Project Coordinators Progress Report

Reporting Period: Month 1: March 15 – April 15, 2010

Key Activities and Results by Functional Area:

The following summarizes the main activities and key results achieved this month for each of the
six agreed upon areas of focus.

I. Communications:

Key Activities:

• Creation of a R&R blog


• Introductory email sent to ICC team
• Workshops 1, 2, and 3
• Facilitated communication between the North and GCH staff as well as gathered
necessary information locally

Results:

• An online mechanism accessible to all concerned/interested parties where the progress,


results and updates on the R&R team and reconstruction and relief efforts of ICC in Haiti
can be tracked and followed
• R&R team and National staff have become better acquainted and the doors for
communication have been opened
o Creation of R&R international child care email address:

• A comprehensive summary report from workshops 1, 2, and 3 completed and distributed
to concerned parties allowing all to contribute to and be aware of the planning processes
that have taken place in Haiti
• Quick and efficient responses to inquiries from the North

o Welcome emails and invitations to R&R office to key individuals visiting Haiti

II. Coordination of Volunteer Effort

Key Activities:

• Preliminary discussions via email between R&R team and national directors of USA and
Canada on existing volunteer initiatives and demand
• Review of description/guidelines for Mission Education Encounter Teams (MEET)
Results:

• Skype conference meeting to discuss volunteer program between R&R team and national
directors scheduled for the week of April 19th
• USA and Canadian point of contact in regards to volunteer initiatives have been
established

• Preliminary ideas for revisions and suggestions to MEET guidelines/description to
accommodate current GCH context and volunteer need have been noted to be discussed
during Skype meeting

III. Visioning/Design of New GCH

Key Activities:

• Co hosted Workshop 1 and 2 as part of the planning process for GCH Reconstruction
• Hosted visit by Canadian engineering group HATCH on 3/18/10 (Hatch supplies
engineering, project and construction management services, process and business
consulting and operational services to the mining, metallurgical, energy and infrastructure
industries.)
• Hosted Builders Without Borders visit on 4/9-4/10 2010

Results:

• GCH staff representatives provided their vision of the new GCH in workshop 1 which
stood as a platform of discussion and an exchange of ideas in workshop 2 with key US
and Canada representatives
• Layout/List of services to be included in the new GCH was agreed upon during
workshops 1 & 2.
• HATCH assessment of ICC’s damaged site. International Director awaiting to receive a
final report
• Good exchange between the experts of BWB and local engineering firm TECINA
consulting on behalf of ICC Haiti. BWB assessed damaged GCH site. Final report to be
submitted the week of April 19th 2010
• TECINA agrees to consult on rebuilding project and devise cost projections
• Space allocation and a more detailed breakdown is in progress to be rendered from GCH
senior staff to R&R team April 15th

IV. Coordination of Relief Effort:

Key Activities:

• Co hosted Workshop 3 on the potential for ICC relief initiatives in Haiti


• Group session with community health agents

Results:
• Comprehensive emergency relief plans laid out and forwarded to the USA and Canada
National offices for approval in the form of the IHA grant application
• R&R gained a better perspective on our existing community health outreach projects,
how the GCH catchment area has been affected by the quake, what tools we already have
in the community and which are essential to addressing this crisis. Gaining a better
perspective for the community health outreach programs also facilitated a relief planning
process that would not disrupt the programs currently in place

V. Grant Writing and Reporting:

Key Activities

• Partial draft of IHA grant application

Results

• Information gathered at relief workshop (workshop 3) was used to complete application


for submission to the International Humanitarian Assistance branch of CIDA requesting
$257,000 in matching funds for our relief effort.
• IHA grant application submitted to CIDA

VI. Office Setup, Management and Administration

Key Activities

• Established electrical supply


• Repaired Air Conditioning unit
• Established Internet access
• Established International phone line
• Recruited and hired office staff
• Other initial set up tasks
• Coordinated with GCH accountant to facilitate initial setup costs

Results

• Fully functional office/workspace

Conclusion:

As is necessary in the context of post earthquake Haiti, the R&R team has had to balance
many tasks and facilitate some key planning activities. These first 30 days have been critical to
the R&R team as well as ICC’s work in Haiti. We devoted our time to establishing our new office
and presence as part of the ICC team while simultaneously facilitating key meetings and
functions to advance ICC’s reconstruction and relief planning.
Time has been, and still is, of the essence in regards to ICC’s relief and reconstruction
plans in Haiti. For this reason, we have focused our attention on moving these planning processes
along as quickly as possible. We have also devoted time towards creating a work environment
suited to our needs. Our efforts, in collaboration with the R&R Health Consultant Dr. Harry
Geffrard, ICC International Director Dr. John Yates and GCH National Staff have resulted in a
Comprehensive Relief Plan (to be presented for approval by the ICC Boards at the upcoming
Board Meetings), service lay out for the new GCH and an expected cost estimate (to be submitted
by April 30th). It is our hope that these results will facilitate the decision making process and
ICC’s commitment to it’s work in Haiti.
Now that our new office is fully functional, our relationship continues to grow strong
with the GCH staff and others of the ICC team, and the planning processes are advancing
steadily, we are confident that our work will continue in the same momentum. We look forward
to moving quickly to the next and essential phases of tangible relief and reconstruction activity in
Haiti.
