regular pay was earned.

Tax Method

Indicates the tax calculation method for the additional


pay if it differs from the method used to calculate this
employees regular pay.

Tax Frequency

Indicates the tax calculation frequency for the


additional pay, if it differs from that used to calculate
this employees regular pay.

Tax Periods

Indicates the number of pay periods over which to


spread taxation of these earnings. PeopleSoft uses
this field in conjunction with the Tax Frequency field
to determine how much tax should be withheld each
pay period.

Deductions
Taken

Indicates how benefits deduction processing should


be handled for the additional pay, if additional checks
are to be processed.

Benefits Ded
Subset ID

Indicates the deduction subset ID, if Subset is


selected in the Benefits Deductions Taken field

General
Deductions
Taken

Indicates how general deduction processing should


be handled for the additional pay if additional checks
are to be processed.

General Ded
Subset ID

Indicates the deduction subset ID, if Subset is


selected in the General Deductions Taken field.

PeopleSoft 9.0 HCM Introduction

New data created in PeopleSoft 9.0 will usually have only one
Addl Seq number for each Earnings Code and Effective Date on
the Additional Pay page. This occurs because the custom
process that populates Additional Pay combines all amounts
from the funding sources for an earnings code and effective
date from the Department Budget Table.
For example, assume you submitted a PA Funding form for
AUG (augmentation) containing the following information:
AUG, Account code A, $100 per pay period
AUG , Account code B, $200 per pay period
AUG, Account code C, $500 per pay period
The SDR team inputs this detail into the Department Budget
Table; the overnight batch job combines this information and
automatically populates the Additional Pay page as follows:
AUG, Addl Seq#1, Earnings $800 per pay period.

Practice Viewing Additional Pay


Practice viewing the Additional Pay data for Elaine Benes
(EmplID 555169).

To view additional pay:


1. From Home, select Payroll North America.
1. Select Employee Pay Data USA.
2. Select Create Additional Pay.
The Additional Pay-Find an Existing Value search page appears.
3. Enter 555169 in the EmplID field.
4. Click Search.
The Additional Pay page appears.
5. Review the displayed information.
6. Click the Home link.

Lesson 2: Earnings Distribution


The Earnings Distribution page displays the employees funding
information for a particular pay period. This is the data
PeopleSoft Payroll sends in the interface to PeopleSoft FMS for
posting to the GL Actuals ledger.
