First of all let me tell you something about operating system (How computer understands what you want to say) & softwares (set of intelligent commands for getting the specific work done). Computer is a dumb machine. It is not as intelligent as you are. Probably this might be the hard fact for you to believe. But it is so hence we have to tell each step to the computer so that it can perform it in a better fashion. The speed of operation, accuracy & capacity to do multiple operations tirelessly is the strength of the computer & hence it is been utilized everywhere. As it is said money is a good slave but a bad master, we can safely say same for the computer. Hence why not make computer your good slave instead of it becoming your bad master. Operating System: If you go to foreign countries and possibly do not know their native language (foreign language) you have to take an interpreter with you who can understand your as well as foreign language. With the help of interpreter you can understand what the foreigner wants to say and the foreigner understands what you want to say. Similar to the interpreter the operating systems works for us, you can understand what the computer want to say & the computer understands what you want to say. There are different types of Operating Systems like: Windows 98, 2000, Windows XP, from Microsoft corporation and Linux, an open source free ware operating system. The popular choice is Windows at present because of the ease of their operation however, after year 2007 Linux operating system will dominate the market. Softwares: Softwares are nothing but the huge set of commands given to the computers for carrying out a specific job. Since, we are only concerned about the beginners in computers, I shall restrict myself here only for few office related softwares. Office suite is the complete set of the software provided by Microsoft corporation, which includes various softwares like: Word, Excel, PowerPoint, and Outlook. The function of the software in brief is given below and thereafter you will see lot of specific activities done by the same software. SECTION I WINDOWS (the operating system) TASK I HOW TO CREATE FILES AND FOLDERS

Open the Folder in which the New Folder or Files is to be created. Open the File Menu and choose New option from the Menu. Now choose Folder from the New Sub-Menu And finally type the Folders name.

Select file(s) to be copied or moved and then select the Edit Menu

From the Edit Menu select either Copy or Move option. Select the destination Folder. And again select the Edit menu. Finally choose the paste option from the Menu.

TASK III HOW TO DELETE FILE(S) OR FOLDER(S)


Select File(s) or Folder(s) that have to be deleted. Select the File Menu From the Menu select the Delete option. The File will no longer appear on the Screen.

TASK IV HOW TO RENAME FILE(S) or FOLDER(S) Select File(s) or Folder(s) that have to be deleted. Select the File Menu From the Menu select the Rename option. This will allow you to type a new name to replace the current name. TASK V HOW TO APPLY BACKGROUND TO THE SCREEN

Select the display option from the Control Panel Window, of the Settings Menu. Another Window is displayed. From this Window select Background tab or button. Select any of the Bitmaps from the given list. And to format the Bitmap either choose Tile or Center Radio Button. To apply these changes press OK button

TASK VI HOW TO APPLY SCREENSAVER


Select the settings option from the Start Menu From the settings Sub Menu select Control Panel option and a Window is displayed. From the Control Panel Window select the display option. And a Display Window is shown on the Screen. From this Display Window select the Screensaver button. A list of Screen Savers displayed in the Window. From this list select the Screensaver, which you want. To apply the changes press OK button

TASK II HOW TO ENTER DATA IN MS EXCEL WORKSHEET

Move the Mouse pointer to the Cell in which the data needs to be entered. Double click on the Cell where the Mouse pointer had been placed. To start always type = before entering the formula. Enter data in the Cell. As you type in the Cell, the Contents of the Cell appear in the Formula bar of MSEXCEL. [Example: To calculate SUM of 145 and 560, do this: select the cell, type =145+560 and then press Enter. Thats it. Let your imagination ride now and give Excel the toughest job which it will do in seconds]

Press the ENTER Key and the mouse pointer moves to the next row of the same Column. TASK III HOW TO USE NOW FUNCTION

Move the Mouse pointer to the Cell in which the data has to be displayed. Type = Now () in the Cell where the Mouse pointer has been placed and press the ENTER Key. The current date and time are displayed in the specified Cell.

TASK IV HOW TO USE MONTH FUNCTION


Place the Mouse pointer in the Cell where you want the Month to be displayed. Type the Formula = Month [Cell Address]. The Cell address is the address of the Cell where that Date is stored for which the Month needs to be displayed.

TASK V HOW TO USE AVERAGE FUNCTION


Place the Mouse pointer in the Cell in which the result of the Average function has to be displayed. Type = Average [range of Cells] in the Cell where the Mouse pointer has been placed and press the ENTER key. The range of Cells is the address of the Cells for which the average has to be calculated.

Select the Custom Option from the Options that are displayed. Type the Formula for performing Custom Formatting in the Text box that is provided. Select the range of Cells that needs to be converted into an HTML document. Select the Internet Assistant Wizard from the File Menu. The Screen displaying the Step I of Internet Assistant Wizard is displayed. The selected range of cells that need to be converted into the HTML document is displayed in the range Text box that is displayed. Click on the Next button. The Screen displaying the Step 2 of Internet Assistant Wizard provides two ways for conversion of the data into an HTML document. Select the first option that is provided.

Repeat last two steps until you have added all the points for te slide. Click anywhere outside the text block to view how the text will look on the slide.

Task XIII How to Change the case of the Text


Select the text for which you want to change the case Select Change Case under the Format menu Select the appropriate option Click on the OK button

Task XIV How to Check the Spelling Mistakes

Open the presentation you want to spell check Select Spelling under the Tools menu Select the appropriate Command button such as Ignore, Ignore All, Change, Change All or Add The spelling checker takes the indicated action and then highlights the next unrecognized word. Repeat last step until the Spell Checker displays a message saying that the entire presentation has been checked. Click on the Close button

Task XV How to Save Presentation


Select the Save As option from File menu Enter the file name in the Save As Dialog box Click on the Save button

Task XVI How to Add Header or Footer


Select Header and Footer under the View menu Select the Slide tab to add a Date and time, Slide number and Footer text to a Slide, or select Notes and Handouts tab to add Date and time, Header, Page number and Footer to Notes and Handouts. Click on the Apply button to apply settings to the current slide or click on the Apply to All button to add to every slide in the current presentation. You can also add a header to your slide by selecting the Master Option from the view menu and then selecting the Slide Master option from the Master Submenu.

Task XVII How to Add Clip Art Pictures


Select the Slide into which you want to insert the Clip Art. Select Clip Art under the Insert menu alternatively, if your slide contains a Clip Art Placeholder, double-click on it. In the Clip Art Gallery dialog box, choose a category from the Categories list to view.

Task XVIII How to Print a Presentation


Open the presentation you want to print Select Print under the File menu Invoke the drop-down menu for the Name box to open a list of all installed printing devices and select a printer. Make appropriate selections in the Print range area of the Print dialog box - you can print only the current slide, all slides the slides selected in the presentation, or a range of slides that you specify. Make appropriate selections from the Print what drop down list of the Print dialog box Click on the OK button to close the Print dialog box and print the active presentation

Task XIX How to Run a Slide Show


Open the presentation for which you want to run the slide show Select the first slide you want to display Click on Slide Show button at the bottom of the screen. PowerPoint displays the first slide in the presentation To advance to the next slide, click the mouse button Continue clicking the mouse button until you view all the slides To stop the slide show press the Esc key

Task XX How to Run a Slide Show in Continuous Loop


Open the presentation Switch to the Slide Sorter View by clicking on the Slide Sorter Option from the View menu Choose Select All under the Edit menu to select all the Slides in the presentation Select Slide Transition under the Tools menu In the Advance area, select Automatically after and type the number of seconds you want each Slide to be displayed. You can also set the same Transition for all Slides in your presentation by selecting an option from the Effect area. Click on the OK button Select Slide Show under the View menu

If you want to display only some of the Slides type the number of the beginning Slide in from box and the ending Slide in the to box. If you type a number only in from box PowerPoint displays the presentation starting from the Slide number you specify. In the Advance area, choose Use Slide Timings. PowerPoint will use the automatic timing option you specified in the Slide Transition dialog box. Select the Loop Continuously Until Esc option in the Slide Show dialog box Click on the Show button to start the slide show.
