PREFACE


Welcome to Kolej Kemahiran Tinggi MARA Petaling Jaya.
To contribute to the attainment of Vision 2020, we have a clear mission to lead
technical and vocational education in the global human capital with integrity,
competence and innovation and become technoprenuers. Our aim is to see that you
are well educated in addition to be well trained.
The course you study, the qualifications you gain, and the interests you pursue
during your stay here will all have a profound bearing on your career in particular and
on your future as a whole. The real world which is your career that you will enter
when you leave KKTM will be a highly competitive one and of rapid change. We
therefore aim to make you both self-confident and flexible so that you are able to
realize your true potential.
In the era of globalization, MARA has introduced its own transformation program in
education as to cope with the demand from the industry. MARA educational
transformation program is implemented through academic educational approach
from which it focuses in producing leaders in public and private sectors,
entreprenuership as well as to produce excelent graduates. KKTM in particular, will
continue to use its technical and vocational approach in producing global competent
technologist, technoprenuers and specialists in technical field.
At KKTM you will find there are plenty of hands on experience in computing in most
of our subjects and also a considerable input of management skills which will put you

ACADEMIC RULES & REGULATIONS

1.0 INTRODUCTION
1.1

This rule is known as Academic Rules and Regulation for Diploma


programme.

1.2

This rule is used to the studies programme that leads to the Diploma
award from the Pearson International, United Kingdom.

1.3

This Academic Rules and Regulation is in order to standardized and to


manage all the academic issues in Diploma Programme and related.

1.4

Only BKT Senate has the authority to do amendment from time to


time.

1.5

This rules must be read with the Industrial Training Manual Edition
2012

(Manual Latihan Industri Edisi 2012) and Common Skills

Handbook. Any rules that dissent the latest edition on the date it is
published will be used.

3.0

STUDY COMPONENT.
Students who follow a programme in KKTM need to follow each study
component which has been fixed as requirements to fulfill the pre-requisite
award. These study components are:
3.1 Compulsory Module
Compulsory module consists of general courses related to National
Requirement, Higher Education Provider Requirement and Personal
Development.

3.2 Core Modules


3.2.1 Disipline Core
Discipline Core is the main component consists of core technical and
general technical for the particular programme.
3.2.2 Common Core
Common Core is a supporting component which is compulsory in one
particular programme.

3.3 Industrial Training


Industrial Training is a training where students are given exposure to the
real working environment whether in government agency or private which
is related a certain period of time. Only those who have passed all
courses are allowed to undergo their Industrial Training.
(Refer Industrial Training Manual 2012 Edition).

4.0

COMMON SKILLS/SOFT SKILLS


Common skills are components adopted/absorbed and evaluated continuosly
during the study period.
(Refer Common Skills Handbook and Student Soft Skills Assessment
System Handbook).

5.0 DURATION OF STUDY


The study duration is three (3) years or six (6) semesters according to what
have been stated in that particular programme but in certain cases the student
is allowed to extend his studies until a maximum of four (4) years or eight (8)
semesters.

6.0 ACADEMIC CALENDAR


KKTM academic calendar is made up of two academic sessions namely
JanuaryJune Session and JulyDecember Session. The activity scheduled is
shown in Table 1.

7.0 REGISTRATION
7.1

Programme Registration
7.1.1 Students are made compulsory to promptly register for their
programme offered by the BKT as scheduled.
7.1.2 Programme registration for senior students is compulsory right
after the semester starts or on the date that has been fixed. Late
registration will be penalized.
(Refer Appendix 1: Payment Rate Table).
7.1.3 Senior students who failed to resume their studies because of
study extension or any valid reasons allowed by the KKTM must
register again on the first week of the session starts.
7.1.4 Students who did not register the program two (2) weeks after
the final date of registration will be referred to Disciplinary
Board.

7.1.5 Students are required to settle all the outstanding balance for
their fees before they are allowed to register.
7.2

Course Registration
7.2.1 Students must enroll for each course offered in each session.
7.2.2 Course registration must be made before the dateline of the
designated

week

with

the

approval

from

Head

of

Department/Head of Program.
7.2.3 Any late course registration application from the stipulated date
without any valid reason accepted by the Academic Committee
will be charged/fined
(Refer Appendix 1 : Payment Rate Table).
7.2.4 Students who did not register for the course two (2) weeks after
the dateline can be referred to Disciplinary Board

7.3

Course Deferment
7.3.1 Head of Department/Programme can apply for the course
extension with valid reasons.
7.3.2 Application for course extension must get the verification from
the Academic Committee and approval from KKTM Director
with the acknowledgement of BKT.
7.3.3 Approval of extension will only be valid for the semester applied.
7.3.4 Students who extend their studies do not have to register their
courses.
7.3.5 Course extension is only allowed not later than the third (3rd)
week of the studies.

7.4

Course Drop
7.4.1 Students may drop the registered course with the consent of
Academic Advisor as well as the approval from Head of
Programmes/ Head of Department not later than four (4) weeks
after the semester starts.

7.4.2 Only two (2) courses are allowed to be dropped for each
semester. The status for the course dropped will not be
registered in that particular semester.
7.4.3 Students are required to PASS pre-requisite course before they
are allowed to register for following courses (subject to any prerequisite courses).
7.5

Course Withdrawal
7.5.1 Students can withdraw from the registered course with the
consent from the Academic Advisor as well as the approval from
Deputy Director of Academic Affairs not later than twelth (12)
week.

7.5.2 WD grade will be awarded in the result slip for that particular
course.

7.6 Credit Transfer

7.6.1 Students can apply for credit transfer in the beginning of the
semester which is one (1) week after programme registration.

7.6.2 Application for credit transfer can be accepted from the students
who do not graduate from any accredited institution.

7.6.3 KKTM Academic Committee has to approve the application for


the credit transfer.
(Refer the Credit Transfer Guideline).

7.6.4 Credit transfer is only allowed at the same level of studies.

7.6.5 Credit transfer is only allowed for students who fulfil the
enrollment requirements and accepted by the BKT.

CREDIT REQUIREMENTS
8.1

Credit
Credit is a unit given for one particular course. Credit means a given
statement/reference/endorsement which is compatible with the learning
process that each student has undergone throughout their studies.
Generally (according to MQA justification), a student who has gone
through 40 hours of learning process in one particular semester from
which it is compatible with the program learning outcome will be
awarded one (1) credit. Each course has its own credit as stated in the
Student Handbook that has been approved by the PTV-BKT Technical
Committee. Total credit required as in Table 2.

8.2

Credit Honor
8.2.1 Credit honor for each course is counted based on Student
Learning Time (SLT) divided by National Standard.
Credit = Total SLT / 40
8.2.2 SLT includes the official meeting total hours (Face-to-Face,
FTF) learning time, total of individual learning, (Independent
Learning Time, ILT) and learning hours for academic activities
after learning week which is out of official contact hours
(Others,O).

8.3

Fail Grades Credit/Requisites


8.3.1 Students who failed a course are required to repeat the course
in the next semester and must meet the duration of studies.

8.3.2 Final grade points earned from the course repeated will be taken
into consideration for the purpose of GPA and CGPA
calculation.

EXTENSION OF STUDIES
9.1

Students can apply for the extension with a valid reason with the
consideration

and

approval

from

KKTMs

Director

with

the

acknowledgement of BKTs Director. Extension is only allowed not


more than two (2) semesters.

9.2

If the students need more than two (2) semesters extension, it is up to


the consideration and approval from BKTs Director. The maximum
extension of studies should not exceed four (4) semesters.

9.3

Duration of semester extension will be calculated in the total duration of


semester.

10

LEAVE STATUS
10.1

Students who obtained Leave (L) Status are not allowed to appeal /
apply for the same study program.

10.2

Leave (L) status students can only apply for other study program six
(6) months after the Leave (L) Status obtained.

11

ATTENDANCE

11.1 It is compulsory for students to attend every class for

particular

courses that registered.

a.

Lecturer is responsible to take the attendance for each student in each


class held.

b.

WD grade will be given to students who are absent with valid reason
such as sickness, approved leave etc.

c.

WX grade will be given to students who are absent without valid


reason.

d.

Students who are absent without valid reason for more than 10% of the
semester class hours for each course also can be barred from taking
further assessments for that course by Head of Programme.

e.

Students who wish to appeal against the decision should submit a


Letter of Appeal to Deputy Director (Academic Affairs) one (1) week
before the assessment date.

f.

WD dan WX grade will be given in the case of attendance as in Table


3.

11.2

Any students who are unable to attend class with the consent of
KKTM/IKM Director for more than 20% or in four (4) consecutive
weeks (whichever is lower) have to get the approval from BKT Senate.

12

EVALUATION AND ASSESSMENT SYSTEM


12.1

Evaluation

12.1.1 All evaluations for each course are periodically made and on
going for each semester.

12.1.2 Evaluation for each course is based on the latest syllabus


approved by BKT and consists of on-going evaluation and final
examination as shown in Table 4.

12.1.3 On-going evaluations (Assessment 1 and 2) are implemented


before the final examination such as theoritical test, practical
test, oral test, quiz, assignment, project, presentation and
others. Students must sit for all on-going evaluations stated.

12.1.4 Final examination either theoretical or practical will be taken by


the student at the end of semester.
12.1.5 All evaluations are based on the assessment criteria set by
Pearson International or BKT or KKTM.

12.2

Assessment System

12.2.1 Each assessment is graded as Distinction, Merit, Pass or


Refer/Fail based on the grading criteria set.

12.2.2 All assessment criterias must be achieved in order to get at


least the Pass status.

12.2.3 If one particular assessment criteria is not achieved, the student


will be re-assessed only on that particular criterion.

12.3

Re-assessment

12.3.1 Resubmission:
-

Resubmission can only be authorized by the Lead Internal


Verifier/ Head of Programme if all the following conditions
are met:

The learner has met initial deadlines set in the


assignment, or has met an agreed deadline extension.

The tutor judges that the learner will be able to provide


improved evidence without further guidance.

The assessor has authenticated the evidence submitted


for assessment and the evidence is accompanied by a
signed-and-date declaration of authenticity by the learner.

If the Lead Internal Verifier/Head of Programme does


authorize a resubmission, it must be a:

Recorded on the assessment form

Given a deadline for resubmission within 10 working


days of the learner receiving the results of the
assessment.

Undertaken by the learner with no further guidance.

12.3.2 Retake:
-

If a learner has met all the conditions listed in resubmission


but still not achieved the targeted pass criteria following
resubmission

of

an

assignment,

the

Lead

Internal

Verifier/Head of Programme may authorize one retake


opportunity to meet the required pass criteria.
-

The Lead Internal Verifier/Head of Programme must only


authorize a retake in exceptional circumstances where they
believe it is necessary, appropriate and fair to do so.

The retake must be a new task or assignment


targeted only to the pass criteria which were not
achieved in the original assignment.

The assessor cannot award a merit or distinction


grade for a retake.

The assessor must agree and record a clear deadline


before the learner starts a retake.

The learner and the assessor must sign declarations


of authentication as they both did for the previous
submissions.

The

learner

will

not

be

allowed

any

further

resubmissions or retakes.

Standards Verifier will require you to include evidence


of any retakes in sampling.

12.3.3 Students who submit late assignment will be given a Refer/Fail


grade and will be re-assessed.

12.3.4 Students who fail all assessments in a course need to carry the
course to the next semester and need to meet the class
attendance. Students have to be re-assessed in all assessments
and the grade follows the normal grading system.

12.3.5 Students, who fail one or two assessments in a course need to


carry the course to the next semester but need not meet the
class attendance. Students have to be re-assessed on those
learning outcome criterions that are failed and the grade follows
the normal grading system.

12.3.6 A fee must be paid before any re-assessment


(Refer Appendix 1: Payment Rate Table)

12.4

Attendance of Assessments and Final Examination

12.4.1 Students who are unable to sit for an assessment with valid
reasons (e.g. medical leave from government hospitals/clinics,
urgent family matters etc.) have to get the approval of the
Deputy Director of Academic Affairs before the assessment.

12.4.2 Students who are absent with valid reasons for an assessment
are allowed to take the assessment later. The grading follows
the normal grading system.

12.4.3 Students who are absent or late more than 30 minutes without
valid reason for an assessment will get Fail or Refer status and
not allowed to enter examination hall/room/lab. Students must
sit for re-assessment and can only obtain a Pass grade for the
assessment.
12.4.4 Students who are late without valid reason more than 30
minutes for final examination are not allowed to enter
examination hall/room. Students will be given WX grade.

12.5 Cheating or Copying During Assessments/Final Examination

12.5.1 Cheating or copying during assessment/final examination refers


to an act which can be classified as stated below:

a) Bring any written or printed materials, any object or equipment


in

or

out

of

the

examination

hall

without

the

approval/permission from the chief invigilator.

b) Giving or accepting any written and printed materials or any


prohibited

object

or

equipment

during

the

examination/assessment without the approval/permission from


the chief invigilator.

c) Act in any ways which is considered as an act of


cheating/copying

during

the

examination/assessment

or

plagiarized any assignment from others.


12.5.2 All cheating and copying cases need to be proven with reliable
evidence and acknowledged by the Chief Invigilator or Head of
Department/Programme to KKTM/IKM Senate.

12.5.3 Students

who

are

caught

cheating/copying

in

an

assessment/examination or plagiarized others assignment or


work by the KKTM/IKM Senate will be given CX grade and
required to repeat the course by paying the Repeat Fail Course
fees.

12.5.4 For students who are caught cheating for second time during
assessment/examination or plagiarized others assignment or
work will be dismissed from their study program and pay the
compensation.

12.6

Special Assessment

12.6.1 Special assessment is an assessment that is taken by certain


students based on the following circumstances:a) Students who do not attend the final examination because of
illness certified by the Medical Officer from general hospital
or certified health center.
Grade obtained for the students in this category is
depending on the grade achieved by the students based on
their on-going assessment.

b) Students who do not fulfill the requirements to undergo the


industrial training and failed only one (1) course/subject
(except for WX gred) with a condition that the students had
taken the course/subject prior to their industrial training.

c) Special examination must be conducted four (4) weeks after


the committee sits for BKT Senate meeting.

d) Students in this category can only obtain a minimum pass


grade based on the course/subject and must be approved
by KKTM Senate.

12.6.2. KKTM needs to get the approval from the BKT Senate
Committee.

12.7 Permission To Sit For Final Examination

12.7.1 Students will receive Examination Slip from UPP before the
final semester examination begins.

12.7.2 Failure to bring the Examination Slip to the hall/examination


room can cause the students to be disallowed from taking the
examination.
(Refer Examination Rules and Guidance).
12.7.3 Students are required to settle the outstanding balance of their
fees before they are allowed to register for the next semester.

12.8 Examination Results

12.8.1 Result will be given in the form of achievement slip that states
the overall academic achievement record by UPP.

12.8.2 Achievement slip will be distributed on the first week in the next
session.

12.8.3 Transcripts will only be given to the graduated students.

12.9 Appeal And Re-Evaluation Of Grades

12.9.1 Students can appeal for their final examination answer scripts to
be reviewed and reevaluated after submitting a completed form

12.9.2 Appeal for re-evaluation can only be done within two (2) weeks
after a session begins.

12.9.3 The result of appeal will be endorsed by BKT Senate and the
decision is final.

13.1 Grades given to one particular course refered to the course component
itself where the courses under Technical component are based on
Pearson International Grades whereas the Common Core components
are based on the grades from the BKT.

13.2

Course Grading

13.2.1 Each course is also graded as Distinction, Merit, Pass or


Refer/Fail based on the formula set.

13.2.2 A student must attempt all assessments before being deemed to


have passed a course.

13.2.3 Students are required to pass each assessment for all Discipline
Core and Common Core courses.

ACADEMIC STATUS
14.1

Each student will be awarded the status Pass, Refer, Repeat or

Leave, based on the number of courses pass.

14.2

The students who pass all courses, will be awarded Pass status and
be allowed to proceed to the next semester.

14.3

The students who fail less than two (2) courses will be awarded Refer
status. Students are allowed to proceed to the next semester but need
to carry the failed course. A maximum of two (2) courses are allowed to
be carried during each semester.

14.4

The students who fail three (3) or more courses and GPA 1.00 will
be awarded Repeat status. Students are not allowed to proceed to the
next semester and need to repeat the failed courses. A student can
only repeat once for each semester.

14.5

The students who fail three (3) or more courses with GPA < 1.00 and
CGPA 2.00 will also be awarded the Repeat status.

14.6

The students, who achieved Repeat status for three (3) times
consecutively, automatically will be terminated from the programme.

14.7

The students who fail three (3) or more courses with a GPA < 1.00 and
CGPA < 2.00 will be awarded Leave status and terminated from the
programme. Students are not allowed to register with the college again.

14.8

Students need to pass any failed courses within three (3) years upon
registration with Pearson International.

14.9

The summary of academic status based on total credits accumulation


is shown in Table 7.

AWARDING OF DIPLOMA
15.1

Students must achieve CGPA 2.00 in the final semester and Pass all
courses.

15.2

Students must clear any failed courses to be eligible for the award of
the Diploma, within four (4) years maximum from the end of study
duration date.

15.3

Students also must Pass all Common Skills and Industrial Training
before being awarded the Diploma. Otherwise, students will obtain only
Cerficate of Achievement.

15.4

Students must achieve credit in Bahasa Melayu at SPM/SPM(V) level.

16 ACADEMIC EXCELLENCE

Grade point average system gives special recognition to students that


achieved academic excellent.

16.1

Platinum Award

16.1.1 Platinum Award is given to final semester student only who


achieve Grade Point Average GPA 3.50 or above in every
semester.

16.1.2 Special certificate will be given to this award.

16.2

Gold Award

16.2.1 Gold Award is given to final semester student only who achieve
Cummulative Grade Point Average CGPA 3.50 or above.

16.2.2 Special certificate will be given to this award.

16.3

Deans Award

16.3.1 Deans Award is given to the students who achieve the highest
performance with GPA 3.50 in the particular semester.

16.3.2 Special certificate will be given to this award.

17

SCROLL

17.1

Achievement slip and transcript will be produced by KKTMs UPP.

17.2

Scroll of diploma will be produced by Pearson International, United


Kingdom.

REPLACEMENT OF CERTIFICATE

18.1

Application for the scroll/transcript/achievement slip replacement must


be made by the students to the KKTMs Director.

18.2

Applications 17.1 must be attached with the relevant documents such


as:

i.

Damaged scroll and transcript achievement.

ii.

Police report (for lost cases only)

iii.

Copy of payment receipt

iv.

Payment rate as in Appendix 1

18.3

A nominal fee will be charged as in Table 8.
