BizAgi Functional Description

CONFIDENTIAL
1. Introduction
Firms and organizations face every day with new requirements from customers, stakeholders, markets,
employees, and society all together. Today successful organizations simply differ from the companies that just
survive, by constantly searching for new and better ways of working and by reinventing and transforming their
processes periodically.
As a response to this challenge, BizAgi offers organizations a complete process automating platform designed
to support the corporate transformation. BizAgi reduces the time to market of new ideas and business
strategies. BizAgi also facilitates a continuous improvement of processes.
Along this document we will show you the features that make our BPM solution BizAgi the only solution that
will allow you and your organization to model, automate, execute, and improve your business processes using a
graphic background, with the least amount of programming, allowing you to accomplish productivity,
efficiency, and a profitable growth which will be sustainable in the long run.
How does BizAgi work?
BizAgi's BPM concept is about generating automatically a web application, which is based and activated by a
process diagram without requiring any programming. In other words, for BizAgi the process is the application.
In order to achieve it, our BizAgi BPM Suite handles the complete life cycle of a business process: Model,
Execute, and Improve. Each of these phases are managed by different components which allow, by using a
graphic and dynamic environment, the building of a process based solution. The following figure explains the
steps to build a solution in BizAgi.

Model
The first step to create BizAgi solutions is to determine the processes. To do this, our BizAgi BPM Suite has the
BizAgi Process Modeler. This component is an application that you are going to be able to download for free
from the internet and use it in your own computer. The BizAgi Process Modeler will allow you to diagram and
document your processes in an agile and simple way. It will also present the business processes using a global
accepted standard, which is better known as BPMN (Business Process Modeling Notation).
After designing the process, well convert all the process activities into a technological application. BizAgi
Studio is the tool used to automate the processes that were defined in the BizAgi Process Modeler without
requiring any programming.
BizAgi offers a set of tools which graphically generates a model associated to a business process (flow diagram,
business rules, user interface, etc.). This model is stored in a data base, and is interpreted and executed in
production through a web application by BizAgi's BPM server without the need of any code. The resulting web
application after automating with BizAgi has a very important characteristic, when the process is modified (any
element of the model) the web application shows the change automatically.
Execute
The BizAgi BPM Server is the engine that executes and controls the business processes built in BizAgi Studio.
This server is based in a collection of components that offer all the necessary functionalities for an effective
business process management in the organization (work portal, BAM, business rules, integration engine,
etc.).The BizAgi BPM server based on the model previously built, watches for the correctness and adequacy of
the execution in the different tasks and activities that intervene in the business process; by controlling and
verifying that the tasks are done in the correct moment, by the correct person or resource, and according to
company's guidelines, objectives, and other fundamental rules.
Improve
BizAgi's BPM Server has a complete set of performance reports and indicators about the processes which will
allow you to analyze your business, identify bottle necks and their causes, and identify improvement
opportunities in your processes. Based on your findings, processes and policies may be adjusted in real time
using the web application. Improvements can also be done by using BizAgi Studio to generate a new version of
the process. This new version of the process can be put into production without requiring any programming, in
a short period of time, by just modifying the business model the application will adapt automatically, making it
easier to do continuous improvement and to increase productivity in your organization.
Starting from these basic steps, in this document you will get to know the complete functionality of our BizAgi
BPM Suite.
2. Modeling
Process Modeling is the starting phase which is fundamental for the construction life cycle in BizAgi. The
principal objective of this phase is to clearly diagram each of the activities that make part of the process. To
provide clarity to the users, BizAgi entirely supports the international standard, BPMN (Business Process
Modeling Notation). BPMN is the standard used by the industry because it provides a common notation that
allows the people that work in processes to express them graphically in a more clear, standardized, and
complete way, in order to share them within their organizations.

BizAgi Functional Description

CONFIDENTIAL
As a result, from the modeling phase you will obtain a totally diagramed process which will be easily
understood by any user familiar to processes.
To diagram the processes, BizAgi uses its own modeler. No external interaction with other tools (Visio or any
other modeler) is required.

Process Modeler
BizAgi Process Modeler is an application that can be downloaded from the internet for free and used in your
computer. It is very easy to use, and in a matter of minutes you will be able to start defining processes and
collaborating with people in your organization.
BizAgi Process Modeler will offer the user everything he requires to be able to diagram processes intuitively.
Drag and Drop and Pie-Menu (when a shape is selected, BizAgi will recommend the possible shapes that may
follow) features make of diagramming a fast and easy experience.
In order to be effective during the implementation of new projects BizAgi Process Modeler enables the user to
import previously created diagrams in other tools (e.g. Visio). BizAgi Process Modeler is also XPDL V2.1 (XML
Process Definition Language) compatible. This feature will allow you to import and export files that use the
standard.
You will not only be able to express all the various business situations that are possible to obtain with BPMN,
but also you will have the possibility to specify different technical aspects like: long duration transactions,
messages, notifications, and external system calls among others.
It is important to highlight that by using the BPMN standard, it will also allow us to support all of Van der Aalst's
modeling patterns. For more detail about Van der Aalst's patterns you can check the official website at
http://is.tm.tue.nl/research/patterns/index.htm
BizAgi Process Modeler is a Freeware, not a trial version, that can be easily downloaded from our website
(www.BizAgi.com) for free.

Documentation
In the BizAgi Process Modeler it is possible to easily configure properties for the general process as well as for
each of the elements that make part of the process. These properties may be shared between different users
and Modeler installations, allowing the organization to generate standard documentation. The process modeler
has the capacity of automatically generating PDF and Word documents.
The Modeler also supports process exports in the XPDL standard, this permits the technical users to use and
share processes.
Once the Modeling phase is completed, we will move to the next phase, Automating. In this phase BizAgi Studio
is the construction environment used to automate the processes designed in the BizAgi Modeler without
requiring any programming.
BizAgi Studio is a collaborative environment, intuitive and multi-user, designed to do all of the business
model's construction activities using a graphic environment following the Zero Code concept.
The activities that are done during the automating phase are:
Data Model Definition
Forms Creation
Business Rules Construction
Resource Assignation
Integration

Executing
BizAgi Studio allows storing securely all of the work in a common environment, making cooperation possible
among teams. These participating teams may be in different locations and the people will be able to check-out
(functionality that blocks the process for the rest of the team) the processes to modify and improve them, so
once their work is completed they will checked-in (functionality that will leave the process available again) the
process so the changes and improvements are available for the rest of the team. The result of the automating
phase with BizAgi Studio is a completed Business Model that will be executed and controlled by the BizAgi BPM
Server.
Process Data
The first step in Automating is to reflect the business information required for each process using a structured
data model.
The capacity BizAgi has to support the information as a relational data model is the greatest differentiation the
tool has compared to other solutions. This permits the different processes to share information in a native way
and is going to avoid unnecessary data transportation. The possibility of managing structured information
persistently facilitates interaction with other data repositories that manage information similarly.
The result of the analysis made by the Functional and Technical Consultants is the Data Model. During this
period is when the functional consultant recognizes the information that is required by the process and the
Technical consultant determines how these requirements need to be represented in a model.
The creation of the model is entirely done using BizAgi Studio. You will have the possibility to graphically
generate each of the entities and attributes that make part of the Model. BizAgi supports different types of
attributes, which amplifies the capacity of expressing and reflecting business needs. For example, the user may
attach files to each instance of the process, without the need of new developments, simply by using attributes
type file in the forms that require them.

Forms
Once the data of the process is defined, the forms (canvas views or screens) that will be presented to the end
users need to be agreed upon. The form generator offered by BizAgi Studio is used to build the forms just
mentioned.

www.bizagi.com

10
BizAgi Functional Description

CONFIDENTIAL

Neither programming nor compilations of any kind are required. It is feasible to create the forms automatically.
In this case, BizAgi will generate for each of the entities of the data model an associated form with all of the
attributes of the entity with the corresponding attribute type. In the second alternative the user drag and drop
the fields in the process modeler and assigns one form to each activity.
Commonly in specific activities of the process, information that is registered in previous activities is required.
To fulfill this need without duplicating forms, it is viable to associate forms previously created and simply
activating the read-only property or using a Copy From functionality to bring all that information to a new form.
This is how BizAgi allows to reuse whenever it applies and avoids having in the model unnecessary elements to
increase the agility of automation.

Rules, Business Policies
Organizations are governed and controlled by certain policies or norms, which come from different strategies
and objectives of the company. As a result, restrictions, exceptions and a variety of conditions exist in most of
the activities that make part of the processes of the organization. These type of conditions should be managed
in the most agile and efficient way to be able to execute the company's strategies in the shortest possible time
and respond to the market dynamics in a timely fashion.
The Business Rule Engine provides the flexibility and the tools required to represent the different situations,
such as:
Transitions in the Process flow
Validations in Activities

Generation of consecutive numbers
Definition of User Groups in assignations
Conditions to make a field in a form editable, visible, and/or required
BizAgi helps to organize the modeling process by categorizing each of the rules according to their use. This
feature will help the user when associating each of the rules in a specific situation by only listing the rules that
correspond to the category being used.
To support the need of controlling the different business conditions, BizAgi has its own Rule Engine that
permits the user to define any condition in a graphic fashion. To accomplish it, BizAgi offers a group of wizards
which contain elements such as: if conditions, else conditions, cycles, iterations on relations, predefined
functions, web service invocations, Boolean expressions among others. All of these conditions are offered
natively by BizAgi to achieve the business conditions.
Another important feature offered by BizAgi when generating business rules is Xpath (XML Path Language),
which has been implemented to navigate through the information of the process. This is all supported on
BizAgi's Data Model, and is possible due to the fact that all the business information resides on a relational data

model. With the Intelisense utility it is possible to obtain dynamically the elements from the model making the
business rule construction easier and intuitive.

There are some cases in which the process requires the end users to manage the business rules in real time.
BizAgi has created the concept of Business Policies to fulfill this need, where the user has the possibility to
create business conditions that may be exposed in the web application.
Business policies are created in BizAgi Studio just as Business rules are created. The main difference is the
easiness in which business policies may be structured using predefined elements and the capacity business
policies have of being modified from the web application.
The available functionalities when using business policies are:
Preconditions
Decision Tables
Policy Rules
Groups of Policy Rules

Resource Allocation

www.bizagi.com

13
BizAgi Functional Description

CONFIDENTIAL
BizAgi improves the organization's efficiency by providing powerful methods to assign people to each of the
activities of the process. The assignation tools will help the organization adjust its priorities and adequately
address work to the corresponding resource.
A configured organization is required for the Assignments. Some of the characteristics of the organization that
are able to be configured are:
User Id: Identification of the user in BizAgi
Area: Department or division of an organization.
Location: Geographic location. Branches may be defined in this section, if required. In BizAgi the user
belongs to only one location.
Position: organizational structure. Indicates the positions and their hierarchical level in the
organization. In BizAgi, one user may have one or more positions.
Roles: Conduct or tasks that a person develops in the organization. In BizAgi, a user may have one or
more roles.
Skills: special capability or aptitude of doing a specific activity. In BizAgi, a user may have one or more
skills.

A task being executed by human resources is an important BPM concept that BizAgi offers natively. The
fundamental concepts for the assignations are based on two complementary concepts:
Assignation Criteria: refers to the method BizAgi uses to assign an activity. The possibilities supported by the
tool are:

By Load: the user with the least work load
Everyone: all the possible users, whoever decides to do the activity
Sequential: one after the other cyclically

Integration
BizAgi is capable of orchestrating calls to other applications during the process besides coordinating human
processes. BizAgi does not pretend to replace the transactional existing applications; instead they are going to
be used along the process, every time it is necessary.
BizAgi's integration layer allows the interaction with existing systems in the organization that use different
platforms, in order to work together according to the modeled processes. This is why it is important to fully
comprehend the standardization that is proposed by BizAgi shifting towards the implementation of SOA

15
BizAgi Functional Description

CONFIDENTIAL
strategies as an integral part of the architecture of the system.
In BizAgi it is possible to invocate web services directly from the business rules using wizards which are native
to BizAgi.

SOA
To offer an agile integration schema via SOA, BizAgi offers functionalities such as the automatic generation of
XSDs according to the data model, configuration of parameters to connect to Web Services using BizAgi Studio,
and others. To invocate the services you only require to instantiate the correct parameters in the properties of
BizAgi. No code is required to do the integration. Each of the elements used in the integration will be stored in
the data base, just like any other element generated with BizAgi. This facilitates the distribution of the solution
among the different environments.

Consumption of Web Services
BizAgi's integration layer follows the guidelines of the service oriented architecture by allowing invoking Web
Services which may exchange primitive data types (Integers, Floats, Strings). Also more complex invocations,
which use XML files as input and output, can be done as it offers an independence of platform and
programming language used by the systems involved.
The first scenario is covered by the business rule engine which allows invoking web services using the wizard.
With the wizard you can even recover information from the data model of the process to send it as an input in
the service or to store it from the response received in the invocation.
To invoke services which include XML document exchange, BizAgi offers the SOA interfaces that allow
extracting information from the process data model in an XML format, transforming it to comply with the
schema which is expected by the service through XSL. Similarly for the response an XML is received as a result

www.bizagi.com

16
BizAgi Functional Description

CONFIDENTIAL
of the invocation and a second transformation may be done to obtain the XML that is going to be interpreted by
the integration layer to finally persist the necessary information in the process data base.
When failures occur during the execution, exceptions and inconsistencies found in the XML documents are
reported by the integration layer using Xpath, which facilitates the detection and correction of problems. BizAgi
has a special repository to manage schemas (XSD) and transformation sheets (XSD) that is also used by the
wizard to configure the XML to be used and also the moment it should be invoked.
The invocation can be parameterized instead of being programmed once the schemas and the transformation
sheets are constructed, so the complexity level of integrating with other systems is reduced.
Exposing Web Services
Until this point, integration from BizAgi toward other systems has been described; however it is also possible
for other systems to consider integrating with the BPM tool. To fulfill this need BizAgi counts with its service
oriented integration layer.
Every process modeled in BizAgi is automatically available to be invoked through web services using XML
documents as input and output. Applications that invoke BizAgi's service layer may carry out tasks such as:
creating new process instances, executing activities in the process, executing events, and consulting or adding
information about the process. From the system architecture point of view, BizAgi is compliant with SOA
architectures in which the applications expose their main functionalities as a service to achieve integrations
among systems that run on heterogeneous platforms.

Other forms of Integration
Other than integrating via SOA, BizAgi offers alternative integration mechanisms that adjust to the different
technological realities of a project. At the data level, it is possible to virtualize and replicate entities from other

CONFIDENTIAL
repositories. The transparency to users that this type of integration offers is the highlight of this model. BizAgi
is who controls the technical aspects so the users will handle the information just as if the information resided
in BizAgi.
BizAgi has the possibility of associating components to the solution in more complex situations where it is not
possible to integrate via neither SOA nor data. In this case, the components will be used directly from the
business rules. Depending on BizAgi's version, the associated components will be DLLs or JARs.

3. EXECUTION
Once the automating stage is concluded, you will obtain a business model that will be executed and controlled
by the BizAgi BPM Server. The BizAgi BPM Server will be in charge of interpreting each of the elements built
during the previous stages and generating a work portal 100% web for all the participants of the process. The
BPM server is composed of specialized engines in each of the BizAgi modules such as Workflow Engine,
Business Rule Engine, and Assignations Engine among others. The end user will only execute and use each the
elements just mentioned through the web application.

Work Portal
As a result of the previously described phases, the BPM Server will be responsible for interpreting and
executing the model as it presents the BizAgi Work Portal to the end users. It is important to highlight that no
code was required to be generated in any of the previous stages.
End users are going to be able to do their job in the Work Portal. There they are going to able to find a list of
their pending activities which they are going to be able to prioritize using different criteria. Users are also
going to be able to observe information about the performance of their processes. Moreover BizAgi natively
offers prioritization of activities by using a traffic signal schema (green, yellow, red), so the end user can have
visibility of how he should prioritize his/her work.

Inside BizAgi's Work Portal the user will be able to create new cases of the processes in which he has been
granted access and will be able to consult existing cases even if he hasn't participated in them.
Besides offering visibility of the tasks a user has to work on, BizAgi is able to proactively send an email with the
required information to the user responsible for a specific task allowing him to access directly the case only by
clicking on a link.

CONFIDENTIAL
Likewise, thinking in the timely execution of tasks, it is possible to associate alarms to each activity. These
alarms will help control the execution of activities in order to reach the expected service level agreements.
Each assigned task will not only have the business information that was defined in the automating process, but
will also automatically present information about the case such as: case number, creation date, and creator
(user). To have a greater control on each case, BizAgi also presents an activity log where you can monitor who
did each activity, when was it completed, and what information of the process was modified. Furthermore, you
will be able to see graphically the actual state of the process.
Another quality of BizAgi is fast access to the information available. Using the different folder functionalities
the user is going to be able to easily organize the cases in which he/she is interested and organize his/her work
on a daily basis if needed. You will have the possibility of creating folders manually, where you are going to be
able to drag the cases you require; generating folders using wizards, that fulfill a specific business condition; or
simply using the folders that BizAgi offers natively.
Depending on the role that the user plays in the solution, he/she is going to be able to operate different
modules. If the user is an administrator he/she is going to be able to manage different elements of the
solutions such as:
Cases
Entities
Users
Alarms
Business Policies

The users who should analyze the information will have access to the Process Analytics and Business
Information Analysis Modules.

4. IMPROVEMENT

Most of the BPM solutions limit the process automation and most importantly the continuous improvement
because they require great amounts of code that make the solution inflexible. However BizAgi was made to
automate and improve human processes under a zero code schema, using the minimum amount of
programming and offering a completely graphic environment.
To achieve continuous improvement BizAgi offers analysis of information in two different ways. In the first
place, BizAgi is able to analyze business information generated during the fulfillment of the cases. This allows
management to have visibility about the behavior of the market, the internal and external customers, and those
variables that are considered critical factors of success.
Secondly, from the operational point of view, BizAgi offers a complete set of reports and performance
indicators about the processes that will allow the control and the identification of bottlenecks in the process,
causes of the bottlenecks, and in general identify improvement opportunities in your processes.
With the information extracted from the analysis of the processes, the business analysts are going to be able to
recommend and generate new versions of the processes and include them in the solution. Once again, the
improvements are going to be done using BizAgi Studio, by following the phases previously described. These
improvements will be put into production using the deployment procedure. It is important to highlight that at
the end of the complete cycle no code has been generated. Each of the steps that are part of the 4 phases has
been totally controlled by BizAgi, always based on the process. For this reason BizAgi's fundamental and
structural premise is that THE PROCESS IS THE APPLICATION.
Analysis Reports
BizAgi offers powerful tools which support managers in their decision making. With the Process Analytics
module provided by BizAgi, users will have the opportunity to have enough arguments to make convincing
decisions that will allow processes to evolve.
Some examples of the data that may be obtained from this group of indicators are: real process duration versus
expected process duration, processes and/or activities that represent the highest costs, and activities which
have the highest delays in terms of percentages among other relevant information. Some of the results that
may come out of a rigorous indicator analysis may be to increase the number of people in a team that executes
a specific task or even add new activities to the process. Indicators will be listed as follows:
Analyzer:

Business Information Analysis
BizAgi not only offers the possibility to extract information about the process using the Process Analytics
module, but also provides the possibility of extracting information about the business. The Business
Information Analysis module offers analysts the option to generate graphic and interactively multidimensional
inquiries regarding business information in the process. To achieve this you have to define clearly what
information you want to analyze, then you should decide what business variables are going to help you obtain
the information. These definitions should be made in a way that will enable you to execute different types of
analysis and to obtain results that will allow you to define business strategies that can be turned into
significant improvements for the automated business process.
One of the most important characteristics of the inquiries is that the definition of parameters is done in BizAgi
during the automating phase, but the construction of the inquiries is directly done on the Work Portal. This is
going to guarantee the business end user he/she is going to be able to control and evaluate the information of
their processes without depending on other areas of the organization.
Each inquiry made using BizAgi's module is going to list the results and will have the possibility of generating a
graphical analysis. According to the selected information, BizAgi will automatically show the user the possible
dimensions and measures to do the graphic. For each of the measures it is possible to chose characteristics
such as: count, average, maximum, and minimum.

5. Other Important Concepts
Deployment
BizAgi, just as any other technological solution, should be tested in multiple instances before it is taken into
production. BizAgi's concept to support this need is called Deployment.
The tool which takes care of controlling the process is called BizAgi Management Console. It allows mapping a
Deployment that is able to support the following situations:
Development - Production
Development Testing Production
Development Testing Pre Production - Production
BizAgi automatically controls the dependencies of the development. In other words, all of the elements related
to the process. This is why every time a deployment is required, it is only necessary to show BizAgi what
process is required to be sent, and BizAgi automatically will know which elements he has to consider. This is
how the production environment is freed from unnecessary elements.

Security
Due to the fact that the solution is executed from a Web Application, BizAgi incorporates two different levels of
security. On the first place, different methods of authentication are supported to guarantee the access to the
application. It also has a role and group schema for the users, in order to control authorization levels inside the
application.

www.bizagi.com

25
BizAgi Functional Description

CONFIDENTIAL
Authentication
BizAgi's authentication can be managed in different ways according to the reality and needs of the solution.
Depending on the architecture that is being used or location from where the end users are going to accede to
the application.
Supported authentication methods are:
Windows Authentication: This type of authentication allows BizAgi to automatically validate the users
against the domains and Windows servers, as long as the user exists in BizAgi. To use this
authentication method, BizAgi supports a native integration with LDAP, where the necessary properties
can be configured.
BizAgi Authentication: in this case BizAgi is the one who manages the authentication. The users must
only exist in BizAgi.
Mixed authentication: ideal when the end users accede to BizAgi from different locations.
Personalized Authentication: it is possible to build components to authenticate to other systems.

Authorization
Once the solution goes live for the first time, some security elements must be configured. Every user may have
a different level of permissions in the application and each user may use different modules depending on the
role they have configured. This is how BizAgi manages the access levels to the application.
BizAgi Management Console is the tool used to configure the security of the solution. It is possible to
determine access levels to elements such as: entities, new case creation, analysis module, management
module, and policies among others. Access levels are determined by associating user roles or groups to each.
