GUIDE FOR SPEAKERS
For the preparation of your contribution, you will find all the necessary information on
the CIGRE website : the text of the Special Reports, the email address of the Special
Reporter, the dates and meeting places with the Chairmen and Special Reporters.

We thank you in advance for following carefully the instructions given in this Guide. All the contributions presented at the
Session are to be collected and published in a CD-ROM, including the Opening Speeches, the General Reports and the List of
Speakers. This CD-ROM will be forwarded to all Delegates.
1. CONTENT OF THE CONTRIBUTIONS
The discussions will follow the Special Report.
The contribution shall provide an answer to one of the questions in the Special Report.
Due to the substantial number of speakers the time per contribution is usually limited to 3-4 minutes. In order to be able to
bring his message to the audience the contributor should therefore:
The length of the text should be limited to 1 000 words with a maximum of 3 figures.
4 copies of the text with the figures and/or photographs should be provided on plain white paper (A4
format) and typed single spacing, preferably with Times Roman 10. Do not use fancy characters.
The complete document (text and figures) should be provided electronically on a diskette, using
Microsoft Word, Microsoft PowerPoint and/or Microsoft Excel, font size 10. Speakers are requested to
give one diskette for each different Group.
The name as well as the country and registration number of the speaker should be mentioned on the
top left hand corner of each page of text. The Group number as well as the Preferential Subject
and Question number should appear at the top right hand corner. All pages should be numbered. The
same information should also appear on each figure or photograph.
b)
The day before the Group Discussion meeting, until 4.00 p.m :
Bring a paper print of the final version of your contribution as well as the transparencies you intend to
present to the Group Chairman and the Special Reporters who will check the legibility of your
contribution and allocate your speaking time.
c)
The day before the Group Meeting, after meeting the Chairman and Special Reporters
please hand in to the Technical Secretariat 2 paper prints of the final text of your contribution
(together with figures) as well as the diskette with the electronic version of your contribution.
4. SPONTANEOUS CONTRIBUTIONS
They are welcome and greatly contribute to a lively discussion.
YOU MAY EITHER :
Meet the Chairman and Special Reporter the day before the group meeting, before 4.00 p.m, to
present your contribution and to request your time allotment.
OR :
Take a chance to contribute to the discussion organized during the Group Session within the
limit of the tight time schedule
IN BOTH CASES, you must hand in 2 copies the relevant text of your contribution as well as the
corresponding diskette at the Technical Secretariat or send it by mail to the Central Office Office within
3 weeks after the Session at the latest. After that time, it will not be taken into account in the
Proceedings.
Spontaneous contributors may submit a maximum 200 word-text, without figures. Font size should be

Please note: Spontaneous contributions not provided on a diskette will not be included in the
Proceedings.

may of course be supplied for the written text.
use of colours : generally, warm colours are used for emphasis, cold colours to point to a negative
aspect when drawing comparisons.
Please note : if necessary additional copies will be made by the Technical Secretariat but in
black and white only.
Conversational style is the ideal form of presentation. Avoid reading through the text, and
supplying too dense information which is difficult to follow and to translate (for interpreters).
Speakers must remember that their contributions are being simultaneously translated. They
should therefore speak slowly to allow interpreters to do their work in the best possible way.
The oral presentation should reflect the contents of the written contribution, that is : give the main
points and conclusions (if there is not enough time to deliver the full contribution)
7. LOGOS
No logo should be shown for people making contributions in the name of CIGRE (Chairmen,
Secretaries, Convenors, etc.)
As concerns other contributors, company names or logos shown should not exceed 5% of the size of
the diagram or figure represented.
