ISIC Card Request Explanation

ISIC Card Request Instruction


To obtain an ISIC Card for EPs, VP OGX or EP Manager has to fill out an ISIC Card Request on
Podio.com. Below is the instruction on how to find and fill out a request form.
To find the request from
-Click on http://podio.com/webforms/867730/213161
OR
-Go to Outgoing Exchange space on Podio
-Click on the Insurance tap on the top
-Click on Add EP to Get an ISIC Card on right
A few things to keep in mind before filling out the request form
-Please read and follow the instructions on the left very carefully when filling out the request
form.
-Formats of the answers are very important to the ISIC Card request, please make sure the format
of the answers are as request by the instruction.
-A photo of the EP is required for you to fill out the request form, so please have that before
filling out the form.
Here is a line-by-line application instruction for the request form.
(The part highlighted is super important.)
Card Type:
-Simply select ISIC
EP first name:
EP last name:
-The combination of the first and last name cannot exceed 21 characters
-No symbols, numbers, or commas allowed
Gender:
-Simply select the one that applies to your EP
EPs date of birth:
-The format has to be MMDDYYYY
-No slashes or dashes allowed
Studies/Teaches At:
-Simply select AIESEC
EP home address:

-STA Travel CANNOT mail their cards abroad, so it has to be an address in the US.
-If the EP only has an international address, please put in the domestic address of VP OGX
or EP manager
-For EPs with an international address, we will send the ISIC card to VP OGX or EP
manager and they should send it to your EP
-In the past, we have been mailing these cards from the MC office, but we realized that the
VP OGX or EP manager know the EPs situation better
Address line 2:
-Leave it blank if not needed
City:
-Simply put in the city
State:
-Only the 2-letter abbreviation
Zip code:
-Only the 5 digits
Country:
-Simply select USA
EPs phone:
-The format has to be ###-###-####
-You can obtain this at aieseconline.net
EPs email address:
-No commas allowed
-You can obtain this at aieseconline.net
EP ID:
TN ID:
-You can obtain these information either on the AN note or myaiesec.net
LC in the US:
-Simply select your LC
Status:
-Only select request submitted on Podio by the LC, all other options are for the MC
EP Photo
-Upload a headshot EP photo
-It has to be in the right image format

ISIC Card Request Process


Twice a week (on Tuesday and Friday), OGX Assistant processes the ISIC Card requests on
Podio.com, the ISIC Card request process is explained below.
This is a step-by-step explanation for the ISIC Card request process.
(The highlighted part can delay the procession time, thus super important.)
Step 1
-Go to an external website to download an Excel Template from STA Travel.
Step 2
-Go to Podio.com to download the Excel of all request forms under request submitted on Podio
by the LC.
Step 3
-Copy and paste the information manually from Podio Excel to STA Travel Excel template.
-It is important for the LCs to fill out the ISIC Card Request Form exactly according to the
instruction.
Step 4
-Upload the fill-out STA Travel Excel sheet to the external website.
-If the website rejects the Excel sheet based on either the name is too long or the email is
not recognized, this EP needs to be moved to the Problem Excel sheet. This EPs LCVP
needs to be contacted before EPs information can be given to STA Travel.
-When the website accepts the Excel sheet, noreply@statravel.com will automatically send
an email to the EPs asking them to upload a photo to a link.
Step 5
-Copy and paste the information manually from the STA Travel Excel sheet to ISIC Card for
AIESEC spreadsheet.
Step 6
-STA Travel will process the information given and update on the ISIC Card for
AIESEC spreadsheet. This usually takes more than a week.
-EPs with ISIC Card number are processed. EPs with blank under ISIC Card number are
not processed because they didnt upload the photo.
