withlongdocuments.Whatwevelearnedthroughsurveysandinspeakingwithusersis
thattheses,researchpapers,ordissertationscanbeverylengthyandmanyusersarenot
familiarwithhowtomanagetheformattingandorganizationofmanypagesinWord.This
lessonplanfocusesaroundfeaturestoeffectivelyandefficientlywritelongdocuments.Itis
criticalforTraineesasfutureTCstobeconfidentinthesefeaturesinWordinordertohelp
userstothebestoftheirabilityinthelabs.Itsalsoimportantforstudentstobeableto
masterthesetoolstostreamlinewritingtheirownpapers.
ATLabshasjustupgradedalloftheunitsinourlabstotheMicrosoftOffice2013Suite
whichincludesWord2013.Someofwhatwellbecoveringshowsthedifferencesbetween
previousversionsofWordandthecurrentversion,butmostofwhatwellbecoveringis
focusedonhowtousethepowerfulfeaturesinWordsoyoucanbemostproductive.

AlthoughtheStylesGallerywasaddedinWord2007,mostpeopleareunfamiliarwithStyles.Stylesare
themostimportantfeatureweregoingtodiscussinthislessonplanandmanyfeaturesinWorddepend
onacorrectlystyleddocumenttofunctioncorrectly.MakesureyouapplyalltheStylechangeswithin
thisfirstsectionbecauseeverythinginthefollowingsectionsneedscorrectStylesforeachfeaturetowork.

AStyleistheformattingassignedtoaspecificsectionofyourdocument.Anexampleofthesesections
canbenormaltext,chaptertitles,headings(orsections),andsubheadings(subsections),buttheycan
alsorefertospecialsectionsthatneedtheirownformatting,likebulletedlistsorfooters.Theformatting
isntjustimportantbecauseitkeepstheappearanceuniformthroughoutyourdocument,italsomakes
surethateachsectionbehavescorrectlywhenyoureeditingit.
ByusingStyles,wecanavoidtechnicalandformattingproblemswemightrunintowithlonger
documents.

Thisfileisanexampleofalongdocumentthatyoumightcomeincontactwithinthe
future.Thisisanoldversionofourinternalpoliciesmanual,orthePPM.Itlookslike
itsstyledcorrectly,butletslookalittledeepertoseesomehowsomeseriousproblems
withthisdocumentsstructuremakeitconfusing.
2. NavigatetotheHometabintheRibbon.Clickthesquarebuttonatthebottom
rightoftheStylesgrouptoopentheStylespane.

3. Clickanddragthestylespanetotheleftsideofthemaineditingwindow.

InsertingPageNumbers
Forstarters,theeasiestwaytokeeporganizedistoapplypagenumberstoyourpages.Theseareincluded
whenyouprintyourdocumentandaretheeasiestwaytokeepyourpagesinorderafterprinting.

NowthatwecanquicklynavigatethroughWordwiththesedifferentviews,wecanmoveontomore
featuresthatarefinetunedforlongdocuments.Embeddingfilesandimages,orobjectsintoreportsisa
greatfeaturethatcanbeusefulwhenwritingthesetypesofpapers.

InsertingObjectsandImages
Longdocumentsoftenhaveimagesorotherobjectsthatareusedasreferencesordiagrams.Theycanalso
beusedtobreakuphugesectionsoftextwithavisualaidtomakethetextmoreinteresting.
Therearemanydifferentobjectswecaninsertintoourdocuments,andweregoingtotalkabout
insertingpicturesandexternalfilessuchasspreadsheetsandPowerPointpresentations.Also,Wordhasa
featurecalledEmbeddingwhichallowstheobjectstobecomedynamic.Dynamicfilescanbeaccessedand
editedwithinyourpagewithoutopeningthefilesinanexternalprogram.
Wellgooverthedynamiclinksfurtheroninthesection,butfornowwellstartwithinsertingand
displayingsimplepictures.

Inserting,Cropping,andFormattingImages
Sinceourfirstpageofourdocumentisonlytext,weshouldbrightenitupwithapicturesoreaderscan
pictureKingArthurwhentheyrereadingabouthim.Wordmakesiteasytoinserttheseimages.
1. ScrolltothefirstpageoftheKingArthurreportandclickonthewhitespacebetweenthe
titleandthebeginningofthereporttext.

8. Movethehandlestocropouttheborderoftheimage.

Whenyouveselectedtheregionyouwanttokeep,clicktheCropbuttonagain.Youcanalso
clickoutsideofthecrophandlestoresettothemainview.
Keepinmind,Wordpreservestheoriginalimageaftercropping.Thismeansthatyoucangoback
laterandrecropyourimagewithoutlosingtheoriginalimageorlosingquality.Asyoucan
imagine,sinceWordsavesthecroppedinformation,yourfilesizecangrowverylarge.
9. Selectanypicturewithinyourdocument.Then,navigatetotheFormattabonthe
RibbonandclickontheCompressPicturebox.

10. Inthepopupwindow,unchecktheboxnexttoApplyonlytothispictureandthen
selectUsedocumentresolution.Then,clickOK.

formincludingprintordigital.

straightonewithinWord.

EmbeddingandLinkingExternalFiles
Ifyourdocumentreferencesotherdocuments,images,orvideofilesputtingthesefilesintoyour
documentcanbemuchmoreusefulthanjustreferringtothem.Althoughanimageisuseful,Word
allowsyoutoinsertinteractiveobjectsthataremuchmoreaccessibletoreadersthanastaticpicture.
Inthissection,weregoingtobetalkingaboutinsertingtheseobjectsandhowtousesomefeaturesto
makethisprocessmoreefficient.First,opentheObjectdialogboxfromtheRibbon.

1. NavigatetotheInserttabontheRibbonandclickontheObjectbuttonwithin
theTextgroup.

thechangeswillbepreserved.
