The project titled Process and Services at GATI KWE was undertaken
in GATI

KWE PVT. Ltd., PUNE (MAHARASHTRA). GATI is a top logistics

services brands in India. After FED EX, GATI KWE PVT. LTD. Ranked second
in supply chain industry in India.

capturing customer sales can be found in the demand chain. The demand
chain is inclusive of all "customer care" processes, customer selection,
channel selection, customer linking, demand planning, forecasting and
order receipt through delivering at the time and place requested. This
holds for all supplied goods and services. Performance measurement
intended for continuous improvement is measured along this order-tocash process.

Key supporting processes in logistics and delivery will be the postmanufacturing processes. These will include warehouse management,
transportation management and reverse logistics.

Gati was also the first to run the millennium parcel express train in
October 2001 between Mumbai and Kolkata with 10 VPUs. The initiative to
run a parcel express train between KYN (Mumbai) and NGC (Guwahati)
was again taken by Gati - this is a classic example of PPP (Public Private
Partnership).

The Gati advantage of seamless connectivity across air, road, ocean and
rail has resulted in a plethora of offerings to the customer unmatched in

Today, Gati has offices in China, Singapore, Bhutan, Dubai, Hong Kong,

Gati's shipping division, Gati Coast to Coast based at Chennai, with two
decades of experience in the industry has many firsts to its credit: first in
operating direct service to Yangon; first in operating a direct container
service from Ranong Port, Thailand; and the first in operating direct
container service from Penang, Malaysia. Gati Coast to Coast today has a
tonnage of 43,581 DWT and a fleet strength of three vessels.

Hyderabad- February 13, 2012- In order to strengthen its leadership


position in India and establish its global presence, the Board of Gati has
been exploring possibilities for some time now to create more value for its
shareholders. To achieve this, the Board of Gati today approved a proposal
to form a joint venture (JV) with Japanese global logistic service major
Kintetsu World Express under the name Gati-Kintetsu Express.
Under the JV agreement, Gati will hold 70 per cent stake and 30 per
cent will be held by KWE. As part of the transaction, Express Distribution
and Supply Chain (EDSC) business of Gati will move into the joint venture
company through a Business Transfer Agreement.
KWE will invest Rs2,677 Mn for its 30 per cent stake in the joint venture
through a combination of primary and secondary acquisition of shares.
The fundsraised

from the transaction will be primarily used to reduce

debt. The JV company shall be consolidated in financials of Gati. The


proposed Joint Venture will combine Gatis expertise in 3PL and express
and express distribution in India with KWEs freight forwarding expertise
and global customer base. The Joint Venture company will support large
customer base

of KWE who have operations in India, simultaneously

strengthening KWEs distribution capabilities into the Indian Market.


Together KWE and Gati will partner in supporting business expansion of
domestic and international customers in the Indian market. The JV
company shall also invest in high and 3PL facilities, including temperature
controlled warehouses.

Review of Literature
Materials i.e, shipments that are to be locally delivered are segregated
according to the last digit of their docket number. i.e, all dockets ending
with number 1 are stacked separately, docket sending with number 2 are
stacked separately and so on. This simplifies the process and reduces the
time wasted for searching of materials. The shipments are delivered by
the delivery GAs, each GA is allocated a specific territory in which he
operates. GAs collected the dockets which are to be delivered in their
territory and find the shipments and stacks them near their vehicles.

Logistical processes facilitate the relationships between production and
the movement of products. Specifically, logistical processes should
address many of the aspects of production, including time, costs and
quality. When a company successfully coordinates these logistical
processes, the company can track the process through production,
consumption, storage and disposal. A functional logistical process also
relies on the proper geographical location of all assets within the
organization.
A logistical process tries to find the best solution for manufacturing and
distributing goods by considering how the market uses these products. As

information and communication control systems of today's global business

1. Customer calls the call center or service executive Or GA bookoing
location for pickup of material. The service executive or call center
executive or GA enquires about destination & check whether the service
to that particular location is being provided.
2. Inform GA of the concerned location for pickup & ensure that pickup is
done on same day.

3. GA goes to customer place & checks packing, destination, documents.


The weight of the shipment is also checked . The shipment freight charges
also determined by way of volume/weight or actual weight whichever is
higher.
4. After checking the above GA fills the DOCKET completely & accurately.
While preparing dockets GA prepares 4 copies namely Shipper, HO,
Receiver, POD. In case of paid & direct booking , GA collects the money &
issues docket. In case of COD shipment get authoristaion letter from
shipper & attached to docket.
5. GA attached all required documents properly at the back of the docket
in such a way that no document gets removed in the transit.
6. Affix appropriate sticker or mark on packages & load in to GA vehicle.
7. After loading the vehicle seal the the vehicle with noting sael number.
8. Handover shipper copy to shipper after getting the shippers signature.
GA collects the payment if it booked on paid basis.
9. GA handover all the shipment, documents, money collected to service
executive of the booking location.

Quality checking
1. Record the reporting time of booking GA at OU.
2. Handsover the documents and packages to the SQA(Shipment quality
audit) associates for weigh verification and quality check.
3. Checking all the booking parameters of the docket.

4. Ensure all the shipment as per current booking dockets are received
intact condition.
5. Checking of dockets and documents for completeness.

Operating unit activities - While receiving


1. When the vehicle arrives at Operating Unit, receive trip challan, Trip
Details , dockets with related forms anddocuments from the driver.
2. Record the exact vehicle arrival time in THC.
3. Incase of delay, enquire reason for the delay from driver and record in
THC.
4. Verify the Strip seal , physically check the seal number from trip challan
and cut the seal to open it in case of all route vehicles.
5. Check the loading condition inside the vehicle. If it is improper, record
condition of loading.
6. Tally the information in the Trip challan/Manifest with the dockets
physically and record if any dockets have not been received.
7. Approve unloading tally in GEMS.
8. Unload the shipments and tally with Trip Challan/Manifest and make
sure precautions are taken as per marking on shipments.
9. Make sure that the packages are kept in their respective sectors/GA
area.

10. After the completion of unloading, check the challan for damage,
Extra, Pilferage, shortage and record in THC and trip challan with clear
remark.
11. If there is any extra package, which is not listed in the challan, note
the

12. details and store it separately. If docket number is available, update


the stock in GEMS.
13. In case of shortage of material but with the presence of docket, clear it
immediately by contacting origin or enroute location so as to ascertain
pilferage. Investigate thoroughly. If not traced, file an FIR.
14. Segregate the dockets route wise/GA wise and keep them in
respective rack.
15. Update the unloading remarks in GEMS
16. Incase of short, extra inform to respective booking/delivery /
dispatching location for further follow-up.
17. As long as short shipment is not received docket is kept detain.
18. Repack the damage/leaking/open shipment in original packets

Operating Unit activities - Dispatching


1. Inspect vehicle condition before loading.
2. Create Loading Slip, Trip sheet and generate Loading Tally.
3. Check dockets and documents and carry out random weighment of
shipment.
4. Loading

Load shipment into the route vehicle tallying with the loading
Tally giving preference to the assured delivery date.
Loading is done according to the unloading location wise. Last
unloading location first on the inner cabin side of the load body and
1st unloading location last, door side of the load body. Load heavy
shipments at the bottom and light weight packages above the
heavy packages.

5. Load Damaged / leaking and open packages only after proper packing.

6. After loading the vehicle, lock it with one time seal or strip seal, noting
the number of the seal in the loading tally, and after tallying the number
of seal in the loading tally.
7. Enter the seal number in trip challan.
8. Update the trip challan and also update all this information on GEMS.
9. Obtain signature of drivers on all copies of Trip Challan.
10. Handover Dockets and Trip Challan in separate unloading location wise
sets to driver with a briefing on the checkpost and enroute information.
11. Provide accident prone areas/enroute information to the new drivers in
case of Transit Center.
12. After the route vehicle has delivered the shipments at Destination
Operating Unit, collect the acknowledged TC & THC from the driver.

Delivery
1. Segregate the shipments and dockets for every delivery based on the
area / PIN code served by the concerned GA based on the territory map
for each GA.
2. Check previous undelivered for delivery on the current date.
3. Prepare intimation letter for FOD/COD/DOD/Godown delivery.
4. Prepare GA wise PDC and get signature of GA on GA copy. Retained it at
the delivery location.
5. Load shipments in GAs shipments as per the PDC and record the
discrepancy if any on PDC.
6. GA goes to customer premises and delivers the material and obtain The
seal and signature of the receiver on POD and PDC and capture the image
of POD.
7. GA collects the money for COD/DOD/FOD/OCTROI shipments. GA writes
the date and time of delivery on the POD/PDC.

8. GA gives the intimation letter and takes acknowledgement from


customer if the receiver refuses to take the delivery. GA writes the
undelivery reason code on the POD and PDC.
9. When receiving undelivered shipment from GA

Collect the undelivered material , POD, PDC and any other

documents from GA after he returns back from delivery.


Tally the undelivered dockets as per PDC.
Unload the undelivered shipments from GA vehicle as per dockets I

full.
Stack the undelivered shipment in the allotted place.

1. Checking 5 parameters of POD and updating. (Name, seal, Signature,

goods, from the first stages of securing suppliers to the delivery of
finished goods to consumers. Such firms give advice on improvements in
the manufacturing process and productivity, product quality control,
inventory management, packaging, order processing, the transportation of
goods, and materials management and handling. In the process, these
consulting firms might suggest improvements to the manufacturing
process in order to use inputs better, increase productivity, or decrease
the amount of excess inventory. Consulting firms in this segment of the
industry also advise on the latest technology that links suppliers,
producers, and customers together to streamline the manufacturing
process.

Research Design
The type of research designs used by me to gather information or data for
this project can be termed as both Descriptive research and Quantitative
research. Both the research includes surveys and facts findings enquire of
different kinds. The major purpose of these researches is to collect data
regarding distribution system to improve its efficiency. Therefore I have
adopted the questionnaire method and surveyed more of customers.

Data Sources
Data sources can be external or internal. An internal source includes
previous studies and company records. External sources include the
trades magazines and business reports. The research design will be
examined time and again to determine the accuracy of the data with

regards to their ability in meeting the information needs. The first step in
data collection method is to focus on the secondary data. These were the
data that were developed for some purpose other than for helping to solve
the problem at hand. My secondary data were collected from the website
of Gati ltd. An important source of primary data is survey research. My
primary data were collected through structured questionnaire. An
exploratory of this type needs to be based on primary and secondary data
that are readily available. It hardly implies a formal and right design as I
have to change the focus or direction depending on the availability of new
ideas and relationships among variables.

The data collection procedure have done through primary data source and
secondary data source explained below
Primary data source
The data is collected from the first hand information by the way of direct
discussions, observation and questionnaire.

Secondary data source


The data used for the study has been extracted from the annual reports,
company people and websites.

Sampling is done to get reliable information in lesser time, at lower cost
and even with lesser manpower.

The entire process and service performances of GATI-KWE are known as


population. At present there are 100 staff members are available in all
level of employees in the EDC. People who all are associated with
supervisor in handling material and stock keeping.

Sampling Frame:
The survey was taken in GATI-KWE Pune.

Sampling Size:
To find the solution I have divide the total sample size 30 in to three
groups randomly.
Group 1 Regular customers
Group 2 E-com customers
Group 3 Other customers

Sampling Unit:
The survey was taken in the North region of Pune of GATI-KWE.

Questionnaire Design:
There are 2 way of preparing a questionnaire that is a close ended or/and
open ended questionnaire. In case of open ended questionnaire, the
question

is

structured

but

responses

are

unstructured.

Here

the

respondent is expected to reply with whatever words are considered to be


relevant. In that case it may happen so that the respondent answers may
not relate to requirements. Similarly in case of close ended questionnaire,
the respondent is restricted to give his or her answer within a specified
limit. This is possible in multiple choices where the options are specified.
They only have to strike the option with a tick mark. According to my
research I can use several types of closed ended questionnaire such as
ranking, checklist, multiple choice and scales. But I have prepared my
questionnaire as per multiple choices and ranking so that it becomes

easier for the customer to answer the question within few minutes. Here
both the questionnaire and response are structure

Limitation during Survey


It was quite unbalancing for me when I interviewed people. The difficulties
I faced in doing are: Most of the people did not take the questionnaire seriously as it is of
no use for them.
Most of the customers have no time to fill it as they have their own
work loads.

CONCLUSION
Logistics is a challenging and important activity because it serves as an
integrating or boundary spanning function. It links suppliers with
customers and it integrates functional entities across a company. With the
ever-growing competition in todays market place it becomes necessary
for a firm to use its resources to focus on strategic opportunities. This
includes several internal factors like management style, culture, human
resources,

facilities

and

several

external

factors

like

technology,

globalization and competition. This is where the concept of logistics plays


a major role, i.e. it helps to leverage certain advantages the firm has in
the marketplace.
I found that the service quality of GATI-KWE is good but not organized in
some cases. It needs to be supervised properly to have maximum
efficiency in every process from Booking to Delivery, because all the
processes are interconnected. I have suggested Six Sigma Process which
may help the organization to have more efficiency and given some

suggestions to reduce the failed delivery attempts and to achieve more


productivity.
