CHAPTER I
PROBLEM and BACKGROUND OF THE STUDY
Introduction
Today, in our present generation, young or old are hooked in the
advancement of computer technology. Information technology has transformed
the existence of individual beings and has prepared the lives easier in different
classes and purposes. In the view of these swift transformations, there are many
tools, expertise, and structure have been shaped and developed
In the field of academe, many structure and school programs are being
geared towards computerization or shifting towards computer based system. The
purpose of turning manual operation into computer based system helps the
administrator process documents fast, easy, with accuracy and reliability.
St. Vincent College of Cabuyao, from its existence since 1994 as an
educational institution uses manual operation in dealing with the library
processes and procedures. In the aim to supply the necessary materials to their
students, the idea of introducing library system is designed by the proponents.
This project is concerned with developing a library system with barcode.
Its main purpose is to provide a library management system that will monitor,
track, and follow-up the out-going of the books in the library.

Background of the Study


St. Vincent College of Cabuyao formerly St. Vincent Academy is a nonsectarian private institution that exist since 1994. It was during this time where
the school offers a program in pre-elementary, elementary, and secondary
education. In 2007, St. Vincent College of Cabuyao added new program by
opening tertiary education and technical-vocational course.
In 2007, St. Vincent College of Cabuyao introduce the care giving program
for mothers of students enrolled in the elementary. This move of the owners Engr.
Simeon Chavez and Mrs. Marina A. Chavez opens the door for tertiary (college)
education.
The college offers baccalaureate degree in the field of education,
computer science, information technology, and business. At present, St. Vincent
College of Cabuyao offers the following degree program: BSHRM, BSTM, BSIT,
BSBA (major in Marketing) BSED (major in English, Science and Math), BEED,
BS Accountancy, and BS Criminology.
With the increasing number of students both in the elementary, secondary,
and tertiary education, the manual operation of handling, monitoring, and tracking
of borrowed books must also be aligned to this growing community.
In this regard, the proponents would like to design and develop a library
management / information system with barcode. This system aimed to answer
the problem brought about by the existing manual operation of recording,
monitoring, and tracking of books borrowed by students and teachers.

The mission of the Library System with Barcode is to create an


integrated service for members and administration of St. Vincent College of
Cabuyao. This system is to provide facilities for users to enter information into
the system directly, instead of passing the information usually on paper. The
system will be designed to provide and manage the library including the
borrowing, returning, and reserve and searching of books.
The development of the quality of a system depends on how helpful it
is and how would reinvent such institutions libraries in solving students problems.
It must be able to identify the areas of concern within the system and its
environment. It can makes the data standardized, remote access to files, greater
capability for doing things to and with the computer-based files, and increased
vulnerability to technological failure, more secure and automated document and
records handling.
The system provides inventory of books for easier access and
effortless searching generating the records provides the borrower to know if that
certain book is available. System that can know which titles it already has.
The system will also reinvents the traditional way of borrowing books,
which is the used of library forms. Since we are on automation it is hence a fact
that it would not be record intensive. The system provides an access to the
students data with the use of his information. The librarian would just type the ID
number of the student borrowing form for encoding of the books that he will

Vincent College is very useful because it is a cost effective and space saving
alternative to common document shelving technologies.
Adoption of the proposed system would be a great help in
development for the said school, because every institution needs accurate,
complete and timely information. To make decisions and survive in todays
competitive world.

Input administrative and students are the people directly involve in this
process. They will provide the necessary information needed such as assigned
user ID and password.
Process the software will manage the recording, monitoring, and tracking of
the books being borrowed by students, administrator and faculty.

Output it will generate reports such as the time, date, and other pertinent
information pertaining to use and borrowing of books in the library.
Statement of the Problem
The students and faculty of St. Vincent College of Cabuyao use the
manual or traditional way in the borrowing and returning of books in the library.
Borrowers card and card catalogue are the usual instruments in monitoring,
tracking of borrowed books.
The study is to be conducted to investigate the accuracy and integrity
of the existing system and to develop a new system that will improve the manual
system through computer with the use of barcode.
Specifically, the study seeks to answer the following question:
1. What is the percentage and frequency counts of the demographic profile in
terms of
1.1 Gender,
1.2 Age,
1.3 Civil Status, and
1.4 Degree program?
2. What is the level of effectiveness of the proposed library system with
barcode in terms of

Objectives of the Study


This system shall be developed with an attempt to create a more efficient
library system with barcode for St. Vincent College of Cabuyao students and
faculty.

The main objective of the proponent is to help change the existing


library system of St. Vincent College of Cabuyao to an automated library system
so that managing of the library will be more efficient and secure.
Specifically, the proposed system seeks to:
1. Provide an automated library system for students and faculty that can
generate comprehensive library reports.
2.

Provide an easy access on the selection of books and other research


materials.

Significance of the Study


Library is the best place in the school where the students review and
study. The proponent desires to improve the manual operation of the library
system by introducing and developing an automated library system with barcode.
The proponents find the proposed library system beneficial to the
following:
1. Students/Faculty/Borrowers
The system will be able to provide provision on how students, faculty and
borrowers by using the proposed system by means of reserving the books for
scheduled time and date.
2. Library personnel
The system will lessen paper works in maintaining the record that contains
all the information of the library. The system will help the librarian or personnel in
organizing the file of the books, borrowers, and users.

3. School
The proposed library system will benefit the school by providing quality
data information that follows computer generated reports. The system will
upgrade the manual operation of the institution in dealing with the usage of
research materials specifically books, newspaper clippings, journals, and others.

4. Researchers
The proposed study will be able to provide learning application of the
proponents in creating a program base system that will benefit both the
proponents and the end user.

Scope and Delimitation


St. Vincent College of Cabuyaos manual library system involves too
much paper works, unorganized files and also high risk of redundancy is
involved. For these reason, we decided to make necessary improvements by
providing a system that will feature records of books, and monitoring and tracking
of library facilities.
The proposed system will focus on library system with barcode for
recording, monitoring, and tracking of library facilities such as books, and other
research tools and materials of St. Vincent College of Cabuyao.
The system, however, is equipped to access by the administrator and it is
not available on line. The system will focus in circulating, book cataloging and
report generator.

Only the librarian or the administrator can manipulate and use the system
provided that the system operational procedure has been taught to other library
users.
Definition of Terms

Document

refers to the written or printed materials that bears the


original, or legal forms such as borrowers card, card
catalogue, library cards, and other pertinent materials
related to library documentations.

Monitoring

refers to the action of proper handling of borrowers


information regarding borrowed books and other
research facilities.

Record

refers to the collection of related data or information.

Tracking

refers to an action to identify the where about of


borrowed books and other research facilities.

System

is a set of interrelated or mutually dependent body,


authentic or theoretical that forms one complete idea
or concept.

CHAPTER II
REVIEW OF RELATED LITERATURES
Introduction
Library Management System with Barcode is a system program that is
used in a library for an easy use of addition of books, burrowers, issue dates,
return dates, fine payments. It is done through a database programmed so, it
gives a good interface to the operating user and a safe database for the storage
of data like books and borrowers. It is very useful software for librarians and it
requires a computer for the operation.

Related Literature
According to Ken Chad of Ken Chad Consulting we are at a major point of
change in the wider information economy within which library systems form part
of a larger whole. He was writing in a briefing paper about the study in library
management systems. This study examined the systems used in highereducation libraries across the UK and came up with some significant
observations and recommendations. It noted that the LMS market in UK higher
education is already mature and that four main vendors (ExLibris, Innovative,
SirsiDynix and Talis) have almost 90 per cent of the market. This market maturity
means, according to the study authors, that the benefits to libraries of changing
LMS provider are limited.

Library users expect to find everything together says Stephen Abram, vice
president for innovation at SirsiDynix, the leading provider of software solutions
and associated services for libraries. According to her traditionally, the library
management system or integrated library system (ILS) was responsible for
running libraries efficiently and effectively. Over the last few years, the role of the
ILS has been expanding from meeting library needs to delivering user
experience.
According to Elisabeth Robson usability is a key requirement for users,
says Elisabeth Robson, Product manager for Online Computer Library Center.
The catalogue has become a way to pull together disparate resources, including
commercial resources and web links. Library management systems also allow
circulation, including check in/check out and enable libraries to purchase
materials and track where they are.

METHODOLOGY
Research Design
The proponents used the experimental and descriptive research as its part
of its research methodology. The researchers took needed requirements and
potential areas that may use on designing of the proposed study. The study is
descriptive as it depicts and construe what is. Descriptive method goes away
from simple gathering and tabulation of data but also engages in the
interpretations of the importance or implication of what is described.
The experimental research design is used to evaluate the proposed
system or software using questionnaires.
Methods in Developing and Designing the System
The descriptive method of research uses information from interviews and
definite observation of the actual or existing circumstance of the library
procedures at St. Vincent College of Cabuyao in order to attain appropriate
resolution to the known problems.
The experimental method of research involves the evaluation of the
distinction between the existing and the proposed system.
Methods used in Evaluating the System
Actual presentation and dialogue of the users will be the reliable way to
established the quality of the software. Two types of questionnaires will be
presented for respondents for the valuation of the study of the system. These

questionnaires will decide if the systems come across to the criterion and
anticipation of the user.
The Waterfall Model is used in designing, developing, and evaluating the
proposed system as shown in the illustration below.

The Planning phase will arranged the standards for the proposed system
and its objectives. In this section, the problem shall be determined and identified.
The next phase is the Analysis and Data Gathering. At this stage, the
objectives of the proposed system are polished and scrutinized to a more specific
and detailed one. Information will be evaluated based on the requirements of the
users. It also refers to the collection of information for systems requirement with
the purpose of determining how these requirements fits in the system.
Designing

phase shall focus on the procedures and

interface

characterization of the proposed system. This stage will provide a schematic

diagram on how will the system be constructed. Also at this point, the
programming language shall be chosen and decided. The next phase is the
Coding this can only be performed when programming language is already
chosen. This section will involve actual coding of the program where design will
be translated into a machine readable structure.
Integration and System Testing phase shall center on the rational
internals of the system. This section will make sure that all components have
been tested and that there is no more error present. As the system is shaped and
added to the developing stage, testing is applied to ensure that the system is
operating properly, and competently. Substantiation of the entire proposed
system shall be verified in this stage.
Feedback will cover the modification that should be made to rectify an
mistake observed after testing the system. The system shall be assessed and
proper actions to remove errors will be in use.
Reapplication of each proceeding is put into operation until the system
turn out to be error-free and bug-free.

Respondents Distribution
In order to test the effectiveness of the projected system, the proponents
used purposive sampling technique. According to Calderon 2010, purposive
sampling technique chooses the respondents on the idea of their understanding
of the information preferred. In this method, the proponents have the privilege to
select their own respondents based on the criterion set.

A total of 30 respondents were chosen by the proponents based on the


following criteria: a) members of the administrative staff or librarian, b) members
of the faculty, c) selected students presently enrolled this 2 nd semester 20132014, and d) willing to be part of the study.
The 30 respondents are distributed to the following: 3 administrative staff
including librarian, 7 faculty members, and 20 selected students.

Instrument Tools
In assessing the effectiveness of the proposed system, the proponents will
used questionnaires or survey form. The survey or questionnaire form shall be
divided into two parts. The first part consist of the demographic profile that
includes age, gender, civil status, educational background for administrative and
faculty staff. The second part will contain statement that will evaluate the
effectiveness of the system in terms of functionality, reliability, usability, efficiency,
and maintainability.
The questionnaire shall contain statement answerable by rating using five
points or Likerts scale such as:

Data Gathering Procedure


Aside from using research material such as books, journals, recent studies
for the gathering of information needed in the development and design of the
system, interviews and other pertinent information are conducted.
To verify whether the proposed system is effective, the proponents will
develop a questionnaire that will assess its effectiveness. Once the questionnaire
is validated for its reliability, it is now ready for administration.

Administration and Retrieval


After making sure that the questionnaire is ready for administration, the
proponents will make a letter of request asking for approval for the administration
of the questionnaire from the Dean of College or Program Head.
Once the permission is granted, the proponents will explain to the
respondents their participation in the study. The proponents will let the
respondents answer the questionnaire based on their experienced and
understanding on the concept presented by the proponents.
The proponents after giving the respondents the chance to evaluate the
system will retrieve the questionnaire. Once the retrieval of the questionnaire is
100 percent, the responses shall be organized, tallied, and treated statistically
using the statistical treatment of data.

Statistical Treatment of Data


The following statistical tools shall be used in statistical treatment of data.
1. In evaluating the frequency and percentage of the demographic profile,
frequency counts and percentage rating shall be applied.
Formula:

N = total number of respondents

2. In determining the level of effectiveness of the manual and proposed


system, simple weighted mean shall be used.

3. To determine if significant difference exist in the ratings of the respondents


with regards to the level of effectiveness of the proposed system, T-test
shall be use at 0.05 level of significance.
