THESIS Project 1, 2, 3 Orientation on Thesis
Policies and Guidelines
1st Batch of proposal submission. Submit
three (3) copies of the thesis proposal draft to
the thesis coordinator. Refer to Appendix C
for the content and organization and
Appendix D for the cover format of the
thesis topic proposal draft.
Submit the Acceptance Form (Appendix B)
signed by the chosen/recommended adviser.
Groups without an adviser should submit four
(4) copies of the thesis draft.
Place thesis drafts in GREEN folders. You
can use other folder colors if the required
color is not available.

Announcement of thesis group number,
advisers, and panelists for the 1st batch. You
can get your thesis drafts from your adviser
and panelists for comments.
Take note of the unique thesis group number
assigned to your group. Make sure it is clear
on your proposal draft if your topic was
CONDITIONALLY APPROVED (CA) or
DISAPPROVED. Drafts not marked as
conditionally approved are considered
disapproved. You can approach your panelist
to verify if your draft is indeed conditionally
approved.
It is possible that your thesis topic is not
conditionally approved but can be approved
once you are able to satisfy the requirements
of the panelist/s. If this is the case, have the
modified thesis topic submitted during the
2nd batch of proposal submission.
Only thesis identified by conditionally
approved by all three panelists will be
scheduled for defense.

Submission of photocopies of the front page


cover of the thesis topic proposal draft (with
panelists comments) to the Thesis
Coordinator. One copy per panelist. Make
sure that the front page clearly states whether
your thesis topic is CONDITIONALLY
APPROVED. Late submissions will not
be accepted, and will automatically result to a
DISAPPROVED thesis topic.
Submission of three (3) copies of the revised
version of the first
two chapters of the thesis documentation.
Documents should be
placed in a GREEN folder. Any color of
folder can be used if
the specified color is not available.
Submit the following additional documents in
addition to the revised draft:
1. Proposal Defense Recommendation Sheet
(Appendix U) with the advisers signature,
used as a front page for each draft.
2. Photocopies of the front page cover of the
thesis proposal drafts that include the
comments of each panelist, explicitly marked
as CONDITIONALLY APPROVED. Insert
these documents inside one of the folders, i.e.
no need to include these as part of the
document.

Groups who fail to submit the copies of the
revised version of the first two chapters
during the allotted date and time will not
be scheduled for defense and will not merit
a passing grade.
Proposal Defense. The schedule of the thesis
topic proposal defense will be posted at the
bulletin board and uploaded to the
facebook.com/groups/CPEPRO.ECEPRO/
website by the Thesis Coordinator.

Submission of one (1) copy (soft, PDF &


Word) of the first two chapters of the
approved thesis proposal placed in a long
expandable GREEN envelope to the Thesis
Coordinator. Make sure you use the
prescribed type and color of envelope.
Include the following in the envelope:
1. Anti-Plagiarism Waiver (Appendix W),
with PARENTS as signatories
2. Approval Sheet(Appendix E) signed by
the panelists Print the following on white
paper:
a. Group Number
b. Thesis Title
c. Names of Group Members (Family Name,
Given
Name, Middle Initial)
d. Faculty Adviser
Cut and paste on the upper-right hand side of
the envelope.
3. PRO1 Panel Comments and Revisions
(Appendix Z). Keep a copy of this
Appendix, you will need to submit this
document before you can defend in PRO3.
Word and PDF documents should be placed
in a blank CD.
You are advised to use the following naming
convention when saving your files: Thesis
Group Number-Name of Document.File
Extension.

Note: This is only applicable to students
whose thesis groupmates have enrolled and
passed THSCP1b / THSEC12 on the
previous term.

Submission of Petition for Change of


Objectives (Appendix F) Attach photocopy
of your EAF (per student) to
confirm that you are taking up THSCPE2 /
THSECEB.
Submit Appendix F, with the signature of
adviser, chair and members of the panel, is
submitted together with all the requirements
of THSCP1b / THSEC12. SUBMIT this
document to the thesis coordinator on this set
deadline. Photocopy this appendix make sure
you have a personal copy.
You are advised to apply for a petition in
change of objectives and discuss the
objectives with your panelists as early as
possible. This gives more time for your group
to implement the change of objectives in your
prototypes.
It is also possible that panelists would require
several modifications to your change of
objectives. If this is the case, just submit the
final version of the change of objectives as
approved by all the members of your panel.

forum full paper, following the format as
shown in Appendix Q, Be able to include a
photocopy of the Thesis Approval Sheet

proof that you are eligible to present your
thesis to the ECE/CPE Student Forum
scheduled for this term. Have forum paper
stapled or fastened using paper clip. No need
to place the documents in a folder.
THESIS PROJECT 3 Exhibit.
There should be a video and poster (2x5 feet
tarpaulin) presentations for the prototype
demo. The venue and slot allotted to your
group for the exhibit will be posted by the
thesis coordinator. Please take note that the
attendance of the exhibitors will be checked
by the thesis coordinator.

inventory of parts/devices together with
another CD copy of the thesis to the ECE
laboratory coordinator. Have the ECE
Laboratory Coordinator sign Appendix N,
Proof of Prototype Submission. Also, make
sure that you are cleared from STRC research
laboratory by submitting Appendix CC STRC Laboratory Clearance (signatory:
Engr. Leonard U. Ambata)
Submission of Appendix N, Proof of
Prototype Submission, signed by the ECE
Laboratory Coordinator to the Thesis
Coordinator.
Submission of Progress Reports
Submission of 1 hardbound copy of the
revised final thesis draft and 2 CDs. CDs
should be properly labeled and placed inside
a plastic case.
Print the following on white paper:
a. Group Number
b. Thesis Title
c. Names of Group Members (Family Name,
Given
Name, Middle Initial)
d. Faculty Adviser
Cut and use as label for the CD case.

The CD should include the following:


1. The thesis document in PDF and Word
format. Do not password protect the
documents as the department would be
needing them for footnoting and tagging your

documents.
2. Presentation media used (PowerPoint,
videos, etc.)
3. Forum paper (PDF & Word Format)
4. Place Documents and CDs in a Long
Plastic Envelope
* The CD and CD Case must be checked
and signed by your adviser use (Appendix
BB).
