Overview
In this practice, you will learn how to define the structure and segments for the Position key
flexfield for your business group. Before you can enter specific position names in HR, you need
to define the structure of the position name. The Positions Key flexfield helps to define employee
roles within Oracle Human Resources.

Assumptions

Use the System Administrator responsibility. For this practice, log in as


hrms/welcome and use the System Administrator responsibility.

You must have access to an Oracle Application Vision database or comparable training
or test instance at your site on which to complete this practice.

Tasks
Create position key flexfield structure
To define the flexfield structure, you need to create the segments and the value sets. Using the
value sets, you also need to add values for the value sets each segment.
Create segments using the following details:

Defining Position Key Flexfield


1.

Navigate to the Key Flexfield Segment window using the System Administration
responsibility:

(N) Application > Flexfield > Key > Segments

Query the Position Key Flexfield using <Position%>.


Note: This retrieves all previously defined structures

Select an empty row in the Structures region to create a new structure. If an empty row does
not appear, click in an existing structure and choose the New button from the menu bar.

4.

Enter xx Position Flexfield in the Title Field (where xx represents your unique group ID
number). Ensure that the Freeze Flexfield Definition box is not selected because you are
creating a new flexfield.
Note: The flexfield name automatically appears in the Title field.

5.

Save your work.

6.

Click the Segments button to add segments in the Segments Summary window.

Solution Defining Position Key Flexfield

Enter a number for the segment, such as 1 in the Number column.

Choose the selector and enter Position Name as the name of the first segment the Window
Prompt defaults to the same name.

9.

Select a column for the segment, such as SEGMENT1 to specify the location of this
segment in the key flexfield structure.

10. Select the Enabled and Displayed check boxes to ensure this segment is available in the key
flexfield structure.
11. Click the Open button to open the Segment window.
Here you can enter a default type and value if required,
12. Deselect the Required option this enables uses to omit a value for this segment.
13. Close the Segment window.
14. Place the cursor in the Value Set field and click the Value Set button to create value sets.
Create Value Sets
15. Define a new Value Set with the following details:
Name = xxPosition Name (where xx is your unique group number)
Format Type = Char
Maximum Size = 30
Validation type = None

17. Go to the next row, and enter a number for the next segment, such as 2 in the Number
column.
18. Enter Region as the name of the Second segment.
19. Select a column for the segment, such as SEGMENT2 to specify the location of this
segment in the key flexfield structure.
20. Select the Enabled and Displayed check boxes to ensure this segment is available in the key
flexfield structure.
21. Place the cursor in the Value Set field and click the Value Set button to create value sets.
22. Define a new value set for the Region segment using the following details
Name = xxRegion (where xx is your unique group number)
Format Type = Char
Maximum Size = 30
Validation type = Independent
23. Save the value set and close the Value Sets window.
24. In Segment Summary window choose the value set you just created for the Region Name
segment.
25. Save your work and close the Segments Summary window.
26. Return to the Key Flexfield Segments window and in the Structures region select the Freeze
Flexfield Definition check box. Acknowledge the message that appears after reading it.
27. Select the Allow Dynamic Inserts check box to enable you to update the key flexfield value
sets, if required.
28. Click Compile to compile your Position key flexfield.
Adding Values to Value Sets
29. Navigate to the Segment Values window using the System Administration responsibility:

Key flexfields enable you to define the unique structure for your business entities such as jobs
and grades. Before you can enter specific job names in HR, you need to define the structure of
the job name. In this practice, you define the structure for the Job key flexfield. The Job key
flexfield enables you to record the basic job details in your enterprise.

Create Segments
1.

Navigate to the Key Flexfield Segment window.

2.

(N) Application > Flexfield > Key > Segments

Run a query with the criteria Job% - in the Flexfield Title Field to retrieve previously
defined job flexfield structures.
Note: To define key flexfield segments for other business entities such as grades, positions,
and competencies, run a query with the required criteria.

3.

Select an empty row in the structures region to create a new structure. If an empty row does
not appear, click in an existing structure and select New from the menu bar.

4.

Enter xx Job Flexfield in the Code Field (where xx represents your unique group ID
number) and ensure that the Freeze Flexfield Definition box is not selected because you are
creating a new flexfield.
Note: The flexfield name automatically appears in the Title field.

Click Segments to add segments in the Segments Summary window.

Create Value Sets

19. Type Not Applicable as the dependent default value.


20. Close the Dependent value Set Information and Value Sets windows.
21. Return to the Segment Summary window and choose the value sets you just created for each
of your segments.
22. Save your work and close the Segments Summary window to return to the Key Flexfield
Segments window.
23. In the Structures region, select the Freeze Flexfield Definition check box. Acknowledge the
message that appears after reading it.
24. Select the Allow Dynamic Inserts check box to enable you to update the key flexfield
structure value sets, if required.
25. Click Compile to compile your Job key flexfield.
Note: You will be unable to create new jobs in the Define Job window, until you have
included the relevant job values in the Job Name and Job Code values sets.

box is read-only and supports future functionality in Oracle Financials.

Solution Defining Organization Hierarchy.

This demonstration shows you how to represent financial reporting structures in Oracle HRMS.
Representing financial structure in Oracle HRMS helps you report about financial information,
such as costs, revenues and expenses. You can consolidate this information by cost center
manager. This further enables you to allocate and report employment costs as you deploy and
pay people. It also helps you in managing your projects and distribute your workforce based on
priority.
You can record costing information at the organization, assignment, and payroll levels. You can
also record costing details in the Element Link and Element Entry windows. The information
you can record at these levels depends on the Cost Allocation key flexfield you defined for your
business group.
Oracle HRMS enables you to integrate your HR reporting structure with your financial reporting
structure. You can automatically create your HR organizations based on your company cost
centers in Oracle General Ledger using Synch Orgs.

In this practice, you first define grades in your enterprise. The structure for your grade name
depends on the Grade key flexfield you defined for your business group.
In this practice, you also define jobs in your enterprise. The structure for your job name depends
on the Job key flexfield you defined for your business group.
The Job Group appears automatically. It is the Default HR Job Group for your business group.
You must not change this group unless you want to enter a job that describes a supplementary
role to a person's normal employment, such as a fire warden or health and safety representative.
You can enter a numerical approval authority value to define an approval level for incumbents of
this job. Oracle Approvals Management uses this value to determine whether a person has
sufficient authority to approve a transaction. You can also indicate whether the job carries any
additional employment rights or is a benchmark job. You use a benchmark job to represent a
number of jobs in reports such as salary surveys.
You can define the skills that jobholders require, and the grades to which they can be assigned. If
you have set up a job evaluation system to compare the responsibilities of roles to help in the
definition of grades, you can enter the job evaluation scores. You can also enter the
supplementary roles in the Job window. You can record information about any roles an
employee holds which are not part of the employee's contract; for example, fire warden or health
and safety representative.

Overview
In this practice, you create a job group to store supplementary roles required for your enterprise.
You store all standard jobs in Oracle HRMS, those jobs that define the role the person must
fulfill, in the Default HR Job Group. The application automatically creates this job group for
your business group and displays your business group name as the job group name. The HR
Default Job Group is business-group-specific and therefore all jobs held within it are only
available within your business group. Global job groups only apply to supplementary roles
within Oracle HRMS, and Oracle Projects.
You can set up additional job groups to store supplementary roles that your employees might
fulfill. These additional roles can result from a company-defined initiatives like a fire warden, or
from a legislation, such as health and safety representative. You can create job groups specific
for your business group or available across all business groups in your enterprise using the
HR:Cross Business Group profile option. If the profile option is set to Y then you can either
select your business group, or leave the field blank to create a global job group.
Note: The jobs within the master job group can have jobs from other job groups mapped
into them using Oracle Projects. If you set the HR:Cross Business Group profile option to Y,
then you may only have one master job group across the system. If you set it to N, then you
can have one for each of your business groups.
You can use the Job Group window to set up an additional job group to store supplementary
roles for your employees.

Overview
In this practice, you will learn how to define positions in your enterprise. The structure for your
position name depends on the Position key flexfield you defined for your business group.

Assumptions

You can use the xx Super HRMS Manager responsibility. For this demonstration, log in
as ouhrms/welcome and use the xx Super HRMS Manager responsibility.

You must have access to an Oracle Application Vision database or comparable training
or test instance at your site on which to complete this practice.

Set your effective date to 01-JAN-2004.

and Approved Future Action check boxes are checked.

Enter Manager Northern Region as position name.

one employee can hold the position at a time.

Assumptions

Replace xx in the practice with a unique identifier such as your initials or a number.
(For instructor-led training classes, this number will be assigned to you.) This is
necessary to create unique records within the database when performing the practice.

Entering a new employee using the People window
John xxAllen is a new employee. His date of birth is 21-FEB-1960 and NI Number should be in
the format AANNNNNNA. He lives in the Greater London county and his address is 14
Wimbledon Road, London, SW15 7HL. Use the People window to enter John xxAllen as a
permanent employee.
Use the Assignment window to enter the primary assignment for John xxAllen. The start date of
the assignment is 01-JAN-2006. Enter the following values for the assignment:

(N) People > Enter and Maintain

Enter 01-JAN-2006 in the Effective Date field and choose OK.

see the Pension Group flexfield structure you set up for the People Group key flexfield.
Optionally, select a Pension Group. Close the People Group window.

Defining Position Hierarchies
1.

Navigate to the Position Hierarchy window.

(N) Work Structures > Position > Hierarchy

2.

Enter Main Position Hierarchy as the name.

3.

Enter 2 as Version Number and the start and end dates.

4.

Query a position in the Position block to place it as the top position in the hierarchy.

5.

In the Subordinates block, select the immediate subordinates for the top position.

6.

To add positions below one of these immediate subordinates, select the Down check box for
the position.
Note: The Position block now displays the position you selected. You can add subordinates
to this position. To return to the previous level, select the Up check box. The list of positions
from which you can select in the Subordinates block includes positions that are already in
the hierarchy. If you select such a position, you will move it and all its subordinates within
the hierarchy.

In this example, you set up the checklists feature to ensure that a workstation and a telephone are
made available for new employees who join your enterprise.

Creating a Checklist Life Event
You use a life event to process major changes in a persons life; for example, marriage,
employment, and so on. In this example, you will create a checklist life event that triggers
whenever you hire an employee.
1.

Log on using education as the username and welcome as the password.

2.

Select the US Education Super HRMS Manager.

3.

Navigate to the Life Event Reasons window.


(N) Total Compensation > General Definitions > Additional Setup > Life Event Reasons

4.

Enter New Hire XX in the Name field.


Note: Replace XX with your initials.

5.

Select Checklist from the Type list.

6.

Save your work.

7.

Click Person Changes and select Hire an Employee from the Name field.
Note: The New Hire person change that you select indicates the cause for the life event to

Creating a Checklist Template


A checklist template holds a group of checklist tasks.
10. Navigate to the Checklists page.
(N) Work Structures > Setup/Maintain Checklists
11. Click the icon in the Add Checklist column of the On Boarding category to create a
checklist template.
Note: The On Boarding category is a predefined category supplied by Oracle. You can
create your own categories. For more information, see Setting Up Checklists in online Help.
12. Specify New Hire XX as the name of the checklist template as in the Name field.
Note: Replace XX with your initials.
13. From the Life Event Reason list, select the life event (New Hire XX) that you created
earlier. When a person experiences the New Hire life event, the application allocates the
New Hire checklist to that person.
14. Click Apply to save the checklist
Creating a Checklist Task
In this example, you define a checklist task to arrange for a workstation and a telephone.
15. Click the icon in the Add Task column of the checklist template that you just created (New
Hire XX).
16. Type Arrange for Workstation and Phone in the Task Name field.
17. Click Apply to save the checklist task.
Triggering the Life Event
In this example, you use the People window to hire an employee called John Smith. You then
use the Assignment window to have John report to Blair Palmer.
