JOB DESCRIPTION

Job title: Programme and General Manager - National Orchestra for All



The National Orchestra for All (NOFA) was set up in 2011 to address a gap in music provision
for 11-18 year olds, and was registered as a charity, Orchestras for All, in January 2013.
Inspired by Venezuelas revolutionary El Sistema music programme, NOFA is a very dynamic
and fast-growing new youth orchestra with inclusion and diversity at its heart. Players do not
audition. Instead, they are nominated by teachers for commitment to music-making, particularly
in difficult circumstances. Even though we are non selective, we set extremely high musical
standards and expectations for our members, and have performed at world-class venues
including the Royal Albert Hall, Southbank Centre, Dukes Hall at the Royal Academy of Music
and the Butterworth Concert Hall at Warwick Arts Centre. The orchestra will be performing at
Leeds Arena later this year. NOFAs approach has already produced some remarkable results
and the past year has been a period of intense growth, including a pilot of its in-school and
community-based modulo programme of smaller ensembles spread throughout the country.

NOFA seeks to employ a full-time Programme and General Manager to join our small team and
manage the organisation operationally. This is an exciting time to join NOFA. Since January
2013, the organisation has successfully raised over 200,000, attracted major donors and
supporters in the arts, education and social change sectors and is rapidly becoming a highly
respected, important player within these fields. The Programme and General Manger is a key
role in the organisation and offers the opportunity to help shape the direction of NOFA and to
support the organisation as it moves into the next stage.

We are looking for a highly motivated, organised and enthusiastic individual who is committed
to NOFAs vision.


Job Outline:

To manage all logistics and production for NOFA activities
To support the Modulo Manager with the logistics for Modulo Programme events and
Conductors for Change events
To manage NOFA membership and the nomination process and to build positive
relationships with families.
To assist the Executive Director (provisionally joining from Jan 2015) and the Artistic
Director in fundraising and pitching to funders
To manage staff and volunteers at NOFA events and courses
To develop NOFAs publicity and fundraising material

To support the Executive Director and Artistic Director in assessing effectiveness and
impact
To provide administrative financial support
To provide general administrative support and office management

Criteria for success:

Take key logistical and administrative pressures off the Executive Director and Artistic
Director
Productive relationships with Executive Director, Artistic Director and Modulo Manger
and the trustees of NOFA, Achievement for All, key supporters, and participating schools
Productive relationships with NOFA families and schools


Key Tasks:

Programme Management

Events
Plan and organise all logistical aspects of NOFA activities
Produce events including fundraising events
Support the Modulo Manager to deliver Modulo Programme events
Liaise with all partners involved in event management
Manage relations between event venue staff and NOFA
Relay cost details to organisation and ensure payment
Design invitations and devise guest lists for funders and invitees

NOFA Membership
Contact with teachers, schools and music hubs
Manage current and new member nominations and applications
Write up and send out all course information and forms to parents and guardians
Manage all correspondence with players parents and teachers
Manage relationships with players and their families
Manage relationships with schools and teachers

General Management

Administration
Manage all incoming and outgoing correspondence
Manage info@nofa email
Implement and maintain office and digital filing systems
Manage and maintain the Salesforce database of all contacts
Manage general office administration
Act as secretary to board of trustees
Organise meeting rooms and visitors
Take minutes of meetings
Manage stationary supplies

Fundraising
Donation management
! Record donations on spreadsheet and management accounts
! Manage thank you emails and letters
! Manage donor correspondence and cultivation e.g. newsletters, invitations to events
! Manage the online donation platform
! Manage Gift Aid
Funding Applications
- Assist with budgets and formatting
- Manage correspondence with trusts and foundations e.g. grant acceptance
forms/invoices
Act as NOFA ambassador outside workplace to help increase donations and support

Publicity
Design event invitations, concert programmes, and other NOFA publicity material


Finance
Supported by the Executive Director and Trustees
Produce and maintain management accounts with the support of the Executive Director
once in place (Jan 15)
Produce forecasts using different likelihoods of prospective funding with the support of
the Executive Director once in place (Jan 15)
Monitor and forecast income and expenditure
Receive and make payments
Produce formal accounts for grant applications and donor reports
Draft annual accounts
Manage online banking
Review insurance policy needs at time of renewal

HR
Recruit and manage staff and volunteers
Manage invoices and payments to self-employed staff members
Manage payments (and tax deductions) to PAYE staff members
Contact for all staff members (orchestral tutors, pastoral staff, volunteers, guest artists)
before, during and after all events and activities

(Social) Media Management
Manage NOFAs Facebook and Twitter accounts to raise awareness and broaden
outreach
Manage the website - content and design, online donation portal, weekly updates,
promotion of upcoming events and fundraising opportunities
Produce a media archive of all publicity

RELEVANT SKILLS AND KNOWLEDGE


Skill Required Preferred
1) Communication and External Relationships
Excellent written and oral communication skills
Ability to build productive relationships with a wide range of partners
and stakeholders including parents

Practical knowledge of website management and social media
Experience of or demonstrable interest in and aptitude for fund-raising
2) Organisation and Administration
Time management ability to work to tight deadlines and prioritise
workloads without close supervision and guidance

Track record in project management and planning and delivering
successful events

Office management experience of implementing and/or maintaining
efficient office, desktop and email filing systems

Experience of management accounting
Spreadsheet-based financial management experience of managing
invoices and receipts, monitoring and forecasting income and
expenditure, and preparing accounts

Ability to efficiently manage correspondence
Knowledge of database management
3) People Management
Effective leadership and management skills
Experience of volunteer Management
4) Computer Skills
Up to date IT knowledge including word processing, spreadsheets and
email

Experience or willingness to learn basic skills in desktop publishing,
presentations (e.g. Powerpoint) and website design and management
