1. Scope & Objective of the project

The scope of the pilot Demo would be restricted to one process of the Customer.

Pilot would be executed in Customers premises.

The entire pilot project consisting of training and execution has to be done jointly by
CUSTOMER and 3i Infotech resources. CUSTOMER selected resources would be
helping the project from all angles.

The pre requisites to the Pilot project would be the deep dive of the selected process
which could be 2 to 3 days. This is for understanding the processes as well as to observe
the business process accounting flow

Training of the resources selected for the pilot would be for two days consisting of one
day classroom training and one day simulation training offshore.

The pilot Demo would be for a day and one or more than one staff from 3i would be
entering the data in the system depending on the processes so that the customer would
be able to observe the productivity per person.

Pilot would be on dummy data on a Test instance of the system. CUSTOMER would be
providing the suitable environ for the pilot project to be deployed.

Data collection plan for measuring the output of the pilot project would be understood and
agreed to by both parties.

Scenarios to be tested would be agreed with customer. All scenarios to be understood


and be part of training before the pilot starts. Exact replica of the actual operations would
be simulated in the pilot environment. The data that would be used in this case would be
scanned and data entry would be using the scanned.

Downtime due to System issues would be considered for output evaluation.

One resource would be traveling from Chennai to Dubai for the coordination of te Pilot
Demo and all logistics would be handled by 3i Info tech EMEA team / CUSTOMER as the
case may be.

Evaluate the practicality demo in terms of practicability and risk management

Evaluate the results of the pilot Demo in terms of Productivity, Quality and TAT and compare it
with the customers own performance.

Serve as the basis for the decision for GO / No GO for outsourcing

2. Constitute the Pilot group


There would be a total of 2 to 3 resources for this Pilot Demo. One resource need to be in the
customers place for coordination and explaining the results of the Demo and one to two data
entry operator in 3i infotech Chennai office depending on the processes.

3. Pilot Demo Pre requisites and how it is done


Deep dive of processes
Current performance baselining
One Scanner for scanning the documents
An FTP site where the scanned documents can be uploaded
One PC with access to the test instance of Orion
Evaluation parameters
Access to the Orion applications to the data entry operator in Chennai
URL of FTP site with access
3.1.1. The documents that need to be entered in Orion like Purchase requisitions
are scanned and uploaded to a FTP site.
3.1.2. The scanned images are downloaded to the Chennai center local server
and put in the DMS
3.1.3. The scanned images are indexed and allocated to the data entry operators
through DMS. This is done using business rules
3.1.4. The data entry operator has the scanned image in his PC and logins to the
ORION application of the customer through citrix in case of client server
applications or through the URL given by the customer incase of web server
applications.
3.1.5. Transactions done from offshore
3.1.6. Customer can see the entered data in the PC at his site.
4. Evaluating the Pilot results
Gather feedback from a variety of sources and through a variety of means, including:

Sessions with business managers

Need evaluation criteria accepted by both parties before the start of the pilot.
