EXHIBITOR MANUAL

Dear Exhibitors,
Thank you for your participation at Destination Europe 2016, the European Travel and Culture Fair in
Indonesia, held on 9 10 April 2016 at the Balai Kartini Exhibition & Convention Center in Jakarta.
The aim of this fair is to reach out to Indonesias growing consumer market and showcase Europe as
a travel destination - as well as bringing some of the best of Europes culture directly to Jakarta.
The fair will include booths, presentations and performances from most of the EUs Member States, a
European Food festival, and a wide range of commercial partners.
We would like to invite all exhibitors to carefully read this manual and to return all relevant forms
by fax or email to the Destination Europe Secretariat. To ensure a smooth organisation of the event,
please respect the deadlines for submission.

Europe 2014. The official exhibition Organiser/Contractor shall be responsible for setting up and
dismantling the Standard Shell Scheme complete with the basic facilities.

The Kartika Expo Center is a premier purpose-built exhibition venue strategically located in the
heart of Jakarta, featuring a modern design with international standards and the latest technologies
in exhibition infrastructure on 3,000 square meters. It can be easily accessed by car and by bus.
2. Opening Hours
Destination Europe will be open for the public from Saturday, 9 April to Sunday, 10 April 2016
from 10.00 to 20.00 WIB.
3. Parking
All exhibitors can park their vehicles in Balai
Kartinis exhibitor parking area, which is
regulated as follows:
Car :: Tariff Rp. 15.000,-/12 hours
Motorcycle :: Tariff Rp. 10.000,-/12 hours

5. Arrangement and Allocation of Booths


The arrangement of booths as displayed under B.3. Floor Plan is subject to change depending
on the demand of booths and booth sizes.
The organiser will allocate booths in accordance with the nature of exhibits and on a firstcome-first-served basis.

B. General Rules and Regulations


For specific rules and regulations concerning set-up and dismantling, food-festival booths or custom
designed booths please consult section F. Technical Information
Exhibitors shall be bound by the conditions, rules and regulations set forth by the organiser of
Destination Europe.
The organiser assumes that all exhibitors accept all information regarding services provided
by the organiser and comply with the instructions given in the Exhibition Contract and this
Exhibitor Manual.
Exhibitors shall not be permitted to exhibit unless the full payment of all fees agreed has been
completed prior to the exhibition.
All printed material or advertisement of any kind intended for distribution in the exhibition may
only be distributed from the exhibitor booth and shall not be distributed in any other location,
including within the building or in the neighbouring areas of the entrance or exits.
The booth must be fully staffed and stocked at all times. Exhibits are not to be removed until
the exhibition has closed. Exhibitors shall not leave or close the stand before the closing time.
Overflow into neighbouring booths is prohibited.

Traffic flow and aisles should not be obstructed at any time. It is not allowed to place materials
(exhibits, advertisements etc.) in the aisles.
Excessive noise from exhibitors promotional videos and displays is not permitted. Be advised
that the organiser reserves the right to ask exhibitors to reduce the volume or shut down the
source.
1. Cleanliness and Garbage Disposal
Exhibitors shall at all times keep their booth and the space in front of their booth clean, tidy
and un-obstructed.
Cleanliness of Kartika Expo Centers common area during the event is the responsibility of
Balai Kartinis building management.
Booth cleanliness is the responsibility of the respective exhibitors. All garbage must be collected
and disposed of at the designated area (beside the loading dock).
Balai Kartini reserves the right to impose a penalty on exhibitors who do not dispose all their
garbage within until Sunday 10 April, 12am.
2. Security
Identification badges must be worn at all times by exhibitors, VIPs, crew and contractors while
at the exhibition area.
Professional security personnel will ensure the safety of all Exhibitors in general. However, these
security personnel cannot pay attention to each booth and are not responsible for Exhibitors
goods.
The organiser does not take responsibility in case of theft, loss, or damage of property, exhibits,
valuables or any other items brought into the exhibition area by the exhibitors, their staff,
agents or contractors, visitors or other persons.
Exhibitors are strongly urged to remove valuable exhibits from the exhibition area as soon as
possible after the closing of the exhibition each day.
Exhibitors are reminded not to leave their booths unattended until all valuable items have been
removed.
Exhibitors and their staff are not allowed to be in the exhibition hall after the show-hours. If
your display is considered highly valuable or sensitive for theft and you wish to hire security
personnel to attend to your booth exclusively during off show-hours, please contact the organiser
for further information. Please note that exhibitors are not allowed to hire security personnel
from any other security agency.
3. Emergency Exits
Emergency exit doors, and all aisles leading to emergency exits must remain clear and accessible
at all times.
4. Medical Support
A first aid room with medical assistance including a stand-by ambulance in case of emergency will
be available during the exhibition period.

5. Bans
Carrying weapons, fire arms and other dangerous materials.
Bringing liquor (strong alcoholic drinks) and drugs.
Bringing food/catering inside the venue without the permission of the organiser and Balai
Kartinis building management.
Damaging, painting or contaminating Balai Kartinis buildings and/or equipment.
6. Fire Precautions
Naked flames or temporary electrical connections are strictly prohibited. Explosives, petrol,
dangerous gasses or inflammable substances are prohibited inside the building. Exhibitors who
require special extinguishers or fire-fighting equipment, owing to the nature of their exhibits, should
make their own arrangements to provide such items.
7. Custom Clearance
The control of temporary imported goods for exhibitions is carried out at the port of entry.
A declaration should be made to the Directorate General of Customs and Excise Republic of
Indonesia and as long as the goods are re-exported after the show, they are exempted of duties.
Our recommended freight forwarding contractor will assist you in these matters.

D. Payment
EKONID as Destination Europes financial partner will issue an invoice of 100% participation fee
upon receiving a contract signed by the Exhibitor. This invoice is payable within 14 days of issue.

The exhibitor is responsible for all bank charges and the Destination Europe Secretariat reserves
the right to charge the correct amount, if it differs from the total payment received. Please identify
your company name and invoice number under remittance comments. Once the payment is done,
please fax or email the copy of the bank transfer slip to the Destination Europe Secretariat to
ensure the identification of your payment. You will then receive a confirmation. No exhibitor is
allowed to start building their booth and or move their exhibits into the Exhibition Hall or its
surrounding areas until full payment is received by the Secretariat.

The organiser will publish a Directory of Exhibition which will be distributed to all visitors during
the event and serves as a guide to the exhibition holding all information on exhibitors and the
events programmme.
For use in the Directory you are asked to hand in your company logo with the following
specifications until 18 March.

Exhibitors are advised to place advertisements in this Directory to further highlight their
participation. Please refer to FORM 9 for more information.

F. Technical Information
1. Exhibitor Packages
a. Standard Package:
Available sizes: 3mx3m and 4mx4m
Panelling: High background and side drapes with Exhibitors name in English (max. 35
letters)
Furniture: One draped reception desk, two folding chairs, one waste basket
Power: Single phase socket with electricity of 4 amp (please also consult point 3 - Electricity
Supply)
Lighting: Standard fluorescent lighting

Internet: Free high-speed Wifi is provided (please also consult point 4 - Internet)
No additional structures or displays may be attached to the standard shell structure.
Wall panels must be left undamaged: Nailing, drilling, wallpapering, inappropriate cello
tape, etc. are prohibited. Please make sure that you have enough chains, support brackets or
special double-stick pads to display/ hang your graphics.

b. Food Festival Package:

The booth location is handed over to the Exhibitor as an empty space with marked borders.
The Exhibitor is to build a custom design booth either by themselves or by appointing a booth
design and/ or construction company (please refer to FORM 1). The organiser accepts the
Exhibitor as the responsible party. The Construction of booths is not permitted without the
approval of the organiser.

2. Badges
All exhibitors are entitled to procure the Regular Exhibition ID Badges based on square meter taken.
The exhibition Badges are valid within the exhibition area and shall not give any rights into the
exhibition.

3. Electricity Supply
All wiring and installation work may only be carried out by the official Contractor. No private
generators may be used anywhere on the site.
Electricity will be provided from 9am on the exhibition day and will be turned off at 9pm.
Exhibitors must turn off the MCB panel (fuse box) and all electronics at the end of each exhibition
day.
Exhibitors using electronic units such as computers and printers must install a stabiliser unit to
prevent damage from unstable electricity.
The organiser is not responsible for any damage caused by violations of the above Rules and
Regulations.

4. Internet
The organiser provides all exhibitors with access to a high-speed WiFi Network.
In order to use the internet connection provided, Exhibitors have to register their devices
The internet cannot be accessed from mobile devices. If mobile access is needed please consult
the Event Organiser

5. Ordering Additional Items and Services


Exhibitors who require additional items and/or services such as electricity, furniture fittings,
communication lines, or similar are required to place their orders by filling out the respective order
form under section E. and faxing or emailing the form to the Secretariat directly by 18 March
2016.

7. Setup & Dismantle Regulations
a. General Rules and Regulations during Booth Construction
All exhibitors shall be bound by the rules and regulations and comply with the event working
hours set forth by the organiser.

The exhibitors and their contractors shall use badges issued by the organiser onsite during
set-up, exhibition and dismantling period.
All exhibitors are responsible to inform all personnel and third parties about the rules and
regulations of the event. The exhibitors shall hand the organiser all names of their personnel
and third parties who will work on the construction of their booth.
b. Rules and Regulations for Dismantling
For security and safety reasons exhibitors are strictly prohibited to transport goods, products,
exhibits, equipment or similar through or outside of the venue during the show hours. In
exceptional cases official permission can be obtained from the organiser.
All booths shall remain open with at least one person in charge until closing time and shall
not be dismantled, not even partially, within that time.
Exhibitors are requested not to leave their booth unattended during move-out operations.
Dismantling and packing should start immediately after show closing.
The organiser will charge exhibitors an overtime charge if the dismantling of the booth has
not been completed at the end of the dismantling period (please see FORM 2).
c. Exhibitor Responsibilities for Damages
Exhibitors are responsible for any loss of or damage to their property, other exhibitors
property, organisers property, visitors property or the exhibition area and equipment
which is caused by their employees or agents.
The organiser is not responsible for any damage caused by exhibitors.
All damage or possible damage has to be reported to the Destination Europe Secretariat.
d. Floor Coverings
The whole of the carpeted area will be covered with multiplex for each exhibit before the
booth construction period.
Plywood underlay and carpeting is required for booths which contain heavy objects that
may damage the existing carpet.
e. Dress Code
All workers are required to be neatly dressed during build-up period and show days and
to wear appropriate working shoes.
f. Removal of Rubbish
Contractors appointed by the exhibitor shall collect and remove all construction debris or
garbage from Balai Kartini Exhibition and Convention Center on a daily basis.
8. Additional Rules and Regulations for Custom Designed Booths
An official contractor will be appointed. However, an exhibitor has the right to use his own contractor
as long as the layout of the booth (as an image) and the contractors contact details are send to
the organiser for approval prior to the fair (please refer to FORM 1).

b. Booth Design
Copies of booth layout including elevations, and materials used should be presented to the
organiser for approval no later than 24 March 2016.
All proposals for custom designed booths shall indicate the exact location of facilities
needed, such as electric supply and telephone.
The name of the exhibitor shall be prominently displayed.
For partitions bordering a standard shell booth, all partition surfaces higher than 2.5m shall
be decorated on both sides.
9. Additional Rules and Regulations for Food Booths
a. General Rules
No open flames are allowed at any booth.
The Event Organiser has to be informed if alcoholic beverages are sold or distributed.
Liquor cannot be sold or distributed.
Trash backs are provided by the Event Organiser.
b. Water
Running water will be available to all exhibitors at the north side of the exhibition hall. On
the south side additional water will be supplied via large water dispensers.
Tanks for wastewater will be provided. The wastewater will be collected from the booth on
a regular basis.
c. Electricity
In case large appliances are used (fridge, freezer, oven), please consult the Event
Organiser. Additional Electric supply can be ordered with FORM 3.
We advise all Food Festival Exhibitors to use a stabilizer for their electric appliances.
d. Decoration
The Organiser provides booth decoration on top of the booth, displaying the Exhibitors
name and logo. Please hand in your company logo with the following specifications by 4
March 2016.

10. GDS Equipment (for Airlines and Travel Agencies only)
Airlines and/or Travel Agencies exhibitor will be provided with Sabre Computers based on square
meters taken and equipped with 1 (one) printer. Please refer to FORM 6.

Using another Global Distribution System


(GDS) is not allowed. If your company
is using another GDS besides Sabre, the
organiser reserves the right to stop the use
of the system by confiscating the equipment
