Jones has arranged an introductory meeting between the associates of
New Century Health Clinic and you to determine if mutual interests exists in pursuing the project. What should the associates try to learn about you? What should you try to learn about in this meeting? The associates should try to learn about my responsibilities as a consultant and how these relate to their own responsibilities. Since the associates are the one who will going to use the system that I am going to develop, they should look and check the system that I propose if it really fit what they need. They should try to know my background and experience in analyzing and designing computerized office systems similar to what they wish to have in their office. They should also look after my attitude and how I communicate with them because as what Ive learned, attitude is one of the basis in work. As a consultant, I need every single details of the company, so they should be able to provide every single details of the process in the business so I could make an efficient system that can really make their work easier. I, on the other hand, should know the Mission, Vision and specially the objective of the business so that the system that I will develop will fit on their needs. I should try to learn how I could establish a working relationship with the staff by asking who is responsible for certain office functions, how the office staff work together, how the current system is being handled, why would they want a new system, and what the staff hopes to gain in developing a new office system. 2. Does the propose system present a strong business case? Why or why not? 3. I would ask questions that revolve around the operational, technical, and economic feasibility of the new system. Is the proposed system a way to solve the clinic's future operations? Does the clinic have the technical and human resources for the new system? Does the company will provide the budget in making the new system? Is the new system can really help in increasing the profit of the business? 4.
You begin the preliminary investigation. What information is needed? From
whom will you obtain it? What techniques will you use in your fact-finding? First of all I need to understand the organizational structure of the clinic, I can obtain this information by asking the human resources to give me a copy of their organizational chart. Then I will analyze the organizational chart and conduct a survey to perform fact-finding for the clinic I would like to know about the current system by obtaining the documentation of the current system. I will need a large information from the office manager and the
doctors who are involved and I can obtain information by doing interview with them.
