CONCERT PLAN
Swing n Sweets
o Who:Whoisinvolved?Whodoeswhat?Withwhomdoyouneedtocommunicate?
(e.g.colleagues,students,parents,administrators,schooljanitor,secretary,concert
MC,festivalofficials,etc.,etc.,etc.,etc.,etc.,etc.)
Students:Studentswillplaytheroleoftheperformersforthisconcert.Theywillalsouse
classtimeduringthedaytosetupthegyminadvanceduringtheday.
ParentMusicCouncil:Theparentmusiccouncilwillhelporganizetheconcertaswellas
volunteeratthefrontofhouseandbakesaleduringtheconcert.Organizesthebakesale
andgatheringofbaking.Communicationiskeywiththisgroupandmeetingswillbe
necessary.
MusicTeacher:Inchargeofconcertorganization,themechoice,repertoirechoice,booking
gym/stage,planningparentcouncilmeetings,writinginvitation,keepingprincipalinthe
loop,ensuringgroupsareprepared,MCingconcert,organizingsetup/teardownof
equipmentandchairs,creationofpostersforevent.TheteacherwillalsoarrangeforJoe
Smithtocomeasaguestperformerandhaveflowersreadyforhimforaftertheshow.
Joeisanalumnistudentwhoaskedforthechancetocomeandplayafeaturepiecewith
theensemble.
Principal:Makeanappearancetoshowsupportofprogram,marktheteachersbookingfor
theconcert,makeannouncementinthemorningoftheconcertasareminder.
SchoolJanitor:TheteachermustensurethattheJanitorisawareoftheconcertandthe
implicationsofit.Makesuretohaveapositiverelationshipwiththis/theseindividuals.
o What:Whatistheactivity?Thenatureoftheconcert(e.g.formalyearendconcert
involvingallschoolgroups,coffeeandcheesecakefundraisingconcertinvolving
onlythejazzgroups,etc.)isdescribedgivingbasicdetails.
ThisisafundraiserconcertfortheJazzBandandJazzChoirtogetnewshirtstoperformin.
Itwillbeadmissionbydonationaswellasabakesaleattheintermissionoftheconcert.
Bakingwillbeprovidedbytheparentcouncil/parentsofstudentsingeneral.Therewill
benoformalthemetothisconcertbesidesitallbeingJazzmusicbutSwingn
Sweetswillbethename.

o Why?Whyareyoudoingthis?Provideabriefrationalewhyyouareundertaking
thisevent.i.e.Whatarethelearningoutcomesmusicalandotherwise?
ThisconcertisthefirstonefortheJazzgroupsthisyearandisbeingusedasafundraiserfor
newshirtstoperformin.Haveaconcertthisearlyintheyearwillchallengeandpushmy
studentsinthewaysthatwillmakethemmuchbetterperformers.Itisimportanttolook
professionalasanensembleandalllooksimilarsobecauseofthisthegrouphasdecided
togetdressshirtsforthemenanddressesfortheladies.Thisconcertisadmissionby
donationandtherewillbeabakesaleaswellwhichwilloffsetthecostofthenewattire
orpotentiallyevencoverallofit.Thisisagoodchanceforstudentstopracticewhatitis
toperforminfrontofliveaudienceandwhatitmeanstobeaperformeraswellaslearn
newrepertoireatafasterpacethatwhattheywouldnormallydo.Studentswillalsoget
thechancetoworkwithJoeSmithwhoisanalumnitromboneplayerwhohasagreedto
comebackforafeaturepiece.Havinganexperiencedmusiciancomebackandperform
withthestudentswillhelpthemgainvaluablemusicianshipexperienceaswellassee
whattheycandowithmusiciftheycontinueworkingatit.
o Where?Whereistheactivitytotakeplace?Whereistheconcert?Whydidyou
choosethislocation?
Thisconcertwilltakeplaceinthelargegymatourschool.Thechoirwillbeonmetalrisers
andthetrumpetsofthejazzbandwillbeonariser.Chairswillbesetfortheaudience
andthebleacherswillbeextendedforadditionalseating.Thislocationwaschosen
becauseitisfreetouseandaconvenientforstudents/parentstogetto.
o When?Planningtimeline.Bywhendoyouneedtodowhat??(e.g.booktheconcert
venue,etc.,etc.,etc.,etc.)

ChooseRep:Beforethefirstrehearsaloftheensemble.Preferablebythebeginningof
Augusttohavetimetoprepscores.Donebyteacher.
HaveMusicCouncilMeetings:Ongoingthroughoutthesemester.23meetingsshouldbe
plannedbeforethisconcerttakesplace.Firstoneshouldbeinthesecondweekofclasses.
Plannedandranbyteacherbutwithparentcouncil.
Ensurerepisreadytoplay:Ongoingfromday1.EveryrehearsalcountsandOctober20th
willcomequickerthanexpected.Donebyteacher.
Makeinvitations:InvitationsshouldbesentoutbyOctober.6th(twoweeksbeforethe

October.19)duringthetimethatJazzChoirusuallywouldhaverehearsed.Thiswillbe

Swing n Sweets
Attention One and All!
On October 20th at 7:30 PM the Jazz Band and Jazz Choir will be creating a night full of
sultry swing for your enjoyment. We would like to invite you to join us for this evening
where we will be fundraising for new band outfits and showing off our hard work from
the first two months of class.
At this event you will hear music ranging from Frank Sinatra to Disneys the Lion King
and these students have worked hard to make it the highest quality that they can. We
urge you to come and be amazed at what these students have accomplished in such a
short period of time.
If the music alone doesnt wet your appetite the bake sale at intermission most certainly
will. The music parent council has worked hard to bring the most delicious array of

baked items which will be for sale at the intermission of this event. All funds earned from
this bake sale will go towards the ensembles and their new formal wear.
Admission will be by donation at the front of house and there is a recommended
donation of $5.00.
Joining us for this concert is our 2012 alumni Joe Smith. Joe smith has attended the
Manhattan School of Music Jazz studies program and has agreed to come back as a
guest artist.
