I.

General phases of Implementation

1. Preparation (AS-IS):

Define high lever business requirement document:


o Business drivers: are objectives of implementing SAP. Ex: to easier
access and analyze the data,
o High level business processes: are processes which functioning in the
company, ex: company is running PP and MM
o Supporting business organization: is existing business structure such
as org chart of the company
o The high level business requirements helps the project team to set
goals of implementation project and identify the processes and
organization structure that need to be configured in SAP
Define project charter: project goals, scope and plan
o Mission statement: brief of project purpose and goals. A mission
statement identify customer, state of expectation of customer and
outline the project plan to meet the customer expectation
o Project scope: define exactly what project will produce. It lists the SAP
functions and solutions. The scope of implementation (organizational
and geographical) and the extendable of project (development ex:
customize and integration ex: EDI with another system)
o Critical success factors: are project assumptions and expectation
which held by customers, end users and project team
o High level project plan: project deliverables, WBS, budget

Detail project plan: define the tasks, who is responsible for tasks, time
available for tasks. Define staffing requirements, management
responsibilities, resources allocation plan for project
o The information in the project charter is critical for managing and
completing the project, therefor the creation the project charter
requires a joint the efforts from all the majors stakeholders in the
projects
Organize: project team according to on the roles and responsibility. Roles
depends on scope, complexity and budget. Some roles of this kind of project:
o Project sponsor: decision making from customer. Who approve the
scope and budget
o Project manager: day to day management of project. Ownership of
deliverables and coordinate with entire project team
o Technical lead: responsible for technical deliverables and manager the
overall technical architecture of the SAP system
o ABAP/4 developer: task includes involved in design, development,
testing, script form, custom report, data mapping
o Basis consultant: operating system administration, client server
architecture, relational database management, back up and disaster
recovery
o Functional consultant: assist the team throughout the project, is the
key member to define the blueprint, analyze the business process (as
SAP standard)
Define: Implementation standards and procedures
o Organize the training about SAP basis navigation and major SAP
integration points for project members
o Work plan for developing the required end user training and
documentation need to be defined.
All must be documented:
o Standard and procedures for SAP implementation can be classified into
two types: project management standards and procedure &
implementation standard and procedures
o It provide clear guidelines for consistently and efficiently managing the
implementation project
o Project management standards and procedure documents
should have:
Scope management plan: define the process for managing the
project scope. Ex: define approval process and document process for
making a change in the project scope
Communication plan: define the guideline and strategy for project
communication. Ex: list all stakeholder and list the channel they should
use for communication
Quality standards: define the standards and processes for ensuring
the quality of project at various phases of implementation

Implementation standard and procedures documents should


have:
System configuration standards: provide guideline to update and
change to configuration
System authorization standards: define the policies for creating
user accounts
Testing strategy: define the strategies for testing the SAP at all
stages. Ex baseline testing, integration testing, ..

2. Blueprint (TO-BE):

Conduct: interviews and workshops to understand the enterprises business


process.

Business blue print document provides the details of the business requirements and
defines how the processes, procedures and organizational structure of business
need to be represented in SAP. See the pictures as below:

3. Realization:

The standard SAP documents from Blueprint are configured in SAP


Integration and configuration testing between modules in UAT
Initial creating the End-user documents
UAT

4. Final Preparation

Check the readiness of system to Go live (stress test, infra test, device test,
connection test, ..)
Testing what have configured in UAT server
End-user training
System management activity
Resolution of open issues

5. Go live and Support

Configure in Production from UAT


Resolve any issues which report from users and log as lesion learned
Monitor SAP for possible optimization

Example: Define project plan -> Define the business process by making blueprint
document-> Configure SAP in UAT and doing UAT-> Test all system and EUT->
Configure in Production

1. IMG: Implementation Guide contains documents that provide you the
implementation procedures (system configuration) and to define and manager SAP
implementation project
