Rules of Procedure of the Competition

Article 1: Organization of the COY12


The COY (Conference of Youth) is an international conference
managed by non-governmental organizations. It aims at implicating youth
in the fight against climate change through their mobilization,
sensibilization and the elaboration of a common call that will be
presented through YOUNGO during the UN negotiations.
The COY12 is planned by eight organizations: IFMSA-Morocco (The
International Federation of Medical Students Associations), Les Petits
Dbrouillards, the JCI Maroc (Jeune Chambre Internationale Maroc), the
FMAS ( Forum des Alternatives Maroc , the CAV (Collectif Action Verte),
MYCM ( Moroccan Youth Climate Movement) , ASSID for sustainable
development and the ICBCC.
Article 2: Purpose of the competition
The main goal of the contest is to promote environment care through
culture, as the two are intertwined and complementary for sustainable
development.
Article 3: Participation terms
The competition of music and poetry is open to all individuals aged from
16 to 25 years cited as participants .
The first step to partaking in the contest is to register online.
Participating in such a contest depends solely on the artists quality as
both writer and/or musician.
The Organizing Committee reserves has the right to ask the participants
for any necessary supporting information or documents in order to
further justify and validate his/her candidacy (name, last name, CIN,
mailing address, phone number), notably at the time of the winners
ceremony. Any participant(s) refusing to offer the information after a oneweek will be excluded from the contest and will hence not be allowed to
receive the prize.
Each participant or group of participants can only sign up for one
category and can only send one document in the chosen category.
Members of the organizing committee, production, promotion or hosting
cannot participate in the contest.

Prospective candidates shall send their sign up form and audio/video


document via email to either coy12.musiccompetition@gmail.com(for the
music competition) or coy12.poetrycompetition@gmail.com (for the
poetry competition) from the 13th to the 30th of October 2016 with the
receipt acknowledging their candidacy.
The prospective candidates are expected to present an original musical or
poetic composition in a mp3, mp4, avi or mkv format regarding the music
competition; and pdf or word format for the poetry competition, while
respecting the competitions theme. It should then be sent to the
following email address : (EMAIL) before the deadline of the contest.
The application is downloadable on the COY12 website and will also be
available on the COY 12 Facebook page.
The contestants will be recorded at the contest after the reception of
their application was correctly filled out and accepted: Any incomplete,
incorrectly filled out, falsified or incomprehensible application will not be
taken into consideration.
The candidates will have to specify:
- As the subject of their email: Music competition or Poetry
competition
- In the emails body, they should include their name, last name,
postal code and phone number as well as a brief description of the
pice of art sent in approximately 50 words. The participant is
accountable for the veracity of the information provided.
Article 4: Specificity of the competition
The participants will have to make sure before sending their applications
that the following conditions are met :
- Respect of the competitions theme;
- Originality of their composition;
- The quality of the sound in case of submission of an audio or video
recording;
- The documents must be sent free of any copyright
The applications will be subject to a moderation and selection process left
to the discretion of the organizer
Article 5: Responsibility
The Organizing Committee will not be held accountable for technical
difficulties encountered on the website or any incompatibilities on the
participants behalf whether it be in regards to his/her software or
hardware while accessing the website.

The Organizing Committee will not be held responsible for any damage or
harm (physical or material) that participants, their software or their
hardware encounter. Any direct or indirect consequence that may ensue
from their participation in the contest (whether it be Professional,
commercial, or pertaining to any personal activities) will not be under the
responsibility of the Organizing Commitee.
The organizers are not to be held accountable should they find
themselves in the obligation of canceling, shortening, lengthening,
delaying or modifying the conditions of the contest due to special
circumstances that are independent from their will.
The Organizing Committee will not be held responsible for any fraud
committed by the participant(s) in regards to any other participant(s).
The Organizing Committee has no obligation in checking the identity of
the participant(s) and does not have the means to check thier identities
either. Thus, it is not accountable for any identity fraud of participants
who plagiarize the work presented.
Article 6: IT and liberties.
In accordance with the dispositions of the law of IT and liberties, n 0908 issued by the decree n 2-09-165 on the 21st of may, 2009, the
collected information related to applications are exclusively destined to
organizers. These information are mandatory for participation. To that
extent, candidates wishing to delete them will not be able to participate
in the contest.
The winners explicitly authorize the ethical reproduction and the
publishing of the documents related to their identity and to the
competition by the organizers. Such information includes their initials,
names, as well as their postal codes.
This authorization is valid six months after the announcement of the
winners.
Article 7: Intellectual property
Participation to the contest confers to the participants no right on the
elements of intellectual property of the contest, its communication and its
support.
All the data contained in the contests channel of communications,
whether text, graphics, logos, icons, images, audio clips, videos, brands,
softwares are necessarly protected by copyright, trademark law and any
legislation regarding intellectual property.
The participants must make sure to be in possession of all the
authorizations necessary to their application files, especially regarding

the image rights of the people listed on the participation documents of


which theyre the author
The participants allow the organizer to
Reproduce or make reproductions, in limited number, of parts or
the entirety of the work submitted by means known and unknown to this
day, especially though printing, digitalization, or analogous procedures on
any medium known and unknown to this day and especially on paper,
magnetic format, numerical, sonorous, audiovisual, multimedia or any
other format.
Represent the entirety or parts of the work submitted, anywhere, by
any process known or unknown to this day in the context of
transmissions, TV diffusion, presentations or public projections, through
display, expositions, movie, magnetic, numerical, multimedia, web
recording.
The organizer will also use those rights exclusively through the
framework of non-profit operations such as expositions, conferences,
events, publications or any other event related to the contest for a
duration of 6 months starting from the date of the award ceremony

Article 8: Selection mode and committee


The pre-selection will be divided into two phases:
1.
A pre-selection with the aim of determining the number of
participants.
2.
A final selection with the aim of specifying the number of
participants.
The first step, being the selection process on the entire set of received
electronic applications that fit within the conditions of eligibility
described in article 3 and article 4 will take place from the 13th of October
to the 31st of October 2016 by a selection committee composed of four
members comprising renowned musicians and poets.
Selected candidates during the final selection will attend the COP22
conference, during which the final phases will be held. They will be
selected upon their emotional involvement, their creativity, their
performance, their originality, their interpretation and their respect to the
required format of the competition. Those same criteria will be used to
select the winners.
Article 9: Awards
Every participant in the competitions will receive a certificate of
participation and the finalists will receive a trophy during the COP22.
The winners will be informed individually by any means at the disposition
of the organizer. The results will be posted online, on the portal and on
the Facebook page of the COY 12.

In case of no show of the laureate during the award ceremony, he/she


cannot be represented by a third party, and cannot claim his/her prize.
Article 10: Convention of good conduct
The participants commit to respect the laws and the regulations in place.
They commit to behave faithfully and especially to:
- not use different e-mail address for one physical person;
- not participate via the electronic account of an other participant;
- be the one and only author of the presented artwork during the
competition, or its representative
Any person infringing one or more articles of this regulation shall be
deprived of the opportunity to participate in the contest.
Article 11: Frauds
Participation to the competition implies the total acceptance of these
rules. Any fraud or fraud attempt, in addition to failure to respect the
competitions rules will result in the immediate and automatic
disqualification from the competition. In such situation, organizers have
the right to dismiss the participant with no prejudice to the rights and
measures of the organizer.

Article 12: Complaints


Any objection or complaint relative to the competition should be
submitted in a written form at the following email address:

Article 13: Acceptation of regulations
Participation in the competition implies full acceptance of the above
rules.
