Tips for faster submission of IT-Proof


Declare rent in one single record if there is no change in rental
details throughout the year.
Duly filled and signed Part-A HRA declaration is mandatory to claim
HRA. Part-B of HRA declaration is mandatory if annual rent paid
exceeds 1 lakh and the PAN of Landlord is not available.
Upload files in the relevant section only. Do not password protect
the proofs/investments.
Keep the soft copies of all proofs/investment basis each head only in
PDF/JPG/GIF formats.
Uploading the soft copies of all investments/proofs in a single file is
disallowed ( do not
upload single zip file )
While uploading files click on Browse select destination file then
click on Open and click on Upload document button.
You can review the completeness of documents uploaded under List
of supporting documents uploaded section.
Fresh submission is allowed only once. However, employee will have
48 hours to make as many changes to the document upload from the
time of first submission ONLY. Ex: On 19 th Nov 2014 at 10AM, you
upload the documents and submit it. On 20 th Nov, you wish to make
changes. You are allowed to make the changes on 20 th Nov. On 21st
Nov also, you are allowed to make changes upto 10AM ONLY. You
cannot make changes post the 48 hour timeline from the time of

submission. Changes means edits to declared amounts and upload of


additional documents only.
Do NOT send hard copies of proofs/investments via courier or soft
copies by e-mail.
Employees whose Last working day in IBM is between 24-Nov-14 and
29- Dec-14 should submit the IT-Proofs to FFS team (Address as
below) and must not submit the IT-Proofs online.

General Information.
Update the Mobile Number. Rest all information is populated automatically. In case
of mismatch in the PAN no, kindly update the same in the HRMS portal.

Section Previous employment details.


1. I have Joined IBM on 1-Aug-2014 but I did not work in any company (Unemployed)
from 1-Apr-14 till I join IBM. Do I need to declare the previous employment details in
IT-Proof application?
No. Not required to declare as you are unemployed from 1-april-14 till you join IBM
hence not required to declare the previous employment details.
It is applicable only for the employees who have joined IBM post 1-April-14 and
should have worked in other company for the period starting from 1-Apr-14 till date
of joining IBM.

2. I have joined IBM recently and I want to update my previous employment details
in IT-proof link IBM I want to know what all the details that I need to update in
previous employment tab of IT-proof application?
You need to update four Amounts w.r.t your previous employment details those are
Income after section 10 exemptions (In Provisions u/s 17(1) line item), Provident
fund with VPF (If any contributed) (In Provident fund section), Professional tax
(Under Professional tax section) and Total Income tax deducted including education
cess (Under Income Tax Deducted section ).
3. I have submitted by investment proofs for LIC, Mutual fund, Housing loan in my
previous company for the period I worked from 1-Apr-14 till joining IBM. Do I need to
submit the same again in IBM?
Yes you need to submit the proofs for the investments made under Chapter VI A
(Section 80C and 80 others) and Home loan proofs again in IBM. Only provident fund

deducted in your previous company will be considered under Chap VI A.


Note: If employees are submitting previous employment soft copy proofs
(F-16/FFS Sheet, LIC, MF etc) then they should have to mandatorily
declare the previous employment details in IT-Proof application (Under
Prev-Employment Section).

Section HRA
1. I am claiming HRA for full financial year. I will declare in IT-Proof application (ITProof - HRA Section) with start and end date as 01-Apr-14 till 31-Mar-15 respectively
by adding single line item. What all the proofs should be uploaded while
submission?
Post declaring in IT-Proof application, you will have to upload scanned original Rent
receipt (Original for first and latest month preferably),valid rent agreement soft
copy and duly filled and signed soft copy of HRA declaration Form.
Note: If the annual rent amount exceeds 1,00,000 INR per Annum then employees
should mandatorily report the PAN (Permanent Account Number) of Landlord by
mentioning the same in Part-A of the HRA declaration Form. If PAN not
provided, it is mandatory to get the Part-B of the HRA declaration Form duly
filled and signed by Landlord.
Note: Refer PPT on IT-Proof document requirement guideline for details on proof
submission for respective IT-Proof components.
2. I am claiming HRA and paying rent which exceeds 100000.INR per annum and
PAN of Landlord is not available. How do I go about in uploading and submitting soft
copy HRA proofs.
If the annual rent amount exceeds 1,00,000 INR per Annum then employees
should mandatorily report the PAN (Permanent Account Number) of Landlord by
mentioning the same in Part-A of the HRA declaration Form. If PAN not
provided, it is mandatory to get the Part-B of the HRA declaration Form duly
filled and signed by Landlord.
3. I am claiming HRA for full year as I will be in rented accommodation for the full
financial year but I have HRA proofs only till Dec-14 so how can I go about in
declaring HRA and uploading soft copy proofs as I will be claiming HRA for full
financial year?
Online IT-Proof Submission : Since you are claiming HRA for complete financial
year hence you should add line item by selecting the start date as 01-Apr-14 and
end date as 31-Mar-15 in the HRA tab in IT-Proof DB.
Soft copy HRA proofs: But for HRA Soft copy proofs you cannot produce the
proofs for Jan/Feb/Mar-15 hence you can submit the Soft copy proofs for HRA as on
Dec-14 so that IT-Team will verify and consider the soft copy proofs and if valid
consider those (Till Dec-14) proofs till Mar-15.

Note : If the annual rent amount exceeds 1,00,000 INR per Annum then employees
should mandatorily report the PAN (Permanent Account Number) of Landlord by
mentioning the same in Part-A of the HRA declaration Form. If PAN not
provided, it is mandatory to get the Part-B of the HRA declaration Form duly
filled and signed by Landlord and upload while submission.
Note : Please note employees claiming HRA for full financial year i.e from 01-Apr14 till 31-Mar-15 then HRA proofs should be submitted as on Dec-14 but declaration
in IT-Proof Application should be made by mentioning the start date as 01-April-14
and end date as 31-Mar-15.
Note: This is not applicable for employees whose Last working day falling between
24-Nov-14 and 29-Dec-14 and they should contact FFS team (Address as mentioned
above) for the details.
4. I have joined IBM on 5-Aug-14 but I was working in some other company from 1Apr-14 till I join(5-Aug-14) IBM. But I have not received HRA exemption for the
period I worked in other company should I be able to get the exemption for
including the period I worked in other company?
No. You cannot. HRA exemption can be provided only from the period you joined
IBM. If not received the HRA exemption for your previous employment period then
that cannot be claimed in IBM.
5. What is the start and end date that needs to be declared in HRA declaration
section? My date of Joining IBM is 1-Jan-2014 and claiming HRA for full financial
year?
Since you are with IBM prior to 1-Apr-14 i.e before the start of financial year you can
add line item select the start date as 01-Apr-14 and end date as 31-Mar-15 in ITProof Application. But valid soft copy of HRA proofs should be uploaded as on Dec14.
6. Can I claim HRA exemption if my Landlord is my Father/mother?
Yes. You can claim provided the valid rental agreement (with lesser and lessee
details) and rent receipt are soft copies are uploaded accordingly while submission
along with duly filled and signed HRA Declaration form.
7. Can I claim both HRA and Housing loan exemption?
Yes you can claim both HRA and Housing loan exemption in the following cases.
1) If your property is self occupied with dependents staying over there but also
incurring rental expenses (by staying in a rental accommodation) and wish to claim
exemption on both HRA and Home loan then additional declaration called Home
loan and HRA declaration should be provided. Provided both rented property and
self occupied property are located at different cities.

2) If the property is wholly let out or partly let out property then you can claim for
HRA and home loan exemption with necessary proofs. (Refer Income From House
property section FAQ for proof details)
8. Give an example for declaring HRA with start and end dates for claiming HRA
exemption for full financial year?
Start date 1/04/2014(or the actual date of joining if joined post 01-Apr-14) and end
date would be 31/3/2015.
Note: If you are not claiming HRA till Mar-15 then end date would be the actual end
date.
Note: This is not applicable for employees whose Last working day falling between
24-Nov-14 and 29-Dec-14 and they should contact FFS team (Address as mentioned
above) for the details on IT-Proofs.
9. How do I claim HRA exemption if the rent receipt and rental agreement is in my
Father/mother name but I make the payments?
You cannot claim for the HRA exemption if the rent receipts and rental agreement is
in your Father/Mother name. Both the rental agreement and Rent receipts should be
in your name in order to claim for HRA exemption. Note : Duly filled and signed HRA
declaration Form is mandatory along with rental agreement soft copy and original
rent receipt soft copy for claiming HRA tax benefit.
10. How to fill the HRA Tab in Online IT-Proof Application?
Add only one line item if you are on rent with same house and no change in rent
amount for the financial year > Give the start date not earlier than 1 Apr 2014 (Pls
note if your date of joining is post 1 April-14 then mention the start date as actual
date of Joining if it is prior to 1-April-14 then start date as 1-Apr-14)) and end date
till 31 Mar 2015(If you are not claiming HRA exemption till 31-Mar-2015 then select
the end date as actual end date but not 31/3/2015) > Select city type and give only
one month's rent amount.
11. I was staying in Metro city for first six months of financial year and in
non-metro city for the other six months of financial year but the rental
amount is same how can I declare the same in HRA section?
Create one line item by selecting the metro city type and by selecting the
appropriate start and end date and rental amount/month for the first six months
and then create one more line item by selecting the non-metro city type and by
selecting the appropriate start and end date and rental amount/month and other
details (If any) for the next six months.
12. I have two rental details in the financial year so how can I declare in HRA tab of
IT-proof link?
Create one line item (By clicking on Add Line) with the start date and end date as

per proofs and mention the city type, rental amount per month and other updates
(If any). Then for the next rental details create one more line item (By clicking on
Add record once again)with the next rent details of start date and end date and
thereby mention the city type, rental amount per month and other details (If any)in
respective column.
13. My rental agreement is in the name of both my spouse and myself. How will the
exemption be provided if I am submitting both rental agreement, HRA Declaration
Form and rental receipts to IT-team?
If you are providing rental agreement (With your and spouse name mentioned)
along with HRA Declaration form and rent receipts, then HRA exemption will be
prorated and considered for exemption accordingly.
14. Since my name and wife name are there in rental agreement what should I do in
order to claim for 100% HRA exemption (instead of prorated HRA exemption) as my
spouse in no longer claiming HRA?
Along with rental agreement soft copy, HRA declaration soft copy and original rent
receipt a declaration (duly signed by her (and scanned)) need to be given by your
Spouse saying that he/she is not claiming for HRA exemption and hence the 100%
exemption is being claimed by my spouse only.
15. In my rental agreement both my elder and younger brothers name is mentioned
how much exemption I will get for HRA if I produce soft copy of rental receipts, HRA
Declaration Form and rental agreement for HRA exemption?
If your younger and elder brother name is mentioned (In agreement and rent receipt
as well) then HRA exemption will be prorated (pro rata basis) and exemption will be
given accordingly.
16. Since my elder brothers and younger brothers name is present (as a part of
agreement and rent receipts as well) in rental agreement what should I do in order
to claim 100% HRA exemption?
Since your younger and elder brothers name is present (as a part of agreement and
in rent receipt as well) your HRA exemption will be prorated and appropriate
exemption will be given. You cannot claim for 100% tax exemption on HRA.
17.I am staying in a paying guest hence I dont have rental agreement but I have
only rent receipts then how can I claim for HRA exemption?
As per IBM policy rental agreement is mandatory along with original rent receipts
and HRA declaration form to verify and consider for HRA exemption. Therefore along
with original rent receipts and HRA declaration form, copy of rental agreement is
also mandatory for HRA proofs verification and consideration.
18. I pay an annual rent which exceeds Rs. 1,00,000/Annum and my Landlord does
not have PAN. Do I need to submit any additional documents other than valid rental
agreement copy,HRA Declaration Form(Part-A) and Original rent receipts soft
copies?

Yes. In that case it is mandatory to get the Part-B of the HRA declaration
Form duly filled and signed (soft copy)by Landlord and to be uploaded while
submission.

Note : PAN no of Landlord is mandatory for annual rental amount exceeds

100000.INR.
Section Income from House property.
1. I have a Home loan for which I am paying Interest but I have not yet
received the possession of the property as it is under construction then
will i be able to get exemption on Home loan interest?
No. Since the property is under construction you cannot claim for tax rebate on
interest and Pre-EMI-Interest payment. On receiving the possession of the property
you can claim for the tax rebate.
2. I have a Home loan and got the possession and currently staying in the
property now how to declare the home interest and principal amount in ITPROOF APPLICATION ?
In IT-Proof application >> Go to Income from House property section and update the
Interest amount (Including 1/5 of the of Pre-EMI paid (If any)) and in Section 80C
deductions tab and go to line item Housing Loan Principal and Stamp Duty
Registration section and update the principal amount (Including stamp duly and
registration fees (if any)) and update for any other investment sections as
applicable in respective sections then review and submit with other declarations.
Note : Principal and Interest amounts altogether should not be declared in interest
section. Home loan Interest and principal should be declared in separate section as
mentioned above.
3. What are the Documents for claiming exemption under housing loan?
Self Occupied : If the property is self occupied then upload the soft copy
below documents

Soft copy of Original Provisional Certificate (not statements) duly signed and
sealed by bank.

Joint loan declaration (Signed soft copy)only if you have a co-borrower/coguarantor for home loan.

Home loan interest declaration (Sec-80EE)- If claiming interest exemption by


fulfilling the terms and conditions as in Sec-80EE declaration and by
uploading purchase agreement soft copy.

Partly/Wholly Let out property : If the property is partly/Wholly let out


then submit the below docs.

Soft copy of Original Provisional Certificate (not statements)duly signed and

sealed by bank.

Joint loan declaration (Signed soft copy) only if you have a co-borrower/coguarantor for Home loan.

Housing income computation sheet(Soft copy).

Note : If the Home loan Certificate (For Interest and Principal on Housing Loan)
specifically mentions that it is a computer generated certificate and does not
require signatures then employees can upload the soft copy of the same while
submission. If not , then the Home loan certificate would have to be signed and
sealed by the issuing bank and upload the soft copy of the same while submission.
4. I have paid Pre-EMI interest for my loan then where and how should i
declare and claim for exemption?
Pre-EMI interest can be claimed for exemption only once you acquire the
property. This amount can be claimed over five successive years by
dividing that amount into five equal amounts. That is one fifth of that PREEMI amount can be claimed in one financial year. This amount should be
added along with the regular interest amount and declare in the interest
section of respective house type details i.e. Self-occupied or Let out
property as appropriate.
5. Mine is a self-occupied property but I have paid Pre-EMI interest for the
property. But 2 lakh is the maximum interest exemption for self-occupied
property. Is this 2 lakh inclusive of Pre-EMI or Exclusive of Pre-EMI?
You can declare one fifth of Pre-EMI amount along with the regular
interest amount and declare in the interest section of self-occupied
property. But overall interest amount exemption for self-occupied
property is 2 lakh inclusive of Pre-EMI and regular interest amount.
6. What is the maximum interest exemption limit for a let out property?
There is no exemption limit for interest paid on a let-out property.
7. I have taken a loan in Feb 2010, but the possession of the property has happened
only Aug 2014, what is the maximum exemption on housing loan interest can I get
for Self occupied property?
As per IT Act 1961, property taken possession after 3 years of taking the loan, the
eligible exemption of housing loan interest for self occupied property is only 30,000
INR. If the property is taken possession within 3 years of the loan taken then the
exemption limit is 200,000 INR.

Section Income from Other sources


1. I have some long term and short term capital gains for the current financial year.
Where and how should I declare and claim for exemption for the same?
As per IBM policy investments long term and short term capital gains will not be

considered in IBM. Hence employees can produce the proofs while filing the ITreturns and subject for appropriate tax treatment accordingly.
2. I have paid some TDS amount outside IBM should I declare and claim to consider
for taxation in IBM?
Please note only section which will be considered under Income from Other sources
is Other Income (Unspecified) with a duly filled and signed soft copy declaration
and hence TDS paid outside and any other declaration will not be considered.
3. What is the tax rate that will be applied if I declare Other Income (Unspecified)
and what are the proofs to be given?
The amounts declared in Other Income (Unspecified) will be treated at highest tax
rate and as a proof a declaration(duly filled and signed soft copy) to be given.

Section Section 80 Deductions.


1. I have made some donations towards PM relief fund and those are eligible for
exemption as per IT act. Where and what proofs should I declare and provide proofs
in order to get the exemption?
We are not considering any donation proofs made by the employees towards any
social organizations. Hence employees can produce the proofs while filing their IT
returns and claim for appropriate exemption.
2. Where should I declare for investment made for long term
infrastructure bond?Is the exemption for Infra bonds is over and above
1Lakh or within one lakh?
For the current financial year 2014-15 exemption towards Infrastructure
bond will not be considered for tax rebate and hence there will be no tax
exemption considered towards investments in long term infrastructure
bonds.
3. I have taken a mediclaim through IBM for my parents. Do I have to
declare it on the tool? Is this exempted from income Tax under section 80
D of IT ACT?
You need not fill the details of mediclaim taken through IBM for your
parents/dependents for the premium deducted by Payroll through your salary. This
would be considered while processing your salary automatically.
Yes this is exempted from Income Tax under section 80 D of IT ACT.
4. Who are the dependents in case of 80DD, 80DDB?
Spouse, children, parents, sister & brother are dependents in case of 80DD and 80
DDB
5. Which are the specified diseases and ailments to claim deduction under
section 80DDB?

Please find below the diseases eligible for deduction under Sec-80DDB and Soft
copy Original Medical bills,Form-10I (Duly filled and signed soft copy) and Self
declaration (If claiming for on behalf of Dependents, duly filled and signed soft
copy) should be uploaded in IT-Tool while submission.
(i) Neurological Diseases where the disability level has been certified to be of 40%
and above,
(a) Dementia (b) Dystonia Musculorum Deformans (c) Motor Neuron Disease (d)
Ataxia (e) Chorea (f) Hemiballismus (g) Aphasia (h) Parkinsons Disease(ii)
Malignant Cancers (iii) Full Blown Acquired Immuno-Deficiency Syndrome (AIDS)
(iv) Chronic Renal failure(v) Hematological disorders (i) Hemophilia (ii)
Thalassaemia.
6. I have taken executive health check up for me and my spouse. Can I
claim under IT proof submission? What is the limit? Under which section
do I get exemption? I have paid in Cash can I get the exemption.
Any payment on account of preventive health check-up (in current financial year)of
the employee or family(If claimed a declaration to be given), is exempted under 80
D and can be declared under relevant section of 80D. This is restricted to Rs. 5000/-.
You can claim exemption for cash payment in this case. This exemption is within the
limit as prescribed for Sec-80D and not above.
6. I am a first time home buyer and wish to claim additional Home loan
interest deduction under 80EE of Income Tax act-1961. Where should I
declare in IT-PROOF APPLICATION IT-Proof link and what proofs are to be
submitted for the same?
Section 80 EE is only applicable for Financial Year 2013-14, only those who
have claimed 80 EE in the previous financial year and the claimed amount
is less than 1,00,000 are eligible to claim upto the extent of 1,00,000
including both the financial years 2013-14 & 2014-15.
Declaration : Under 80 Deduction update in line item Interest on Housing Loan
under Deduction U/S 80EE
Proofs : Duly filled and signed soft copy Declaration for Home Loan Sec-80EE form
along with soft copy of original bank certificate duly sealed and signed by Bank
authority, purchase agreement soft copy and Joint loan declaration soft copy
form(duly filled and signed) if applicable. Refer Document Requirement Guidelines
in IT-Proof application for more details.

Section Section 80 C Deductions


1. What are the Documents one can submit for PPF?
Submit the Receipt soft copy or attested copy of Passbook from Post Office or Bank.
2. Do I need to fill my Provident fund & VPF deducted by Payroll through
my salary? Is this exempted from income Tax under section 80 C of IT ACT?
You need not to declare the provident fund & VPF deducted by Payroll through your
salary. This would be considered while processing your salary automatically.

Yes this is exempted from income Tax under section 80 C of IT ACT.


3. What is the maximum allowable exemption amount under Sections 80C
and 80CCC?
The maximum exemption under 80C and 80CCC is 1.5 lakh.
4. I have paid some amount towards registration fees and stamp duty of my house
property. Where should I declare that amounts in IT-proof link?
You can declare that amount in Housing loan Principal/Stamp duly and Registration
line item which is present in 80C tab of IT-proof application.
5. I have some investment and premiums to be paid in Jan-15, Feb-15 & Mar-15.In
such a case how should I produce the soft copy proofs and claim for tax exemption
for such investments?
As per IBM policy the investments made and proofs produced (In soft copy format)
till Dec-14 will be verified and considered for tax computation. The investments
made post Dec-14 will not be considered for Tax exemption in IBM and employees
have to produce those proofs while filing the IT-returns and claim for exemption with
IT-department. However you can make advance payments towards your
investments for the months of Jan-15, Feb-15 & Mar-15 by December-14 and claim
the exemption on the same.
6. Describe dependents in case of exemption for Life Insurance Premium?
Spouse and children.

IT-Proof submission process.


1. How does one create a login in the new web site for online submission
of proofs?
Access the URL https://ibmitproof.spearglobal.com/itpf/ Under New User
--> Create a login using your Employee Id, Date of Birth & Date of Joining.
On correct authentication of these details your would be prompted to
create a password. On successful creation a mail would be sent to your
IBM notes id with your password.
2. How can I submit the IT-PROOF claim in the portal?
Once
your
user
account
is
created.
Access
the
URL
https://ibmitproof.spearglobal.com/itpf/. Now login using your employee
number and the password created by you. Declare the investment/proof
amount in the relevant heads. While uploading files click on Browse
select destination file then click on Open and click on Upload document
button. Upload the files in the relevant heads only.
3. I have submitted the claim
acknowledgement for the same?

Yes. You would get an acknowledgement mail on successful submission of


the claim on the portal in few minutes of submission.
4. I have submitted the claim online. I need to change the amount and also
I need to upload another file. How do I do this?
Access the URL https://ibmitproof.spearglobal.com/itpf/. Now login using
your employee number and the password created by you. Now change the
amount and also you can upload another file but this is allowed only
within 48 Hours from the time of submission. Change means only edits to
pre-declared amounts and upload of additional documents only.
5. I have uploaded a different file. I need to delete this file is this possible?
How to delete a file?
Yes you can delete any file uploaded by you. The uploaded files are visible
in the section above the HRA section. Click on the check box and delete
the concerned file which is to be deleted. But this is allowed only before
you click on the submit button during your first time submission.
6. What is the time limit I have to edit a claim once the same is submitted?
You have 48 hours after your first submission to edit your claim. Post the
48 hour timeline you would not be able to make any changes as the claim
would be locked for verification.
7. What are the types of files which I can upload?
You can upload only PDF, JPG & GIF type of files.
8. Can I upload a zip file?
No you cannot upload a zip file. Only PDF, JPG & GIF type of files can be
uploaded.
9. Can I upload one single file for all the section heads.
No, you cannot upload one single file for all the section heads. You would
have to upload different files for different section heads vis-a-viz HRA,
80C, 80D, 80E, Income from House property, Income from other sources
and Previous employment.
10. I am not able to see the upload option for uploading the file.
You would have to declare the amount in the relevant section head. While
uploading files click on Browse select destination file then click on
Open and click on Upload document button. Upload the files in the
relevant heads only. Note: Upload option for the concerned section would
be visible only upon declaring the amounts.
11. What is the maximum size of the file which can be uploaded? Is there
any restriction on the number of files which I can upload?
You can upload one file with a maximum size of 4mb. However there is no

restriction on the number of files to be uploaded.


12. I have submitted proofs do I need to take a print and send a hard
copy?
Being a paperless initiative, there is no need to take a print of the submission or
send the hard copies.
13. I have submitted my proofs in the month of December-14, but the same has not
been considered in the payslip of December-14
Please note that the actual investment declaration made by you in the Income tax
proof declaration link and the proofs submitted by you will be considered from the
month of January-15.
Till December -14 income tax computation will be based on the investment
declaration made by you in the Income tax declaration link in the You and IBM
online portal
14. How will I come to know that my IT proof Submission is accepted?
Please note there are two ways that an employee will be intimated with regards to
IT-proofs.
Firstly once the proofs are submitted an acknowledgment mail will be sent
automatically to employees confirming that the proofs are uploaded.
Secondly once the IT-Proof verification completes from IT-proof approver, a mail will
be sent to the employee(From ibmitpf@spearglobal.com id)detailing the verification
status of IT-proofs.
In case if you have not received acknowledgement mail or verification
status mail then please contact IT-proof team through call ( 8787 from any
IBM location
91- 80- 67328787 from any external location) or mail to
(incomept@in.ibm.com) and get the appropriate solution.
15. What is the SLA and process flow of IT proof approval?
As such there no such Proofs verification SLA for IT-Proof approver as it is based on
volumes which will be verified as and when it will be received online.
As far as the IT-proof approval process flow is concerned please find below the
details.
IT-Proof approver>Log in to the site with approver ID and p/w>Navigates to
verification module>Key in the particular employee claim number>Post that the
claim list for a particular employee will be populated>Based on the claim the
approver clicks on the particular claim line item and opens the claim>Starts
verifying all the sections based on proofs>Once verification completes clicks on
review>Finally clicks on submit button>Post clicking on submit button mail will
goes to employee with all the details of IT-Proof verification status.

16. How many submission that I can do?


You can make only one fresh submission. However you can edit the declared
amount and upload the additional documents in the claim within 48 hours after your
first time submission. Post the 48 hour timeline you would not be able to make any
changes.

Resubmission - Process
Note: Resubmission has to be done within 6 days (Calendar) from
the date of receipt of Verification mail, else the work item will
automatically expire.
1. I have received a rejection mail? How do I resubmit?
Access the URL https://ibmitproof.spearglobal.com/itpf/. Now login using your
employee number and the password created by you. Now upload files in the
relevant section where there are rejections.
Note : You cannot edit the amount declared by you in the re-submission
process
2. I want to re-submit the first time submitted form as i have done mistake in
declarations and am yet to submit the documents? How can I do it?
You can make only one fresh submission. However you can edit the declared
amount and upload additional documents to claim within 48 hours after your first
submission. Post the 48 hour timeline you would not be able to make any
edits/uploads.
3. I want to re-submit the submitted form as i have done mistake in declaration
proof amounts and I have not yet submitted the documents? How can I do it?
Once the verification of proofs completes from IT-proof approver end then you will
receive a verification mail indicating the status of IT-Proof approvals. Then based on
the
mail
if
there
are
any
rejection,
Access

https://ibmitproof.spearglobal.com/itpf/. Now login using your employee number and
the password created by you. Now upload files in the relevant section where there
are rejections.
Note : You cannot edit the amount declared by you in the re-submission

calendar days from the date of rejection.
4. How will I come to know that my IT proof submission is rejected, Is any rejection
mail that i would receive and from which ID?

You will receive a mail from ibmitpf@spearglobal.com mail id once the IT-proof
verification completes from IT-approvers end. Based on the verification status you
can action accordingly for rejection line items if any.
5. I want to make changes to the declaration to my rejected IT proof form, let me
know the procedure?
After receiving the IT-proof approval mail from the IT-proof approver you need to
action
on
rejection
components(If
any).

are rejections. You cannot edit the amounts.
6. How may times can I re-submit the rejected proofs?
You can re-submit rejected proofs 2 times. It is to be re-submitted within 6 calendar
days on the receipt of the verification mail.
Note : Only those who have re-submitted the first time would have the
option to re-submit the second time.
7. Do I need to submit my Medical bills, LTA claims along with the Income Tax
proofs?
No you need not to submit the medical bills, LTA claims along with the Income Tax
Proofs. You need to submit the same along with Kitty Claims to FBP/Kitty Team.
8. What is the address to send the IT-Proofs hard copies for the employees whose
last working day is falling between 24-Nov-14 till 29-Dec-14?
Resigned employees will have to send the investment proofs directly to the
payroll/FFS team addressed to :
