The customer service department of Avery +ennison (angladesh limited is divided into
two areas.
$irst one is %ustomer service and
&econd one is ?rder input
%ustomers are of the first priority today in order to achieve the goal of the company. And
the customer service department plays a big role in the progress of a product. They are
the frontline fol#s the customers have first contact with. Juic# and timely delivery is
inevitable. %ustomer service representatives are responsible for order handling and ta#ing
care of the existing customers. It does not develop new accounts, but ta#es care of the
existing customers order fulfillment and delivery.

Customer service responsibilities:
The main tas#s of the %&. for which they are responsible are discuss below=
2rder processing: %ustomer &ervices .epresentative can receive
order from a customer through email, telephone, and fax or can be
handed in person too. After receiving the order sOhe has to fill up the
?rder %larification .e2uest $orm with reference to the %<& sheet O
)?$ O %+, C'% +etails LsiAe, code C'% number etc.M and transfer it to
the ?rder ntry ?perator. And the order entry operator would ma#e a
new factory sheet using KA system. Then heOshe #eeps record in the
order logboo# for this specific order, and sending bac# the documents
to the customer service representative. The factory sheet and other
documents are also sent to the <A% room for processing of the
production.
Sending proforma invoice to t"e customer= After processing the
order customer service representative has to fill up the proforma
invoice .e2uest $orm with reference to the factory sheet and as#ed the
$inance ?fficer to raise the 'I. If the re2uest form place to $inance
officer at first half of a wor#ing day, heO she is responsible to raise 'I
within second half of that day. In case of urgent order heOshe is
responsible to raise 'I at any time within the wor#ing hours. Then
finance officer send it to customer service representative and %&.
forward it to the customer.
0ollo5 up t"e orders in t"e production floor: %ustomers may as#
for a layout to see the sample of their orders. Then after being as#ed,
the <ac +esigner submits the paper to the %&.. %&. as#s the ?rder
ntry ?perator for putting a seal on it and send it to 2uality control for
proofreading. Then the layout is transfer to the %ustomer %are people.
The customer care people send that layout or sample of order to the
customer by mail, or fax, +7) anyhow, for customers approval. If
customers approve the layout they will send the mail of approval and
the signature of the customer must be attached to the factory sheet.
Then the %&. forward the papers to the ?rder ntry ?perator so that
the order process flow can follow its normal path. Then they are
responsible=

To record any changes with regard to the product
To maintain and update the customer file.
To record the complaints and ma#e #nown to the concerned
person about it.
To inform the Account xecutive in case of any discrepancy
from the guideline is found.
To dispatch the order in time.
To send the cc of every amendment, confirmation, order to the
Team )eader.

customer to open a letter of credit. They also inform the customers
about the )O% terms and conditions. Then %ustomer open letter of
credit on the basis of proforma invoice and send a copy of credit letter
to commercial department of Avery +ennison. %ommercial

(rea#down and &iAe +etails to the verifier to verify. To start verification verifier will use
the menu option.
