Positions overview :

The Head of Public Relations shall:

Work with the webmaster to create the most complete website possible
Maintain the website and the congress database
Oversee all communications for the congress with the rest of the world (including
sending debaters all needed information or displaying it on the website).
Create a congress invitation (congress program)
Generate the calls for debaters, moderators and chairs
Contact the course unions for advertisement purposes
Create and manage a team to help him in his tasks

The Head of Fundraising shall: oversee all fundraising events and sponsorship
management for the purpose of organizing and running the UTPC, including:

Finding sponsorship
Organizing fundraising events
Appointing a team to help them in these tasks
Setting the debater required fees. Those shall be as low as possible, thus finding
sponsorship and organizing fundraising events are tasks of major importance for
the Congress.

The Head of Socials shall: organize all social events during the time of the Congress,
including:

Organizing the opening and closing ceremonies (includes finding the guest
speakers and accommodation for them, if needed)
Organizing and managing the social nights during the Congress

The Treasurer shall:

Record all financial transactions of the club, through the clubs bank account, that
they shall create and be in charge of
Hold signing officer authority along with the Vice-President for financial purposes
concerning the clubs budget itself (conversely to the Congress budget)
Maintain a budget of income and expenses along with receipts for the club
Advise members on financial position of the club
Prepare an annual budget for the club as well as budgets for specific events (apart
from the congress)

The Head of Finances shall:

Record all financial transactions for the Congress purpose and manage the
Congress bank account that they shall create and be in charge of. No funds from

this account shall be used for purposes others than organizing and running the U
of T Philosophy Congress.
Hold signing officer authority along with the President for financial matters
concerning the Congress spendings
Maintain a budget of income and expenses along with receipts for the congress
Advise members on financial position of the congress
Prepare an annual budget for the Congress as well as budgets for specific events

The Head of Committees shall:

Determine, define and describe the congress committees. Those shall be


presented to the club during a meeting session and voted at majority
Appoint one committee director and a corresponding vice-committee director per
committee
Assign debaters to their positions
Oversee the call for chairs and moderators and the application process
Oversee the Chairs Assembly and the chairs training
Conduct the chairs selection, including the one-to-one interviews with the
applicants
The Committee Directors shall:

Determine what specific problems the debaters shall discuss in each committee.
Those problems should be immediately embedded in real-world situations.
Overview the progress of committee sessions (as of the draft of the committee
paper) during the course of the Congress (feedback from the debaters without
the presence of the chairs should be in order)
Write and edit background guides for committees with the help of the Head of
committees
Organize the chairs training. This training shall be described in the congress
handguide (a guide describing the congress in details that shall be written by
the Congress Administrators and the clubs Executive Committee) that shall be
issued by the members of the club. It is also to be noted that simulations of
committee sessions shall begin at least 2 months before the congress as it
should be of a delicate matter to create stimulating, fun, insightful and interesting
philosophy debates between students likely new to philosophy.

Note: The positions of Head of Committees and Committee Director are the only ones to
require a certain knowledge in philosophy.
The Head of Policy shall:

Create or revise the rules of procedure of committee sessions


Appoint the moderators
Organize the training of moderators, in close cooperation with the Head of
Committees and the Committee Directors. This training shall be described in the
congress paper that shall be issued by the members of the club
Oversee the good development of debates in committee sessions

The Head of Technical Support shall:

Create the placards and the debaters tags


Oversee the distribution of placards and tags to debaters and committee rooms
Ensure that printers and computers are available for the congress
Check that rooms have notepads and drinking water
Coordinate the resource room for debaters
Oversee the creation of awards for debaters

The Head of Logistics shall: oversee all congress logistics, including:

Staggering lunch/dinner breaks


Making room reservations
Setting up conference registration for debaters

The Press Administrator shall:

Create and oversee a Reporters Group that shall cover the Congress for the
matters of its website, the closing ceremony, memories, and official newspaper if
needed
Oversee the advertisement of the congress (finding mailing lists, displaying
advertisers on campus, going into classes to talk about the congress, contacting
newspapers...).
Edit the Committee Papers and make them available online
Conduct the hypothetical coverage of the congress by newspapers

For each administrator (including the committee directors), a Vice-administrator


shall be appointed and shall lead an equal and coordinated work with his
corresponding administrator and replace him in his tasks when he is missing. It is
though the role of the administrator to represent their pair before the club and thus
to deal with official correspondence with the other members.
Each pair administrator/Vice-administrator shall design an annual blueprint for their
tasks in the weeks following their appointment and present it to the club for
discussion and validation.
