Job Responsibilities (Reporting to Project Quality Manager)

Setup, Manage and ensure proper Site Projects documentation system by


establishing and maintaining standards and procedures compatible with the
existing corporate Documents and Standards section as described under SOP
and DMS

Develop and maintain a continuous improvement program to enhance the


document support.

Liaise between the Site Projects Document Centre & the Corporate Document
Centre, the Sub-contractors, and the vendors for effective communication

Actively participate in the development of Document Management strategies,


together with the Project Quality Manager/Project Manager.

Provide training and guidance to subordinates.

Maintain records of Engineering and Shop drawings in hard copies and


electronic files (pdf and cad formats), monitor the revisions and approval
status thereof.

Ensure timely transmission of all Quality related documents (Submission of


Engineering and Shop Drawings, Technical Documents, Prequalification
Documents, Specifications, Work Inspection Request (WIR/RFIA), Technical
Query/RFI, Material Submittal, Sample Submittal, Material Inspection
Request, Test Reports, NCNs, NCRs, ITPs, ITRs, Survey Data Sheets, Soil
Investigation Reports, Quotations, CVIs, Payment Certificates etc).

Confirm and maintain accuracy of Master Document Registers (MDRs), Subcontractors/vendor MDRs and Document Distribution Matrixes

Ensure proper receipt, registration, reports and distribution of project related


technical documents, drawings, procedures and method statements from
PMC/Contractors/Sub-contractors and Vendors.

Plan & organize the retention, archiving & disposal of technical documents as
per the Company guidelines.
Monitoring and early identification of problems and facilitation of resolution
where necessary.
Liaise with Project Quality Manager, Project Manager, Construction Manager,
Quality Inspectors/Engineers, Commercial Manager, Stores Manager, HSE
Manager in completing/handing over the Project Dossier to the PMC (Project
Management Consultant & Client/Project Owner).
Ensure the Information Management policies and procedures like
classification, standard specifications, inventory, document reviews and quality
audits (Internal and External) are implemented.

Create/Manage a centralized technical e-library including document retention


storage.
Manage scanning, indexing process, data capture, conversions, validation and
uploading via EDMS to convert paper documents to electronic data.
Review project completion document received from contractors for QA/QC and
report/document discrepancies.
Proficient with Desktop automation skills, database applications, handling of
large volumes of data and storage of electronic files.
