Abstract
Paper consumption at office through printing, copying and faxing has resulted in major increase in
waste paper throughout the world. By consuming so much paper, we are wasting resources such as
water, tree and energy which are being used in the process of manufacturing. Also the manufacture
will result in emission of carbon dioxide into the atmosphere which effects the environment
drastically.
Island Leisure Lanka is a company which also undertakes large consumption of paper which turns out
to be waste paper without being used at all. By reducing the waste paper level we will be able to cut
down the cost of the overheads at the company and become an eco-friendly organization.
There are many ways which will help to reduce waste paper. By implementing few strategies and
approaches we will be able to control waste paper produced at the company and make efficiency.

Introduction
Copy paper, like the kind used in photocopiers, computer printers and plain-paper fax machines, is
the most common type of office waste paper.

Lots of copy paper According to the Minnesota Office of Environmental Assistance, the
average office worker uses 10,000 sheets of copy paper each year.
The U.S. EPA estimates that paper and paperboard account for almost 40 percent of our
garbage.
Office paper is highly recyclable, but a lot gets wasted. Waste reduction is more costeffective than recycling because it reduces the amount of material that needs to be
collected, transported and processed. Waste reduction can save money for businesses and
institutions of any size.
Nearly 3.7 million tons of copy papers are used annually in the United States alone. That's
over 700 billion sheets.

Problem Statement
Increased amount of paper wastage
Many companies are seen to waste paper a lot by printing, photocopying, use of fax and
other means of ways. Most of the times these papers which were used ends up as waste in the
dustbin without any further use. Wasting paper is a huge environmental issue which is prevailing all
around the world.
The production and use of paper has a number of adverse effects on the environment which
are known collectively as paper pollution. Pulp mills contribute to air, water and land pollution.
Discarded paper is a major component of many landfill sites. Paper production results in the
following effects to the economy and society.
It's energy intensive The pulp and paper industry is the worlds fifth largest industrial
consumer of energy.
It uses huge amounts of water
Coatings, fillers and optical brighteners for an example China clay, calcium carbonate,
titanium and starch must be extracted, processed and transported, and all this requires
energy.
It generates large amounts of pollutants and waste many mills still release a variety of
pollutants into the surrounding air and water.
We should reduce the amount of waste paper we produce in a company; this will result in more
benefit to the company as well as the society.

The Implementing Organization:


The reason for the project to be implemented in Island Leisure Lanka is because its a small
scales and a fast growing company. By implementing this project, they will be able to reduce their
overhead costs drastically for the data collected and analysed show a huge consumption on printing
papers and usage of them. The available resource and the potential of the company show that the
company will benefit a lot through this project.
The company has not undertaken any project such like these in order to improve its own
capabilities, hence this would be the best start up project they could carry out and achieve success.
The talented and educated staffs will prove as a great asset to carry out this project.

Proposed Strategies
There are many ways to reduce the increase in wastepaper. After analysing the ways of
paper being used and the trend of the company, the following ways will much more applicable to
reduce the paper use at Island Leisure Lanka.
I.

Double-side Printing: Use both sides of a sheet of paper for printing, copying, writing and
drawing. By setting the printer defaults to both sides printing, this can be continued on
without problem.

II.

Reuse: Using the paper that's already printed on one side by manually feeding it into
copiers, printers and fax (these should be carried out for internal documents for temporary
use). Also it can be used for internal documents like drafts and short-lived items such as
meeting agendas or costings.

III.

Going Electronic: Use less paper E-mail can be used to share documents and ideas. Be sure
to only print the e-mails you need to have a hard copy of. Also many costings and other tasks
can be done using Microsoft word and excel to save paper.

IV.

Digital Backup: instead of using many files and papers to keep on the past data and
documents, you can scan them and save them on hard disks or virtual drives and send the
old papers to recycling.

V.

Printer Setup: Help minimize misprints by posting a diagram on how to load special paper
like letterhead so it will be printed correctly. Also loading the printer or copier tray with a
less amount of paper to avoid accidental bundle printing.

VI.

Practice efficient copying: use the size reduction feature offered on many copiers. Two
pages of a book or periodical can often be copied onto one standard sheet.

VII.

Virtual Sharing: Draft documents can be reviewed, edited and shared on-screen, also could
be shared within colleagues using remote desktop software.

Beneficiary Target Group:


I.

Company (owner):
For each sheet of paper used, a company incurs not only purchasing costs, but also
storage, copying, printing, postage, disposal, and recycling and it adds up. The
project will benefit the company in reducing the cost greatly.

II.

Environment:
For many years paper as considered as an office as well as a household necessity for
some essential tasks, but what we lack to notice is that it has an environmental cost
apart from the cost that is incurred for production and purchase. Creating paper
from trees requires a lot of natural resources: trees, water, and energy. By
consumption and unnecessary usage of paper we are wasting all these resources. By
reducing paper waste we not only save money but also valuable resources.

III.

Staffs:
This project will help the staffs to understand the value of paper and work efficiently
using the electronics and digital devices effectively. They will be able to learn and
explore many ways to reduce paper consumption which will be practised in other
companies by them when they leave the organization.

IV.

Society:
Less consumption of paper means less consumption of resources (as mentioned
above) and less production. This will help to reduce carbon footprints by saving trees
and less factory operations.

Project Sustainability:
By implementing the project and incorporating this way of working into the companys culture and
mission (working eco-friendly or going green), we will be able to change the working environment
into a more efficient and effective atmosphere through continuous development and achievements.

The figure on the left illustrates an assumed expenditure that will occur in order
to implement the project. The cost may seem high but they are all calculated
considering the long run and the benefits and efficiency gained through them.
There will be no direct income gained by the project but as mentioned above,
this will reduce the cost of the company resulting in more revenue.

Major Challenges:
When implementing and undertaking the project, there are many major challenges which will be
faced. Some of the few expected challenges are as below:
Approval and support from the management
Getting approval and support for the project from the higher management to carry
out the project will be a difficult task. There will be many projects and works to be
done, hence it will be delayed and much support would not be given.
Project financing
The project has a considerable finance involved. Compared to the project benefit in
short term, it would be a risk in investing such amount.
Corporation of the staffs
The success of the project solely depends on the corporation of the staffs who will
be directly involved in the operations. There are chances for conflicts to occur on the
corporation of the staffs.
Project adaptation
This project result in a change of the working style of the employees, hence there
will be issues in order for them to adapt to such project.
