The Carl von Ossietzky University of Oldenburg is the Coordinating Institution of the Erasmus Mundus Action 2 Strand 1 project entitled “eureka SD”, Within the framiework ofthis program, a mobilty scholarship was awarded to the Scholarship Holder identified in section A. The Scholarship Holder declares that within the framework of the eureka SD project, he/she will spend the period of time indicated in section D at the Host Institution (section ),and that he/she agrees to the conditions laid down in this contract and for which he/she will receive a mobility grant provided by the European Union. The award of this scholarship implies the respect for the clauses men- tioned in the current contract, which is only valid when signed by the Coordinating Institution, the Scholarship Holder, the eureka SD contact person of the Host Institution and the eureka SO contact person of the Home Institution (if applicable), Financial terms (1), The scholarship grant includes the subsistence allowance specified for each type of mobility: © Undergraduate EUR 1.000 per month © Master EUR 1.000 per month © Doctorate EUR 1500 per month = Past-Doctorate EUR 1 800 per month © Staff EUR 2500 per month (2) The monthly subsistence allowance will be paid for each full month of the mobilty. Ifa portion of a month Is more than 15 days a full month allowance isto be paid. Start date of the mobility is the date of arrival, end date of the mobility is the date of departure. (3) The subsistence allowance is paid on a monthly basis via bank transfer to the Scholarship Holder’s bank ‘account, On request (section E), a payment will be made upon arrival to caver installation costs. This pay- ment will amount to twice the monthly rate. The remaining part (excluding the last installment) will be paid ‘ofa monthly basis with the first regular payment starting in month 3 (three). The last monthly subsistence allowance will be paid in two parts: 75% will be paid the regular way, while the remaining 25% will be paid when the final report is submitted. General terms (28) The Project Coordinator provides the guidelines for grantees and further documents and forms via the pro- |ect website, that need to be used in order to manage the individual mobilities: (28.1) Scholarship Award Agreement: This document. The contract between the Scholarship Holder, her/his Home and Host Institution and the Project Coordinator. The agreement needs to be signed by the Scholarship Holder and the Home Institution before the start of the mobility. (28.2) Learning Agreement: This form contains the planned research and/or academic activities, the Scholarship Holder will participate in at the Host Institution. This form needs to be signed by all parties involved. (28.3) Transcript of Records: This form wil be completed after the mobility. It will contain the list of ‘academic achievernents. The original copy will stay with the Scholarship Holder. (28.4) Reimbursement Form for Travel and Visa Costs: This form needs to be submitted when travel related, visa and/or visa related costs should be reimbursed. All necessary supporting documents (like boarding pass, train tickets, etc.) must be attached and must be original travel documents. The form needs to be signed by the Scholarship Holder and the supporting Institution. Reimbursements, ‘must be requested by the scholarship holder on time. Attention needs to be paid to the definitions ‘and deadlines documented in the guidelines for grantees. ‘The supporting institution wil collect the reimbursement form as well as the attached documents. If the Project Coordinator accepts the requested reimbursement, the grantee will receive the ap- propriate amount together with the first subsistence allowance of the upcoming quarter. (28:5) Reports and Questionnaires: All scholarship holders need to answer the provided question- naires and submit 2 report regarding thelr mobility per academic year (periodic report) and at the tend of the mobility final report). Each report will over the progress and academic achievements of the Grantee as well as feedback of the Grantee (e.g. regarding organizational aspects). To avoid suspension of the monthly allowance, questionnaires must be answered with respect to the com: ‘municated deadline and reports must be submitted no later than 14 days after the end of the re- porting period. Questionnaires and reports need to be submitted to the Host Institution. (28.6) Bank Account Information Form: This form needs to be submitted to the Host Institution. (28.7) Medical Claim Form: This form needs to be submitted to the insurance company for any insur- ance claim, [Erasmus Baas eureka (29) Any authored production resulting from the mobility must acknowledge the Erasmus Mundus Action 2 Strand 1 eureka SD project. By stating “This work is funded by the eureka SD project (agreement number 2013-2591), thats supported by the Erasmus Mundus programm ofthe European Union” {30} The starting date of the mobility period is the day the Scholarship Holder departs from his/her home country heading to his/her Host Institution. (31) The minimum duration of a mobility for type Undergraduate, Master, Doctorate or Post-Doc is defined as {the granted length of the mobility — 1} consecutive months and 16 days starting from the departure date. if the granted length ofthe mobity is for example 6 month, the minimum duration of the moblity would be 5 consecutive months and 16 days. The minimum duration of staff mobility is 25 days starting from the departure date. Anyway, if the Scholarship Holder fails to fulfill the minimum duration required, except by force majeure, any cost induced and/or previous covered by the Host institution will be in the responsibility of the Scholarship Holder and it could lead to reimbursement of the scholarship awarded. The maximum duration ofa mobility for type Undergraduate, Master, Doctorate or Post-Doc is defined as (the granted Jength of the mobility} consecutive months and 14 days starting from the departure date. if the granted length of the mobility is for example 6 month, the maximum duration of the mobility would be 6 consecutive months and 14 dos. {32)For research and work mobilties, any extended absence, except by force majeure, should not exceed 14 consecutive days and the Scholarship Holder must inform the Local Coordinator at the Host Instution in advance and in writing (as already stated in paragraph (12)). The total days of absence should not exceed 2 days per fll month of mobility. The scholarship holder must request any extended absence exceeding 14 consecutive days, except by force majeure, n advance andin writing and tis subject tothe validation ofthe Host institution and the Coordinating Institution. When the extended absence exceedes 14 consecutive days, the monthly allowance willbe suspended for the period of absence. Costs for vacation and private travel are at the expense of the Scholarship Holder. (83) The Coordinating institution and the participating insttutions are exonerated from any responsibilty for accidents nesses, injures loses or damages to persons or goods resulting from or In any way related to the actives that are the abject ofthe present agreement. (34) Any alteration of the present contract must be communicated in writing. All alterations of the initial situation must be immediately communicated by the Scholarship Holder to al the institution involved in this con- tract. Upon mutual agreement of contractual modifications, the Coordinating Institution wil sue an adden dum tothe present contract. (35) All personal data may be transferred to the European Commission on request. Measures in case of interruption, failure and drop-out (86) Any conflict among the parties signing this agreement should be brought to the attention of the Coordinating Institution, who shall seek the best way to resolve tin collaboration with the eureka SD Steering Committee. (37) A scholarship can be put on hold ifthe student has to temporarily leave the host institutions following duly justified and well documented reasons (Le. illness, etc.) In that case, the scholarship payment must be in- terrupted until she/he has returned to the Host Institution and can actively participate in the activities. if despite the temporary absence the Scholarship Holder can catch up on the study/research activities without needing to extend the originally agreed scholarship duration, the monthly allowances corresponding to the petiod of interruption could be paid to the candidate if agreed among the Host Institution and the Coordi- nating Institution. (38) ifthe interruption is due to reasons of individual force majeure, the absence of the scholarship holder would lead to an extension of the originally agreed eligibility period in order to finalize the mobility concerned. Hence, the Scholarship Holder needs to enable the Coordinating Institution to send to the EACEA (Education, ‘Audiovisual and Culture Executive Agency) a duly substantiated request to extend the eligibility period of ‘the grant agreement in question. The decision is made by the Agency. (39) f the interruption is due to academic reasons, as students (only at Master, Doctorate and Post Doctorate level) have to study or carry out research or other activities for a short period at the home country or at other countries which are not the ones ofthe Institutions included in the partnership, the monthly allowance Is not paid for this period. The interruption can take place only after 6 consecutive months of study at host institutions. (41) In case of reimbursement of the scholarship awarded, the Coordinating Institution will determine the amount to be reimbursed and the scholarship holder has 30 days upon return to his/her home country to Feimburse the Coordinating Institution. Ifthe Scholarship Holder als to do so, addtional banking fees and interests wl be charged or usc steps wil be taken, (42) The coordinating institution reserves the right to suspend the payment of the scholarship if the Scholarship Holder decides to withdraw before or during the study period.
