Rental Agreement:

The Bridge Building


Securing a Date
If a representative of Te Bridge Building Event Spaces informs you of the availability of a
date, there is no assurance that the date will remain available without receiving a signed Rental
Agreement and a Venue Payment in the amount of 50% of the Rental Rate plus sales tax. Te
remaining 50% Rental Rate plus sales tax payment is due thirty (30) days afer the signature date
of this Rental Agreement.
Payments
All payments must be made through the iCheck Gateway. All clients will be emailed a digital
invoice with payment instructions.
Venue Payments
An initial deposit in the amount of the 50% of the Rental Rate plus tax is required to book the
space, with the remaining amount of the Rental Rate plus tax due thirty (30) days afer the
signing of this Rental Agreement.
Any late payments will incur a 10% late fee, and at Te Bridge Building Event Spaces discretion,
may lead to termination of event and forfeiture of all venue payments.
Event Payments
Te frst event deposit of 50% of the total charges is required sixty (60) days prior to event with
a signed Catering Contract. All prices on the catering contract are subject to change. In order
to lock in prices, a signed Catering Contract must be received but the selections on the Catering
Contract be amended up to 14 days prior to event. Any changes to the Catering Contract will
be billed at the current menu price at time of selection. Event payments include (food and
beverage, alcohol, service, rentals, AV, entertainment, dcor, transportation, security, linen, and
any other requested item for your event). For outside services requested by the client which
require a deposit, the payment will be made from client before said service will be confrmed.
Final payment must be received ten (10) business days prior to the event date. Any remaining
balances on the day of the event will automatically be charged to the card on fle plus the 3%
processing fee.
Any late payments will incur a 10% late fee, and at Infnity Events & Caterings discretion, may
lead to termination of event and forfeiture of all event deposits.
CC Processing Fees
Any payments or deposits made by credit card will be charged a 3% processing fee.
Rental Agreement
Cancellations
All cancellation notifcations must be submitted via a confrmed e-mail or in writing delivered
by certifed mail. If cancellation occurs before all venue payments have been made, the
remaining balance will be charged to the Credit Card on fle plus the 3% processing fee on the
day of cancellation. If Te Bridge Building Event Spaces receives a cancellation notifcation 6
months prior to event date, all payments and deposits, with the exception of the Venue Payments
plus sales tax will be refunded. If cancellation notifcation is received between 6 months and
30 days prior to the event, all payments and deposits are non-refundable, which includes all
payments made to Te Bridge Building, Inc., Infnity Events & Catering, Inc., and any vendor
contracted on your behalf by Te Bridge Building, Inc. or Infnity Events & Catering, Inc. If
cancellations occur less than 30 days prior to the event, all contracts with Te Bridge Building,
Inc. and Infnity Events & Catering, Inc. are due whether or not the event takes place. Any
remaining balances for an event cancelled with in 30 days that are unpaid will be applied to the
credit card on fle with a 3% processing fee on the date of the event. If cancellation occurs per
Te Bridge Building, Inc., all payments, deposits, and security deposit will be refunded, unless
cancellations was a result of non-payment by client.
Insurance, Event Insurance, and Liability
Te Bridge Building Event Spaces maintains liability and personal property damage insurance
insuring Te Bridge Building Inc., Infnity Events & Catering, and any employees, contractors,
and contracted vendors against all bodily injury, property damage, and personal injury. Te
Bridge Building Event Spaces and Infnity Events & Catering are not liable for any damages that
its Insurance carriers fail to cover.
Losses arising out of Clients use, Clients occupancy of the premises, or any guest of the Client
will the responsibility of the Client. You, the Client, are personally responsible for the actions of
your guests and all vendors. Te Bridge Building Event Spaces and Infnity Events & Catering
is not responsible for any loss, interruption, or disturbance of event. Any entertainment booked
by the client must provide a certifcate of insurance and sign the Outside Vendor Form for Te
Bridge Building, Inc.
Event Insurance
It is strongly encourage that the client obtain private event insurance. For more information on

If alcohol is to be served, Te Bridge Building Event Spaces suggests that the policy includes
Liquor Liability coverage to protect you against alcohol-related accidents, as you are ultimately
liable for the safety of your guests.
Rental Agreement
Event Hours
Te Bridge Building Event Spaces has many diferent rental options regarding event space
available and the amount of time they can be rented. Please speak to your Event Specialist about
which package would best suit your event. Standard times:
Morning 9:00AM to 2:00PM
Evening 3:00PM to 12:00AM
All Day 9:00AM to 12:00AM
*Custom Additional Hours are available
Items Associated with Renting Te Bridge Building Event Spaces
**In Addition to Venue Rental Price**
Catering
Te Bridge Building Event Spaces ofers a full catering menu as well as custom design menus
from Infnity Events & Caterings Certifed Executive Chef, Tabor Luckey.
Outside caterers will be permitted but must be approved by Te Bridge Building Event Spaces.
Upon approval, outside caterers must submit Outside Catering Liability Waiver, a required
Certifcate of Insurance, Catering Security Deposit, and Catering Contract for event. All
documents must be received 14 days prior to the event date. Te outside catering fee is 20% of
the Food and Beverage bill charged by the outside caterer with a minimum fee of $2,000 plus tax.
Other addition fees my be required in order for outside caterer to provide services at Te Bridge
Building. Infnity Events & Catering will provide the same amount of staf required for the
event, as if they were the caterer, regardless of the amount of staf the outside caterer provides.
Bar Services
All alcoholic beverages will be provided by Infnity Events & Catering. Please ask to speak with
your Event Specialist to select the bar package of your choosing.
Event Management
Te rental of Te Bridge Building Event Spaces includes the optional use of the event
coordination services of our Events Specialist on staf at Infnity Events & Catering. Te Event
Specialist can coordinate every detail of your event from design, menu, lighting, entertainment,
and any additional services you may need.
All weddings that include ceremony and reception require a minimum amount of event
planning.
Outside Certifed Event Specialist/Planners are welcome to hold any event at Te Bridge
Building Event Spaces. No outside event specialist participating in the event will be permitted.
Rental Agreement
Wedding Ceremony Fee
A Fee of $500 is due at time of booking if a Wedding Ceremony will be taking place on the
property.
Tenting
Any tent requests for an event located at Te Bridge Building Event Spaces must be submitted to
Infnity Events & Catering ffeen (15) business days before the event, in writing or an e-mail. A
request that a tent is NOT to be up during an event must also be done ffeen (15) business days
prior to the event. Any request to put up or take down a tent within ffeen (15) business days
of an event cannot be guaranteed and will result in an additional $600 plus tax rush permit and
labor fee if the tent is available. Te roofop tent in included with the venue rental however, all
rush fees and taxes will apply for orders afer (15) business days before the event. Te Client is
responsible for all other tent cost, including the tent permit fee.
Heating or Air Conditioning may be required depending on weather and or time of year in order
to ensure use of tented area. Te Client is responsible for the cost of all Heating and Air. Your
Event Specialist will determine what is required for your event.
Flowers and Dcor
Infnity Event & Catering Event Specialists are available to help you with all of your foral and
dcor needs. Our Event Specialist work with a selection of talented forists and dcor providers
who can help ensure your event will be everything you imagined. Outside Event Specialists
are welcome to use the vendors of their choosing provided they meet the Outside Vendor
Requirements specifed by Te Bridge Building Event Spaces.
Equipment Rental/Lighting/Sound
Infnity Event & Catering will provide all equipment rentals, lighting, and sound at clients cost
based on selection, which will be coordinated by your Event Specialist.
Other Electrical Needs
Any special electrical needs must be submitted for approval by Infnity Event & Catering,
especially any live music needs. Any outside power source required for event will be an
additional cost to Client.
Security
All events at Te Bridge Building Event Spaces will require security. Infnity Event & Catering
will determine the level of security required for your event. Te client is responsible for
all security costs. All facilities of Te Bridge Building Event Spaces are monitored by video
surveillance.
Rental Agreement
Coat Check
Infnity Event & Catering will provide a coat check at cost to Client when needed. Te Bridge
Building Event Spaces and Infnity Event & Catering are not responsible for lost or stolen
materials. Te Bridge Building Event Spaces will hold lost and found items for up to a week afer
event. Te Bridge Building Event Spaces will do everything possible to return lost items but will
discard said items afer seven days post event date.
Outside Disturbances
Due to the unique location of Te Bridge Building in the middle of downtown Nashville, no
event that is not taking place inside Te Bridge Building Event Spaces or run by Infnity Events
and Catering will be grounds for cancellation.
Transportation and Parking
On all standard event days, the R Parking Lot of the Titans stadium, which has 770 parking
spaces, may be accessed. Due to the location of Te Bridge Building Event Spaces, certain days
called Stadium Event Days may be planned by LP Field, Sports Authority, or other government
entities at their own discretion. Te Bridge Building Event Spaces will make every attempt to
notify the Client as soon as possible; however notice of these Stadium Event Days may come
at any time prior to your scheduled event. If a Stadium Event Day were to prohibit access to
parking for your event in lot R, Valet Services may be booked through Infnity Event & Catering.
On these Stadium Event Days, a private parking lot, located under the Korean Veterans Bridge,
will be ofered for setting up an of-site valet at the clients cost.
Operational Policies and Procedures
Operational Cost
All food and beverage including alcohol provided by Infnity Events & Catering is subject to a
20% operational cost.
Service Charge
Infnity Events & Catering will determine the appropriate amount of staf required for your
event. Te client is responsible for all service charges.
A Bridge Building facility manager will be required at a cost of $200.00 per event.
Deliveries and Load In/Out
All deliveries and load in/out must be coordinated through your Event Specialist. All event
related items brought in must be removed from the building by the conclusion of the contracted
rental time.
Rental Agreement
Entry and Exit
Designated entry and exit to Te Bridge Building Event Spaces will be assigned by the Event
Specialist based on the needs of your event.
Wedding Ceremony Rehearsals
Te Bridge Building Event Spaces will allow a rehearsal one day prior to the wedding ceremony
which is included in the Ceremony Fee. Your Event Specialist will determine the time of the
rehearsal. Te Bridge Building Event Spaces cannot guarantee the rehearsal will be in the actual
ceremony location due to other events occurring on the day.
Use of Glue/Tacks/Nails/Tape, etc.
Te use of glue/tacks/nails/tape is not permitted within Te Bridge Building Event Spaces.
Candles, Confetti, and Fireworks
Candles are permitted within Te Bridge Building Event Spaces but must be in a container
deemed acceptable by Te Bridge Building Event Spaces. Te use of confetti is not permitted
within Te Bridge Building Event Spaces. Te use of freworks or fame-ignited efects are not
permitted within Te Bridge Building Event Spaces.
Housekeeping
All housekeeping is provided by Te Bridge Building Event Spaces. All items brought to facility
by Client must be removed at completion of event. Te Bridge Building Event Spaces will not be
responsible or liable for any items lef on the premises.
Responsibility for Behavior of Guests and Vendors
All Clients agree that their guests will comply with all City, County, State, and Federal Laws. In
addition, any damage or litigation resulting from the actions by guests or outside vendors will be
the liability to the signed party of this rental agreement.
Smoking
Smoking in not permitted within 25 feet of Te Bridge Building.
Live Animals
Live animals are not permitted within Te Bridge Building Event Spaces. In compliance with the
Americans with Disabilities Act, trained service animals will be allowed to provide assistance to
an individual at Te Bridge Building Event Spaces.
Rental Agreement
Use of Name/ Promotional Material
Any use of Te Bridge Building Event Spaces name, logo, or image depicting Te Bridge
Building Event Spaces must be approved by Te Bridge Building Event Spaces.
City, County, State, and Federal Laws
Client agrees to comply with all applicable city, county, State, and Federal laws and shall conduct
no illegal act on the premises. Client shall not sell alcohol on premises at any time. Client may
not serve alcohol to minors on the premises at any time. Client agrees, for everyones safety,
to ensure alcoholic beverages are consumed in a responsible manner. Te Bridge Building
Event Spaces reserves the right, in its exclusive discretion, to expel anyone who in its judgment
is intoxicated or under the infuence of alcohol or drugs, or who shall in any manner do or
participate in any act jeopardizing the rights, use permit, or insurability of Te Bridge Building
Event Spaces, or the safety of its staf, guests, or building contents.
Final Guest Count
A fnal guest count must be received 14 days prior to event.
Agreement is Binding
I have read the above Event Rental Agreement and Policies and understand that it is my
responsibility to share these with my guests, outside Event Specialists/planner, and any vendors
with whom I contract to provide goods and services at Te Bridge Building Event Spaces. I agree
to these terms and conditions.
