Admissions Procedure

We are currently accepting applications for the 2017/18 academic year for
children between the ages of 3 and 10 (Nursery to Year 6).
Places for the current academic year 2016/17 for Nursery to Year 2 may still
be available, please contact our Admissions Office for details.
Our admissions team are here to guide you through the application
procedure and to make the admissions process as smooth as possible. For all
admissions enquires please contact our Admissions Secretary on

Please refer to our Admissions Policy document before submitting your
Registration Form. We are an inclusive school, but operate a selective
admissions policy, based upon the identification of pupils whose academic
and other abilities appear to match the ethos and standards of the School.
Our language of learning is English and all applicants will be expected to
have the required English language skills to access the curriculum at their
age appropriate level.
Whilst the RGS Guildford in Qatar is considered an academic school, we also
look for personal qualities which suggest a child has the potential to
contribute sufficiently to the school community and benefit from the many
opportunities that are offered at the Royal Grammar School, Guildford in
Qatar.

The Admissions procedure is made up of the following stages:

application
assessment

acceptance and registration

Application
Once you have decided that The Royal Grammar School, Guildford in Qatar is
the best choice for your child, the next step is to submit an application form
to us.
Application forms can be collected from the Schools admissions office or can
be downloaded from our website. Please submit your completed application
form with the following documents:

a copy of your Qatari ID (for Qatari children and parents). We will


require sight of the original, plus one copy;
a copy of your passport (child and parents) showing the page with the
photograph. We will require sight of the original, plus one copy;
a copy of a valid residency permit (for all non-Qatari children and
parents). We are happy to start the application process whilst the RPs
are in process, but your child will not be able to start school at the RGS
Guildford in Qatar without a valid RP number. This is the law in Qatar;
a copy of your childs birth certificate. We will require sight of the
original, plus one copy;
two recent passport sized photographs of your child;
a health record document for children between the ages of three and
six. We will require sight of the original, plus one copy;
the latest school or Nursery report or Early Years Foundation certificate.
All school reports must be translated into English;
a non-refundable assessment fee of QAR500.

By submitting the Application form and Assessment fee, you are not
automatically guaranteed a place at the Royal Grammar School, Guildford in
Qatar.

Assessments
It is the RGS group policy that all applicants are assessed and that all
candidates have at least a basic working knowledge of the English language.
A detailed Assessment Guide outlining the purpose and format of the
assessments, as well as useful tips on how to prepare your child is available
to download on our website at www.rgsgq.com

The school aims to provide a happy, purposeful environment for our pupils
and we try to demonstrate this on assessment days by putting candidates at
ease and making it a pleasant and enjoyable time.
Once you have submitted your Application Form, our Admissions Secretary
will contact you with available group assessment dates and timings.
The Head of Prep School may request to meet parents following the
assessment stage to discuss the role they will be expected to take in
supporting their childs education. This is also an opportunity for parents to
ask any questions about the school.

Coming from Overseas


We appreciate that some applicants will be coming from overseas and it is
not always possible or convenient to attend an assessment in Qatar. In this
instance we can arrange for Key Stage 2 pupils (Year 3 to Year 6) to sit our
Reading, Writing and Maths assessments at their current school. You will be
required to obtain written agreement from your current Principal that the
school agrees to invigilate the RGS Guildford tests under examination
conditions. If an offer of a place is subsequently made based upon these
result, then we then reserve the right to reconsider this offer if we feel that
our learning environment and curriculum is not well-suited to your son or
daughter or that the tests results submitted is not in-line with your childs
actual abilities. We will discuss this with you in full once we have had the
chance to meet your child in our classroom setting.
Please note that while you are welcome to begin the application process for
your childs admission prior to obtaining a valid residency permit (Qatari ID),
due to Ministry of Education regulations, your child will be unable to
commence school until you are in receipt of the QID.
Due to the nature of our Key Stage 1 assessments, we are required to assess
all Pre-Prep children (Nursery to Year 2) at the Royal Grammar School in
Qatar. These tests are based largely upon observation and one-to-one play
activities and it is important that we observe at first hand your childs
readiness and ability to access our curriculum. In this instance, we are happy
to provide a provisional offer of a place based upon your childs current
nursery or school report, in advance of our actual assessment. If your child
has not attended a nursery or if you have no official report, then
unfortunately we are unable to provide a provisional offer in advance and
would recommend that you make arrangements to visit Qatar in advance of
your relocation, to enable your child to be assessed. If spaces are still likely

to be available at the start of the term, then we will of course advise you of
this to prevent an unnecessary journey.
Acceptance and Registration
Following a formal offer, parents have seven days in which to confirm their
acceptance of the place by returning a signed Admission Agreement, along
with a non-refundable registration fee of QAR2500 and a refundable
acceptance deposit of QAR 5000, which will be held in lieu of notice against
the final terms fees.
Once the admissions process is complete, the Admissions Secretary will
contact you to agree a start date and will send you a copy of our Parent
Handbook. The Handbook should answer all of the questions that you may
have regarding joining our school, including uniform, drop-off and pick-up
times, lunch and snacks, our school day and school policies and rules.
