Accessing SAP Knowledge Capital Through the Knowledge Xchange

It is suggested that all users set up an SAP (product) selective replica of Ventana through Lotus Notes in order to access all
of our company-wide SAP knowledge capital.
Ventana
Ventana is a suite of Lotus Notes databases that supports the Global Business Solutions and SAP practice. It provides a
single entry-point to knowledge capital contained in the Ventana Gateway, Library, and Accenture Client Experience (ACE)
databases. Ventana also provides you with access to our GBS specific SAP knowledge capital, the SAP Interest Group
feature and discussion capability.

SAP Selective Replica

Selective Replica available via Lotus Notes only
Ventana was designed to be used most effectively with local copies. The Replication Wizard (located on the front page
navigator of Ventana - right bottom corner) is a feature in Ventana that assists you in creating local replicas and choosing the
type of information you want to receive. This means you can create an SAP selective replica to access SAP specific
knowledge capital as well as interest group membership and discussion information.
It is recommended that you be in the office or have a high speed connection to the LAN to create the initial replica. Periodic
replication updates may be performed via modem with no problem.

Searching Capabilities for SAP Knowledge Capital
There are several options for searching for SAP items:
Directly within a particular Ventana database view (Lotus Notes only)
Enter criteria in the search bar (if one is not present, go to View>Search Bar) based on Boolean logic (AND, OR, etc.)
Via the internet through find.accenture.com
This is an enterprise search that will search multiple repositories. Walk through a sample search entry

Using the Accenture Collaboration Tool for SAP Q&As

The Accenture Collaboration Tool, available through experts.accenture.com allows users to post questions and receive answers
from experts as well as view past discussion strings containing product specific information. The SAP discussion topics are
structured around SAP application areas as well as the Knowledge Network areas. It succeeds in capturing valuable tacit
knowledge from our SAP experts around the globe that is often hard to obtain.
The discussion function can be accessed from either the SAP product home pages or directly from Ventana. To post a
discussion, you will need to select the relevant SAP vendor topic. Your question will then be sent to experts and interest group
members for that topic area. You will receive all responses directly in your mailbox, and copies of the discussion thread will be
saved in the collaboration tool.
You may also subscribe to topics of interest. By subscribing, you will receive copies of the latest discussion items posted for
your areas in you mail file. You can select whether to receive them individually or as a summary of the days postings.

Contributing Knowledge Capital to Ventana

Contributing knowledge capital to Ventana is straightforward and uncomplicated. Please consult the GBS KX Contribution
Toolkit section in Ventana help for additional information (shut down previous SE Portal windows if you experience issues accessing).
1.

Click on Contribute in the navigator line from the Ventana Navigator, SAP Home Page, or article page.

2.

Provide subject information and a detailed abstract (this is important for users to determine contribution content
without having to access or order the attachment).

3.

Fill out the form as completely as possible and categorize the item.

4.

Attach the item(s) by clicking on the Add Attachments to Library Item button. Please zip and make sure each
attachment is no more than 2MB. You may add additional items as necessary and have them orderable separately.

5.

Once you have completed the form and attached all items, click on the Save and Exit action button.

6.

To contribute additional items as separate attachments (this will enable the user to select one or more as desired):
1.

Contribute first item by 5. above (Save and Exit). You will need to refresh (F9) the item to see the attachment
listed in the Groups of Attachments in this Library Item section.

2.

Within the contribute item form, click on the Add More Groups of Attachments to this Library Item action
button from the (Optional): Ongoing Maintenance of Attachments section.

3.

Enter name of attachment and attach the item. Repeat process as necessary.

Updating Your Accenture Client Experience Record

If you are working on an SAP project, please update your project record located in the Accenture Client Experience database.
Many people across the Company rely on this database as a central resource for all project and client experience details. To
do this, follow the instructions provided below:
1.

Locate your project record in the Accenture Client Experience database.

2.

Click the Update Document button on the action bar to edit your record.

3.

Update your engagement record by providing the latest information about the work you are doing and ensure you have
selected the correct product module(s) and version(s) being implemented.

4.

Save the update prior to exiting.

If you need additional help when updating the item, a help button is located in the action bar.

3.

4.

As a Subject Matter Expert, review new knowledge capital and give opinion as to "best of breed"
