This document has been produced to guide our customers around the online accommodation sales website and demonstrate how to book accommodation for the 2014 FIFA World Cup Brazil. The site has been produced by MATCH Services AG (MATCH) who operates the 2014 FIFA World Cup Accommodation Office (FWCAO). MATCH has been appointed by FIFA as the official accommodation provider for the 2014 FIFA World Cup Brazil and all FIFA World Cup related events. Please note: room inventory for the 2014 FIFA World Cup may be limited. How do I access the website?
To access to our website just go to: http://www.fifa.com/worldcup and then click on Organization" and you will see the Accommodation website access link. You can also access directly on the website going to http://hotels.fifa.com

What does the website do?

2014 FIFA World Cup Accommodation website will provide you with full information about the hotels contracted by FWCAO for the event and it will give you the opportunity to book rooms at your preferred hotel. The websites features include: Hotels Search Engine Hotel List including full information about the hotel location with distances to airports and stadia, contacts information, photos, facilities, rates and availability A map to review the results of your search per location Booking system with secure on-line payment Customer account login to view and manage your bookings FAQ (Frequently Asked Questions) page for general information about bookings on our website

Where to start?
All these features are accessible directly from the Opening page, where you will see a short introduction, an option to view the map, a hotel list including a random selection of hotels and the Find a hotel search option. From this page new customers can begin the booking process and existing users can access their customer accounts.

3.0 Find a Hotel

Using the search fields, you can browse for hotel information or search for available inventory. The Find a hotel search tool can be found on our Opening page (see picture below and the highlighted area)

Using the selection criteria in the Find a Hotel section, you can narrow down the results of your search, to find hotels that meet your requirements even faster.

The filters work as follow: Hotel Name You can either enter a specific hotel name (for example, Sheraton Rio Hotels & Resort), or a word string included in the hotel name (for example entering Rio would return the following results: Sofitel Rio de Janeiro Copacabana, Ibis Salvador Rio Vermelho, Mercure Salvador Rio Vermelho, etc), or just leave it blank (in that case, no filter applies for hotel name). Venue or Area. You can select which venue (Host City) or area you would like to find a hotel. This will show you all hotels in this area. A number of cities may be associated with one venue or area provided they are located within a reasonable distance from that venue or area. City. Selecting from the city list directly you can search hotels in a more specific location. This is not a mandatory field so if you dont know, leave it blank. Alternatively, you can also select the city only and leave the Venue or Area field blank if you do not know which area you preferred city is attached to. Check-in Date and Check-out Date: If searching for room availability, it is mandatory to populate both fields with your required dates. Do not complete these fields if you are looking for general information on hotels. Numbers of Rooms, Guests per Room and Beds per Room: Select from the options available and the search results will appear matching your requirements (subject to availability). Do not complete these fields if you are looking for general information on hotels. Distance To: Click to view the distance options, and then choose your preferred distance from the hotel to stadium or airport from the drop down list provided. The default value is 10 km, however you can select from 1 km to 20 km using the scroll bar. Facilities: In this section, expand the field and select specific services or facilities you would like at your hotels. Search results will only display hotels that contain these services or facilities. Options are grouped by: Hotel Facilities Recreational Facilities Dinning & Entertainment In-Room Facilities

Select Classification: Through this field you select the preferred level of hotel (1 to 5) Display only hotels with rates: If selected, only hotels with rates available will be displayed.

4.0 Search Results

After using the Find a hotel search tool a list of results will be displayed as per the example below. Here you can review the hotel information and specific details about each hotel.

Use the Show / Hide Map (see screenshot above) to display a map showing the result from your search. Please see the example below. Select to see the Hotel results as well as Stadia and Airports. The map is available in standard or satellite view by clicking on the red buttons highlighted above.

Sort your results

Sort your search results by Price (ascending or descending), Classification (ascending or descending), Airport distance (ascending or descending), Stadium Distance (ascending or descending), and City (ascending or descending). This can be done by selecting one of these criteria in the sorting options:

If no dates have been provided in the Opening Page, both Check-in and Check-out dates will appear empty, allowing the client to enter Check-in and Check-out dates here, and searching for availability (by clicking on the Search button [8]). All fields in the Find a Hotel box can be modified allowing the client to search for availability according to their search criteria. The list will be displayed only if Check-in and Check-out dates have been populated in the Find a hotel box. Otherwise, it is necessary that you enter these dates in the Room Rates tab and click on the Search [8] button. If no availability exists for the dates entered by you, a message will appear notifying you. There are two types of messages: If the hotel does not have availability for the dates entered, but there is availability for other periods, then the website will indicate No Rooms available for the selected dates and provide some alternatives below the message Some Alternatives are available for nearby dates (see below):

PLEASE NOTE: If no alternatives are available, the website will notify you as follows: No Rooms Available Calendar button shows the calendar view, which illustrates the availability per month. The level of availability will be shown by colours within the calendar.

5.0 How to Make a Reservation

Adding rooms to the Shopping Cart Once you found the rooms you need, click on the Book [9]. The room(s) will then be added to your Shopping Cart and a window will appear asking if you would like to continue shopping or proceed to the check-out / payment (see below):

Should you choose Continue Shopping your pre-selected rooms will remain in the Shopping Cart [10] for 10 minutes until you decide to proceed to payment. As you add more bookings to your shopping cart, they will appear at the top left corner of your browser (see example below):

6.0 Payment
The payment process involves entering some personal information including guest name per room, credit card information and billing address. Once your booking has been added to the shopping cart, you can proceed to payment: By clicking on Check-Out (see image below):

Important: Once you go to proceed to check-out to finalise your bookings, the website will ask if you are a Brazilian resident or not. Brazilian residents will be charged in BRL, while international clients will be charged in USD.

As soon you get into the check-out process, you will see a window as per below:

Note: Once you proceed to check-out, your reservation will be blocked for a 10 minute period. If you do not make the payment during this time, the website will ask you if you need more time or not. If you say yes, it will give you a further 10 minutes, if no your session will expire and you will be returned to the opening page. (see image below)

If for some reason you have more reservations on you Shopping Cart than those you really want, you could delete them by clicking on the Delete [11] bottom on the right side of the reservation (see below)

Then just click OK and the reservation will be removed from the Cart [10]

Guest Names
For each room selected you must provide a guest name by putting the name on the Guest Name box. The guest names provided during the booking process will be indicated on the e-vouchers (your booking confirmation) so it is extremely important that this information is accurate and matches the name on your passport or ID card. Without your name on the eVoucher you will not be able to access your room(s).

If you have any information or request you would like to make to the hotel please click the Remarks [12], then add your remark. The hotel will receive this information together with the booking. Please note, Remarks information is provided to the hotels but any special requirements are not guaranteed.

Payment Details
Once the room information is complete, you can proceed to make your payment.

All fields with * must be completed. When you enter the email address, please do so carefully, as all correspondences will be sent to this address. If you change your email address after making bookings with us, please notify our sales team of your change of address at enquiries@2014fwcao.com.

The site will double check your nationality in order to ensure you are charged the correct currency (see image below)

If you are already registered on the website, you can sign in for an easy purchase. The website will recover all your details, and only your credit card details for payment will be required.

If wrong credit card details were inserted, the website will not process your reservation and error information will appear on the window (see image below)

Once all the information is correct and you confirm the acceptance of the Terms and Conditions of Sale, you can complete the booking.

Once the booking is confirmed, a confirmation will appear and will also be sent to the email provided. PLEASE NOTE: Once you confirm the booking on-line, you are bound by the Terms and Conditions of Sale

7.0 Login and Related Functionalities

Existing clients can login into the system by clicking on the Sign in to purchase faster link shown below:

BE CARREFUL: The login on the top of the page is for the FIFA CLUB and not for hotel booking website.

Clients can login into the system with the user name and password provided on the booking confirmation. Once logged in, the My Account Details [13] icon will appear on the left side of the screen. Click on the icon and you will see a message Signed as <<username>>, with three options: Sign out, Manage your bookings and Change Password:

8.0 Change your password / Forgot Password

Through this functionality, clients can change their password or get a new one if their password has been forgotten.

Click on Forgotten your Password and follow the instruction provided by Password Assistance (see image below)

9.0 Manage your bookings

This functionality displays a summary of the reservations made so far by you. The Previous Reservations screen is shown below:

You will see two buttons, Continue Shopping and Available Actions If you go to Continue Shopping, you will be redirected to the initial page where you can repeat the booking process to make further reservations (as explained before in this Guide) If you select Available Actions you will access to the following action list:

Edit Guest Names: Simple and Easy! Just amend the Guest Name in the box and click Save Changes.

Amend Dates: In this section the customer can amend the Check in and to Check Out dates (subject to availability). Note that you will be charged for extra nights.

View Payments: To see the payment status for each booking

Cancel: In this section clients can cancel their booking. Cancelation will be subject to cancellation or processing fees as per the Terms and Conditions of Sale.

Download voucher This facility will only be made available in May 2014. By clicking on the button ' Download Voucher', your voucher will be automatically downloaded as a PDF file in order to be viewed. You can save it on your computer or you can just open it. Please note you must print the voucher and bring it with you to check in your hotel.
