Project Training Plan


1. Introduction
Purpose:
The purpose of the YES Project Training Plan is to describe the
processes and timeline by which training will be delivered to all
SunGard SCT Banner users at Youngstown State University.

2. Methodology
All users, trainers, and support personnel will need training
and/or resources at different levels. Comprehensive training is a critical
requirement for all persons central to the implementation process.
Training will be intense in different modules and careful planning and
scheduling is necessary.
Several levels and types of training are required and will be
scheduled at the appropriate times during the implementation period.

Levels: Technical, Functional Area, End-User


Technical training required for the technical support
team will be different than that required in the functional
and end-user areas. Technical training includes managing
the new hardware, Oracle database and issues specific to
the technical requirements of Banner. Training will be
provided by SCT consultants.
Functional Area project team members who are leading
the implementation of the individual modules will receive
training in the areas of business redesign and intensive
Banner functional training. SCT consultants will provide
this training. Training and documentation will be provided
to individuals in those functional areas that require more
intensive system training by the team leader (Train-thetrainer approach.)
End-User - training for University personnel will be
provided to use Banner software to complete the tasks

necessary in their areas of responsibility to make the
transition to Banner as easy and effective as possible.
Training will be provided by Youngstown State University
personnel.

3. End-User Training
The YES Training Team is to develop a plan to provide training for
University personnel who interact with Banner processes to complete
the tasks necessary in their areas of responsibility. Training will be a
comprehensive, ongoing process which will involve education, skills
development, and evaluation.

Goal:
The goal of YES Training is to ensure that Youngstown State
University personnel are provided with the technical skills and
procedural knowledge necessary in order to successfully conduct
University business in an effective and efficient manner utilizing
SunGard SCT Banner software.

Objectives:

Identify and deliver organizational change, navigation,


concept and application training to end-users;
Identify end-users to be trained to meet respective go-live
dates;
Deliver training in various formats to best address the
learning styles of University employees;
Develop a schedule that staggers training in such a way as
to ensure that the core business functions of the University
continue;
Prepare end-user training materials that will serve as a
desk reference;
Evaluate the effectiveness of the training experience and
provide a feedback mechanism to improve the process;
Ensure that a mechanism is in place to foster open
communication;
Keep the morale of the end-users a high priority.

Assumptions:
This plan assumes that training will be considered a priority issue
and individual work areas will develop a plan to accommodate for
faculty and staff who are being trained and will need to be out of the
work area.

4. Approach
Training will be delivered using a variety of processes including
instructor-led workshops, user guides, and online resources.
End-user training will be implemented by invitation and its
content will be customized for the characteristics and duties of specific
audiences. Training will be closely tied to the work tasks and duties of
those receiving training and as the modules are deployed.

Audience Analysis:
Determining who needs training is a key element for the project
to be successful. All members of the campus community needing
access to Banner at any level must receive appropriate training and/or
access to resources.

Communication:
Several methods will be used to communicate training
opportunities and resources to the campus community. Among those
will be e-mail, website, etc.

5. Scope
The scope of the project end-user training is confined to two
months before and continues through three months after the functional
go-live dates.
Preparatory Training (organizational change and navigation)
Starting three months prior to go-live and continuing three months
after go-live
Application Training
Starting two months prior to go-live and continuing three months
after go-live
Accessing Standard Reports and Population Selections
Starting one month prior to go-live and continuing three months
after go-live
