Team Description
WaterAid is an international non-governmental organization. Our mission is to
transform lives by improving access to safe water; sanitation and hygiene (WASH) in
the worlds poorest communities. WaterAid works by helping local organizations and
governments to set up low cost and sustainable WASH solutions that can be
managed by the community itself. WaterAid also seeks to influence the policies of
other key organizations, such as governments, to secure and protect the right of
poor people to safe, affordable water and sanitation services.
Role of position in the organization:

This position is supposed to play a key role to support administration processes and
to handle Information Technology matters in WaterAid Pakistan, ensuring all the
relevant documentations are being done in compliance and all Information
Technology systems are in place efficiently.
Reporting line:
The position lies in the category of Pakistan Country Program in Administration
department. The Admin and IT Officer will report directly to the Manager ASI and
supervise administration team..
Key working relationships:
Internal: Office Assistant, Support Staff, Drivers, Country Director and other staff of
WaterAid.
External: Vendors, Partners, consultants and other NGOs.

Job description

Job Purpose
The position has to provide required administrative and IT support to WaterAid
Pakistan staff, programme departments and partners to contribute in achieving
overall organizational objectives and achievements.
Key Responsibilities
Admin & Logistics:

Coordinate in developing and appropriate dispatching of Partner contracts,


follow up on extension letters and other official letters.

Manage travel and accommodation arrangements for staff


requirements and admin procedures to ensure value for money.

Support in Interpretation and implementation of administration policies and


practices in organization.

Carry out procurement processes as per policy and coordinate with WAP staff
and vendors for procurement processes and act as focal person for external
correspondence in this regard.

Make sure that documentation and other legalities related to the rented
premises are completed and their renewals/notices are processed timely.

Supervise office fixed assets repair and maintenance, also keeping close eye
on office premises for any repair/development required.

Determine office spaces and inventory required for staff needs as and when
required.

Coordinate with suppliers/service providers and partners for their invoices and
maintenance of complete record of all evidences.

Process payments and follow up with finance for settlement of invoices. Also
check compliance and supporting documents of request for payments.

Generate admin monthly report of operational activities conducted throughout


the month.

Job description

Actively involve and assist in Budget preparations and provide relevant


information efficiently.

Information Technology:

Ensure that WAP stays at the top of IT in order to have smooth and
efficient operations
Ensure that computer networks including hardware/software support,
plans, designs and implements data connectivity for local area network
(LAN) are in place
Ensure data backup, safety and security of hardware.
Ensure that all the IT equipment, software and databases are safe and
secure.
Manage hardware and software licensing agreements.
Administer WAPs web servers and web environment and provide
maximum connectivity, including daily backup support
Assess and plan for availability of IT requirements with respect to staff
and organisation.
Ensure presence in IT Webinars conducted by headquarters and keep
effective coordination with headquarters for regular updates on
Information Technology.
Any other task assigned by Manager ASI

University degree in Management


Sciences / Information Technology
from a reputable University
Possession of a Network
Administration Certificate

Experience

Courses in Computer Sciences

Expert knowledge of local and wide


area networks (LAN/WAN),
Internet, e-mail systems

Minimum 3-4 years of experience


with INGOs/ development sector in
similar role.
Experience of admin and
procurement processes including
RFQs,RFPs,Tendering,Stock/Assets
management, Fleet management
