Organizer: Hwa Chong Institution
Preface:
In the following Terms and Conditions:
-

Organizer, refers to Hwa Chong Institution and the Organizing Committee of


Iconography 2015;

participant refers to a student who is or will legally be aged 13 to 18 (both


inclusive) in 2015 and has submitted photos for consideration in the competition.

Judges refers to the panel of three judges from the Photographic Society of
Singapore who will determine the winner of the prizes.

1.

Entry / Eligibility

1a.

The competition is open to all students in Singapore who are or will legally be
between 13 years old and 18 years old (both inclusive) in 2015. Eligible
participants must agree to abide by these Terms and Conditions. Entry to this
competition is free of charge.

1b.

All members of the Hwa Chong Institution Photographic Society as well as


members of the Iconography 2015 Organizing Committee are not eligible to
participate in this competition.

1c.

Participants below 18 years of age should obtain parental or legal guardian


consent, and should be fully able and competent to enter into these Terms and
Conditions, and agree to abide by and comply with the same.

2.

Competition categories and deadlines

2a. The theme for the competition is The Heart of the Image.
Prompt 1

: Entrants are encouraged to take pictures of the daily heroes of


Singaporean life - be they heroes on a personal scale, or even
people who serve our neighbourhood or community at large, such
as volunteers or even everyday figures such as the cleaners and
workers who make our daily lives more pleasant. Entrants are

encouraged to be creative and to portray these heroes and the


change they make.
Prompt 2

: Entrants are encouraged to capture moments between people,


including families, neighbours and friends, capturing and
encapsulating the Singaporean spirit and the inclusiveness of our
multi-racial society. As Singapore celebrates its Golden Jubilee, we
should also celebrate the timeless Singaporean Spirit of
inclusiveness and shared joy among friends and family.

2b.

All photos submitted must abide by the theme of the competition. Photos which do
not conform to the theme will not be considered for any prizes.

2c.

Closing deadline for submission is 12 noon (Singapore time) on the 31st of


March 2015. Any entries received after this time will not be accepted.

2d.

Closing deadline for the Instagram contest is also 12 noon (Singapore Time) on
the 31st of March 2015. All Instagram photos must be posted before then.

3. Photograph submission
3a.

A maximum of 5 photographs per participant is allowed.

3b.

Photographs submitted must be the participants own work and must have been
taken in Singapore.

3c.

All participants must email their photographs to the Organizer, and must state as
the subject-matter of their emails their names, schools and titles to their photos, in
the following format:
Email Subject: (school name), (name), Iconography 2015 Contest, (title of photo)
Example:
Email Subject: Fedett Secondary School, Ang Fee Jin, Iconography 2015
Contest, Capturing love

3d.

Photos that have won prizes in other photography competitions, or have been
previously used or are intended to be used for any kind of commercial purposes,
must not be submitted. By making the submission, a participant shall be taken to
have confirmed to the Organizer that the photo submitted has not won any prize in
other photography competitions and has not been previously used nor intended to
be used for any kind of commercial purposes.

3e.

Digital manipulation that distorts the reality of the photographs is not allowed. Only
basic enhancements such as sharpening, contrast adjustment, converting colour

images to black and white are allowed. High Dynamic Range (HDR) images are
strictly banned from this competition.
3f.

Each photograph must be submitted digitally in JPEG format and no larger than 2
MB. The longest side of the photograph must be at least 2000 pixels in JPEG
format.

3g.

An official entry containing the following information must be submitted together


with the photographs:

Participants full name (as in NRIC)


Participants contact number (mobile number preferred)
A short caption explaining the meaning of the photo (less than 100 words)
Location where the photo is taken
The photographs title

3h.

Participants who desire to win the Most Popular Photograph Award must post their
photos on Instagram with the hashtag #Iconography2015 in order to be eligible for
the award.

3i.

All entries must be submitted via email to iconography2015@gmail.com.

3j.

Photographs that are obscene, illegally taken and/or disrespectful to any culture,
gender, government, person, race or religion will be rejected without reference to
the participants.

3k.

The Hwa Chong Institution Photographic Society shall be entitled to use the
submitted photographs for its present and future publicity, promotions and
marketing of its activities (whether in respect of competitions or otherwise).

4.

Shortlisted Participants

4a.

Shortlisted participants will be notified by email and be asked to submit the original
photograph, or the highest image quality of the photograph with minimum 3800
pixels on its longest side. Shortlisted participants who fail to submit the photograph
as required will be ineligible to win any prize.

5.

Judging

5a.

All decisions made by the Judges are final. No appeal or correspondence on the
Judges decision will be entertained.

6.

Winners

6a.

Each eligible participant will stand a chance to win one prize.

6b.

For school level prizes, a representative from the winning school will be invited to
collect the prize.

6c.

All prizes must be collected from the Nikon Headquarters within one month from
the Prize Presentation Ceremony. The Prize Presentation Ceremony will be held at
Hwa Chong Institution. Where prizes are unclaimed within the aforesaid period, the
Organizer reserves the right to select an alternative winner from the remaining
participants. Prizes are non-transferable and no cash equivalent will be offered.

6d.

The Organizer reserves the right to change, add or substitute the prizes. Prizes
which are not collected shall be disposed of by the Organizer as it deems fit.

6e.

Winners, when requested, shall agree to be interviewed by the Organizer and/or


the media. All participants consent to the public disclosure of their names (where
they are winners) and the results of the competition (including theirs and their
schools rankings).

6f.

The prizes for the competition are:


1st Place: Nikon D7100 Kit
2nd Place: Nikon D5500 Kit
3rd Place: Nikon D3300 Kit
Most Popular Photo (Instagram): Nikon Coolpix S6900
School Level Prize: Customized School Workshop by Nikon School

6g.

The award for the school level prize will be determined by the average score of the
top three entries from each school. In the event of a tie, the quantity of entries from
each school will be used as the tie-breaker. In the event that a tie still exists after
the first tie-breaker, the average score of all entries of each school will be used as
the final tie-breaker.

6h.

The school level prize is a Nikon workshop that is customized to the needs of the
winning school. Upon announcement of the winning school, Nikon will initiate a
meeting with the winning schools representative(s) to assess its student needs,
and customize a workshop that will be open to its photography (or relevant) club
members.

6i.

The participant whose photo has the most likes on Instagram will win the Most
Popular Photo Award. Participants who have won 1st, 2nd or 3rd place will not be
eligible for the Most Popular Photo Award.

Organizers rights

7a.

The Organizer reserves the right to cancel or suspend the competition, disqualify
any participant or entry that does not comply with the criteria stated in these Terms
and Conditions. The Organizer also reserves the right to withhold prizes from any
participants who have breached any of these Terms and Conditions.

7b.

The Organizer reserves the right to use the participants names, submitted images
and comments relating to their competition experience for the purpose of any
announcement or promotional, marketing or publicity purposes in any media
without any fee being paid. The Organizer also reserves the right to disclose to the
sponsors of Iconography 2015 the participants personal data collected in
connection with the competition subject to the policies set out in the personal data
protection statement below.

7c.

The Organizer reserves the right to request the winner to provide proof of identity,
age and/or eligibility (if required) in order to claim a prize. Proof of identification and
entry considered suitable for verification shall be at the discretion of the Organizer.
In the event that a winner cannot provide suitable proof, the winner will forfeit the
prize in whole and no substitute will be offered.

7d.

The Organizer reserves the right to revise these Terms and Conditions at any time
without prior notice being given.

8.

Copyright

The Participant
8a.

The participant warrants that he/she is the sole owner of all intellectual property
rights (including copyright) and other proprietary rights to the photographs, images,
contents of the caption, and any creative work and materials entered for this
competition (collectively, the materials), and that he/she has not licensed or
assigned any intellectual property rights in the materials to any person.

8b.

Without prejudice to conditions 3k, 7b and 8d, the participant retains full copyright
of the materials entered for the competition.

8c.

It is the legal responsibility of the participant, not the Organizer or sponsors of the
competition, to ensure compliance with all ownership and copyright requirements
to reproduce the materials for this competition.

8d.

In addition to condition 8f and without prejudice to conditions 3k, 7b and 8d, the
participant grants the Organizer a non-exclusive, royalty-free and transferable right
to use, reproduce, edit or distribute any materials submitted for the competition in
any media format and any media channels as deemed fit by the Organizer, for the
purposes of promoting the competition or the causes that the Organizer stands for
such as:

Awareness of the competition


Promotion of social awareness in Singapore

Entries that do not fulfil the above criteria will be deemed ineligible and will be
disqualified.

The Organizer
8f.

The Organizer reserves the right to use, reproduce, edit and distribute any
materials submitted for this competition for publication and/or display in any media
format and any media channels without obtaining further prior permission and
payment of any fees or royalty to the participant. The materials may be used for
the following purposes:

Operating, administering and promoting the competition, before and after the
competition has ended;
Displaying the participants materials on the competition website and/or the
organiser and sponsors websites;
Issuing a media release or making media pitches with materials regarding the
winning entries;
Usage of the participants materials during the organisers roadshows,
exhibitions and in publications both printed and online, for purposes which
are non-profit in nature, such as for the promotion of social awareness in
Singapore.

8g.

Where any materials of a participant is published or displayed by the Organizer or


sponsors, the participant will be credited.

9.

Liability

9a.

The Organizer will exercise care in handling the entries or materials submitted.
However, they will not be liable for any loss of or damage to the entries or
materials howsoever caused.

9b.

The participant shall assume all risks in respect of loss, injury, damage or liability
which may arise as a result of or in connection to the participants participation in
the competition, and shall not hold the Organizer responsible in respect thereof
except for liability which cannot be excluded by law.

9c.

The participant shall defend, fully indemnify and hold the Organizer and its
employees and agents harmless from and against:
(i)

All liabilities, damages, losses, costs (including legal costs on a full indemnity
basis) and expenses arising from any claims, demands, actions,

proceedings, judgment or execution which the Organizer, its employees,


students or agents may suffer or incur from or in connection to the
participants participation in the competition; and
(ii)

10.

Any claims, demands, actions, proceedings, judgment or execution, arising


from infringement or alleged infringement of any copyright or other intellectual
property right or violation of confidentiality in the materials produced,
reproduced or submitted for the competition.

Personal Data Protection Statement

10a. The Organizer aims to comply with the requirements of the Personal Data
Protection Act 2012 (the PDPA). The main purposes for which each participants
personal data is collected, used or disclosed by the Organizer and the sponsors of
Iconography 2015 include providing you with information and notifications in
relation to the competition and other events associated with Iconography 2015, the
sponsors products and services, managing the competition and the participants
participation, improving the competition and Iconography 2015, as well as where
permitted under law, sending the participants marketing and promotional offers on
products and services, and personalized content and advertising based on the
participants preferences or demographics.
10b. The sponsors who are granted access to any personal data will be required to
undertake that, if a participant has registered his or her telephone number with the
national Do Not Call (DNC) registry, they will not send such a participant any
promotional and marketing messages via his or her telephone number unless that
participant has provided the sponsors with consent to do so.
10c. For the avoidance of doubt, by submitting an entry to the competition, a participant
(whether he or she is a shortlisted participant or not) shall be deemed to have
consented to all these Terms and Conditions including but not limited to the
conditions 7b and 10.
